If you downloaded Kofax Express from the Kofax Electronic Delivery site, refer to the instructions on the site to extract the installation files. If you received Kofax Express as a package, the installation files are included on your electronic media.

OverviewKofax Express is an easy-to-use, batch-oriented document scan application capable of high-speed scanning with real-time image display, indexing, and bar code detection. Kofax VRS technology is built into the application to ensure optimal image quality. Kofax Express can export captured content to a folder that is accessible to your document management or storage system. Kofax Express can also export content to Kofax Capture or Microsoft SharePoint.

System RequirementsInformation about supported operating systems and other Kofax Express requirements is available on the Kofax Support Web pages at www.kofax.com.

Certified ScannersKofax Express is certified with a wide range of industry-standard scanners, and new scanners are certified on a regular basis in the following license categories:

Kofax Express for Desktop or Workgroup Scanners: Supports throughput up to 50 duplex pages per minute (based on letter-size pages scanned in landscape mode).Kofax Express for Low-Volume, Mid-Volume, or High-Volume Scanners: Supports throughput between 50 and 130 duplex pages per minute (based on letter-size pages scanned in landscape mode).

For the most current list of certified scanners, visit the Kofax Web site at www.kofax.com and see either the Kofax Express technical specifications on the Software pages or the Scanner Configurator on the Support pages. You can download Kofax Scanner Component Installers with drivers for supported scanners from the Support pages.

Image StorageBy default, Kofax Express stores images in the common application data folder within the ProgramData folder (or the Documents and Settings folder on a Windows XP computer). Be sure to reserve sufficient disk space for scanned images. You can use the Job Setup tab in Kofax Express to set the batch path to the appropriate folder.

Installing Kofax ExpressUse the procedure in this section to install Kofax Express.

If a previous version of Kofax Express is currently installed on your computer, you need to remove it before installing Kofax Express 2.5. When removing the earlier version, you have the option of retaining jobs, job templates, and profiles for use in the new version. You should export any pending batches before performing the update.

To install Kofax Express

1 At the computer where you want to install Kofax Express, log in with Administrator rights and close all other applications.

2 Connect your scanner to the computer, but do not power on the scanner until later in the procedure.

3 Point to the Kofax Express folder on your computer or installation media, and run setup.exe.

The installer welcome screen is displayed.

4 Click Next and follow the setup instructions on the screen.

During setup, you are prompted to accept the license agreement and specify a location for installing the Kofax Express software on your computer.

5 Click Install to start the installation.

6 When you are notified that the installation is complete, click Finish.

7 Power on your scanner.

8 Start Kofax Express and verify that your product license is active. For instructions, see Starting Kofax Express on page 7.

Starting Kofax ExpressWhen starting Kofax Express the first time, specify your license type and select your scanner. The license and scanner stay in effect for subsequent Kofax Express sessions.

To start Kofax Express

1 Do one of the following:

Click the Kofax Express icon on your Windows desktop.On the Start menu, navigate to the Kofax Express program folder and click Kofax Express.

The Evaluation window is displayed the first time you start Kofax Express.

2 Do one of the following:

If you want to use Kofax Express with an evaluation license, click Evaluation and see Using an Evaluation License on page 8.If you have a software license, follow the procedure in Activating a Software License on page 8.If you have a hardware key license, follow the procedure in Using a Hardware Key License on page 9.

The predefined Scan to Desktop job is opened in the Kofax Express window. In the title bar, you see the job and batch name:

The predefined job contains an empty batch and settings intended to produce excellent image quality for most document types; it should not be necessary to change them.

3 On the Scan Settings tab, in the Scanner group, click Select.

The Select Scanner window is displayed.

4 Point to the name of your scanner on the list and click OK. (If your scanner is not listed, see Certified Scanners on page 6 for information about downloading the appropriate driver.)

On the toolbar, the name of the current scanner is refreshed with the name of your scanner.

You are now ready to scan with Kofax Express! For more information, including details about the Kofax Express user interface, press F1 to view the Help.

Using an Evaluation LicenseWhen you start Kofax Express the first time, an evaluation license goes into effect for a certain number of days. During the evaluation period, you can use all of the product features without limitations.

If you do not activate your purchased license before the end of the evaluation period, Kofax Express switches to demonstration mode. As a result, a stamp is applied to images that you scan and export operations are limited.

While the evaluation period is active, a reminder is displayed each time you start Kofax Express. Once your purchased license is active, reminders are discontinued.

You can discontinue the evaluation license at any time by activating your software license or using your hardware key license. See Activating a Software License on page 8 or Using a Hardware Key License on page 9.

Activating a Software LicenseUse the procedure in this section to activate your software license. You must activate the license to be eligible for technical support and product updates.

To activate your software license

1 Click Activate on any of the following:

Tip You must have an Internet connection to access the Kofax Express activation Web site. If necessary, you can go to another computer with a working Internet connection and activate your product license here: http://activate.kofax.com/kofaxexpress/activate.aspx

2 User Identification: Type your name, company, and email address.

3 System Identification: Bypass the entries in this section, which is pre-populated with computer information that is detected automatically.

4 Product Identification: Type the part number, serial number, and the product code provided at the time of product purchase.

The other entries in the Product Identification section are pre-populated, based on existing information supplied during the installation process. You cannot update these entries.

5 License Code: If you already have a license code, type it here. Otherwise, it is automatically filled in once you complete the next step.

6 Click Activate.

7 Do one of the following:

Click OK to clear the message that confirms successful license activation.Click Retry if the Activate - Connection Failed window is displayed. If you click Retry without success, click Cancel to display the Activate - No Internet Connection window. Then follow the onscreen instructions, which explain how to use another computer to activate the license.

Once you activate the license, automatic reminders are discontinued.

Note If you attempt license activation without completing it successfully, a grace period is started. While the grace period is active, you can continue to use all of the product features that are appropriate for your license level. If the grace period elapses without successful license activation, the product switches to demonstration mode. As a result, a stamp is applied to scanned images, and limitations are applied to the export process.

Using a Hardware Key LicenseUse the procedure in this section to start using your hardware key license (or to continue using the same hardware key license from the previous Kofax Express version). You must register the hardware key license to be eligible for technical support and product updates.

To use your hardware key license

1 Insert your Kofax Express hardware key in a USB port on your computer.

2 Click Hardware Key (or Register) on any of the following:

The Register Kofax Express window is displayed, unless you used the previous Kofax Express version to register your hardware key license. If the license is already registered, no further action is necessary.

Tip You must have an Internet connection to access the Kofax Express registration Web site. If necessary, you can go to another computer with a working Internet connection and register your product license here: http://activate.kofax.com/kofaxexpress/register.aspx

3 User Identification: Type your name, company, and email address.

4 Product Identification: Type the identification code (typically 7 characters) that is attached to your Kofax Express hardware key.

The other entries in the Product Identification section are pre-populated, based on existing information supplied during the installation process. You cannot update these entries.

5 Click Register Now.

6 Do one of the following:

Click OK to clear the message that confirms successful license registration.If the Register Kofax Express - No Internet Connection window is displayed, follow the onscreen instructions, which explain how to use another computer to register the license. Click OK to close the window.

Once you register the hardware key license, automatic reminders are discontinued.

Tip You can view or update registration information by clicking Register on the Help tab.

Kofax Express JobsKofax Express is based on the concept of a “job,” which is a saved configuration of settings related to the documents that you scan. A job consists of bar code and index definitions as well as settings related to document separation, export, and more. Within a job, you create batches that consist of scanned documents and images.

A predefined job called “Scan to Desktop” is opened automatically the first time you start Kofax Express. This job includes a set of predefined index fields and contains an empty batch called “Batch001.” Using the predefined job, you can easily acquaint

yourself with the application and start scanning immediately (see Starting Kofax Express on page 7).

Tip Your Kofax Express installation includes three predefined jobs. For more information, see the Demo Jobs topic in the Help.

A Kofax Express job also includes the following:

Batches: Groups of scanned documentsDocuments: Sets of one or more related imagesImages: Electronic representations of scanned pagesPages: Physical sheets fed through the scanner to produce images

When you close Kofax Express and reopen it, the Scan to Desktop job is opened again unless you create or open another job. By default, Kofax Express opens the most recent job each time you start the application.

Scan ProfilesEach job is also associated with scan settings, which are saved in profiles. Each scan profile is a saved combination of scanner and Kofax VRS settings that are applied during a scan operation to achieve the best possible image quality. The profile settings are based on (and optimized for) the currently selected scanner.

You can update the scan settings to suit your preferences for page size, resolution, color mode, simplex or duplex scanning, rotation, blank page deletion, automatic color detection, and more.

You can create your own scan profiles or use the predefined profiles.

Kofax Express comes with the following predefined scan profiles:

Default: This profile supports excellent image quality for most document types.Automatic: This profile is optimized for use on high performance computers, and it also supports excellent image quality for most document types. Color: This profile is optimized to support excellent image quality for color documents. With the Color profile, the Color Detect and Background Smoothing features are also available.Network Scanner: This profile is similar to Automatic, without Hole Punch Removal, Auto Crop, and Edge Cleanup. Simplex scanning is selected by default. The Network Scanner profile is recommended for use with the FolderScan feature.

Each time you connect to a scanner, the predefined scan profiles are refreshed with the appropriate settings. Scan profiles help save time, because they give you a convenient way to save and reuse preferred scan settings. For more information, see the Working with Scan Profiles topic in the Help.

Scanning DocumentsOnce you open the Scan to Desktop job (or another job), you can start scanning.

To scan a single page

1 Place a single page in your scanner.

2 From the Home tab, click Scan One or press F11.

The page is scanned and displayed in the image viewer.

To scan a stack of pages

1 Place a stack of pages in your scanner.

2 From the Home tab, click Scan All or press F12.

The pages are scanned and displayed in the image viewer.

The scan controls are also available from the Quick Access toolbar and the Scan Settings tab.

Viewing DocumentsAs pages are scanned, the images are displayed in the viewer. From the status bar at

the bottom of the viewer, you can select thumbnail view to view all the images at

once, or single image view to view one image at a time. In either view, you can use the slider in the status bar to adjust the magnification of images. You can also zoom in or zoom out while scanning is in progress.

Note While the Scan Settings or VRS Corrections tabs are active, single image view is always active. Thumbnail view is not available from these two tabs. Single image view is also active whenever indexing mode is active.

In the viewer, you see each document associated with the active batch. You can drag and drop images from one position to another. When you drag and drop a duplex page, both the front and back are moved together. The documents and scanned images are numbered in consecutive order. The numbering sequence is restarted with each new document. If you add, remove, or rearrange documents or images, they are automatically renumbered.

When you move the pointer to any image in the viewer, the following properties are displayed: color mode, resolution, file size, and time/date stamp. When you move the pointer to the document title, other properties are displayed: document number and number of images it contains, time/date stamp, and index field values (if applicable). For more information, see the Image Viewer topic in the Help.

Adjusting Image QualityThe predefined scan profiles automatically apply image quality settings that achieve excellent results for most documents without any adjustments required.

If you decide to adjust images after scanning, you can use the Page mini toolbar (Figure 3 or Figure 4) to apply the changes. The availability of controls on the Page mini toolbar may vary, according to the view (thumbnail or single image) that is active. You can also switch to the VRS Corrections tab from the Page mini toolbar. Tooltips are available to explain the purpose of each icon in the Page mini toolbar and the VRS Corrections tab.

To apply image quality adjustments

1 Select the images that you want to update and right-click.

The Page mini toolbar (Figure 3 or Figure 4) is displayed in the viewing area.

2 Do one of the following:

To apply adjustments to one or multiple images, click the toolbar icon associated with the adjustment that you want to make.

To apply VRS corrections, click to access the VRS Corrections tab settings, which you can apply to only one image at a time.

IndexingKofax Express supports the ability to set up index fields to represent the content of the documents that you scan. Indexing is a two-part process:

Configure the index fields before you scan.Click Indexing to enter or verify the index field values after you scan.

When you export a batch from Kofax Express, the index data is included in text or xml format. You use index data to quickly locate and retrieve documents after exporting a batch to an archival or storage system, Kofax Capture, or Microsoft SharePoint.

Configuring Index FieldsOnce you determine how many index fields to apply to each document, use the Index Setup tab to configure the values (based on bar codes, document numbers, image counts, and more) that are automatically assigned, as well as the values that are manually entered. You can also fill Kofax Express index fields with values from an existing database or an OCR zone. Use a validation mask to verify the accuracy of the index field values. Indexing Documents

To perform indexing and verification, click Indexing to switch to indexing mode. While indexing mode is active, the Indexing panel and navigation toolbar (Figure 5) are displayed on the right side of the Kofax Express window. In this mode, you can view and verify automatically applied index values, manually enter the values, or set up OCR zones for capturing index values. For more information, see the Home Tab - Index Group topic in the Help.

Exporting DocumentsKofax Express can export captured content to a folder that is accessible to your document management or storage system. Kofax Express can also export content to Kofax Capture (using the Kofax Capture XML Import Connector) or to Microsoft SharePoint.

If you are exporting documents in PDF format, you have the option of producing highly compressed images with search capabilities.

You configure the export settings from the Job Setup tab. Then you export the documents by clicking Export Batch from the Home tab, Start Export from the Batches panel, or by pressing CTRL+R from any tab.

Opening the Kofax MenuThe Kofax menu (Figure 6) gives you access to functions for creating new jobs, batches, and documents, and for performing basic operations such as Open, Close, Save, and Delete. You can also use the menu to select from the Recent Jobs list or to access the Options window to set operating preferences.

The Kofax menu is closed when you start Kofax Express.

To open the Kofax menu, click the Kofax Button in the upper left corner of the Kofax Express window.

To close the Kofax menu, click the Kofax Button again.

Image Viewer ShortcutsTo save time while using the image viewer, you can use the following shortcuts:

Double-click an image to switch between single image and thumbnail views.Draw a rectangle to zoom in on an image while single image view is active.While single image view is active, click once on an image to fit the page in the viewing area; click again to switch to the previous zoom.While Zoom on Rectangle is active, press and hold the mouse button to switch to Pan mode; release the mouse to switch back to Zoom on Rectangle.While Draw OCR Zone is active, switch to Pan or Zoom on Rectangle to exit drawing mode.

Administrator Access By default, Kofax Express users have full access to every feature in the product. If you prefer to grant full access only to certain users, use the ExpressAccess.xml and App.AppProfile files to manage access based on user-specific permissions. Both files are available in the common application data folder:

Windows 7/Vista: ProgramData\Kofax\Kofax Express 2.5Windows XP: Documents and Settings\All Users\Application Data\Kofax\Kofax Express 2.5

For example, you might use the files to restrict a scan operator from job setup or index setup features while assigning the scan operator’s supervisor access to all features except batch export. You could grant full access to any user who is responsible for managing a Kofax Express installation. The level of access is based on each user’s Windows login.

ExpressAccess.xmlThis file controls the logged-in user’s access to Kofax Express. By default, <DisableAllAdmin> is set to 0 (zero), granting full access to Kofax Express. When <DisableAllAdmin> is set to 1, the logged-in user can view (but not change) settings on the Options window, which controls general preferences and access to individual features.

To set more than one level of access to Kofax Express on the same computer, create a folder named “Kofax Express” containing an override copy of ExpressAccess.xml with the alternate setting. Copy the folder to the current user’s application data folder:

Windows 7/Vista: Users\<Current User>\AppData\RoamingWindows XP: Documents and Settings\<Current User>\Application Data

When a Kofax Express user logs in to the computer, the current user’s application data is always checked first for the override file. If the file exists, it is used even if empty, in which case it has the same effect as the default ExpressAccess.xml file that grants full access to Kofax Express. Otherwise, the ExpressAccess.xml file in the common application data folder is used.

The override file is useful if you are a Kofax Express administrator, because you can log in to any Kofax Express workstation and customize the settings on the Options window. Apply read-only permission to ExpressAccess.xml to prevent unauthorized users from altering the file.

App.AppProfileThis file contains the current values for all settings on the Options window. After customizing the Options window settings, copy the updated App.AppProfile to workstations where you want to restrict or control access to individual features. For example, you might customize the settings so that the Job Setup, Bar Code Setup, and Index Setup tabs do not appear on the Kofax Express user interface. You could copy the updated App.AppProfile file to any workstation where users do not require access to those tabs. Additionally, you could copy an override version of ExpressAccess.xml to the current user’s application data folder on those workstations, so the logged-in user would not be able to use the Options window to restore access to those tabs.

Removing Kofax ExpressThis section explains how to remove Kofax Express and related components from your computer.

You must deactivate your license if you plan to remove Kofax Express and reuse the license when the software is installed on another computer. If you plan to remove Kofax Express and reinstall it on the same computer, deactivation is not required. For details, see the Help Tab - License Group topic in the Help.

To remove Kofax Express

1 In Control Panel, click Programs and Features (or Add or Remove Programs on a Windows XP computer).

2 Select Kofax Express on the list of currently installed programs.

3 Click Uninstall (or Remove on a Windows XP computer).

4 Click Yes in response to the confirmation message.

5 When prompted to remove user files, do one of the following:

Click Yes to remove all jobs, batches, and job template files that you created with Kofax Express.Click No to save the files.

Note If you save the files, your jobs, batches, and job templates are available again after you reinstall Kofax Express.

6 When you are notified that the process is complete, click Finish.
