Dear Prospective Board Member,

Thank you for your interest in volunteering for Granby Youth Football, Inc.! The goal of

our organization is to enrich the lives of young people by providing a safe and affordable

football and cheer program, where participants will have fun and develop the values of

leadership, sportsmanship, teamwork, and a commitment to hard work. We encourage

and award scholastic achievement, competition, and playing well equally.

Most will find this to be a very rewarding and fun experience. Our focus and priorities

are player safety and character development. Yes, we want to WIN, but not at the

expense of our integrity. We play well to maintain a reasonable level of competiveness

so that we get kids to come back season after season.

What we do need is adult volunteers that are honest, open-minded to the game of

football, reliable, good managers, people that know how to motivate children and have

an interest in the development of young people in their care.

You do not have to be perfect to be a part of Granby Youth Football. However, we do

have very high standards. You do not need to know sports administration extensively,

we will train you! Board members that complete the training we provide do very well

and have applied this training to other interests.

We have a variety of Board members with different skills and abilities. We want and

need all of the help you can provide. You are welcome to bring your own style and

experience and you do not have to agree with all of our plans and schemes, however

our mission statement dictates everything we can do together.

this application, I am applying to be a board member, but I will not be assigned a role, if any,

In signing this application, I have read the attached Administrators Code of Ethics and the

position description as a condition of applying and registering as a coach with GYFC. I

understand I must reimburse GYF for all training cost should I not uphold my commitment to

serve for two years.

BOARD POSITIONS

Section 8.04 PRESIDENT (Non-Voting Principal*)

Shall be nominated and elected by the sitting Executive Board for a one year term.

Shall not serve for more than two consecutive years, but can be re-elected in the fourth year.

Shall serve as Chief Executive Officer for Granby Youth Football and Cheer.

Shall see that all books, reports, and certificates required by law are properly filed and submitted in a timely manner.

Shall develop, administer and maintain strategic partnerships with the USA Football Organization, National Youth Sports Administrators Association and the Granby Public School system on behalf of GYFC.

Shall act as the Officer and League Representative between the NCFL and all other strategic partners of the GYFC.

Has supervisory capacity over all GYFC activities.

Shall interpret, administer and enforce all NCFL and GYFC By-Laws and Constitutions.

Shall compile and complete the annual budget by January 1ST for the Executive Board to approve.

Shall serve as Commissioner to the USA Football Organization.

Shall serve as Commissioner to the National Youth Sports Administrators Association.

Shall serve as Chapter Director of the National Alliance of Youth Sports

Shall hold and maintain a NYAA Certification and insurance while serving in office.

Hears and resolves player, parent and member grievances in partnership with the Executive Board.

Shall assist the Director of Fundraising with the organization’s community outreach program as required to spread goodwill, teach the importance of volunteerism and to maintain our strategic partnership with the citizens and business of Granby.

Shall notify the Executive Board of any and all NCFL Fines.

Shall coordinate and implement the organization’s academic awards program in partnership with the Executive Board

Shall recommend the certifications of all coaches in accordance with the NCFL By-Laws and the GYF’s Training Plan.

Shall attend all NCFL Meetings.

Shall administer the background checks for all GYF members.

Shall referee D-Team Home games as alternate to DOC.

Responsible for all equipment ordering.

In the absence of the person designated by the Board, attend all league/conference meetings and report back information to the GYFC membership.

Shall attend the D-Team Jamboree.

Shall supervise the Director of Coaching.

Section 8.05 VICE PRESIDENT (Voting Principal)

Shall be nominated and elected by the sitting Executive Board for a one year term.

Shall in the event of the absence or inability of the President to exercise the position become acting President of GYF with all the rights, privileges and powers of the duly elected President. Shall serve as the Alternate Officer to NCFL.

Shall be responsible for the management and direction of the administrative functions of the organization.

Shall hold and maintain an annual NYAA Certification and insurance while serving in office.

Shall supervise the actions of all committees appointed by the President and of the Executive Board.

Shall draft, execute and maintain all memorandums of understanding, agreements or contracts with our service providers.

Shall hear and resolve all coach’s grievances in consultation with the President.

Shall assist the President in the development of the annual budget.

Maintain key control for the organization.

Shall supervise the Director of Cheerleading

Section 8.06 SECRETARY (Voting Principal)

Shall be nominated and elected by the sitting Executive Board for a one year term.

Shall in the event of the absence or inability of the Treasurer to exercise the position become acting Treasurer of GYF with all the rights, privileges and powers of the duly elected Treasurer.

Shall hold and maintain an annual NYAA Certification and insurance while serving in office.

Shall record the minute’s at all scheduled Board meetings.

Shall report in writing to the NCFL all election results and terminations of GYF Members

Shall provide copies of the minutes to each Board member at scheduled meetings.

Shall receive, organize and compile all player registration documents in accordance will NCFL By-Laws.

Shall identify to the Executive Board all players with dual playing eligibility.

Shall maintain and protect the integrity of GYF constitutions and forms. All hard copy vital documents of the organization shall be scanned and stored on an external thumb drive.

Shall secure, maintain and protect the organization’s Article of Organization and Incorporation as required by the State of Connecticut.

The Secretary shall be the custodian of records for the organization including but not limited to, tax records, grant applications, injury reports, insurance claims, contract books and NCFL correspondence.

Supervise Registrar and Webmaster

The Secretary shall exercise all duties incidental to the office of Secretary.

Section 8.07 TREASURER (Voting Principal)

Shall be nominated and elected by the sitting Executive Board for a one year term.

Shall hold and maintain an annual NYAA Certification and insurance while serving in office.

Shall maintain the financial records for the organization and be responsible for their accuracy.

Will insure the timely collection and deposit of all receivable revenue.

Shall be responsible for all of the organizations insurance needs.

Shall close the books on December 31ST annually.

Shall be responsible for the till associated with operating the concession stand cash box.

Responsible for interacting with companies and executing applications for grants on behalf of GYF.

Responsible for providing GYF Tax documents to GYF’s approved tax preparer.

Maintain the PO Box on behalf of GYF.

Responsible for the timely payment of all NCFL fees and penalties.

Shall provide the Executive Board with an oral financial report at all scheduled board meetings.

Shall provide the Executive Board with a written finical statement, which includes all transactions occurring since the previous report.

If the Treasurer resigns the office, all financial records pertaining to GYF must be in good order. All financial records shall be turned into the Secretary prior to the resignation becoming effective.

Resignation from the office does not relieve the Treasurer from applicable liability for failure to carry out the duties of the office.

Section 8.08 SAFETY OFFICER (Voting Principal)

Shall be nominated and elected by the sitting Executive Board for a one year.

Shall hold and maintain an annual NYAA Certification and insurance while serving in office.

Shall be responsible for the implementation and enforcement of GYF Heat and Hydration Plan.

Shall be responsible for the implementation and enforcement of the GYF Concussion Management Plan.

Shall be responsible for the implementation and enforcement of GYF Lightning and Weather Plan.

Shall be responsible for the implementation and enforcement of GYF Emergency Action Plan.

Shall perform home game field inspections prior to all GYF events.

Shall be responsible for keeping inventory of GYF First Aid kits, ice packs and other emergency supplies.

Assist in the design and implementation a parent education program that would include parent meetings, parent handbooks, handouts, and occasional seminars

Responsible for parking and crowd control including the enforcement of spectators behind barriers.

Section 8.09 DIRECTOR OF OPERATIONS (Voting Principal)

Shall be nominated and elected by the sitting Executive Board for a one year.

Shall hold and maintain an annual NYAA Certification and insurance while serving in office.

Shall be responsible for the operation and logistics of GYF game day activities.

Shall be the liaison between GYF and the Town of Granby Parks and Recreation Manager.

Shall acquire all necessary permits needed for field usage.

Shall be responsible for lining the home practice and game fields.

Shall be responsible for setting up game day concession tents and equipment.

Shall be responsible organizing, scheduling and paying EMT’s and referees.

Shall be responsible for scheduling, setting up and operating lights for practices.

Responsible for setting up announcement equipment and managing the volunteer announcer at GYF home game days

Responsible for flying the American Flag and National Anthem.

Responsible for communicating the score of all A, B and C Team Home Games to the President for submission to the NCFL Commissioner.

Shall be responsible for inspecting Ahrens Park restrooms to ensure they are operational and adequately stocked with supplies two days before GYF game days.

Responsible for verifying that the GYF Score board is operational.

Responsible for recommending to the Board the status and inventory needs of the concession including the need for soft drinks, food, condiments, propane ect.

Responsible for setting up Game day ropes in accordance with NCFL Rules.

Responsible for organizing and appointing down marker and chain men for each home game.

Supervise all Equipment Manager and the volunteers assigned to assist GYF in these operations.

Section 8.10 DIRECTOR OF FUNDRAISING AND COMMUNITY EVENTS (Voting Principal))

Shall be nominated and elected by the sitting Executive Board for a one year term.

Shall hold and maintain an annual NYAA Certification and insurance while serving in office.

Responsible for the coordination, implementation, completion and collection of funds for all fundraising events.

Responsible for identifying community needs and projects including but not limited to, painting projects, yard, park and stream clean ups, ect.

Supervise Team Managers

Responsible for managing the organizations academic program.

Responsible for team apparel ordering and sales.

Organize and manage one community event annually to take place on player equipment hand out day.

Partner and act as a liaison to PCP, Veridian or Brax as requested by the Executive Board to manage the fundraising activities of the organization.

Responsible for identifying all contributors and thanking them in writing on official GYF letterhead prior to October 31ST.

Section 8.10 DIRECTOR OF CHEERLEADING (Non-Voting Member)

Shall be nominated and elected by the sitting Executive Board for a one year.

Shall attend, participate and represent GYF at all NCFL cheer meetings, clinics, competitions.

Shall administer the NCFL Cheer requirements.

Shall communicate all pertinent information from the NCFL to the Executive Board.

Shall be responsible for scheduling and the content of all practices.

Shall be AACCA Certified.

Shall be responsible for the implementation, enforcement and accountability of the GYF’s coaching philosophy, coaching contracts and the league’s coaching code of conduct.

Shall report to and communicate all grievances and concerns to the GYF Vice President.

Responsible for cheerleading recruitment, registration, equipment and approval of uniforms. Assist the club with the technical coaching aspects of a Risk Management Policy.

Report to the Executive Board and attend the board meetings.

Promote the club within the community and help with public relations.

Encourage ethics among club members and within the entire football community

Partner with the Director of Fundraising to share resources needed to implement fundraising and community events.

Section 8.11 DIRECTOR OF COACHING (Non-Voting Member)

Shall be nominated and hired by the sitting Executive Board for a one year term.

Shall have served as a Head Coach with the organization for one year prior to being appointed to the position.

Assists the Executive Board with the recruitment, selection and placement of coaches.

Shall be responsible for the implementation, enforcement and accountability of the GYF’s coaching philosophy, coaching contracts and the league’s coaching code of conduct.

Shall serve as the USA Football® Player Safety Officer.

Shall be the Head Coach of the A-Team.

Shall supervise all Head Coaches and Assistant Coaches.

Shall recommend the termination or removal of coaches to the Executive Board.

Shall facilitate and ensure that all GYFc coaches are certified and trained in accordance with our training program.

Shall be responsible for the implementation and use of the Heads Up® Tackling System, the USA Football® U8-U14 Training Program and all Player Progression Models.

Shall be responsible for scheduling and the content of all practices.

Shall conduct coach’s clinics and design coaching manuals for all team coaches.

Shall coordinate and conduct the annual Heads Up® Clinic in July of each year.

Shall create long and short-term seasonal plans for the organization and provide guidance to team coaches in designing their own team’s seasonal plans.

Shall design a player evaluation/feedback process that guides the team coaches in how and when to provide feedback to the players.

Shall act as referee for all D-Team home games.

Design the training priorities for each age group and level.

Design a Player Development Manual for the organization.

Help the organization create a policy for team travel that will address logistical, supervision and behavior issues while traveling to tournaments away from home.

Assist the club with the technical coaching aspects of a Risk Management Policy.

Report to the Executive Board and attend the board meetings.

Promote the club within the community and help with public relations.

Encourage ethics among club members and within the entire football community

Section 8.12 WEBMASTER (Non-Voting Member)

Shall be nominated and elected by the sitting Executive Board for a one year term.

Shall maintain the organization’s website.

Responsible for communicating and publishing all future Board Meetings.

Responsible for communicating and publishing all Board Meeting minutes.

Shall communicate with Team Manager all necessary information as provided by the Vice President.

Shall upload all pertinent information as provided by the Executive Board including but not limited to, sponsors, schedules, rosters, points of contact, scores, and organizational information.

Maintain sponsorships on our website.

Upload and maintain and archive HUDL® Video

Section 8.13 EQUIPMENT MANAGER (Non-Voting Member)

Shall be nominated and elected by the sitting Executive Board for a one year term.

Responsible for the inventory, storing, maintenance and care of all GYF personal property.

Obtain pre approval from the Executive Board for all equipment purchases.

Repair, or cause to be repaired equipment as needed.

Replace, or cause to be replaced equipment as needed.

Distribute equipment to players and coaches.

Responsible for the fitting and training of all player equipment including but not limited to helmets, shoulder pads, uniforms and practice equipment.

Responsible scheduling and performing an end of year cleaning of all GYF equipment.

Supervise all volunteers assigned to assist in the effort to clean equipment.

Collect equipment and take year-end inventory.

Maintain clear and accurate report of all number assignments for every player.

Coordinate with vendors on all equipment needs.

Responsible for ensuring that all helmets are certified in accordance with NCFL By-Laws and industry standards.

Shall maintain the calibration on GYF’s counter-balance scale.

Communicate equipment needs, procedures and requirements to all coaches.

Section 8.14 REGISTRAR (Non-Voting Member)

Shall be nominated and elected by the sitting Executive Board.

Temporary appointment between July 1ST and September 4TH each year.

Assists the Secretary and oversees registration documents including birth certificates, physicals, player registrations, coach’s applications, code of ethics, volunteer applications and other NCFL documents.

Section 8.15 CONCESSION MANAGER (Non-Voting Member)

Shall be nominated and elected by the sitting Executive Board.

Temporary appointment between September 4TH and October 31ST.

Shall assist the Director of Operations with the set-up, clean up and pre-game preparation of the concession stand.

Shall operate the concession stand and collect funds from patrons.

Shall coordinate all game day concession volunteers.

Section 8.16 HEAD COACH (Non-Voting Member)

Shall be appointed for a period of two years.

Shall undergo and pass a background check.

Shall abide always be in strict compliance with GYF Coach’s Contract and the NCFL’s Coach’s Ethics requirements

Shall follow and be in strict compliance with all NCFL rules during play.

Shall be certified by USA Football Level 1 Heads Up ® Tackling

Shall be certified USA Football® Age appropriate Level 2 U8 U-14

Shall complete the GYF Training Program.

Shall be First Aid/CPR/AED Certified.

Shall report all injuries to the GYF Safety Officer.

Shall represent the GYFC in a professional manner in the community.

Shall volunteer for all Jamborees

Enforce team rules not described in the by-laws or constitutions

Be supportive of all volunteers, the players and the Executive Board

Determine Team Captains

Determine practice priorities and practice plans.

Assign coaching duties to Assistant Coaches.

Choose or approve age appropriate offense, defense and special team schemes in consultation with the Director of Coaching.

Determine player positions with input from Assistant Coaches.

Interact with referees in accordance with NCFL rules.

Section 8.17 ASSISTANT COACH (Non-Voting Member)

Shall be appointed for one year.

Be supportive of the Head Coach, all volunteers, the players and the Executive Board

Volunteer for all Jamborees and clinics.

Shall be certified by USA Football Level 1 Heads Up ® Tackling

Shall complete the GYF Training Program.

Shall report all injuries to the GYF Safety Officer.

Section 8.18 TEAM MANAGER (Non-Voting Member)

Appointed by the Director of Fundraising between August 1ST and October 31ST.

Responsible for communicating all pertinent information of the organization and the Head coach to team parents.

Academic program reports and monitoring.

Responsible for communicating and distributing fundraising materials.

Responsible for organizing the Team snack at all games.

Makes sure parents are meeting the standards stated in the Parent Code of Ethics Contract.

Records and reports A, B and C Team scores to the Director of Operations.

I hereby pledge to provide positive support to all youth sports programs in my community, to administer

youth sports programs with professionalism and in the best interests of the children involved by

following the Youth Sports Administrators’ Code of Ethics:

• I will run youth sports programs for the children involved, not the adults.

• I will ensure that I am knowledgeable in the area of youth sports administration.

• I will do my best to provide a safe playing situation for all participants.

• I will provide support for coaches, officials and parents to provide a positive and enjoyable experience

for all.

• I will require all coaches and officials to be trained in the responsibilities of being a volunteer within

the organization and that they uphold the NYSCA/NYSOA Codes of Ethics.

• I will implement and enforce the National Standards For Youth Sports.

• I promise to keep informed about current issues involving youth sports programs.
