Green Event Guides Here at UIC, there are numerous types of events that take place throughout each academic year. These events range in size, from commencement at the UIC Forum and Pavilion, to smaller meetings and parties within departments. Many event hosts and participants are unaware of the increased impact events can have on the environment, such as increased waste streams and resource consumption. Hence, bringing us to the necessity of Green Event Guides for UIC. In 2013, the Chancellor’s Committee on Sustainability and Energy’s (CCSE) Events and Activities subcommittee recommended the creation of Green Event Guides for campus users. The Green Event Guides were created to help educate, assist and motivate people to make UIC events more environmentally friendly by providing sustainable choices for their programming and activities. My internship has been dedicated to creating these Green Event Guides for UIC Departments, the Forum and Pavilion, UIC Student Centers, UIC Student Organizations, and UIC Catering. The Guides are organized into a variety of categories that offer detailed suggestions for the planning and management of an event. Each suggestion is worth a calculated point amount based on the complexity of the suggestion. The more credits accomplished, the higher level of points that will be earned. Based off of the points earned, the event will be granted Gold, Silver, or Bronze Green Event Status by the Office of Sustainability. These Green Event Guides will help UIC become a more sustainable institution through sustainable event planning and providing environmental education to campus users. Accountability post-event Green Event Guides UIC Departmental Events UIC Departments, offices and organizations can utilize this Green Event Guide when hosting an event on campus. Whether you are holding a staff meeting with ten people, or an annual Department Holiday Party, this guide will assist in making your event less impactful on the environement. Simple meausres, such as being aware of your environ- mental impact will help protect the environment and will help your Department, office or organization be recognized as a UIC Green Event! Simply “check off” completed event suggestions throughout the planning and management of your event. The more credits you accomplish, the higher level of points will be earned. Return this guide with items checked off to the Office of Sustainability to get recognition for putting on a Green Event! The completed guide and any questions can be directed to the Office of Sustainability by emailing [email protected]. Getting Started Meet with members of your team and come up with goals in creating a sustainable event. (.5 point) Discuss these goals with the caterer, executive chef, facilities manager, and/or any other facul- ty/staff involved in your event. (1 point) Request an Eco-Educator from the UIC Office of Sustainability by contacting [email protected]. Eco-Educators are student volunteers that will assist guest in sustainability efforts such as pointing to the location of recycling bins versus trashcans. (.5 point) Use electronic means (email, listservs, websites, social media sites, etc.) to publicize, send out invita- tions, send out agendas/presentations, and to register participants. (1 point) Up to 3 Points Give the option of web-conferencing (through Blacboard/ACC), webinars, or conference calls if some participants cannot attend and to reduce travel across or to campus. UIC Catering offers a wide variety of options that will fulfill your event needs. By using UIC Catering, you are supporting the University services while minimixing the amount of travel needed to transport food and beverages. (1 point) i. To see a simple list of all sustainable food options UIC catering offers, please utilize the UIC Catering Green Guide (4 points) Link Consider the vegetarian, organic, local, non-genetically modified foods and/or fair trade food options. Fig Catering 2. Blue Plate Catering At The Event Up to 3 Points Announce to your participants what the goals of the event are and ask their assis- tance in meeting them. For example, tell your guests that you are trying to have a zero-waste event, and to please assist by recycling papers, sending meeting min- utes electronically, etc. (2 points) Ask event participants to evaluate the sustainability aspects of the event. (.5 point) Point out the features of the sustainable event. (.5 point) i. Suggestions include: 1. Annoucne where recycling bins are 2. Introduce Eco-Educators or Volunteers Conserving Resources Up to 10 Points Seek naturally lit meeting rooms for your event if possible. (2 points) i. Contact the building manager or the appropriate contact to inquire about naturally lit rooms. If print outs are unavoidable, use UIC Office of Publications or another eco-friendly printing company and print double sided if necessary. (6 points) i. UIC Office of Publications ii. Digital Hub iii. Consolidated Printing Ask participants to bring their own mug or water bottle, as well as pen and note- book/tablet to the event for note taking. (5 points) Location i. Choose a pace that is equally and easily accessible for all attendees to reduce the environmental impact from the travel of guests. 1. Notify guests via electronic communication of public transportation options, Divvy Stations, nearby bike paths, bike racks and pedestrian access points. (1 point) 2. Choose an event location that is pedestrian, bicycle and public transit friendly. (1 point) ii. Choose a psace that has recycling available. Contact the building manager to ensure that recycling bins are available. (1 point) iv. Be sure that all lighting and electronics are switched off when they are not in use. (.5 point) Recycling & Waste Minimization Up to 10 Points Place recycling bins/services next to trash bins at events. (1 point) Remind participants during event announcements of recycling and it’s importance to the event. (1 point) Place Eco-educators/volunteers next to trash bins and recycling bins to help partic- ipants dispose of their waste. (1 point) Eliminate excess food packaging, have food in bulk. (1 point) Serve bite-sized foods that do not require utensils (2 points) Use small plates, table cloths, cloth napkins, compostable utensils, napkin plates, and reusable cups. (1 point) Attempt to closely estimate food amounts through a careful head count OR request food preferemce beofre the event to minimize waste. (1 point) Use large platters or buffets and reusable pitchers, etc. (1 point) Do not use bottled water. Provide of request ice water. This also avoids transporta- tion costs, reduces bottle waste and is less costly. (1 point) Accountability Up to 1 Point Announce the impact of your sustainability initiative post-event to participants and event sponsors to ensure accountability.
