How to set up a meeting and book a room Change to Calendar view and select new meeting from the main menu A new Meeting invitation will be displayed requiring you to enter the meeting details. Also take note of the Room Finder pane on the right handside of the invitation. How to set up a meeting and book a room

Change to Calendar view and select new meeting from the main menu

A new Meeting invitation will be displayed requiring you to enter the meeting details. Also take note of the Room Finder pane on the right handside of the invitation.

These field are dynamic in nature

and will assist in choosing a room

and a suitable time should there

be conflicts with attendees and

rooms. This will be demonstrated

further down in this guide.

Information to be entered:

names of those to be invited to the meeting

subject/purpose for the meeting

date and time of the meeting Once this information is entered, the email service will run a check in the background on the suggested date and report the availability of those invited to the meeting for the entire day.

Beside the Location field you will find a button labelled: Rooms

Selecting the Rooms button will list all the rooms available in the ANU Global Address List. To narrow

the search to the rooms in the Law school, enter Building 5 into the search field.

Scrolling down the Suggested times field

will show the availability of all invitees on

the date of the meeting, which will allow

you to adjust the time if there is a conflict.

A quicker method of finding an available room Law building is to select CoL Meeting Rooms from the

Show a room list in the Room finder pane on the right.

By adding CoL Meeting Rooms to the booking, the email service will once again run a check in the background to report the availability of all rooms on the specified date and time.

there are only 4 rooms

available

If you decide to change the meeting time, the system will automatically update in the meeting

invitation and adjust the list of available rooms accordingly.

Select the room from the list of available rooms to include the room in the invitation.

Submit the invitation by pressing Send

By selecting a different time, the email

service will update the invitation and

the list of rooms available.

Bookings submitted by members of the CoL Community for the Phillipa Weeks Library, Minter Ellison

Meeting Room and the Moot Court will be accepted automatically and a confirmation will be sent to

the originator of the meeting invitation.

Changing your view to Calendar view and you can see that the meeting has been added to your

calendar and the calendar of the room booked, in this example the Minter Ellison Meeting Room.
