WELCOMEThe New York State Dietetic Association (NYSDA) invites you participate in the LARGEST meeting of New York State’s Nutrition Professionals for our 85th Annual Meeting & Expo (AME) in Albany, New York, May 17-18, 2015.

With a membership of more than 5,500 Registered Dietitians (RD) and Dietetic Technicians, Registered (DTR), the New York State Dietetic Association’s Annual Meeting & Expo is one of the largest state dietetic association meeting in the United States.

We are seeking your support of the 2015 Annual Meeting & Expo through sponsorship and exhibition show participation.

This is a chance for your company to meet the many hardworking Registered Dietitians and Dietetic Technicians, Registered - who are the premier nutrition professionals of New York State. NYSDA members are employed in various setting throughout the state, such as hospitals, long term care facilities, schools, community agencies, business and industry, media, private practice and research. RD and DTR professionals keep New York State eating healthy, growing healthy, and living healthy!

This year you can choose from various levels of sponsorship. Each level offers different recognition opportunities, such as recognition on registration material, a chance to address the attendees, or even a premier Expo location!

Our Annual Meeting & Expo will highlight the exhibitors! We will feature a ribbon cutting and dedicated time just for the Expo room. Exhibiting will allow you direct access to members! This is the perfect venue for you to showcase your products and services to such a targeted group of food and nutrition professionals.

The educational program features many sessions covering a wide range of topics. Your sponsorship of an educational session offers you the opportunity to educate NYSDA members about nutrition issues important to you.

WHO WILL ATTEND?The 2015 AME is marketed to all New York State nutrition professionals including the 5,500 members of the New York State Dietetic Association. They include nutrition professionals who work in the following fields:

HOW WILL THE MEETING & EXPO BE MARKETED?Registration materials will be sent via regular mail and email to New York State nutrition professionals. In addition, announcements will be made via media releases to trade publications.

As a sponsor or exhibitor you will have access to paper copies (25 max.) and PDF documents of the registration material for distribution to individual clients.

WHAT SPONSORSHIP ARE AVAILABLE? Companies looking to raise their profile during the AME should consider sponsorship. As a sponsor, your business gains statewide exposure while expressing support for the Association. We offer a variety of sponsorship levels listed in detail on the following pages. We also offer many opportunities for you to meet NYSDA members and add to the quality education that the AME provides our NYSDA members.

WHAT ABOUT EXHIBITS? Please consider exhibiting at the AME. (Space is limited so reserve early.) Set-up time for exhibitors will be from 6:30 am to 9:00 am on Monday May 18, 2015. The booths will be decorated with pipe and drape. A booth includes a draped table, ID sign, two chairs, name badge, wastebasket, and one lunch. Additional lunches are available for $40.00. Early Bird rates are honored through Friday, April 10, 2015.

SECURITYThe New York State Dietetic Association does not insure exhibitor property of displays.

Responsibility for various types of insurance coverage is that of each individual exhibitor. Each exhibitor will hold free of liability, in connection with property damage or personal damage to his agents and employees. The Marriot hotel, the NYSDA, Capitol Hill Management Services, and the employees of each such organization for loss, theft, damage, destruction of goods, or for any injury to himself/herself/ or employees while in the exhibit and at the convention site for any damage of any nature of character. Please remove valuable items from booth when exhibit areas are closed.

ADMISSIONNYSDA shall have sole control over all admission policies at all times. Non-exhibiting suppliers or vendors of goods and services will prohibited from entering the exhibit hall. Badges must be worn at all times.

REGISTRATIONExhibits booths include ONE two-day registration.

Additional registrations are available at a discount of 25% off.

Exhibitors using the complimentary Annual Meeting & Expo registration included in the exhibitor package are not eligible to earn Continuing Education credits or access workshops. Any exhibitor who would like to eligible for these benefits must purchase an additional registration at the discounted rate.

LUNCHExhibit space includes ONE sit-down lunch meal. Additional meals are available for purchase for $40 each.

CANCELLATION Applicants who apply for space may cancel, in writing prior to Friday April 24, 2015 and receive a refund of their payment, minus a 20% processing fee.

Cancellations postmarked after April 24, 2015 will result in forfeiture of payment regardless of cause.
