Student with NO SPECIAL EDUCATION SERVICES360 Minute DayGen EDStudents are in all General classes before they receive any special ed time.The assumption for this presentation will be that the students total instructional day is 360 minutes.All of their subjects are in General education (i.e., reading, math, writing, etc).The student has NO special ed time and no related services.2

General Ed vs. Special EdGeneral Education istime in class with same age non disabled peers.Special Education istime pulled out of the Gen Ed setting to work alone or with other students with disabilities.We all need to come to an agreement on the difference between general ed time versus special ed time. 3What it should look like:

All of the students subjects are listed with Quarter or Semester that the subject will occur (B is for Both Fall and Spring) Service Provider for that class Grade Assigned by who assigns the grade Then comes the MOST importanthow many minutes in General Ed and how many minutes in Special edThis student has ALL minutes in General Ed and 0 minutes in the Special Ed minutes box for each subject. The boxes under each minutes section lists the frequency and time period for each subject.For example, Reading will be 90 minutes 1 time per day in general education. 4Block Scheduling

Note that the previous schedule reflected a Per Day Schedule. If block scheduling is used in the district, different options can be selected instead of per day. For example, the student may receive Reading and Math 5 times per 2 weeks, instead of 1 time per day.

5Instructional Arrangement Calculations

This is an example of the per day grid that is located on each schedule page.Notice the School Instructional Time is 360 minutes. This time is set by your district. If your students at this campus have more than 360 minutes, contact your SEM Program Administrator.This student does have 360 instructional minutes.TIME is calculated by clicking the Calculate PEIMS all Quarters button located directly above the subjects. The TIME column shows the amount of time that you have so far in the schedule below (which you just saw on the previous screen).There are 360 GENeral ed minutes, 0 RELated Services minutes, 0 SPED or special ed minutes.The Instructional Arrangement (IA) has been calculated automatically as 40 or Mainstream.This student is not RDSPD.6No ServicesRELATED SERVICESGen EDReadingMathWritingScienceElectives Sp ED+=SPEECH THERAPYStudent with Speech TherapyNow we will add Speech Therapy time to the students schedule.Speech Therapy is an instructional service and will be added with the subjects.Notice what happens when we add Speech Therapy time to the schedule.This student already has a full instructional day in Regular Education and we are adding more time to special ed.7What it will look like in the schedule

Speech Therapy was added to the schedule for 45 minutes 1 time per week. This service is direct pull out time.8What it will look like in Per Day Grid

However, when the speech time is added to the schedule, the students overall day which is reflected under TIME is now over the School Instructional Time of 360 minutes.When the Time does not equal the School Instructional Time, the Time will be reflected in RED.

This is what it should look like on the schedule page.Notice the Speech Therapy subject in the list.They receive it for BOTH semesters.There is 45 minutes 1 time per week in speech placed in the special education column. Then there is a minus 45 minutes in the general education column because thats where the student is being pulled from. NOTE: If this student were not being pulled from the classroom but the speech therapist was going into the classroom to provide the service, you could change the SERVICE TYPE on the right to In Class Support and you would NOT have to do the subtraction because the student is NOT being pulled from the general education classroom to get the service. 13

The student is LD and SI. If a student has both disabilities and receives only speech therapy as reflected in our earlier schedule, the IA is Mainstream because this is the setting where the student receives their LD services.

Note: This is calculated automatically UNLESS Speech Impairment is listed as the Primary Disability.15

17We added special ed minutes when we added Counseling into the R/S section.We increased the students day by the amount of Counseling we added.What did we do?When we added the Counseling time.18We need to . . .Subtract!!!!From the Gen Ed minutes.Since we are now over the students 360 minute instructional day again, we have to subtract this time from the schedule. We need to subtract the time from the setting that the student is being pulled.The student is being pulled from general ed to get the counseling so we subtract this time from general ed.19What it should look like:

This is the exampleCounseling is entered at the bottom in the R/S section. This student receives Counseling from the LSSP 60 minutes 1 time per week for Both semesters.The subtraction, however, needs to be done in the class schedule section as there is no general ed time at the bottom from which to make the subtraction.So.you need to do an Adjustment line. Note the Counseling Adj subject. This is an adjustment to the schedule that shows the same amount of time that is in the R/S section below but with a negative for the time under general education. What it should look like:This is what the schedule page should look like.We put our Speech Therapy service in the blank with our time in the special ed column.Speech Therapy Both semesters 45 minutes 1 time per week.Then we need to subtract this same amount of time from special education.So we need to do an adjustment line because we need to take the time from special ed, not general ed.So we add Speech Therapy adjustment for Both semesters for -45 minutes 1 time per week in the special ed column.31

What did we do?Anytime we add minutes in the R/S section, we add special ed time to the students schedule. We have increased the students overall day by the amount of PT that we added. 34

Instructional Arrangement CALCULATIONSOur TIME again meets the School Instructional Time.39Automatic CalculationsSEM will automatically calculate certain IA codes besides 40, 41, 42, 43, 4408 VAC CodeThere is a subject in the subject list that will automatically calculate this IA. This comes defaulted in the program as VAC. Your district can change this subject in File Maintenance. You can get with your district SEM contact person and find out what the subject is for your district. 42 PPCD studentsIf an IA of 42 is needed for certain PPCD students, there is a subject in the system that will calculate this IA. . This comes defaulted in the program as PK w/PPCD teacher. Your district can change this subject in File Maintenance. You can get with your district SEM contact person and find out what the subject is for your district. Automatic CalculationsSpeech CountIf the subject Speech Therapy is chosen from the list of subjects, the system will automatically calculate the Speech Count. No modifications should be done to this subject. Do not type ANYTHING in the blank except Speech Therapy. The calculated Speech Count can be seen on Page 1 of the ARD.There should only be ONE Speech Therapy line. If 2 Speech Therapy subjects are needed, type something else along with the 2nd Speech Therapy so the system only sees one subject called Speech Therapy. Another trigger subject for speech is Speech Consult. PEIMS TriggersCertain subjects in SEM will trigger various indicators in the Student History.APE (Adapted Physical Education) There is a subject in the system that will trigger this indicator in the student history. This comes defaulted in the program as APE. Your district can change this subject in File Maintenance. You can get with your district SEM contact person and find out what the subject is for your district.Life Skills (Personal Care) There is a subject in the system that will trigger this indicator in the student history. This comes defaulted in the program as Personal Care Services. Your district can change this subject in File Maintenance. You can get with your district SEM contact person and find out what the subject is for your district.

Final Thoughts Always use Speech Therapy from drop down list of subjects and NEVER type anything else on the subject line with Speech Therapy. Dont forget the CLEAR OTHER button. This will reset the IA and recalculate.Dont forget Transportation is a Related Service.Subtract EXACT minutes when using the adjustment line. Any SERVICE TYPE other than 0 does NOT need an adjustment line. Go to other Setting All Qtrs for a list of atypical IAs.43
