Thank you for your interest in the Hall Receptionist position. The position of Hall Receptionist has become one of responsibility for the ongoing safety and security of the residence halls. Please fill out the application after reading the following position description. You must qualify for a student work award for the 2011-2012 academic year to receive this position.

Hall Receptionist Position Description 2011-2012Hall Receptionists are responsible for the ongoing safety and security of the residence halls. Because of this responsibility, we look for experienced staff members on our hall receptionist staff as a benefit to all the halls. Anyone who qualifies for work-study for the 2010-2011 academic year is eligible to apply for a hall receptionist position. Anyone that is applying for a Hall Receptionist position for the academic year that can arrive early to campus to work at the front desks during Week One can apply to be a Week One Hall Receptionist.

Greeting People

One of the primary roles of the hall receptionist is to welcome and assist persons entering the residence hall.

Security

One of the most important responsibilities of the receptionist is assisting with the security of the building. The hall receptionist should acknowledge everyone entering the building, and to those not recognized as residents, ask if they need assistance.

Campus Resource Person

Offering and giving assistance whenever possible is also an important part of the hall receptionist's role. As a resource person, a hall receptionist is expected to be familiar with the layout and services of the residence hall, and to be familiar with the campus. The hall receptionist is responsible for knowing all materials in the desk book and the Hall Receptionist Manual. If the information sought is not at the disposal of the hall receptionist, or the receptionist is not sure of the response, the person should be referred to someone who will be able to help.

Addressing Policy Violations

Hall Receptionists must be familiar with and adhere to St. Olaf policies, be able to answer questions regarding them, and address policy violations as they occur.

Meetings

Hall Receptionists will meet with their supervisors as a group on a regular basis to discuss desk responsibilities, procedures, scheduling, and any other concerns that may arise. Attendance is mandatory at all hall receptionist staff meetings, training sessions and scheduling sessions.

Other Assignments

Hall Receptionists are to complete other duties as assigned by the Area Coordinator and/or the Building Assistant. These may include: making, posting, or removing signs; collating; delivering messages; shoveling snow; and other basic duties. These duties will vary depending on the residence hall and the time of the year. This includes having a great attention to administrative detail.

Weekend Maintenance

Duties include: collecting and disposing of trash; straightening lounges and other common areas; general bathroom clean-up as needed; and any related duties as assigned by the Area Coordinator. Weekend maintenance pays 3 hours of work each weekend and is completed sometime Saturday 5:00 p.m. to Sunday at 5:00 p.m.

Storage Room

Specific Hall Receptionists staff the Storage Room. Duties include: logging items brought in and out of the storage room, cleaning out the room twice a year, maintaining the security of the room while it is open, checking loft kits in and out, maintaining loft forms, and following storage room policies.

Expectations

The Hall Receptionist position is one of leadership and responsibility and works closely with the Residence Life Staff; therefore, expectations of students filling the position are high. Hall Receptionists must adhere to college policy. Students may be dismissed from the position for the following:

not fulfilling the requirements of the job,

intentionally missing a shift,

drinking alcohol or using illegal drugs directly before or during a shift,

being involved in policy violations on campus, or

actions inconsistent with student work and/or college policies.

This job will include some evening and weekend responsibilities required of each member of the Hall Receptionist staff.

Week One Hall Receptionists

Performing front desk roles in assigned halls during Week One. This requires returning to campus on Friday, September 2, 2011. You will be expected to work between 6-8 hours a day until classes start. If you will be on campus during Week One for another commitment, you must let us know in case of conflicts with working. Being flexible in Week One scheduling and willing to work early morning and late night shifts.

Assisting with the fall housing check-in process which includes checking residents in by distributing room inventories, keys, and keycards. The check-in process requires a great attention to details.

Coordinate with the Area Coordinator and Building Assistant a fall training program for the Hall Receptionist staff.

Staffing Storage Room hours, which include instructing and familiarizing workers with the layout of the area, and assisting in opening storage room hours.

Provide exemplary service to parents, families, and other guests.

Qualifications: Working as a Hall Receptionist for the 2010-2011 academic year.

Supervision

The Hall Receptionist reports directly to the Building Assistant and is responsible to the Area Coordinator.

Remuneration

Hall Receptionists and Week One Hall Receptionists will be paid $7.40 per hour for first-years and sophomores and $7.65 per hour for juniors and seniors for the 2011-2012 academic year. (Based on 2010-2011 rates). All Week One Hall Receptionists are paid the same rate regardless of their previous years as a Hall Receptionist. All Hall Receptionists and Week One Hall Receptionists must qualify for work-study for the 2011-2012 academic year.
