EXECUTIVE SUMMARY
After the completion of my 4th semester I was offered Cooperate internship. For my internship, I
want a corporate culture organization; for this purpose I was given an interview for internship in
GIFT University marketing departing department and then I started my internship in GIFT
University as a fresh internee in its marketing department. GIFT University has developed into a
center of excellence in higher education. It is today established as a frontline university in the
region. It is a dynamic and modern university with high standards of education. By virtue of its
quality of education, HEC has ranked GIFT University in the "W" category in 2008(previously
known as A-category), which is awarded to the best universities in Pakistan. At very first day we
had meeting in which the main purpose of our internship and admission campaign has been
discussed because my internship regards all about admission campaign for Fall 2010 Semester.
In this meeting our department head Mr. Wasim Daar told us how we run this admission
campaign and he told us that first 2 weeks are for our training session and remaining 8 or 9
weeks will be for our real hard work. For this purpose of internship I and my fellow internees
have to perform a lot of duties which includes.
1. Dealing with the admission inquires and convince them to get admission in University.
2. Conduct the NTS Test and guide them about to make their careers dreams.
3. Submit the student’s admission forms and conduct their entry test and interviews.
4. Make fallow up calls to Students.
5. Use different marketing tools to attract the students to the University like advertisement,
banners, NTS Campaign.

During this whole campaign and internship I learnt lot of things and learn that how difficult a
practical life is and how difficult a marketing job but it is very good experience of my life. In this
internship I made lot of contacts with different people. I learn how to understand the people by
their behaviors because I have to face different personalities which is a very good experience. I
learnt how to follow rules and regulation of Organization and our both guides Sir Nabeel and Sir
Waseem are very helpful for me and fellow internees.

GIFT offers excellent academic facilities and learning aids. The University has a sprawling
campus spread over 14 acres of land. The campus is symbol of modern architecture. There is
spacious, air-conditioned class rooms equipped with latest teaching aids. It has a well resourced
library and well equipped computer labs. Social facilities are equally good and include an on
campus café, sports and leisure facilities. Comfortable boarding and lodging facilities are
available for students from far off places.
GIFT University is committed to improve the quality of education. It actively supports and
encourages the talented students. The University offers various merits and need based
scholarships and tuition fee waivers. The objective of these scholarships and tuition fee waivers
is that no talented student is deprived of the right to higher education due to lack of finances.

NTS Test and Feedback Forms
We have to make arrangements for conducting NTS test. For Conducting NTS test I have
prepared GIFT packs for NTS students. Provide information to NTS students related to
admissions on help desks. I have pasted guidance charts and pasted them on the walls which
were providing directions to different rooms where students have to sit and give their NTS test.
Furthermore, I have guided the students who have come to give their NTS to respective classes. I
had distributed the GIFT packets to NTS students and their parents and gave them feedback
forms regarding GIFT University and after 15 min I received back the feedback form.

Queries Handling:
Queries handling was one the main duties which I have performed during my internship. That
was the most crucial part of our marketing campaign. While queries handling I have to provide
them the required information about the courses which we were offering. Also I have to convince
them for admissions. There were two main types of Queries Handling:
Walk in Queries
Telephonic Queries
Walk In Queries:
One of my responsibilities was to handle Walk in queries. I had to attend the queries who
were interested in admission. They asked about some information regarding admissions.
In Walk in queries handling I have to provide them the required information and
convince the queries for admissions.
Telephonic Queries:
One of my responsibilities was to handle telephonic queries. I had to attend the calls of
the people who asked about some information regarding admissions. In Telephonic
queries handling I have to provide the required information and convince the queries for
university visit.
Campus Visits:
Campus visits was one of my duties which I have performed in my internship. Campus visits was
one of the main tool for attracting students toward GIFT University. In Campus Visit I had to
guide the visitors. During the visit my responsibility was to Show them the Different
departments of university and deliver the minimum deliverable plan and if they want to visit any

of the concerned department faculty members then I took them to that faculty member. Also I
provide them the required information which they want to get about university.
Data Entry:
We were provided a huge NTS data for Entering in Excel Sheets. I have entered huge amount of
feedback forms in excel sheets. Data was collected in past NTS tests. These students were the
main targeted population for admission. Also I have entered data related to the admission
information queries in the software “Education System”.
Front Desk Activities:
I have performs my duties on front admission desk. That was the most learning part of my
internship. On front desk I have learned how to interact with customers. Also it has improved my
communication skills. Front desk activities include:
Walk in Queries handling.
Telephonic queries handling
Software data entry
Convincing Queries for Admissions.
Forms Receiving:
Forms receiving were my major duty. It was my duty to received forms from queries and give
receipts to them on which the date and time for test and interview was mentioned after that I
gave forms to ma’am Sidra for entering the forms return in University admission software.
Admission Test & Interview:
We have conducted three admission tests. While conducting admission test my duty was to route
the applicants for the test and interview. Also we have conducted interviews of graduate and
undergraduate applicants in which my duty was to route the applicants of BTCM, B.Des and BS

(CS) students to their interview panel. We have conducted admission test for about 700 students
and interviews of about 600 students.
Follow Ups:
After conducting test and interviews we made different follow ups related to admission test and
interview. I did follow ups to those like whom:
Visit campus but form not purchased
Form purchased but not submitted
Absent in admission test
Absent in interviews
Appear in test but didn’t give the interview
Fee not Submitted
Counseling Calls
OUTDOOR ACTIVITIES
I did not perform the outdoor activities as Sir Nabeel assigned those activities to the boys.
Although outdoor marketing activities include following duties:
Duty on Result boots
Bill boards placing
Advertisement on cables
Placement of flyers in news papers.
Delivering Advertisement material to different book stores in different cities
Placement of banners.

DAILY BASES WORK
At the start of my internship, I did every type of work in the internee room with the other
internees like, filing, dealing with admission inquiries, and follow ups. But after one month, my
sole responsibility was dealing with the candidates who want to get financial assistance.
MEMORABLE EVENTS
We did pizza party many times during my internship and we really enjoyed it. Once we
asked to girls that we are going to order pizza so you have to contribute in it. They all
gave us the money. But we got the membership card from that money. All girls didn’t
like it and decided to get back the money. Next day one of girls said to us, “gives back
our money”. But we refused. So she made a call for pizza delivery in GIFT University
and she asked us to note the number and name of boys to whom they have to deliver. We
enjoyed a lot because now we haven’t any other option except paying that money.
We started our first result booth in Peoples Colony and we sat in the tent and started to
tell the result to students but suddenly a fast wind has come and our tent had down on us
and we all had fall in tent.
Before Eid we decided to give cards to Sir Waseem, Sir Nabeel and Ma’am Sidra. We
wrote those sentences on the other side of the cards that we heard many times from them.
And we asked them to read their cards in front of everyone. When they read their cards
they enjoyed a lot.
Before starting our Eid vacation, we all agreed to ask for Eidi from management of GIFT
University. We took a jar and we wrote Eidi campaign from marketing internees and

paste that chit on that jar. Everyone liked the statement for asking Eidi. We all really
enjoyed our way of collecting Eidi and we divided that Eidi in all internees.
LEARNING
DID I ACHIEVE MY GOALS?
Yes, I surely achieved my goals as I am a student of Master of Business Administration and the
goal of business administration student is not to go through the syllabus bit to develop the
personality and leans the tips and trick of the practical life. My internship provided me the best
plat form to achieve my goals as I got chance to work in a multinational environment and
learned a lot from my in charge and head of the departments as we go through a period of 3
month of full fledge marketing and experienced many things inside as well as outside of the
organization.
WAS THE INTERNSHIP DIFFERENT FROM WHAT I HAVE EXPECTED?
Yes, my internship was surely different from others as I was told in the interview that it would be
a task work which we must be given and we have to complete our task within the defined time
and it would not be so tough. I have expected that it would be easier for me and we should not
have lot of work to do. But later on we were the team of 15 persons & even those 15 became less
to handle the work load as we worked daily from 8:00 am to 4:00 pomp and even after that next
morning when we again start working there was lot of work pending so I think my experience
was different from others and very interesting also as we come negotiate different people daily.
WHAT WERE UNUASUALL / INTERESTING ABOUT MY INTERNSHIP?
The real thing which I felt was unusual about my internship was that in other organization the
supervisors and in charge of the department treats the internees as internees but our supervisor &

in charge treated us as their job fellows and also involved us in the internal matters of the job as
they trusted us very much and also asks suggestions from us if we can gave better suggestions
from others and that’s how I experienced to work in a perfect working environment which was
healthy and friendly also.
WHAT DID I ACCOMPLISH?
I think I accomplished all my goals from the internship which I even don’t have expected.
WHAT DID I LEARN FROM MY INTERNSHIP?
I learned many things from my internship the most important thing are how to be a professional,
how to work in an organization, how to deal with different peoples like boss, colleagues, and
guests, how to satisfy everyone, how to work at every job level. I worked under the professional
person of their fields and learned a lot from them and also learned to be punctual and also
learned many managerial skills which I think would help me a lot in my future life

FINANCIAL ASSISTANCE TO THE NEEDY STUDENTS
GIFT University provides financial assistance to needy and talented students who are unable to
pay their whole dues for their study program like MBA, BS and B-Des. The requirement for
financial assistance is that the student must have scored at least 60% or CGPA of 3.1 in his/her
latest examination and must be able to demonstrate documentary evidence that he/she needs
financial assistance. The magnitude of financial assistance depends upon assessment of the
student’s need. The applicant must have 55% marks in his/her previous degree to apply for
financial assistance.
DOCUMENTATION FOR FINANCIAL ASSISTANCE
1. Proof of income
2. Utility Bills
3. Salary/pension slips of father or guardian
4. Income tax payment slips
5. Property tax payment slips
6. Proof of Previous fee concession granted by previous institutions
7. Fee receipts of siblings

1- Proof of Income:
Proof of income is required for the students whose father/guardians are engaged in a business.
This we take upon a stamp paper of Rs. 20 or more. It is of an application nature from
father/guardian of a student providing information about:
Personal details
Name of the Business
Nature of the Business
Address of the Business
Utility expenses of the business
After giving all information, the application must be attested by a 17 scale government
employee.
2- Utility Bills:
The students who are willing for financial assistance must provide utility bills of their residence.
These utility bills include:
Electricity Bills
Sui-Gas Bills
Telephone (Landline) Bill
3- Salary/Pension Slip of Father/Guardian:
The Students whose fathers/guardians are salaried persons, they must provide their salary slips.
In case, they are retired personnel, they should have provided their pension slip along with the
financial assistance form.

4- Income Tax Payment Slip of Father/Guardian
If the father/guardian of a student is a businessman or a shopkeeper etc. and pays income tax to
the government, he must provide the income tax payment slip to make his case stronger. In case
of a salaried person, he is not bound to provide an income tax slip because his income tax
payment will be given in his salary slip.
5- Property Tax Payment Slip
The father/guardian of a student is paying property tax to the government; he will also provide its
payment slip at the time of submission of financial assistance form.
6- Previous Fee Concession granted by Previous College/University
A student, who is being granted a fee concession by the previous college/university, must be
provided evidence along with the financial assistance form. The evidence could an affidavit
nature written upon the letterhead of that college or university.
7- Fee Receipts of Siblings:
If the applicant applying for financial assistance has siblings studying in any
schools/colleges/universities, must be provided their fee receipts of the recent period.
8- Application from Father/Guardian of Student:
The most important step is an application from the father/guardian of the student written on a
blank page. In this application, he should provide:
The reason why he is applying for financial assistance
The current financial situation
9- Six Months Bank Statement:
The student, whose father/guardian has a bank account, must provide a six months bank
statement along with the financial assistance from.

PROCESS OF FINANCIAL ASSISTANCE
A Financial Assistance form goes through a systematic process which is defined by the GIFT
University. This process starts from the Customer Relationship officer and end with the Rector.
Customer Relationship Officer:
Customer Relationship Officer is a person whose primary responsibility is to build relationship
between the organization and the customer.
Duties of CRO with Reference to Financial Assistance Form:
Dealing with the new inquiries of Financial Assistance.
Providing the new applicants financial assistance forms.
Receiving the forms from the applicants.
Verifying the documents attached with financial assistance form.
After verification, forwarding the financial assistance to the head of accounts department.
Re-calling to the candidates whose form returned from account office as incomplete or
some details are required.
To call to the applicants who are being awarded financial assistance.

Head of Accounts Department:
The Customer Relationship Officer, after verification of the documents, forwards financial
assistance forms to the Head of Accounts Department. Then, the he performs these operations
upon the financial assistance forms:
Verifying the documents attached with the financial assistance forms.
If any case found incomplete or required more details, send back to Customer
Relationship Officer.
After verification of the forms, recommending financial assistance in percentage that
varies from 5% to 60%).
After recommending financial assistance, then forwarding those forms to the main
authority, the Rector.
Entering the financial assistance awarded in the computer.
The Rector:
After receiving the financial assistance forms from the accounts department, the Rector analyses
the documents and the recommended financial assistance. After analyzing, he awards financial
assistance to the applicant. Awarded financial assistance form returned to the accounts office
where they enter the financial assistance awarded form into the computer.

FINANCIAL ASSISTANCE CASES RESOLVED BY ME!!!
There were total 159 cases which I received. Out of which:
72 were given financial assistance. This financial assistance varies from 10% to 40
percent.
35 were pending or in finance department for final processing.
35 were rejected by the finance department or few were closed because they were not
responding.
And the 17 were those students who still cannot afford the university dues despite getting
financial assistance or they got admission in some other institutions.

SUGGESTIONS
Following are the suggestion I would like to suggest
All management should coordinate with marketing department regarding University’s
Programs.
IT software given to marketing department should be better because we have to face a
lot of problems regarding software.
Internee’s room should be given internet facilities.
Students of same semester should be selected for internship in the University because
sometimes there is incompatibility between seniors and juniors students.
Prospectuses should be available on time. (because we have sold almost 250 forms
without prospectuses)
There should be proper scheduling about everything in University regarding
admissions test and interview dates, commencement of classes and etc.
As far it’s a co-education university so all the rules and regulation should also be
given to the students at the time of admission.
There should also be special offers for the applicants of hafiz e QURAN regarding
admissions.
Admission Counselors should be punctual and active.
University should decrease its fee criteria of because students of this region cannot
afford too much fees.
Advertisement should be available on time. (Because all the broachers where not
available at the beginning of the campaign)

The repute of the university is still not good at most peoples mind. So the
management should conduct seminars for this regard to change the perception in
peoples mind.
University should try to attract quality students.
Process of financial assistance is very complicated for both employee (CRO) and the
students.
