Introduction

Company-wide, Siemens ID cards share the

same clearly defined standard corporate design.

Departures from this design are only permitted

with the approval of CG MC CB BR Name and

Mark. The guidelines published here must be

implemented worldwide.

This information is distributed to the relevant ID

card issuers/LRAs by GM SEC through existing

information channels.

Note that the rules differ, depending on whether

or not a company uses the Siemens logo and

carries the Siemens name.

Special transitional rules apply in the event

of company acquisitions (integration) and

sales (carve-outs) of companies.

The guidelines for company ID cards that

carry the Siemens logo are binding for the

following companies throughout Siemens:

Siemens AG

Siemens Regional Companies

Companies with Siemens in their name that are assigned to Divisions, Countries and other

organizational units

Separate rules apply to these companies:

Affiliated companies with an independent company name and logo with or without a

Siemens reference

The Siemens logo is the most important identifying element and

is located at the top left of the ID card.

On the right is a color photo of the ID card holder.

A chip with exposed electrical contacts is embedded at a

standardized position.

Next to the chip is a hologram with a portrait of Werner von

Siemens, the company founder. This is designed to make

ID cards harder to counterfeit.

Siemens AG has numerous affiliated companies whose names

include the name Siemens like Siemens Financial Services GmbH. The name of the affiliate company is placed below the

contact chip and must include the company legal form. Like the

name of the ID card holder, this company name is written in the

local language.

There are two lines of space for the ID card holders title and name. One line is used solely for the first name and last name.

The names are written in the local language. If the full name is

too long to fit on a single line, the first name should be

abbreviated appropriately. The title (Dr. or Prof. in Germany, for

example) may be placed in the line above the name, provided

this is consistent with local practice. The type size for the name

should be sufficiently large to enable the ID card to be used as a

name tag at trade shows and events.

General description Back

Information for anyone finding the ID card in case it is lost can be

found at the top. This information is always in English.

The version/identification number of the ID card is at the

bottom left.

Bottom right corner offers space for an optional bar code.

Additional information

Other general information, including graphics like claims,

campaign logos, certification marks, etc., is generally not

permitted. The inclusion of additions of any kind always requires

the approval of CG MC BC BR Name and Mark (Siemens AG).

Wording on the back of the ID card:

This identification card is the property of the company and may not be copied. It is not transferable and unauthorized use is prohibited. Any person finding this card should return it to the nearest Siemens office.

Employees with limited-term contracts (all countries)

People with a limited-term contract at Siemens are issued with

a standard ID card by Siemens AG or the relevant Siemens

affiliated company.

This group of people includes student trainees, interns,

undergraduates and doctoral students with employee status.

To qualify for this kind of ID card, they require an employment

contract with Siemens and must be fully registered in the

HR system.

Note

Employees of outside companies and freelance or self

employed business partners with a work-performance/service

contract , as well as undergraduates and doctoral students

without employee status are issued with a business partner

ID card.

Neutral, special-purpose Siemens cards

Introduction

Special-purpose cards may be issued temporarily when a

specific need arises. Depending on their purpose, these

cards may or may not be fitted with a contact chip containing

a security certificate. Access control is managed by the

contactless chip on the card.

At all Siemens companies, these cards are essentially

identical to standard ID cards. However, to ensure that

special-purpose cards can be clearly distinguished and to

guard against misuse, they have a different layout. These

cards must carry an identifier that clearly indicates their

purpose.

The following standard international identifiers must be

used on special-purpose cards:

F = Function

A = Access

V = Visitor

Other types of special-purpose cards and identifiers may only be

used with prior approval from von CG MC CB BR Name and

Mark and GM SEC.

Function cards

Special-purpose cards marked F are always associated with a function identifier registered in the SCD (Siemens Corporate

Directory). This function identifier is printed on the cards. The

cards are fitted with a contact chip containing a security

certificate, i.e., a cryptographic key. Special-purpose cards never

enable access and are neutral, i.e., they are not issued under

the name of a specific individual.

Access cards

Access cards are only issued for a limited time and enable

access to specially secured rooms, buildings, etc. Access is

controlled via the contactless chip on the card. These cards are

neutral (i.e., not issued in the name of a specific person) and are

not fitted with a contact chip containing a security certificate.

The person (manager) ordering one or more of these cards is

responsible for ensuring their correct and appropriate use.

Visitor cards

Visitor cards are issued to outside visitors to enable access to

a specific Siemens location or parts of a location. These cards

clearly identify individuals as visitors and are marked with the

letter V for visitor.

Persons not working at a Siemens location for more than four

weeks (e.g., external business partners) may be issued a

visitor card.

Important

Only visitors from Siemens companies may be issued with

Siemens visitor cards.

working at Siemens companies

Introduction

To distinguish clearly between Siemens employees and external service partners in Siemens

companies, external service partners are issued with a business partner ID card, provided they

are working at a Siemens location for a period of more than four weeks.

The following are issued with business partner ID cards if they work at a Siemens

location for more than four weeks:

Employees of outside companies with a work-performance/service contract

Freelance and self-employed business partners with a work-performance/service contract

Germany: Temporary contract workers (AG, Arbeitnehmerberlassungsgesetz)

Note: An individual need not be issued with a business partner ID card unless he or she

is to work on site for a period of more than four weeks

The following partners can be issued visitor cards for work periods of up to four weeks:

Employees of outside companies with a work-performance/service contract

Freelance and self-employed business partners with a work-performance/service contract

Germany: Temporary contract workers (AG, Arbeitnehmerberlassungsgesetz)

The wording Business Partner of is combined with the name of the Siemens company of the person which is listed as Sponsor in the SCD.

Affiliated companies with their own

company name, logo and corporate design

Affiliated companies with an independent (non-Siemens) com-

pany name always have their own corporate logo and corporate

design. The same applies to the design of their ID cards.

If such companies purchase Siemens ID card blanks, the ID card

layout must take the blanks technical features into account.

If the company does not require its ID cards to have an individual

design, a standard layout (see example) may be used instead.

The ID cards must have a design that distinguishes them clearly

from Siemens ID cards.

Note

Only companies that use Siemens in their company name may use the hologram portrait of Werner von Siemens on

their ID cards.

Affiliated companies with their own company name, logo and

corporate design whose ID cards include ownership information

Affiliated companies in which Siemens has a minority stake which

operate under their own name have their own company logo and

corporate design. These companies need to create their own ID

card designs.

When a company is formed, CG MC CB BR Name and Mark (HQ)

determines whether ownership information is to be included and

which variant should be used.

Ownership information is always immediately below the

company name. It must never be placed next to the company logo.

For the sake of differentiation Tenants are issued with so-called Tenant ID cards.

Required elements on this ID cards in accordance with lease

agreement:

Transitional period of acquisitions/integrations

With the acquisition of companies and organizational units and their integration into new or existing Siemens

companies, special rules apply for the transitional period of six months.

Transitional period

Employees of both companies/org units continue to use their existing ID cards with the same functions during

the transitional period. Six months after the closing date the old ID cards have to be replaced with new

Siemens ID cards.

Special provision: IT Card for maximum 12 months after the closing date In some instances, certain groups may need to use Siemens ID card functions (e.g., PKI) before the rollout

of the new Siemens ID card. With new Siemens companies for which a final layout or company name

has not yet been defined, a special card known as an IT Card may be issued. It has the same technical capabilities as a Siemens ID card. An IT card is only issued to a specific individual whose name appears on

the card. The use of IT Cards is always confined to a specific period of time up to a maximum of 12 months

after the closing date. IT Cards must be returned when new Siemens ID cards are issued.

Note: IT Cards must not be used as identification.

Transitional period of carve-outs

When Siemens companies or organizational units are carved out, special rules apply for the transitional period. The overall procedure and

coordination process are always supervised and managed by CG MC CB BR Name and Mark and GM SEC.

Rules on use of Siemens ID cards for a period of one month max. after the closing date

Employees of a Siemens company/organizational unit may only continue to use their Siemens ID cards for a period of up to one month after

the closing date. Immediately following the closing date and within one month at the most, all Siemens identifiers (the logo, hologram and

company name) must be removed or rendered indecipherable. This means that the ID cards technical functions (PKI) can only continue to be used for the period of one month after the closing date. Duration of usability is to be clarified on a case-by-case basis.

New company ID cards up to one month after the closing date

Within one month of the closing date at the latest, employees of the carved-out company receive a new ID card for the new company.

Special provision: IT card for up to two months max. after the closing In exceptional instances and circumstances, certain groups may need to continue to use the functions of the Siemens ID card (e.g., PKI).

In this case, a special card known as an IT card may be issued. It has all the same technical capabilities as a Siemens ID card.

The use of IT cards is always confined to a specific period of time up to a maximum of two months after the closing date.

IT cards may be used in these instances:

By specific groups of persons (e.g., IT managers)

As a replacement when an old Siemens ID card is lost

By new employees*, but only for the IT functions

* For the transitional period, new employees are issued an IT card to enable them to use the IT functions. However, the IT card may not be

used for identification purposes. For identification, employees must be issued with an ID card by the carved-out company.

IT card application and approval:

This type of special card may only be issued in the exceptional instances specified above and must be applied for through FIONA.
