Most property management companies don’t provide training on how to take a detailed service request, so office staff learn from listening to their co-workers.

2x year, gather the entire team and list the 10 most common service requests for the upcoming season at your community. (Tip: Run a report in your work order system).

For each common service request, ask maintenance to identify the 5 key questions the office team should ask to provide the best information.

For your team: There are times when a repair seems straight forward, but you’re only 90% confident in the next steps. Turn to YouTube as a “gut check” to confirm your decision.

For your residents: Video your maintenance team demonstrating common troubleshooting tips: Resetting electrical outlets, garbage disposals or running bathroom fans/opening bathroom windows to reduce moisture issues can all reduce service calls.

Replacing insulation and cleaning the coils and drain pan during each make ready will result in fewer A/C service calls.
Just think: if 60% of the units are turned each year, that means on a 300-unit property 180 properly cleaned A/C units that will not only cool better but have fewer condensation leaks, carpet extractions, drywall repairs, and paint touch-ups!Best Practice by Mark Cukro

A clean work area lets resident know you take pride in your work. Sloppy work are = potentially sloppy repair. Wear shoe covers. Take out any trash created (and offer to take out their trash as well). Do not use resident’s belongings to clean up spills or messes.
