6. SHELL SCHEME BOOTHS The Organizer will provide for each standard shell scheme booth (3m x 3m or 3m x 1.5m) the following facilities:-

(a) Aluminum system shell scheme booth with white laminated panels partition (b) Fascia board with Exhibitor’s company name and booth number (c) One Information Counter (1m Width x 0.5m Depth x 0.75m Height)

(d) Two spotlights

(e) Two Chairs (f) Needle punch carpet for booth area

(g) One Rubbish Bin (Remark: The height of the standard booth is limited to 3.5m. The height of Exhibitors’ decorations should not be over this limit.)

7. FASCIA BOARD (Not applicable to Exhibitors who have rented the raw space) Exhibitors who have rented the shell scheme booth are required to fill in the Section A of the BOOTH DECORATION INFORMATION SHEET by showing the exact wordings of their Company’s name that has to be put on the fascia board as supplied by the Organizer. The Form should be returned to the Official Contractor on or before 15 February 2013.

8. BOOTH DECORATIONS (a) Exhibitors are allowed to decorate their booth as according to their own will in

conditions that they should not cause dangers to other parties or cause damages either to the venue or to the booth facilities as provided by the Organizer.

(b) The height of the construction and decoration within a 18sqm raw space or above is limited to 5m. For all of the decorations above 2.5m, exhibitors should cover its back with white or off-white cloth.

(c) The height limitation for the booth construction and decoration directly and within ±0.5m width under the smoke curtain is 2.5m.

(d) The height for the decoration of the standard booth is limited to 3.5m. The Exhibitors’ decorations should not be over this limit.

(e) All booth structures, decorations and furniture should not exceed the booth boundary. (f) Double-decked designs should only be applicable after receiving the prior approval

from the Organizer. The height limit of the double-decked structure is 6m. Safety certificate issued by certified engineer/surveyor should be provided to the Organizer before 1 February 2013, please refer to item No.14 for more details. All Exhibitors are responsible for the safety of the structures. The Organizer reserves the right to prohibit any person entering the upper deck of the structure.

(g) All decorations and signage for standard booth should be located within 0.5m inside the booth boundary.

(h) Lighting devices should be located at least 2.2m above the floor. Otherwise, suitable protection facilities should be installed to maintain the public safety.

(i) All construction and decoration materials should be fire-retarded and conformed to the fire protection and construction regulations. For safety reason, exhibitors who used wood to set up the booth should require their non-official contractors to place a fire extinguisher in a conspicuous location during the construction period.

(j) Exhibitors are not allowed to hang any inflammable decoratives on the ceiling of the exhibition venue. Inflammable decoratives include but not limited to wood, candle, feather and ribbon which are not fire-retarded materials.

(k) Painting, welding and using electrical saw are strictly prohibited inside the exhibition venue.

(l) Exhibitors can rent from the Official Contractor additional furniture and electrical items they need for decorating their booths. For more details, please refer to item No.9 of this manual.

(m) Exhibitors who have rented the raw space can employ their own non-official contractor for their booth erection and decoration. For more details please refer to item No.10 of this manual.

(n) According to the Safety Handbook for Construction Site Workers, if work is carried out 2 metres or more above the floor, contractors and exhibitors must use a suitable working platform. The organizer and HKCEC staff members will stop exhibitors or contractors if they are found working on a ladder higher than 2 metres in any area within the HKCEC.

(o) According to the Rules and Regulations of HKCEC, all licensees, their staff and any person accessing to the exhibition venue when moving vehicles and /or forklifts are being operated in connection with building-up or breaking-down of the exhibitions

stands, are required to wear a Reflective Safety Vest during the move in or move out days.

(p) The Organizer reserves the right to alter or remove without notice and at the Exhibitor’s expense any booth which differs from the approved specification or any Stand that does not conform to the Organizer’s required standard, rules and regulations. The Exhibitor shall have no claim against the Organizer for any extra cost of replacing its booth to conform to the Organizer’s required standard, rules and regulations or for any other losses or damages.

(q) All the transporting, assembling, dismantling and the removing of custom-built stands are the responsibility of the Exhibitor.

9. FURNITURE & ELECTRICAL RENTAL

(a) All Exhibitors can rent from the Official Contractor the additional furniture and electrical items they need for decorating their booths by filling in the ADDITIONAL FURNITURE RENTAL FORM and ADDITIONAL ELECTRICALS RENTAL FORM and return them to the Official Contractor on or before 15 February 2013.

(b) A 20% late charge will be laid on all orders submitted after 15 February 2013. (c) A 30% surcharge will be laid on all orders placed at site. (d) Any damage or loss of the rented items will be charged to the Exhibitors from the

Official Contractor on market value. 10. NON-OFFICIAL CONTRACTOR (Applicable to Exhibitors who have rented the raw

space) (a) Exhibitors who have rented the raw space can employ their own non-official contractor

for their booth erection and decoration. They must fill in the Section B of the FACILITIES REQUISITION FORM and return it together with a Site-Work Deposit of HK$2,000 to the Organizer on or before 15 February 2013.

(b) The erection work will be applicable only after having the approval from the Organizer. The Organizer reserves the right to reject any contractor and design which deems inappropriate. The site-work deposit will be refunded immediately to the Exhibitor if the application does not approved by the Organizer.

(c) For those approved, the site-work deposit will be refunded one month after the closing of the Exhibition provided that the non-official contractor conforms to all rules and requirements as set out by the Organizer and have not caused any loss to the Organizer (e.g. destruction of the venue and etc.,).

11. NON-OFFICIAL CONTRACTOR (Applicable to ALL Exhibitors)

From 1st June 2010 onwards, Hong Kong Convention & Exhibition Centre (Management) Limited reserves the right for their security personnel to refuse entry of or remove any person from the venue in case of any dispute regarding the credentials issues of the Construction Industry Safety Training Certificates (“Green Cards”).

12. MOVE-IN DATE & SCHEDULE

(a) The move-in date of the Exhibition is 14 March 2013. (b) In order to enable the Exhibitors to move-in more fluently, the Organizer will arrange

for each Exhibitor a move-in time schedule. All Exhibitors are required to adhere to the schedule. The Organizer will notify the Exhibitors about the schedule two weeks before the opening of the Exhibition. In case the Exhibitors find difficulties with the schedule, they are required to inform the Organizer for re-arrangement seven days before the opening of the Exhibition. The Organizer will do its best, but not guarantee,

to make re-arrangement as according to the actual feasibility of the circumstances.

13. MOVE-OUT DATE & SCHEDULE (a) The move-out date of the Exhibition is 17 March 2013. (b) The Exhibition will be closed at 20:00 on 17 March 2013. All Exhibitors shall start to

dismantle their booths and decorations after 20:00. The move-out time is from 20:00 to 23:30.

14. AP / RSE SAFETY CERTIFICATES All Stands or temporary structures exceeding 3 metres in height(but less than 4.5m high) must be constructed under the supervision of an Authorized Person (Surveyor) / Registered Structural Engineer (AP/RSE). The AP / RSE shall verify the stability of the Stands or temporary structures. Safety certificates shall be collected before the opening of the exhibition. For any structure or booth stand with height at or exceeding 4.5m, the Exhibitors are required to provide a safety certificate issued by a Registered Structural Engineer (RSE) to prove its stability and safety. Moreover, a relevant safety report including calculation that prepared by the RSE shall be submitted to the organizer for approval on or before 1 February 2013. Stage(s) or platform(s) at or exceeding 1.1 metres but below 1.5 metres in height must be supervised by an Authorized Person (Surveyor) / Registered Structural Engineer (AP/RSE). For all stages, platforms, catwalks or control panels higher than 1.5 metres, an advanced structural report that prepared by an Authorized Person (Surveyor) or Registered Structural Engineer (AP/RSE) is required prior to set-up or erection. After approval the set-up or erection must then be conducted under AP/RSE’s supervision. Exhibitors shall provide the above certificates or reports as according to the submission deadline as mentioned above. The Organizer reserves the discretion right to shut up any booth that fails to provide those requisite documents. Exhibitors can consult directly with the Authorized Persons (AP) or Register Structural Engineers' (RSE)as listed in the website of the Building Department as follows– Authorized Persons' Register (List of Surveyors) - http://www.bd.gov.hk/english/inform/e_apiii_1.html Structural Engineers' Register - http://www.bd.gov.hk/english/inform/e_rse_1.html Exhibitor can also liaise with the following consulting companies if needed. VENUE 15. ELECTRICAL & AIR-CONDITIONING SUPPLIES & INSTALLATION

(a) The Organizer will supply the general lighting and air-conditioning of the venue. (b) The standard electricity supplies are:- 220 volt 50 Hz for single phase 380 volt 50 Hz for three phases (c) All electrical installation must be carried out by the Official Contractor. Exhibitors are

responsible for the electrical fee. (d) Multi-plug is not allowed to be used inside the Exhibition venue.

16. BOOTH & VENUE CLEANING

The Organizer will arrange the general cleaning of the venue and booths before the daily opening of the Exhibition. Exhibitors are responsible for removing their packing materials, empty cartons, wooden crates, and etc., before the daily opening of the Exhibition.

17. SECURITY & INSURANCE

(a) Exhibitors are advised to insure their exhibits against all risks and have third-party insurance that covered their on-duty representatives inside the venue.

(b) The Organizer is responsible for the general security of the exhibition venue. Security guards will be arranged to patrol the venue. Every effort will be taken to ensure the safe custody of the exhibits during the Exhibition, but the Organizer shall not be held responsible for any loss or damage that occurred.

18. STORAGE

No storage area will be provided at the venue. Exhibitors should have prior arrangements with their forwarders or agents, if any, for storing their properties and packing cases.

FACILITIES

19. EXHIBITORS’ BADGES A maximum of 5 exhibitors’ badges will be allotted to each booth upon request by filling in the Section (A) of the FACILITIES REQUISITION FORM and returning it to the Organizer on or before 15 February 2013. All badges are strictly non-transferable. The badges will be sent to the Exhibitors one-week before the opening of the Exhibition.

20. CONTRACTORS’ BADGES Non-official contractor should wear contractors’ badges for their booth erection and decoration. A maximum of 5 contractors’ badges will be allotted to each booth upon request by filling in the Section (A) of the FACILITIES REQUISITION FORM and returning it to the Organizer on or before 15 February 2013. The badges will be sent to the Exhibitors one-week before the opening of the Exhibition. All badges are strictly non-transferable. Non-official contractor is not allowed to enter the venue for booth erection and decoration without wearing a contractor’s badge.

21. VEHICLE PASS

All Exhibitors are not allowed to unload their exhibits or goods at the main entrance of the Hong Kong Convention & Exhibition Centre (HKCEC). The Exhibitors should unload them at the loading dock of the HKCEC which Vehicle Pass will be needed. Two Vehicle

Passes will be allotted to each Exhibitor upon request by filling in the Section (A) of the FACILITIES REQUISITION FORM and returning it to the Organizer on or before 15 February 2013. The Passes will be sent to the Exhibitors one-week before the opening of the Exhibition. During the move in and the move out days, vehicles that are allowed to proceed to the Hall loading area will be given a ticket with clock-in time. First 45 minutes will be the grace period which no charges will be imposed. Charges for the first hour after the grace period will be HKD$100/hour (or part thereof), the second hour or above after the grace period will be HKD$200/hour (or part thereof). For exhibitors or contractors who lost their ticket will be charged at HKD$500/each/per day.

22. INVITATION CARDS & POSTERS The Organizer will print the Invitation Cards and Posters specifically for the Exhibition. All Exhibitors are requested to indicate the quantity of the Invitation Cards and Posters they need by filling in the Section (A) of the FACILITIES REQUISITION FORM and returning it to the Organizer on or before 15 February 2013. The Invitation Cards and Posters will be delivered to the Exhibitors two weeks before the opening of the Exhibition.

23. FREE LISTING IN THE OFFICIAL DIRECTORY

The Organizer will publish an Official Directory for the Exhibition. The Directory will be distributed free of charge to all visitors. Information of all the Exhibitors will be included in the Directory. Exhibitors are required to fill in the OFFICIAL DIRECTORY’S FREE LISTING FORM and return it to the Organizer on or before 15 February 2013. All late entries will not be entertained.

24. PRIZES SPONSORSHIP The Organizer will arrange a number of games and gimmicks for the Exhibition. All Exhibitors are welcomed to sponsor prizes for the games and gimmicks. The total value of the sponsored prizes should be no less than HK$5,000. The Organizer will advertise the logos of all the Sponsoring Companies in all the printed advertisements of the Exhibition. Interested Exhibitors are required to fill in the PRIZES SPONSORSHIP FORM and return it to the Organizer on or before 15 February 2013.

25. SAMPLE FOOD/BEVERAGE DISTRIBUTION Exhibitors who need to distribute food or non-alcoholic beverage products for sample

tasting within the Exhibition venue must gain prior authorization from the HKCEC. They need to apply by fill in the “AUTHORIZATION REQUEST SAMPLE FOOD AND/OR BEVERAGE DISTRIBUTION”. Please contact the Organizer for detailed application procedure.

26. PERFORMANCE OF MUSIC AT THE EXPO (a) Any musical performance, including the use of music recording for fashion show,

demonstration or as background music, requires the permission from the following organizations:

licenses shall be borne by individual Exhibitor concerned. (c) All audio/visual equipment must be sited and be kept at the minimum noise level.

Exhibitors must ensure that the noise as generated at their booths is kept to an acceptable level and does not cause disturbance to visitors or other exhibitors. The exhibitor has the responsibility to ensure that the demonstration sound level should not exceed 75dB(A). The organizer reserves the right to intervene and stop the demonstration immediately if the sound level causes undue disturbances to other exhibitors and visitors, In this case, the exhibitor shall not be entitled to receive a refund or damage compensation from the organizer.

OTHER REGULATIONS

27. OTHER REGULATIONS a) No booth shall be left unattended at any time during the opening hours of the Exhibition.

The staff of the Exhibitors should present at least 30 minutes before the daily opening of the Exhibition and leave the exhibition hall within 30 minutes after the daily closing of the Exhibition.

b) All Exhibitors shall be responsible for the conduct of their staff in the Exhibition. c) All Exhibitors are not allowed to conduct any business or promotional activity outside

their own booth area. d) All Exhibitors are not allowed to conduct any activity within the vicinity of the

Exhibition which, in the opinion of the Organizer, amounts to a nuisance or annoyance to the visitors or other Exhibitors.

e) Non-exhibitors are strictly forbidden to effect sales or any other form of promotional activity inside the exhibition venue that are prejudicial to the interests of the Exhibitors or of the Exhibition. Exhibitors are requested to report such activities to the Organizer once they discover it.

f) All Exhibitors are required to take precautions to secure the safety of the visitors and against fire.

g) All Exhibitors are responsible for any damage they caused in the Exhibition. h) All Exhibitors must strictly adhere to the move-in and decoration time schedule. Repair

or alterations can only be carried out when the Exhibition is closed and with the consent of the Organizer.

i) No exhibit should be removed from the venue before the closing of the Exhibition except with the special permission from the Organizer.

j) All the staff and contractors of the Exhibitors must wear the Exhibitor’s Badges inside the exhibition venue. Admittance into the venue will not be allowed without the Badges.

k) All badges are non-transferable. Exhibitors are strictly forbidden to bring non-working staffs to enter the venue by presenting Exhibitor’s Badges. Organizer will arrange staffs to patrol in the venue to ensure that all working staffs wear the official badges appropriately during the Wedding Expo.

l) Hydrogen balloon is strictly prohibited inside the venue as in accordance with HKCEC’s rules and regulations.

m) Unauthorized photo and/or video shooting in the venue are strictly prohibited. n) No food or drink is allowed to bring into the exhibition venue. o) Exhibitors are allowed to conduct business or promotional activity inside their own

booth area. Such activities should not obstruct or disturb the programmes or activities as held by other Exhibitors or Organizer. Otherwise, the Organizer reserves the right to prohibit such activities.

p) The Exhibitor may only display those exhibits and their respective Publicity Material which are listed in the product category of the Application Form For Space Allocation.

q) According to the Smoking (Public Health) Ordinance, Chapter 371, Laws of Hong Kong, and the rules and regulation of HKCEC, smoking in the exhibition venue is strictly prohibited in order to provide HKCEC a clean and safety place of work. HKCEC reserve the rights to deny any entry to HKCEC’s area for those who have breached the non-smoking provision, as well as to report to the concerned Government Authority.

r) According to the Rules and Regulations of HKCEC, exhibitors must not move their display outside their own booth area, or place any goods on the aisle during the opening hours of the Exhibition. Exhibitors with exhibiting area equal to 50 square meters or above, the offensive penalty amount will be HKD$20,000.00. Exhibitors with exhibiting area less than 50 square meters, the offensive penalty amount will be HKD$10,000.00

CONDITIONS:The conditions for rental of furniture and electrical installation are: 1. All items ordered are on rental basis and exhibitors will therefore have to make good for any damages or losses. 2. Exhibitors with very sensitive equipment are advised to bring their own stabilizer to cater for voltage fluctuation. 3. Any complaints regarding rental furniture/installation must be lodged the day before the exhibition commences.

Otherwise all items are deemed to have been received in good order. 4. Exhibitors are not permitted to fix their own spotlights or fluorescent lights. Special lighting supplied by exhibitors

can be handed over to the official contractor for installation at a nominal price. 5. Exhibitors are required to mark on the plan above the position of their electrical requirements. We will install at our

discretion if we do not receive any instructions before move in. Requests for re-positioning will be subject to a relocation charge.
