Welcome to SJC!As parents you have guided your sons and daughters through the early phases of their lives into young adulthood. Parenting is not always easy, but it is the most important and most fulfilling job on the planet. Seeing your child enter the world of higher education must be a thrilling yet apprehensive experience for you.

Here at SJC we understand the wealth of emotions and questions you as a parent are feeling at this time. Whether it’s your first student going off to college or your last, we know that it is essential to have as much information possible to assist you with this transition; hence the purpose of this guide. I hope it will answer all of your questions and be a great resource for all that is available to you and your child to make the SJC experience successful and rewarding.

Whether you are a seasoned or first-time college parent, having your young adult begin this collegiate experience may mean redefining your relationship. Parents often find themselves walking a fine line between doing too much (which hinders/inhibits growth and development) and adopting a “hands-off” strategy that can leave their son or daughter feeling lost, intimidated or overwhelmed.

The right approach is in the middle…allowing your son or daughter to take reasonable risks, while you provide guidance and assistance as needed. By doing this, you will be helping your child gain the confidence, experience and self-assurance necessary to take on the challenges of an ever-changing world. It is also my pleasure to welcome you to SJC, for we consider our parents to be very important members of our campus community.

This helpful event is designed to provide family members the opportunity to learn about academic and student life at St. Joseph’s College. As a St. Joseph’s parent, you are likely to have questions about the College, our campus, curriculum, services and policies. This ceremony is a cherished tradition as it is considered an evening of commitment and celebration. Clad in academic attire, our new students will be formally assembled for the first time as the Class of 2020. As a unified body, the students commit themselves to the values and spirit of St. Joseph’s College by taking the “Oath of Integrity.”

During the ceremony, the administration, faculty and staff pledge to educate and support our new freshmen by joining them in the recitation of the “Oath of Integrity.” Investiture is unique in that it is the first formal academic event of the year for the Class of 2020.

Investiture is impressive in that the members of the College are robed in academic attire and enthusiastically participate in the Investiture as well as meet informally with students and their guests under a tent for refreshments after the ceremony. Investiture is a special event that recognizes the Class of 2020 as an integral part of the College community.

When do academic planning and advising begin for new students?

Once a student registers, he or she should check his or her SJC email account regularly for updates and information about course selection. Academic planning and advising actually begin with placement testing in math (and in Spanish if the student plans to take Spanish classes). This testing, along with the student’s prior academic record, helps determine the appropriate course level for a new student. New freshmen are invited to Freshman Registration where they meet with a specially designated academic adviser. Freshman Registration typically takes place at the end of May during the student’s senior year in high school. At this time, they learn their placement test results, select their courses with the aid of their adviser and register for their first semester.

All freshmen take special transitional courses called SJC 100 and The First Year Experience (FYE). These courses facilitate a student’s transition to SJC.

Freshmen are asked to see their academic adviser in the fall of their first semester to plan their spring course schedules. Academic advisers personalize the advising and registration process and monitor students’ progress.

We also have an Advisement Center, where full time professional academic advisers are available to assist our students.

New transfer students are invited to Transfer Registration. Individual appointments are set for each student with a faculty advisor representing the student’s major. The adviser reviews the student’s prior college record and transfer credit evaluation to assist the student in selecting and registering for the appropriate courses.

Transfer students are asked to meet with their faculty advisers in the fall of their first semester to plan their spring course schedule.

What takes place at new student orientation?

We recognize that going to college can be exhilarating yet frightening at the same time. New student orientation is designed to foster students’ success at St. Joseph’s College and to ease their transition into campus life. During the program new students learn about the curriculum and campus resources, tour the campus, learn about facilities, meet faculty and advisers, and begin to develop lifelong friendships with other new students. For freshmen, the orientation continues throughout the first semester through their enrollment in our Freshman First Year Experience (FYE) course, which emphasizes college success skills and offers ongoing advising.

Is there an attendance policy?

SJC believes that class attendance is essential to success in academic courses. Therefore, attendance is required. The College believes that learning is an interactive process on the part of the student and not just a matter of passively absorbing information. To get the best benefit from classes, students should participate in, and make worthwhile contributions to, the classroom experience.

Typically, course grades are based on academic performance, contributions to the classroom experience, projects and/or examinations. Individual professors may have other requirements. All professors will clearly articulate their attendance policies and course requirements during the first two weeks of the semester. A student who for any reason misses a class or lab is responsible for the material covered.

What is the current class size?

At SJC, the student faculty ratio is 12:1. Class size will vary from course to course, but the average class size is 22 students.

How many credits are required for graduation?

The minimum number of credits required for graduation is 120-128. Some academic programs may exceed this amount.

Will I see my child’s grades? What is FERPA?

Parents do not automatically receive copies of grade reports. Students have access to their grades online through My SJC Portal. The Family Educational Rights and Privacy Act (FERPA) of 1974 is a federal law that requires colleges and universities to protect the confidentiality of student educational records.

If my child experiences academic difficulties, what should be done?

Your son or daughter should see his or her faculty adviser who can provide a variety of referrals depending on the student’s needs. If your child is experiencing difficulties in one particular class, he or she should arrange to meet with the professor who teaches the class and request extra help.

SJC has an Academic Center, which provides individualized tutoring across every discipline for students needing assistance with their coursework. Writing skills development is also offered. The Academic Center also provides help with learning college survival skills such as time management, critical thinking and note-taking.

What tutoring services are available?

Students can receive tutoring in any academic discipline. If individual tutoring is desired, the Academic Center will make the arrangements. Tutoring services are offered at no cost.

Do most students select a major in their freshman year?

Less than 60% of the entering first-year students have selected a major when they start college. Students are encouraged to use the freshman year as a time to explore majors and careers and to try new disciplines. At St. Joseph’s, students have their first two years to explore various academic areas and settle on a major before the start of their junior year. Faculty and staff are available to assist students with career exploration.

What services are available for students with disabilities?

All identified students with disabilities who have furnished appropriate documentation may request accommodations as specified by Section 504 of the Rehabilitation Act of 1973 and the Americans with Disabilities Act. Assistance is coordinated by the Office of Student Accessibility Services. SJC recognizes its responsibility to make reasonable accommodations in its academic programs and requirements. Such reasonable accommodations may include, but are not limited to: extension of time permitted for completion of class requirements, additional time for tests and, if necessary, separate testing locations, enlarged print for tests and handouts, and writing, math and computer lab assistance.

What can I do as a parent to remain aware of how my child is doing?

Keep the communication lines open! College is very different than high school. There is a time of transition that takes place for all involved: students, parents, family members and friends. You may want to ask questions like, “Have you gotten your midterm grades?” and “Do you know that the Academic Center offers tutoring?” or “Have you joined any student clubs?” As a parent you should also be aware of important dates such as the last day to drop a class and when midterm and final exams

Are St. Joseph’s students involved in campus life? Only part of your child’s education will take place inside the classroom. Our students augment their college experience through a wide array of campus activities, student clubs and organizations, campus-sponsored community service activities, intercollegiate and intramural athletics, campus ministry, an active Greek life, on-campus recreational activities and a full complement of student services. Moreover, the College places great emphasis on conduct-ing activities to assist students in career exploration and placement and in developing leadership skills. St. Joseph’s caters to commuter students and has programs and services in place to ensure that our students enjoy a full collegiate experience and an active, involved campus life.

Should my student become involved in campus activities?

Absolutely! Research shows that academic achievement and retention are higher among students who are involved in campus activities. Through campus activities, students form connections with other students as well as with faculty and staff. Activities also provide opportunities for leadership development that will enhance their résumé. Moreover, students who participate actively on campus augment their time-management and communication skills. Is there a meal plan available? Meal cards can be purchased from our dining facility. These cards may be replenished as the student depletes them. What types of activities are offered? Whether interested in a speaker, concert, sport, theater production, career fair or volunteer experience, our students get involved on campus. Each semester guest speakers are brought to campus to educate or entertain our students. The College has several music organizations ranging from choral to symphonic to jazz groups. Each semester our students actively participate in our theater productions both on stage and behind the scenes. School spirit abounds at our athletic events. Whatever their interests, students will find activities that will engage and develop them.

Student Life When your child starts college, it’s a big step toward independence. You can’t help but feel anxious about how your student will make friends. What students clubs and organizations are offered?

St. Joseph’s encourages the participation and growth of student organizations. Each club is represented in the Student Senate by one of its members to ensure that new ideas and the right to share opinions will not be overlooked. There are over 50 student clubs and organizations ranging in interests from academics to community service to campus ministry to Greek life and more. Below is just a small sampling of the types of student organizations available.

Are there community service activities coordinated by the College?

A wide array of community service opportunities exist at the College, and our students are encouraged to participate. For example, Students Taking an Active Role in Society, also known as STARS, is a community service-based club that encourages students to be active members within our local community. Coordinated through our Office of Campus Ministry, STARS seeks to instill in our campus community a deep concern for the rights and dignity of the human person, especially the poor and most vulnerable. All students are welcomed to join and make a difference in our community. In addition to STARS, the majority of student clubs, fraternities, sororities and honor societies have community service as a component of their mission. Habitat for Humanity is one of our most popular student community service opportunities.

Is there an active Greek life at SJC?

Do students have the opportunity for study abroad?

Through the Office of Global Studies, students are offered the opportunity to study abroad—a great way to earn extra credits, enhance their education, improve foreign language skills and boost marketability when time to start a career. Study abroad opportunities are available to all students. There are both short-term and long-term options. Our students have had incredible study abroad experiences in Australia, Bangkok, Budapest, Ecuador, Greece, Italy, Japan, London, Nicaragua, Paris, Prague, Spain, Vienna and many other locations. In fact, study options are available in almost every country.

What services are provided by the Counseling & Wellness Center?

The Counseling and Wellness Center is located at 319 West Roe Boulevard. The Center offers many programs to help SJC students with a variety of issues. Some of the Center’s services include Bereavement Support Groups, Meditation Groups and many other services as needed. The Center was created to provide a range of services and programs that support the holistic development of students, faculty and staff. The Center links to and interacts with many areas of the campus, including but not limited to: the Counseling Center, Physical Education and Athletics, First Year Experience (FYE) and SJC100, career development, student accessibility services, student cultural groups and other student clubs and organizations, campus ministry and all academic disciplines.

What is done to support student leadership development?

At St. Joseph’s College, one of our top priorities is helping our students gain the confidence, experience, and skills necessary to become leaders as they meet the challenges of an ever-changing world.

We believe that, as parents, you play a significant supporting role during the college experience understanding the many choices and decisions confronting your student, being open to communication about these choices, and ultimately supporting the student’s decisions. Our goal is to support you and to empower students to make their own decisions and be responsible for them. This approach to student development enables us to genuinely say that St. Joseph’s College is a place where leaders are developed.

Our students take on leadership roles through our active student government. Students also have the opportunity to participate on campus-wide committees along with faculty and administrators. The Office of Student Involvement and Leadership coordinates a variety of leadership programs and initiatives for student involvement and leadership

for the St. Joseph’s campus community. We feel it is important for students to gain leadership skills to enhance both their personal and professional lives. Through coordinated activities, we provide a variety of opportunities for student leaders to share their knowledge and expertise of student leadership with upcoming student leaders. Upper-class student leaders lead activities, workshops and programs in a variety of leadership areas.

Where can information on financial aid and scholarships be found?

The Office of Financial Aid provides information and counseling related to all forms of financial assistance. The office is located in O’Connor Hall in room N209A. Financial aid advisors are available by telephone at 631.687.2600.

Once financial aid is received, does a student have to reapply each year?

Yes. In order to be eligible for financial aid, a FAFSA must be filed each year.

Will financial aid be renewed each year?

Renewal of aid is contingent upon satisfactory academic progress. For most forms of aid, students must maintain “good academic standing” by maintaining a 2.0 GPA and completing a minimum of 80 percent of their courses. Different academic requirements may be in place for some scholarships and grants as indicated on the scholarship/grant award letter.

Does the College have on-campus student employment opportunities?

Yes. St. Joseph’s College offers on-campus jobs through the Federal Work Study Program. Federal Work Study is awarded to eligible students as part of their need-based financial aid award. In addition, there are many student employment positions available on campus for students who are not eligible for the Federal Work Study Program.

Financing a College Education Financing a college education is one of the most important investments a family will ever make. At St. Joseph’s College, we work with parents as partners to develop options that will make attending St. Joseph’s a reality for your child.

Is it a good idea for first-year students to accept on-campus employment vs. off-campus positions?

Yes. Working on campus is a wonderful way for students to form additional connections with faculty and staff. Also, campus personnel are aware that studies come first and are sensitive to students’ need to focus on their course work. Through on-campus employment, students gain helpful work experience and acquire skills that augment their résumé. First-year students may want to limit the number of hours they work during their first semester as they make the transition from high school to college. Students are only permitted to work a maximum of 20 hours per week.

How does the billing process work and when are payments due?

After students register for classes and prior to each semester students can access their bill through My SJC Portal. Tuition and fees are billed by semester. Payment for the fall semester is typically due at the end of August just before the start of classes. The spring semester payment is due in late January just before the start of spring semester classes. Financial aid and scholarships received will be reflected on your billing statement. Health insurance is required for our students. If a student has insurance, he or she can waive the coverage that is offered through SJC. If the student chooses the insurance policy through SJC or fails to waive this coverage, there will be a fee billed to the student’s account. Are there deferred tuition payment plans available?

Yes. The College offers two helpful payment plans. AMS’s Payment Plan offers interest-free, manageable monthly installments that end at graduation. Tuition Management Systems (TMS) offers monthly payment plans, interest-free. Information about both of these programs is available from the bursar. There is a small enrollment fee for participation in these payment plans.

If my student needs to withdraw before the end of the academic year, will the tuition be refunded?

Tuition and fees will be refunded in accordance with the College’s refund policy, which can be found in the undergraduate catalog. Students who withdraw from the College and who receive financial aid are also subject to federal refund policies, which may require all or a portion of the student’s financial aid to be returned to the appropriate aid program. It is important that students familiarize themselves with the College’s withdrawal refund policies prior to making changes to their schedules. If students who received financial aid are considering changing their schedule, it is important that they consult the Office of Financial Aid.

What is done to ensure the safety of students on campus?

St. Joseph’s College and our Department of Campus Security are committed to providing a safe and secure educational, cultural and working environment for students, faculty, staff and visitors. Community involvement is critical to the success of our efforts. We also recognize that campus safety is a shared responsibility that requires the cooperation and vigilance of all campus community members. Education on how to be safe is key to individual safety, and ongoing safety instruction is an important component of our security efforts. Services of the Department of Campus Security include:

n Alerts: Alerts are issued in a timely manner to notify community members in case there is a threat to students and employees.

n Blue Light Call Boxes: The Blue Light System is a series of emergency alarm stations strategically located throughout campus to provide assistance to anyone in distress. A blue beacon shines above each alarm station. When an individual presses the alarm button, he or she can communicate directly with the Communications Officer at the Department of Campus Security.

n Crime Prevention Initiatives: The Department of Campus Security believes it is better to prevent crimes than to react after the fact. A primary vehicle for accomplishing this goal is the department’s comprehensive crime prevention strategy. This strategy is based on a multifaceted approach that includes proactive area patrols of the campus as well as crime prevention education and training.

n Walking Service: Security escorts are available for all St. Joseph’s students, faculty and staff members to and from buildings and parking lots by calling 631.687.5100.

n Found Property: The Department of Campus Security maintains a “Lost and Found” for the College. If items have been lost in a particular building, please contact the building manager or Plant Office.

n Parking Patrol: The Department of Campus Security patrols all of the campus parking lots on a regular basis, 24 hours a day, seven days a week, year-round.

n Special Event Security: The Department of Campus Security provides security services to the St. Joseph’s community for special events. Types of events include concerts, graduations, holiday celebrations, student and department social events, protection for dignitaries, and sporting events.

n Disabled Vehicle Assistance: Upon request, Campus Security will provide assistance with battery jumps, flat tires, etc. at no cost.

Campus Safety and SecurityNothing is more important to us than the safety of your child. The College recently implemented new security procedures on both campuses to ensure the highest possible level of safety and security for everyone in our community. These include an emergency text messaging system, additional security cameras, campus patrols and call boxes.
