Technology Coordinator Role and Responsibilities • Key Responsibilities:

– Understand the basic functionality of the online HSAP systems (including how passwords work) and necessary software and plug-ins for the online HSAP systems so that you can assist Test Administrators and Test Coordinators.

– Ensure that each computer being used for the online HSAP Assessments meet the minimum hardware and software requirements.

– Provide proper network configuration. – Confirm the correct secure browser is installed on each computer students

will use for online testing and test the installation by launching the browser. – Provide technical support/trouble-shooting during online test sessions.

• Test Coordinators are responsible for scheduling online assessments in the school. Test Administrators are responsible for administering online assessment or exam sessions. Technology Coordinators may also take on these roles but only if designated to do so. Anyone who will be administering an assessment or exam to students must first pass the online TA Certification Course.

Online HSAP Systems • Principals must log into TIDE and enter or verify the school’s Test Coordinator(s)

information. Test Coordinators must then log in and add/verify Test Administrator and Teacher users.

– If a Test Coordinator or Test Administrator has changed, the previous person’s name must be deleted and the new name and other information added.

– Newly added users will receive an e-mail from [email protected] that contains a temporary password and a link to sign in to HSAP systems. Users must log in with the temporary password within three (3) days of receiving the email in order to activate the account. Newly added users will be prompted to update their password and select and answer a security question.

– Returning users will be able to use their current username and password. – A user may request a new password at any time by clicking “Forgot Your Password?”,

entering their username and answer their security question. An email will the be sent from [email protected] that contains a temporary password and a link to sign in. Users must log in with the temporary password within three (3) days of receiving the email in order to activate the account. Users will be prompted to update their password.

• The username for any user is the email address that was entered in TIDE for the user. Contact the HSAP Help Desk at 1-866-648-3712 if you need help with a username or password.

Screen size

• The minimum recommended screen size is 10 inches or larger. • Minimum supported resolution:

• Desktops, laptops and tablets: 1024 x 768. • Netbooks: 1024 x 600

• Depending on the size of the screen, individuals may need to use vertical and/or horizontal scroll bars to view the complete screen.

• Students may also use the Zoom tool to enlarge the content on the screen.

Headphones

• Students who use the text-to-speech (TTS) tool will need to use headphones. • TTS is available to all students for the Smarter Balanced tests, the HSA

Science Assessments, and the Algebra I, Algebra II, Biology I and U.S. History EOC Exams.

Printers

• Rarely needed. Test Administrators can print out test session information and, for a few students with certain documented visual impairments, TAs will be given permission by the Assessment Section to print reading passages or items. Only the Test Administrator should have access to printers used to print passages or items. Printed passages or items must be shredded immediately after the student completes a test session.

Pop-Up Blockers

• To disable the pop-up blocker for each browser, navigate to the following menu options: – Firefox (Windows): Tools > Options > Content > clear Block pop-up

windows. (Firefox on OS X and Linux is similar.)

– Chrome: Menu > Settings > Show advanced settings > Privacy > Content Settings > Pop-ups > mark Allow all sites to show pop-ups.

– Chrome on Android tablets: Menu > Settings > Advanced > Content Settings > Block pop-ups > clear checkbox.

Fast User Switching (Windows Only)

• Microsoft Windows (Vista, 7, 8.0, and 8.1) has a feature that allows multiple users to log into a computer without requiring one user to log out before another logs in. This feature is called “fast user switching.”

• The policy of the Hawai‘i Department of Education is that if a student can access multiple user accounts from a single computer, the Fast User Switching function must be disabled. Instructions for disabling the Fast User Switching feature can be found in the 2015–2016 HSAP Technical Specifications Manual at alohahsap.org.

Network/System/Software Updates

• Schedule the network/system updates to run in off-school hours to avoid test interruptions.

• Check for software that have auto-updates (e.g. anti-virus, Adobe, etc.) to ensure that those auto-updates are either disabled or set to run after testing hours.

Network Information

• Network configuration settings should include the following:

– Network configurations must whitelist the following: • *.tds.airast.org • IP Address: 184.106.55.81

– Session timeouts on proxy servers and other devices should be set to

values greater than the average scheduled testing time. If testing sessions are scheduled for 60 minutes, consider session timeouts of 65–70 minutes. This will help limit network interruptions during testing.

– Data cannot be cached.

– If your client network uses any device(s) that performs traffic shaping, packet prioritization, or Quality of Service, the IP addresses above should be given a high priority to guarantee the highest level of performance.

Secure Browser Overview • All computers that will be used for testing must have the appropriate secure

browser installed. These secure browsers prevent students from accessing other computer or Internet applications or copying test information.

• Schools will need to download a new Secure Browser onto all computers used for testing in SY 2015-2016. The current Secure Browser should be used to access the online testing system once the testing window opens.

• The current secure browsers are available for download on any of the HSAP portals at alohahsap.org.

• New for 2015-2016: The secure browser may be set up to automatically check for and install updates.

• Occasionally, an updated version of the secure browser may be required during the a school year. For this reason, a new auto-update feature of the secure browser is now supported. This feature can be disabled. More information on this Auto-update feature or how to disable it can be found in the 2015–2016 Secure Browser Installation Manual at alohahsap.org.

• If an updated version of the secure browser becomes available, announcements will be made ahead of the scheduled release to allow schools time to implement.

Downloading and Installing Secure Browsers on Desktop and Laptop Computers

One-by-one (manual) installation • From each computer to be used for testing, access the Internet, and download and

install the browser, OR • Download and save the browser onto a media device (such as a flash drive) and then

copy and install the files onto each computer, OR • Download and save the browser to a network folder and then copy it onto each

computer. • Additional instructions are available in the 2015–2016 Secure Browser Installation

Manual at alohahsap.org if you must install the secure browser on computers to which you do not have administration or installation rights.

Network installation (Network Administrators) • The Windows Installer is bundled as a .MSI package enabling you to push the

browser to all the computers through Active directory and doing a silent install. Alternatively, you can push the browser out to all computers through a network by copying browser files from the network to individual computers or through third-party programs to run the installers, such as Apple Remote Desktop.

• Select either "Run" or "Save File" in the pop-up dialogue box which should appear on your screen.
