Renovations, Inc. Wants To Improve Partnering
Outside The Enterprise
Ted Amato, Renovations, Inc. VP of Marketing
Madison Armond, Renovations, Inc. CIO
Not so fast!
• Adding all those external users to our
directory could overload my IT staff. I’m
concerned about the risk of accidentally
exposing key internal documents to
external users. And those external users
may not want to have their identities
known to everyone in Renovations, Inc.
And my plate is full!
IBM Connections is great! We’ve
seen results already. But we need to
see those same productivity gains
and collaboration benefits with our
partners, contractors, and tenants.
Can we just add them?

I have just the solution for you:
IBM SmartCloud for Social
Business. SmartCloud for Social
Business extends Connections-like
collaboration functionality outside
the firewall to partners. Since it is
cloud-based there is no need to
host external accounts in the
intranet, nor does it require IT
administrative overhead Dan Misawa, IBM Representative

IBM SmartCloud Helps Companies Overcome The
Barriers To External Collaboration
Technical
Budgetary
Barriers IBM SmartCloud
IT staff overhead from having to
provision external users
Security risk adding external user
accounts to corporate directory
Security risk allowing external
users access inside the firewall
No budget for travel in order to
conduct face to face meetings
Lack of funds to procure the
hardware and software to deploy a
separate system for external users
Difficulty sizing the system for peak
user demand
Web Meetings with video allow for
face to face communication
without travel
No upfront capital expenditures
required, ‘pay as you go’ only for
the number of users you need
Choose the rate and pace of
adoption you need without having
to upgrade systems
External users can provision their own
user accounts without IT intervention
External user accounts are kept
separate from the internal corporate
directory
External user interaction takes place
outside the firewall reducing risk to
internal assets

There is Significant Overlap and Confusion About Which
Microsoft Products are Strategic
“In my customer meetings over the last few months, people have often asked, 'What
should I use for social? Yammer or SharePoint?' My answer has been clear: Go Yammer!
Yammer is our big bet for enterprise social, and we're committed to making it the
underlying social layer for all of our products. Yammer will provide the latest innovations
and best user experience.” Jared Spataro, Senior Director,

The Office 365 People (Contact) Card
• New personal profile with
information about user’s
• Interests
• Social Connections
• Activity feeds from
SharePoint, LinkedIn, and
FB
• Accessible from anywhere
in Office
• To get at that person’s
SkyDrive files, you need
to navigate to their About
Me page.

SkyDrive On Office 365
• Low cost way to
save (and share)
personal files in the
cloud
• No easy way to tag,
and make files
‘discoverable’
• You have to know
something about
the person’s files
you are looking for

Customers are presented with confusing mix of legacy
Microsoft products and Yammer
Exchange
Online SharePoint
Online
Lync Online
Microsoft Office 2013
Exchange, SharePoint, and Lync are poorly integrated leaving the user
to perform extraneous tasks
Limited ability to work with Office 365 or Yammer content from a
mobile device
SharePoint has weak social capabilities: unable to tag or
comment on files, and tag search is separate from text search
Small and medium plans are restricted to 50 guest accounts for
external collaboration. Guest accounts require Windows Live IDs
Meanwhile Yammer does not have file access controls – a file can be viewed by everyone unless you
place it in a group

Google Apps for Business main claim to fame is its $50 per year
price
Gmail web based mail, similar to consumer product except without ads
Google Calendar web based calendar
Google Drive file library. Drive also allows one to create documents,
spreadsheets, and presentations using the web based productivity editors
Google Hangouts provides instant messaging and web meetings
Google Sites allows creation of websites with pages that contain gadgets
Google+ is not part of Google Apps, however it provides certain social
networking features that Google Apps lacks. Google+ is a consumer
product and each employee must individually create an account and the
enterprise cannot control many aspects of corporate information once it is
on Google+

Although Google Apps is low-cost, you get what you
pay for – which is not much
Mail, Calendar Rich client, offline access from multiple
browsers
Browser only client, offline only from
Chrome
Web Meetings Up to 999 participants Limited to 15 participants

Google’s Service Seems To Be Beset With Security
And Privacy Issues
© 2014 IBM Corporation IBM Competitive Project Office 24
Google just does not take security seriously as evidenced by
these encryption and authentication practices
Encryption at Rest All mail and calendar content is encrypted. Lets customers choose to encrypt collaborative file stores.
Data not encrypted at rest. Data sharding practice leaves portions of customer data stored in the clear.
Digitally Certified Encryption in Transit
Implements SSL-EV certificates. Visually shows customers they are interacting with IBM, preventing Man in the Middle impersonation attacks
Use standard SSL
Access Management Commercial grade access controls Universalizes password access to more than 500 products - a “single point of failure” resulting in security breaches
Browser Inactivity Timers Configurable timeouts to protect assets for users logging in from kiosks.
Two week browser inactivity timeout

Which might be a reason why Sweden’s data protection
authority banned Google Apps
In a landmark ruling, Sweden’s data protection authority (the Swedish Data
Inspection Board) issued a decision that prohibits the nation’s public sector
bodies from using the cloud service Google Apps.
A risk assessment by the Board determined that the contract gives Google too
much covert discretion over how data can be used

Salesforce.com Chatter tries too hard to model itself after
consumer social platforms
Chatter reliance on microblogging as
its core collaboration tool has many
downsides: Discussions on topics can
quickly turn chaotic as the number of
comments grow, it is difficult to share
long form information since
microblogs are designed for brevity,
and there is a serious lack of
formatting or editing controls. All
these situations are handled elegantly
in Connections via discussion forums,
blogs, and wikis
The inability to tag user
profiles or files inhibits social
search and discovery. This
makes it more difficult to
locate either experts or
assets. IBM’s internal
research indicates that
searching by tag can be up
to 32% faster than full text
search
File collaboration is
cumbersome since users
have to switch back and
forth between browser and
productivity editor. The
Microsoft Office and
Windows desktop plug-ins
for Connections’ Files
allow users to work with
their documents seamlessly
The Chatter mobile
experience is
extremely feature
deficient. Unlike
Connections Mobile
which offers access
to the entire gamut
of functionality,
Chatter mobile
restricts you to
microblogging, and
file viewing
