High School Learning Coach Orientation Session

By the end of this session, the learning coach will know how to:

• Log into the Online Learning School (OLS) – Set up your account

• Create an account for your student • Complete Daily Activities

– Enter Attendance – Check Kmails and respond to any necessary teacher communications – Check Student’s Work

• Look at the calendar or announcements to determine which assignments need to be turned in • Check the gradebook to make sure assignments due are turned in • Check the gradebook for missing assignments.

– Check student’s user activity – Contact teachers if you have any questions.

• Through kmail or by phone

Logging into OLS: Go to http://www.k12.com/wyva. Click on

“OLS Login”.

From here, type in your username and password and click “Log In”. If you don’t have an account yet, click “Set Up Your

Account”.

Enter your registration ID and the phone number you used when you registered. Your registration ID

should be emailed to you. However, if you don’t have it, check with your homeroom teacher or call

(866) 512-2273. Then just follow the steps to create your account.

Create an account for your student

Click on “My Account” .

Click on your student’s name.

Fill in the username and password for your student. Then click “Save”.

Enter Attendance

• Remember …

– WYVA recommends that your student completes about 1 hour per class per day. However your student can also set up a block schedule.

– Attendance should be entered every day.

Click “Attendance” on the learning coach home page.

Alternately, you can click on “Plan” then “Attendance”.

Check the date. If you are missing attendance, the screen will open to the date of your first missing attendance. If you are not missing attendance, it

will open to today’s date.

You can change the date by clicking the arrows or the calendar icon. You can also

see how many missing days you have.

Click on the “Enter Time” column on the course you wish to enter

attendance for.

Automatically a suggested time appears. You can override this by just entering in your

time. Do this for all the classes your student worked on that day.

You can also auto enter zeroes in empty spaces or in all spaces.

Then click save. If you have other days to enter, just change the date and enter the next day’s attendance.

Check K-mails

Click on the “K-mail”.

From here, you can either create a new message, go to the inbox, draft, archive, or

outbox, or contact your teachers .

From the inbox, you can see the k-mails from your teachers. Simply click on the

subject to view the k-mail.

From the “Contact Our Teachers” Button, you can choose to send a k-mail to a certain teacher. Just click the blue “Send K-mail” link

to open a new k-mail.

Creating a new message. Click in the “To” box to select your teacher.

After selecting the “To” box, a window will pop up. Select “Teacher” or

“Administrator” then “Search”. Find the teacher you wish to k-mail. Check their name, then click “Return to Message”.

You can only choose one teacher for the “To” field, however, you can CC several teachers. Just click “Show CC” and repeat the process

to select the teachers.

Remember it is important for teachers to know which student you are referring to. Don’t forget to click on the “About” area and select your student

the same way you selected the teacher.

When you are ready to send your k-mail, simply hit “Send Now”.

You can archive old k-mails, but clicking “Archive” in the k-mail or by selecting several k-mails and

selecting “Move to Archive”. To see your archived k-mails, simply click “Archive”.

You can tag k-mails to make them easier to find. Tagging is like creating

folders for your k-mails.

To add a tag, simply click in the “Add Tag” field and type the name of the tag you want. For

example “science”. Then click “Tag”. To access all the k-mails with a certain tag, just click on the tag

name to the left of the screen.

Check Student’s Work

From here you will have to select the course again.

Click on the calendar link.

Scroll down to the appropriate date.

Look at the assignments to complete that week. Pay close attention to the “Graded Activities Due This Day” row. Remember 0m’s will be entered the day after the

assignment is due.

Alternatively, you can look at the weekly announcements.

How do you access your student’s course?

Once in the course, how do you check what assignments are due?

Check the gradebook to ensure all graded assignments are turned in.

Missing assignments are marked with a “0m”. Make sure that your student turns in any missing work as soon as possible. When checking student work, make sure you

ensure your student has completed the assignment before it is marked missing.

Completed Assignments

Some items are teacher graded, so their grades won’t show in the gradebook until the teacher returns them. You can still check that the items

are submitted. Just click on the “Dropbox”.

The dropbox can show you what assignments your student has

submitted.

Inbox: Look at assignments returned to your student from their teacher.

Outbox: Look at assignments your student sent to their teacher. These assignments are not yet graded.

If your student appears to be struggling on quizzes and tests, you might check the user activity to ensure your student is spending

adequate time in the course. From the gradebook, click “User Activity”

WYVA Academic Integrity Policy

Plagiarism The definition of plagiarism is copying or imitating the language, ideas, and thoughts of another person and passing them off as the student’s own original work. Plagiarism is cheating. Some specific examples of plagiarism that will not be tolerated are: Copying, paraphrasing or summarizing another person’s work without citing that source. • Using material, including photographs, from the internet or any other source and

representing as the student’s own, even if he or she has changed some of the words, unless you have correctly cited the source from which it came.

• Having someone else write the assignment or rephrase any portion of that assignment.

• Directly copying or rephrasing student aids (Cliff Notes, for example), critical sources, or reference materials in part or whole without acknowledging those sources.


Consequences:

First Offense in any class: Warning to student and

Second Offense in any class: Mandatory meeting

with student, mentor, teacher and academic

administrator.

Third Offense in any class: Withdrawal from

What happens if your student plagiarizes 3 times?

Late Policy • Graded assignments – whether teacher or computer scored – are listed on the

course calendar. Any work that is assigned for during the week that is not received by the due date will be considered missing and assigned a 0m the day following the assignment due date. All weekly assignments must be completed and submitted no later than midnight the Sunday following the due date for that assignment to receive full credit for the work. Please turn in all 0m’s as soon as possible.

• On teacher graded assignments, the assignment will be assessed a 10% per week penalty for each week that it is late up to and including the 4th week. Any assignments received more than 4 weeks late will receive an automatic 10% score per assignment. – 1st Semester: Teacher graded assignments due prior December 7th will be accepted no later

than Sunday, December 16th, 2012. All other assignments will be accepted no later than Sunday, January 6th 2013

– 2nd Semester: Regular assignments will be accepted no later than Monday May 27th, 2013. – Note: Please read your announcements, calendars, and kmails…individual teachers may

change deadlines at their discretion.

• Assignments not received by the scheduled late date will receive a grade of zero, with no exceptions.

• In case of computer- or internet-issues, please have a hardcopy of your teacher’s name and phone number.

• Please be aware that because of the point values assigned to teacher-scored assignments, it is mathematically impossible to pass a course without completing them.

When do assignments start to receive a late penalty?


A 0m gets entered the day after they are due, but they do not receive a penalty until Sunday at midnight.

Complete the online learning course

Click on the online learning course from your homepage.

Then click on “Access Course”.

Click on “Unit 1” to expand the Unit. Then click on 1.01 to access the lesson.

Read the content and select the next arrow to progress through the lesson.

When you get to a quiz, simply say “Begin Quiz”. Read the reminders, then click “Begin Quiz

Now”.

Select your answers, then click “Save Answers”. You will get a reminder that your quiz has not

been submitted. Click “OK”.

Next, click “Submit for Grading”. You will receive another warning. Click

“OK”.

Complete Online Learning Course

• Continue to work your way through the course until you have completed it.

• Remember!!!

– You have 3 days to complete the online learning course.

How many days do you have to complete the online learning course?

Take the Scantron

• What is the Scantron test? – Scantron is an easy to use assessment program that will allow

you and your teacher to quickly assess the current achievement and potential educational needs of your child.

• How does the assessment work? – The Performance Assessment is a computer-adaptive test that

lets you quickly pinpoint the proficiency level of your student; the computer will adapt the test based on your child’s answers/ability. It can be lengthy (1hr+), please remember to let your student stop and come back if he/she gets tired.

• How long do I have to take the Scantron? – 7 days – The first day of school is meant to be used to take the Scantron

and the Online Learning Course.

Check your k-mail for information on how to take the Scantron.

Click on the “Student Login”

Enter the site ID provided to you in the k-mail. Click “Next”. Select which test you would like to take. Click

“Next”. Enter your Student ID (provided in k-mail). Click “Next” to begin the test.

Remember you need to take the test in Reading and Math.

• Before you take a quiz or a test, you might want to check the DocSharing area for reviews posted by your teacher.

Completing Computer Scored Assignments

• Remember after reading the lessons you may need to take a quiz.

• Warning: Usually you can only take quizzes and tests once.

When you get to a quiz, simply say “Begin Quiz”. Read the reminders, then click “Begin Quiz

Now”.

Select your answers, then click “Save Answers”. You will get a reminder that your quiz has not

been submitted. Click “OK”.

Next, click “Submit for Grading”. You will receive another warning. Click

“OK”.

You will receive your score. To see what you missed, click on the grade book. Once in the gradebook, click on the blue link by the grade

for the quiz.

Completing Teacher Scored Assignments

At the end of the lesson, if there is a teacher graded assignment, you will see a “Graded Assignment”.

Click on it. You will get a pop up window asking you to open the document. Click “OK”. Then complete

the assignment.

Sometimes you may need to hold the ctrl button while you click this link.

Click on the Dropbox

Submit Assignment: Click on submit assignment, which will take you to another screen.

Inbox: Look at assignments returned to you from your teacher.

Outbox: Look at assignments you sent to your teacher.

Select which assignment you want to submit.

Click Add/Remove to add items from your computer

Click browse to add files from your computer

Look for the appropriate file in your computer, then click “Open”

Once you have selected the file, select attach file or save and attach another file depending on what you want to do.

After the file attaches, select, “Submit Assignment”
