1. TheClubSecretaryfunction

AfterloggingontotheHYFLwebsite,www.hyfl.website,selecttheSystemLoginbuttonandthiswilltakeyoutotheloginscreen.

Pleasenote.Throughoutthisguide,wheretheadviceisto‘select’,thismeansclickingonit‘once’.

Also,itispossibletohavemorethanoneClubSecretaryonthesystemandthismaybeofuseifyouhavealotofteamstoregisteronthesystemoryouhavedifferentSecretariesfortheHYFLandHSC.

TohaveasecondSecretaryaddedtothesystem,youwillneedtoemailtheLeaguewithdetails(fullnameandemailaddress)andrequestsuchanaddition.

Youwillbefacedwithaloginscreen,enteryourusernameandsystempassword.ThesewillbeinanemailsenttoyouremailaddresswhentheLeaguesetyouuponthesystem.

Youare‘stronglyadvised’tochangeyourpasswordthe‘firsttime’youlogintothesystem-forsecuritypurposes.

Onceloggedin,youwillseethefollowingscreen:

TheHomescreenisthedefaultscreenandwillshowallsubmittedMatchResultFormsatahigh-levelandMatchDetailsforyourclubi.e.thekeyinformationforeachmatch;DateofMatch;Age-group;Division/Group;Competition;HomeTeamwithscore;AwayTeamwithscore;MatchformIDandSubmittingTeam.ThisscreencanalsobeviewedbyselectingMatchandthenMatchDetails.ThiswillobviouslybeblankuntilMatchResultFormshavebeensubmittedbyyourClub.

Yourfirsttaskinusingthesystemistosetupdetailsforyourclubmanagers–i.e.thosewhowillsubmitMatchResultFormsforeachteamonaweeklybasisandregisterPlayersonthesystem.Thiscanbetheteammanager,teamadministrator,fixturessecretary,orindeedyourself–indeedanyonewhoyounominatetosubmittheformofaweeklybasis(andthismustbedoneforEACHteamyouhaveenteredintheHYFL/HSC).

TodothisyoushouldhoveroverHomeorclickthedownwardarrowalongsideit.ThiswillthenbringuptheRegisterfunctionwhichyouclickonandusetoaddmanagerdetails(nameandemailaddress)ofyourteamsandyoumustgiveeachauniqueUserNameandPassword–seebelow.Typeinthemanagers’namesandselecttheirTeamfromthelistgivenbyclickingthedownwardarrow.

TheUserNameandPasswordcanbeanythingandwillsenttotheemailaddressentered.ItiscommonforaUserNametobeeitherthenameofthepersonortheemailaddressoftheuserbutdoesnothavetobe.Pleaseensuretheloginidismeaningfulandnotjustafewcharacterse.g.U7asthiscaneasilybereplicatedbyotherclubsandcauseproblems.AnentryforTelephoneisoptional.Youmustsetaninitialpasswordforeachperson–wesuggestyouensurethisisatleast6charactersinlength.

Whenamanagerhasbeensuccessfullysetupyouwillreceiveamessagefromthesystemadvisingthatanemailhasgonetotheuser(Manager/Administrator)givingthemausernameandpasswordtologinwith.

Pleasenotethatifyouhaveateammanagerthatrunsmorethanoneteamforyourclubthenitisessentialthattheyhaveadifferentusernameandpasswordforeachteamasitisthesethatidentifytheuserandtheirteamtothesystem.

SelectingtheClubbuttonwillshowallteamswithinyourclub.ThiswillshowtheManagerdetailsyouhavesetupforeachteam,althoughnottheusernameandpassword.

YouwillbeabletoviewmanagerdetailsbyclickingonView.

Ifyouneedtoremoveamanageroradministratorforanyreasonthenyouwillneedtoclickon'Managers'andthenselectthemanager/administratoryouwishtoremoveandthenclick'Remove'.Pleaseensureyoudonotthenleavetheteam'managerless'.Note.Itispossibletohavemorethanonemanageroradministratorperteam.

AsaClubSecretaryyoucanviewplayersbyselectingateamandthenclickingonPlayersbutyoucannotaddthemwithinthisscreen.

IfyouneedtoaddPlayersorsubmitaMatchResultFormonbehalfofoneofyourteamsthenyouneedtousetheLogInbutton.ThisthenlogsyouinasthemanageroftheselectedteamandgivesthesamefacilitiestoaddPlayersorsubmitaMatchResultFormasamanagerhas.AsyouarenoweffectivelythemanagerofthatteamyoucanalsoAddandViewplayersasthemanagerisabletodo.(SeethesectionTheManagerfunctiontoseeinstructionsonhowtodoanyofthesethings).PleasenotethatifsubmittingaMatchResultFormonbehalfofyourmanagerthenyoushould‘sign’theformwithyourownnameandnothis/hers.

SelectingMatchandthenMatchDetailsgivesyouthesamescreenastheHomescreenwhichwillshowanyresultssubmittedbyyourclubmanagersindateorder.However,byselectingamatchand

thenthe buttonthiswillallowyoutoseeandprintanysubmittedMatchResultFormfortheselectedmatch.

IfyouareloggedinasamanagerthenthelogoutfunctionatthetoprightofthescreenwilllogyououtasthatmanagerandreturnyoutoyourClubSecretaryscreen.

PlayerTransfers(betweenclubs)

TransferringplayersisaSecretaryfunction.

Itrequiresthesecretaryoftheclub‘gaining’theplayertosendanemailtothesecretaryoftheclub‘losing’theplayer,and,importantly,copyingintheLeagueExecutiveOfficer,AndyLowe(andylowe43@btinternet.com).

Theemailshouldcontainthefollowingdetails:

1. Thenarrative‘PlayerTransferRequest’inthesubjectheaderoftheemail.2. Thefullname(firstandsurname)oftheplayer.3. Thenameoftheclubandtheexactteamheiscurrentlyregisteredwith.4. Thenameoftheclubandtheexactteamhewishestojoin.

Onreceiptoftheemailthesecretaryoftheclub‘losing’theplayershouldsatisfythemselvesthattheplayerhasnooutstandingdebtorkittotheirclub.

Oncesatisfiedthatthetransferisokaytogoahead,thesecretaryoftheclub‘losing’theplayershouldthensenda‘replytoall’emailconfirmingthattheyacceptthetransfer.ThisemailMUSTbesentwithinatleast7daysofreceiptoftheoriginalemail.

Theclub‘losing’theplayerMUSTalsosend(post)theplayer’soriginallaminateIDcardtotheLeagueExecutiveOfficerwithintwodaysofthe‘replytoall’emailreferredtoabove.

The‘replytoall’emailwillbereceivedbytheLeagueExecutiveOfficerwhowillbeawareofthetransferrequestandexpecttoreceivethelaminateIDcardshortlyafterwards.

Iftheclub‘losing’theplayerisunabletoacceptthetransferrequest,theymust‘replytoall’givingfulldetailsastothereasonsforbeingunabletoallowthetransfertoproceedatthattime;thisalsoMUSTbesentwithinatleast7daysofreceiptoftheoriginalemail.Oncethisissueisresolvedthentransferrequestshouldberepeated.

WhentheLeagueExecutiveOfficerisinreceiptoftheemailacceptingtheplayertransferANDtheoriginallaminateIDcard,thentheLeagueExecutiveOfficer(NOTthetwoclubsinvolvedinthetransfer)willRemovethatplayerfromtheteam‘losing’theplayerandAddthatplayertotheteam‘gaining’thatplayer.Atthattime,theLeagueExecutiveOfficerwilladvisebothclubsbyemailthatthetransferhasbeenactioned.

UntilALLoftheabovehasbeenprocessedandactionedthentheplayertransferhasNOTbeeneffected.

Followingthis,anewlaminateIDcardwillbeproducedandsenttotheclub‘gaining’theplayer.

PlayerTransfers(betweenteamsinthesameclub)

TransferringplayersisaSecretaryfunction.

TheclubsecretaryshouldemailtheLeagueExecutiveOfficer,AndyLowe(andylowe43@btinternet.com).

Theemailshouldcontainthefollowingdetails:

WhentheLeagueExecutiveOfficerisinreceiptoftheemailrequestingtheplayertransferANDtheoriginallaminateIDcard,thentheLeagueExecutiveOfficer(NOTtheclubortwoteamsinvolvedinthetransfer)willRemovethatplayerfromtheteam‘losing’theplayerandAddthatplayertotheteam‘gaining’thatplayer.Atthattime,theLeagueExecutiveOfficerwilladvisetheclubbyemailthatthetransferhasbeenactioned.

UntilALLoftheabovehasbeenprocessedandactionedthentheplayertransferhasNOTbeeneffected.

Followingthis,anewlaminateIDcardwillbeproducedandsenttotheclub/team‘gaining’theplayer.

PlayerDe-Registration

De-registeringplayersisaSecretaryfunction.

Aclubmayseektocancelaplayerregistration,atanytime,byreturningtheplayerlaminateIDcardtotheLeagueexecutiveOfficerwithanotetoexplainthatyouwishtode-registertheplayer.Uponreceiptofthis,theLeaguewillthencanceltheregistrationonthesystem,andadvisetheclubofsuchaction.UntilALLofthattakesplace,theplayerremainsaregisteredplayerforthatclub.

Whenyouhavefinishedusingthesystem,youshouldlogout.

2. TheManagerfunction

AfterloggingontotheHYFLwebsite,www.hyfl.website,selecttheSystemLoginbuttonandthiswilltakeyoutotheloginscreen.

Pleasenote.Throughoutthisguide,wheretheadviceisto‘select’,thismeansclickingonit‘once’.

Youwillbefacedwithaloginscreen,enteryourusernameandsystempasswordandclickonthekeysymbol.Yourusernameandpasswordwillbeinanemailsenttoyouremailaddresswhenyourclubsecretarysetsyouuponthesystem.

Youare‘stronglyadvised’tochangeyourpasswordthe‘firsttime’youlogintothesystem-forsecuritypurposes.

Onceloggedin,youwillseethefollowingscreen:

TheHomescreenwillshowdetailsofanymatchresultsyouhavesubmittedtothesystem.ThiswillbeblankuntilyouhavesubmittedaMatchResultForm.Thereafter,itwillincrementthroughtheseasonwithanypreviousresultsyouhavesubmitted.

SelectingtheClubbuttonwillshowdetailsforyourteamonly–thesystemknowsyourteambyyourlog-on.

Registeringyourteam’splayersonthesystemIntheClubscreen,ifyouclickonyourTeamandthenclickPlayersitwillshowtheplayersalreadyaddedtoyourteam.IfitisthefirsttimeyouhavegonetothisscreenthenyouwillneedtoaddplayersbyclickingPlayersandthentheAddbutton.Youthenneedtoentereachplayer’sFirstandLastNameandtheirdateofbirthinDD/MM/YYYYformat.(Oncesuccessfullysetup,theplayerwillbeautomaticallyselectablewhencompletingtheMatchResultForm.)

ToViewyoushouldselectaplayerbyclickingonhiminyourlistandyouwillseehis/herdetails.

Changesrelatingtoaddingplayers,effectivefromthe2017/18season:

1. Youneedtouploadaplayerphotoandadocument(seesection4,payingcaretoeverythingthere,particularlythe‘IMPORTANTNOTE’insection4.3)provingdateofbirth,whichcanbeaplayerregistrationcardfromlastseason,abirthcertificate,amedicalcardorapassportdetailspage.YoudothisusingtheChooseFilefacilityavailableonthescreen(forPlayerImageandDocumentImage)whichcanbeusedtoselecttheimagesyouhavesavedonyourelectronicdevice.

2. Theplayer’sregistrationnumberwillbegeneratedbythesystemandnotmanuallyentered.Adateofregistrationwillalsobesystemgenerated.Boththesefieldswillonlybegeneratedsubjecttoafullandcompleteinputofplayerdetailsandtwoimages(photoanddocument).Youneedtotabpastboththesefieldsafterenteringthedateofbirthtoselecttheplayerimage.

NB.Youarestronglyadvisedtocheckthatallfieldsarepresentandcorrectasyoudonothavethefacilitytoedityourinput.

3. ManagerswillbeunabletoEditplayersdetailsandifthisbecomesnecessarythenyouarerequiredtorequestthisoftheLeagueExecutiveOfficerviaemailwithfulldetails.

4. Thesystemwillcheckthatnoteamexceeds20playersforUnder7toUnder16teamsor25playersforUnder17andUnder18teams.IfyoureachthislimitandneedtoaddmoreplayersthenyourClubSecretarywillberequiredtoadvisetheLeaguewhichplayersshouldnolongerberegisteredinyourteam(seepage6).OnlytheLeaguecaneditorremoveplayersfromateam.

5. Thesystemwillcheckforvaliddateofbirthrangesforeachage-groupandrejectinvaliddates.

6. TheLeaguesystemnowallowsplayerstoberegistereduptoadayinadvanceofagamebutdoesnotallowplayerregistrationsonSundays,regardlessofwhethertheteamhasascheduledmatchornot.(Playerregistrations,therefore,canonlyoccuronMondaythroughtoSaturday).

7. WhenyouhavesuccessfullyaddedtheplayerstoyourteamyouwillbeabletoprintatemporarylistofplayersshowingtheirfullregistrationdetailsandphotousingthePlayerPrintbutton.ItisintendedthatthistemporarylistwillonlybeusedforamaximumofafewweeksuntilyoureceivetheplayerIDlaminates.AsthelistwillbeprintedonA4paper,youareadvisedtoretainitinaplasticwalletandkeepindryconditions.Thereisnolimittothenumberoftimesthiscanbeprinted.PleasenotethatplayerIDlaminatesshouldbeavailablemuchsoonerthanpreviousseasonsandiftheyarenotreceivedwithinacoupleofweeksofregisteringyourplayersthenthisshouldbetakenupwithyourClubSecretary(towhomalllaminatesaresent).PleasenotethatusingthePrintbuttonwillopenanewwindow.Whenyouhavefinishedwiththescreen,clickoutofthatwindowtoreturntothepreviousscreen.

ToViewyoushouldselectaplayerbyclickingonhiminyourlistandyouwillseetheirdetails.

TheMatchbutton

HoveringyourmousepointeroverMatchwillgive2possibleselections.MatchResultFormandMatchDetails.

YouwouldclickonMatchResultFormfollowingamatchwhenyouwanttosendinyourformtotheLeague/Combination(within2daysofthematchtakingplace)–seethenextsectionsonhowtodothis.YouwouldclickonMatchDetailsifyouwantedtoviewapreviouslysubmittedmatchresultform,althoughthisviewisalsoavailableontheHomescreen.

IfyouclickonMatchResultFormyouwillbefacedwithascreenwhichallowsyoutoentermatchdetails.Severalimprovementshavebeenincorporatedintheon-lineform,notavailableinamanuallycompletedmatchresultcard,topreventerrorsincompletingtheform.

Thebutton willallowyoutoseeandprintanysubmittedMatchResultFormforamatchthatyouselectfromtheHomescreen.

Amendingyouremailaddressortelephonenumberheldbythesystem

Ifyouneedtoamendyouremailaddressortelephonenumberthesystemholdsforyou,youcandothisbyclickingonyournameatthetop-rightofthescreen.ThiswillshowyourFirstName,LastName,EmailaddressandTelephonenumber.Youcanoverwritetheemailaddressortelephonenumberandthenclickthe'Update'buttontosaveittothesystem.Youdonotneedtoenteryourpasswordtodothis.althoughthisfunctionalsoallowsapasswordchange-seesection3,Passwords.

Whenyouhavefinishedusingthesystem,youshouldlogout.

2.3CompletinganUnplayed/DefaultedFixtureForm

This form is available by clicking, as you would, for completion of a Match Result Form.

IfyouclickonMatchResultFormyouwillbefacedwithascreenwhichallowsyoutoentermatchdetails.Foranunplayedfixture,youshouldentervaliddetailsinthe‘DateofMatch’,‘Competition’,‘Division/Group’and‘HomeTeam’and‘AwayTeam’andthenclickthe‘Postponed’boxbelow.

ThiswilltakeyoutoascreenthatallowsyoutoentertherelevantdetailsfortheUnplayedMatch.The‘Reason’fieldgivesyouadrop-downboxthatgivesthe5mostcommonreasonsforthematchbeingunplayed–selectoneofthese.Ifnoneofthesearerelevanttoyourmatchbeingunplayedthenselectthesixthwhichis‘OtherReason’.Reasons,4,5and6onthedrop-downboxwillcauseatextboxtobeopenednamed‘Explanation’inwhichyouneedtoprovideafullexplanationofthereasonsrelatingtothematchbeingunplayed.

Ifenteringoneofthefirst3reasons,thendetailsofhowtheadviceforthematchbeingpostponedwasgivenshouldbeentered.Theseshouldincludethenameofthepersonwhoadvisedofthepostponement,whotheyadvisedandthedateandtimeoftheadvice.

3.Passwords

Whenauser(ClubSecretaryorManager)isregisteredonthesystem,theusernameandpasswordchosenforthemissentviaemailtotheemailaddressregisteredonthesystemforthem.

Whenyouwanttologintothesystem,youwillneedtheusernameandpasswordyouhavebeengiven.Youcanchangethispassword,anditisrecommendedthatyoudo,byclickingonyourlogindetailsatthetop-rightofthescreenandyouwillbeinvitedtoenterandconfirmanewpassword.Confirmationofthechangewillbeemailedtoyou.

Ifyouforgetyourpasswordthenthereisa‘ForgottenPassword?’linktoclickonbelowthepasswordboxontheontheSystemLoginscreen.Clickthisandanewpasswordwillbesenttoyouremailaddress,whichyoucanchange.(Iftheemailisnotreceivedthenpleaseensurethatyouchecktheregisteredemailaddressand,ifnecessary,yourspambox.

4.PlayerPhotographsandDocumentation

Clubsarerequiredtotakephotographsoftheirplayersandtheirproofofdateofbirthdocumentsanduploadthemtothesystemusingthe‘Browse’functionalityonthePlayer/Addscreen.Thephotographsshouldbestoredonanelectronicdevice(PC,laptop,tablet,pad,ormobilephone)whichallowsthemtobeuploadedtotheMatchResultFormsystem.

4.1Takingplayerphotographs

Playerphotographsarerequiredtobeinthesameformatandqualityaspassportphotos.Thismeansthattheyshouldbetakenheadandshouldersonly,incolour,withaplaincreamorlightgreybackgroundtoenablethefacetobeclearlyrecognisable.Playersshouldnotbewearinghatsorglasses.PhotographsuploadednotmeetingtheserequirementsarelikelytoberejectedbytheLeague.

Playerphotographsaremostlikelytobetakenonmobiledevices,phonesortabletsorpads,andtheseshouldbetakenholdingthedeviceinportraitmodeandnotlandscape–aspertheexamplebelow.

Ifthephotographistakenwithacamerathenthecamerashouldbeturnedsidewaysandnotheldinthestandardway.

Itisimportantthattheplayeriscentredinthephotographasthesecanbeinmanydifferentsizes-somephonesorcamerastakephotographsof20megapixelsorevengreaterthanthis.Thismeansthatthesoftwarehastoresizethephotoonupload.

4.2Playerdocumentation

Aswellasplayerphotographs,thereisarequirementforproofofdateofbirthdocumentationtobeuploadedforeachplayer.Thisdocumentationcanbeanimageoflastseason’sregistrationcard,apassportdetailspage,abirthcertificateormedicalcard.

Thedocumentationcanbephotographedusingamobiledevice,phoneortablet,acameraorcanbeascannedimageandshouldbetakeninlandscapeformat.

4.3Uploadingaplayerphotographortheirdocumentation

Inbothcases,theAddplayerfunctionhasaChoosefilebuttontoallowthemanageroradministratortoselectthecorrectfilecontainingtheplayerphotographortheirproofofdateofbirthdocumentation.FollowinguseoftheChoosefilebuttonthecorrectfileshouldclickedontoselectanduploadthedocumentorimagetotheplayerpage.

PLEASENOTETHATTHETIMETOUPLOADANIMAGEISDEPENDANTUPONYOURSYSTEMUPLOADSPEED–PLEASEBEPATIENTASALARGEIMAGEANDASLOWSYSTEMUPLOADSPEEDMAYTAKEAMINUTEORMORETOCOMPLETE.

OncethesehavebeensuccessfullyuploadedthiscanbecheckedusingtheViewbutton.
