Registration Policy Key Highlights
Registration Start Date– 5/28/14 for existing families
Open House – 6/1/14 for all families
Early Registration Discount Period – 5/28/14 through 7/6/14
Age Limit – new students need to turn 4, 5 and 6 by 12/31/14 in order to
enroll in Pre-K, K and Grade 1, respectively. Proof of birth date required.
Class Placement – based on FULL tuition payment date
Payment Priority – PayPal payment strongly preferred. Credit card
payment may cause delay linking to school system. No check accepted.
Late Fee – $50 late fee will be applied to any family account with account
balance or new registration starting 9/8/14
Transfer – Each student is allowed one free transfer for each of language
and culture class per school year. Each additional transfer will be subject to
a $20 fee per transfer. No transfer allowed after 9/21/14
No student can audit class post 9/14/14
Parent-on-Duty – All parents need to fulfill POD responsibilities

School Important Dates
The 2014-2015 school year of Huaxia Chinese School of Greater New York (HXGNY) starts on
Sunday, September 7, 2014. Classes run from 9:30 am to 12:30 pm on Sundays.

Language Classes Offered
Based on students’ level and preference, we offer different Chinese language classes using
different sets of textbooks. To compare the different features offered by each textbook and
understand how to select the proper class for your kids, please refer to: “Textbook Evaluation”
and “Class Selection Guide” at www.hxgny.org under Registration.

Class Placement Priority and Waiting List
Teacher Assignment
Teachers will be assigned to different language and culture classes based on their past experience
and specialties. Teacher assignment, if available, will be published concurrent with the
registration start date.
Class Placement Priority
Class placement priority will be based on parent preference and full tuition payment date. The
school reserves the right to adjust class placement based on optimum class size and will give
priority to families based on tuition payment dates.
Paypal payment is STRONGLY preferred and enables real-time link to school registration
system. Credit card validation requires extra time. As a result, school does not guarantee that
the registration system will reflect the payment date on a real-time basis.
Students will not be allowed to audit class if full payment is not received before the second week
of class beginning on 9/14/14
Waiting List
For any other student who could not get into his desired class, please send an email to hxgny-
[email protected] . Please include the following information in the email: (i)
Family ID; (ii) student’s name; (iii) parent contact information (parent names, email and home
phone number); (iv) current class placement; (v) desired class placement; and (vi) a short
description of reasons. The school will use its best effort to match each family’s needs. Waiting
list priority is based on tuition payment date.

Tuition and Fees
Tuition and Fee Structure
There are 3 fees that apply to each registered family / student:
Family management fee - $50 per family (regardless of number of students in each
family); non-refundable
Registration fee - $40 per student; non-refundable
Tuition – see table below. Tuition listed below includes textbook costs
Early registration discount - $50 per student when enrolling a regular language class.
Payment has to be received on or before 7/6/14. For students who has registered but not
paid prior to 7/6/14, early registration discount will be forfeited.

As an illustrative example, if a family has 2 children - one will register for MZHY G1, one will
register for MLP G2, and the family will register and pay before 7/6/14, the total payment will be
as follows:
Family management fee – $50
Registration fee – 2 students x $40 = $80
Tuition for MZHY G1 - $600
Tuition for MLP G2 – $630
Early registration discount – 2 students x ($50) = ($100)
Total payment - $1,260
Tuition for Partial Semester
Student will pay full tuition for the semester even if registering in the middle of a semester.
School administration will exercise discretion to determine if family fee or registration fee can be
partially waived.
Culture Class Tuition for Selected Classes
Most culture classes are free of charge if a student also registers for a language class. For
selective culture classes that the school needs to hire outside vendors, or uses special teaching
materials, a tuition and/or a material fee will be required to cover the school’s costs. Please
check the online registration system for specifics.
Culture Class Only Registration
For students who only register for culture classes, but not language classes, tuition of $300 per
class per year plus the $50 family management fee per family and $40 registration fee per
student will apply. In addition, for those culture classes that need to hire outside vendors, or use
special teaching materials, additional fee will be required. If the student is taking 3 culture
classes, the school could consider offering a discount on the third class. Please contact

Adult Class
Adult class will require full year registration.
For adults with children enrolling in our school, a student registration fee of $40 plus full
year tuition will be applied.
For adults without children enrolling in our school, both family fee and student
registration fee, together with full year tuition, will be applied.
Penalty Fees
Late fee –
o A $50 late fee will be applied to each family account whose full payment for
student registration is not received by 9/8/14
o A $50 late fee will be applied to each new registration post 9/8
o A $50 late fee will be applied to any unpaid adult class registration or any new
adult class registration post 10/5/14 (third week of adult class)
Transfer fee – $20 (see detailed transfer policy below)
Check bounce fee – $35 on each returned check

Transfer Policy
Before 9/21/14, each student is allowed one free transfer for language class and one free transfer
for culture class per school year. Any additional transfer will be subject to a $20 fee per transfer
per student.
Last student allowable transfer date is 9/21/14. Transfers after the transfer deadline will be
subject to a $20 fee per transfer per student.
Before 10/5/14, each adult student is allowed one free transfer. Any additional transfer will be
subject to a $20 fee per transfer per student. Post 10/5/14, any transfer will be subject to a $20
fee per transfer per student.
Payment Methodology
All payments can be made online via Paypal or credit card. The “Pay by Paypal” link on the
registration page will allow you to use both methods of payment once clicked in. Checks are
only acceptable during onsite registration. The school has the right to deny a student’s
acceptance if the payment has not been made in full and on time.

If a check is returned for any reason (e.g., insufficient funds, stop payment, or account closed), a
$35 processing fee in addition to any penalty amount charged by the bank will be added to your
account. If a student with a bounced check decides to withdraw from the school, the $35
returned check fee and bank charges will still apply.

Refund Policy
Refund during the Semester
The $50 family fee and $40 registration fee are not refundable at any time
Textbook costs are not refundable unless the books are returned in brand new
condition or sealed (for MaLiPing books)
Withdraw before or on first week of class: 100% refund of Fall semester tuition +
100% refund of Spring semester tuition (excl. textbook costs)
Withdraw before or on second week of class: 80% refund of Fall semester tuition
+100% refund of Spring semester tuition (excl. textbook costs)
Withdraw before or on third week of class: 50% refund of tuition of Fall semester
tuition and 100% refund of Spring semester tuition (excl. textbook costs)
Withdraw after third week of class: 0% refund of tuition of Fall semester tuition +
100% refund of Spring semester tuition (excl. textbook costs)
Refund for Spring Semester
Since the tuition is paid for the whole school year, if a student decides to only enroll for the Fall
semester, but not the Spring semester, 100% of Spring semester tuition will be refunded (excl.
textbook costs).
Refund Processing
Refund via Paypal (within 3 months of payment via Paypal) will be processed promptly. Refund
via check will be processed altogether during the last week of October for the Fall semester and
during the last week of February for the Spring semester.

Grade Assignment – Age Limit
Pre-K, K and Grade 1 Age Limit
For new students, age limits to enroll in Pre-K, K and Grade 1 are as follows:
Pre-K – Student must be 4 years old before Dec 31, 2014 to enroll in Pre-K classes
Kindergarten – Student must be 5 years old before Dec 31, 2014 to enroll in K classes
Grade 1 – Student must be 6 years old before Dec 31, 2014 to enroll in Grade 1 classes
Proof of birth date in the form of birth certificate or passport must be emailed to
[email protected] upon payment. If the documentation is not received within two weeks
after payment, class placement will be invalidated and tuition will be refunded (but not the
family fee and student registration fee). Please include Family ID and student name in the email.
For existing students, we strongly recommend students of younger age to enroll in the right
grade. The school reserves the right to reassign students to proper grade based on teacher
feedback.
Grade 2 and above
New students for grade 2 and above should contact school registration ([email protected])
to be evaluated and assigned to appropriate class based on students’ Chinese proficiency levels,
subject to availability of the grade/class.
Parent-on-Duty
All parents shall fulfill Parent-On-Duty responsibilities and tasks, which is to ensure the safety
and orderly conduct of students enrolled at HXGNY.

Code of Conduct
All the common courtesy obeyed in English schools applies in HXGNY, including but not
limited to the following. For a full description of Code of Conduct, please refer to HXGNY
Code of Conduct menu on www.hxgny.org
No staying in classroom without teacher’s permission
No lingering outside classroom
No switching classes without school registration team approval
Follow security team’s instruction on parking for safety of everyone
Photo Usage
The school reserves the right to take pictures of students/families participating in the school's
academic/cultural/social events and activities, and use those pictures in School’s newsletters and
website. Any family that does not want their pictures to be posted should make a written request
to the school at the beginning of the school year.
Acknowledgement
I and my family hereby agree that we will comply with the Rules and Regulations set by the
School for 2014-2015.
By registering hereunder, each student and/or family assumes the risks of participating in any
activity at the School and hereby irrevocably release the School and its agents, officers, directors,
employees, successors and assigns from any and all liabilities of any type of nature arising out of
his/her participation in activities at the School.
