Academic Affairs Business Services

Who We Are In January of 2011, the Provost proposed the idea of consolidating business services from 26 academic non-college departments into a single office, under the purview of the Office of the Provost and Executive Vice President for Academic Affairs. The goal of centralization was to capitalize on shared expertise and to provide departments with a more consistent delivery of services, data and reporting. As a result, the Academic Affairs Business Services (AABS) department was put into operation on September 1, 2011.

These teams provide business services for the non-college department reporting to the Provost and Executive Vice President. You will be working for one of the departments of which we provide business services.

AABS Listservs

AABS has three listservs to better serve you and to ensure you are receiving important updates in an orderly

fashion. The three listservs are as follows:

General AABS Listserv – covers important updates, reminders and information regarding budgetary and

general procedural matters. All supervisors, department heads, and departmental AABS liaisons are

encouraged to subscribe.

Travel Talk Listserv – covers updates, reminders and procedural matters relating specifically to travel.

Travelers and staff who support travel-related activities and arrangements are encouraged to subscribe.

AABS HR News – includes weekly updates from TAMU Human Resources and bi-weekly timesheet

reminders. All AABS customers are encouraged to subscribe.

What Is SSO?

SSO allows university employees to access multiple employment systems using one login.

TrainTraq

In accordance with Texas A&M System Regulation 33.05.02, all Texas A&M employees are required to take the courses listed below. Employees may also be required by their department head and supervisor to complete other training based on their job duties. Unless otherwise noted, required courses can be taken online using TrainTraq, which is accessed through the Single Sign On system.

Required training must be completed at your workstation during your normal working hours unless prior arrangements have been made with your supervisor or Department Head.

Required State Mandated Training: • Orientation to the A&M System• Ethics• Creating a Discrimination-Free Workplace• Reporting Fraud, Waste and Abuse• Information Security Awareness

These online classes must be repeated at certain intervals throughout an individual’s employment. TrainTraq will notify employees when training needs to be added or renewed.

Assigned courses

Complete the following steps to begin online training in TrainTraq: 1. Log in to Single Sign On.2. On the SSO menu, click “TrainTraq.”

The TrainTraq assigned courses should appear on the Home screen. If you area new hire and see no assigned trainings, contact HRPR so the team canreview your transcript and assign whatever trainings are necessary.

Searching For and Selecting a Course (for employees)

TrainTraq does not require you to have an assignment in order to take a course. If you are interested in finding other available courses that will assist you in your current or a future position, you can perform a course search.

To search for and select a course click the Course Catalog tab. The Course Search page displays. You can either scroll through the full list of courses displayed at the bottom of the page or you can perform a search.

Find and Register for Classroom Training

The Find Classroom Training tab will allow you to locate “In Classroom” courses to register for using TrainTraq.

Accessing and Reading Your Transcript

TrainTraq keeps a record of all of the courses, programs, and tasks you have completed as a system employee. This transcript is available to you at all times and provides you with details about each completion listed.

To access your transcript, click the My Transcript tab.

The Completed Courses and Tasks section allows you to display course and task completions and/or withdrawn completions using the Status drop-down menu.

If you would like to print or save a copy of your completed or withdrawn courses and tasks, click the PDF icon located at the top right portion of the section.

The Completed Programs section allows you to display program completions and/or withdrawn completions using the status drop-down menu.

If you would like to print or save a copy of your completed or withdrawn programs, click the PDF icon located at the top right portion of the section.

To obtain TrainTraq support:

1. In TrainTraq, click the Support tab. This opens the Support page, which allows you torequest assistance via email

2. Select a radio button to designate who receives your request.3. Type your question/request into the email text field. Click the Send Email button. A

message displays at the top of the page to confirm that the email has been sent.4. You may also contact your HRPR Liaison directly.

Workday

What is Workday?

Workday provides unified finance, human resources and student, faculty and staff lifecycle management cloud applications designed for the way people work in today’s organizations. We believe a new experience is coming to the A&M System — one that is modern, focused on users and streamlined, with common business processes across the A&M System.

The A&M System will benefit from Workday’s intuitive, web-based applications with self-service and mobile capabilities. Workday is designed to work the way we work today and will help create a more nimble, process and data driven organization.

Many universities are adopting Workday because it is easy to use by HR and payroll employees, faculty, staff, managers and student workers; it supports what we do in higher education and it emphasizes a collaborative approach to designing business processes.

How to Enter Time in Workday NOTE: Employees should submit their timesheets weekly for manager approval, failure to submit your timesheet will delay you payment on the schedule pay period. Please refer to the payroll calendar to view the bi-weekly and monthly pay schedule.

From the Workday Home page:

1. Click the Time worklet

2. Click This Week

The Time Calendar will display

Note: • The number of hours already entered for the week will also display.

• Alternatively, you can click Last Week or Select Week

3. Click under the date where you want to add hours

4. Complete the following fields:

• Time Type (either Project, Time Entry Code or Absence Code)• Hours• Comment

• A blue Enter Time box should appear, and then a pop-up will display

Direct Deposit InstructionsThis outlines the process for an Employee to enroll in direct deposit and add

bank information. This step should be performed during the on-boarding process. New employee needs to complete this step ASAP to ensure that the Payment Elections take effect in order for direct deposit to be processed correctly for their first payroll. If you missed this step to set up your direct deposit, please contact your HR Liaison to have the step triggered for you separately if you wish to be enrolled.

As a U.S. entity, Texas A&M University is obligated to comply with the requirements of the United States Department of Treasury Office of Foreign Assets Control (OFAC), which oversees payments sent outside the territorial jurisdiction of the United States. This includes automated clearing house (ACH) payments, such as direct deposits. Texas A&M University payroll system does not permit direct deposits to banks outside the United States.

3. Select the additional option icon to expand the menu options for the Direct DepositDeclaration:

4. Choose your options for your direct deposit declaration “NO” or “YES” for the drop downmenu.

NOTE: Direct Deposit Declaration question deals with transferring funds. Workday will not transfer funds to a bank outside the U.S. Workday will issue a paper check to the employee, who must then arrange that kind of transfer themselves.

i. If employee answers "Yes, I have or will have… my direct deposittransferred to a financial institution outside the U.S.”, the employee isNOT eligible to have direct deposit.

ii. If employee does not plan to transfer funds to a bank outside of the U.S.and would like to enroll in direct deposit, select the option “NO”.

Dual Employed Employees If you are dual employed please follow the instructions listed below on how to input and submit your time-sheet in workday. If you have any questions or concerns please contact you assigned HRPR Liaison.

Entering Time as Dual Employee

When entering time in workday you will need to access your time sheet by accessing the “Time” worklet in workday as shown below:

Select the day to enter your time:

Code Maroon Emergency Notification System What is Code Maroon? Code Maroon is Texas A&M University's emergency notification system. Code Maroon uses multiple notification methods in the effort to reach campus members in an emergency situation.

Code Maroon will only be used to provide official notification of critical situations that pose an imminent, physical threat to the community.

How does it work? Campus officials issue a brief message with information and instruction about events such as: confirmed building fire, toxic gas leak, report of violent criminal activity, or a tornado sighting on or near campus. ·

The message is entered and sent through an integrated service which immediately forwards the message via multiple methods; SMS text messages, TAMU e-mail (campus e-mail system), Emergency Alert System (EAS), desktop popup window, RSS, Twitter -account: TAMUCodeMaroon, and classroom notification through audio speakersinstalled in more than 260 classrooms.

Emergency email alerts will only be sent to Texas A&M Email (Neo) addresses ending with "@neo.tamu.edu.•

Microsoft Outlook or Novell GroupWise users can receive alerts by subscribing to Code Maroon's RSS feed.
