A business continuity plan is an essential tool to address disasters and other events, which might prevent your business from trading effectively.

Having a current and comprehensive business continuity plan is not only good due diligence but also vital in protecting employees, company assets and business reputation.

Building a plan from scratch can be a daunting prospect. The plan production is a consultative process, involving a number of people in an organisation or division.

The role of the business continuity plan coordinator is to lead the process in building the plan, oversee or write the plan and ensure that the plan meets the requirements of the business.

BUSINESS CONTINUITY PLANNING

Production  of  a  business  continuity  plan  includes:

• Primary  risk  assessment  (if  required).• Participation  in  business  continuity  plan  meetings  and  workshops.• Production  of  the  plan.• Designation  of  teams  involved  in  the  plan  production,  execution  and  maintenance.• Consultation  with  legal,  regulatory  and  other  interested  departments.• De=inition  of  an  appendices  framework.• De=inition  of  sign  off  process.• Walkthrough  meeting,  testing  schedules  and  maintenance  programme.• Management  presentation.

The  number  of  days  required  to  complete  the  business  continuity  plan  varies  depending  upon  the  size  and  complexity  of  the  plan  required.

There   are   as   many   approaches   to   plan   design,   as   they   are   plans.   Continuity   plans   are  speci=ically   tailored   to   a   client’s   business   requirement   and   the   level   of   Green   On   Fire  engagement  will  vary  according  to  the  level  of  continuity  planning  required.

Workshops profoundly benefit from an experienced leader. From building rapport between participants to maintaining focus throughout the day, the leader ensures that the aims of the workshop are fully realised.

The details of the workshop are arranged and agreed with the client beforehand. This is crucial in ensuring that the workshop delivery meets the business requirement and delivers

the expected results. A full workshop plan will be provided prior the workshop, where some clients prefer to distribute this to the participants prior to the workshop.

Some clients will deliver the workshop themselves. Having the support of an additional leader will enhance the experience and ease the pressure on the primary workshop leader.

• Undertake  prior  consultation  and  build  the  workshop  to  match  client  requirements• Explain  the  workshop  goals  to  the  participants• Build  a  constructive  working  atmosphere• Guide  the  participants  in  proven  workshop  activities,  methods  and  techniques• Assist  all  participants  in  working  as  a  team• Ensure  useable  materials  are  produced  by  the  completion  of  the  workshop• Provide  workshop  materials,  including  =lipcharts,  post-­‐it  notes,  etc  (for  on-­‐site  days)• Remain  =lexible  and  responsive  to  required  changes

The   format,  duration  and  result  of  a  workshop  are  dependent  upon   the   individual  client  and  what  they  want  to  accomplish.

Workshops,  which   last   several   days,  may   only   require   a   leader   periodically.   Some  workshop  groups  may   only   require   a   leader   for   the   =irst   few   days   and   on   the   =inal   day.   Fees   are   only  applicable   to   planning   and   on-­‐site   days,   giving   clients   the   =lexibility   to   have   Green   On   Fire  support  when  they  need  it.

It is often the case that processes are well understood by employees but not otherwise recorded. While small process changes can be made intuitively, larger scale reviews or

projects often require a full and detailed process maps.

A process-mapping workshop benefits from an experienced leader to assist participants in building accurate and fulsome process maps.

Mapping techniques will depend on the subject matter but typically include flowcharting, deployment charting, SIPOC, VSM, and PPB.

While process mapping workshops provide great results, it may not be possible or advantageous to process map away from the workplace. For those involved in a moving process, to map that process at the same time can be tricky, especially in todays busy working environments.

Workplace mapping has many advantages, from a wide view of the processes employed, to a

through unders tand ing o f the work environment. Utilising an external specialist allows for an objective perspective and eases intervention impacts to your business.

The whole or parts of a process may be undertaken. Mapping can identify inefficiencies, especially when combined with other techniques, such as the Team Productivity Booster.

WORKPLACE PROCESS MAPPING

The  central  objectives  of  the  process  mapping  vary  by  situation  but  typically  aim  to:

• Build  high  level  connectivity  map• Thoroughly  map  the  whole  or  section  of  a  business  process• Undertake  side  channelling  assessments  and/or  bus  lane  analysis• Identify  the  primary  practitioners  in  the  process  stream• Produce  concise  process  mapping.• Guide  participants  in  proven  process  mapping  techniques.• Assist  in  any  required  analyses,  including:  gap  analysis,  baseline  measurement,

Mapping  techniques  will  depend  on  a  number  of  factors,  including  the  workplace  environment,  boundaries  of  the  process  and  the  overall  process  complexity.  All  aspects  of  the  mapping  will  be  agreed  with  the  client  prior  to  commencement.

• Absolute  Beginners:  Designed  for  those  who  have  never  used  Excel  or  PowerPoint.This  course  is  useful  for  those  who  have  a  fear  of  computing  or  have  little  familiarity  with  desktop  applications.

• Introduction:  This  introductory  course  covers  the  basics  of  the  applications  and  their  use  in  day-­‐to-­‐day  work.  

• Intermediate:  For  those  who  have  completed  the  introductory  course,  the  intermediate  level  adds  the  capability  to  really  unlock  the  power  of  Excel  and  PowerPoint.
