EBP Forum Meeting Notes 10/13/2015 Kandiyohi County YLS Group : Mary Evers, Scott Phillips, Leah Fleming, Rachel Miller, Sarah Miller, Teresa Becker, Carter Diers, Katrinna Dexter, Nan Swift, Talli Dorf 1. Scott has a full YLS 12/16-12/17 in Hennepin. Contact Scott to register. It is on the EBP Website. There might be a location issue, so max number is 16. There should be about 10 open spots. 2. We will reschedule the vetting of the Sophie tape. The only people here today are the Master Trainers, who already vetted it. We’ll schedule something for November to get everyone else there, and do a WebEx scoring after that so that it’s done before the T4T. 3. Master level training w/Dr. Hoge went well. A real emphasis was placed on “need” and “is it a risk right now?” rather than hard and fast scoring. If the emphasis is on the case plan, we want to know what the needs are. “Don’t do a risk assessment if you’re not willing to assess the needs” because the risk is secondary to the needs. 4. Foundations training is 12/1-12/2 and T4T is 1/26-1/28. All are at Central Office. We have rec’d only a few more applications since we last reviewed them (9-10 total). We will make a decision about those today. We’re looking for closer to 16 total new trainers, especially north and south/west. Pass the word along! 5. The T4T trainer manual is done. We’re now passing it to Leah and Carter the edit a little bit to make a Trainer Manual and then develop a participant manual. This will be their hazing into becoming a trainer. They will email us stuff if they want feedback as they go. Otherwise we’ll review some stuff on 11/23 when we meet for vetting. They will have everything done, reviewed and totally completed NO LATER THAN 1/18/15. 6. Leah updated on Phase 1. They meet this week. Everything has been submitted for it to be solidified in format. They plan to discuss

EBP Forum Meeting Notes

10/13/2015

Kandiyohi County

YLS Group: Mary Evers, Scott Phillips, Leah Fleming, Rachel Miller, Sarah Miller, Teresa Becker, Carter Diers, Katrinna Dexter, Nan Swift, Talli Dorf

They plan to discuss on Thursday to have some folks test it out, possibly from some area colleges. The hope is that it is ready 1/1/16. Hennepin used it (their guy is the developer). They gave good feedback. We’re hoping it’s ready to go when we do our T4T! Leah and Talli will present it to the large group if it’s all ready to go in April.

7. Proficiency: Agencies have rec’d their own. Feedback was that results are good. Questions about when the statewide data will be released. Mary will follow up with that *insert answer here*

8. Vetting: Rachel will create the email for vetting. In-person 11/23 9am-12pm in St. Cloud and WebEx set up my Mary in Anoka on 12/10. All RSVPs to Rachel.

Case Planning: Brent Schmidt, Teresa Becker, Sarah Eischens, Rachel Miller, Karen Evans, Sandi Sostak, Christel Roelofs, Sarah Miller

1. All upcoming trainings are updated and on the EBP Website, except just waiting for final information for a conversion training with Janelle Cheney at 715 11 th St N, Suite 108, Moorhead

on 11/18/15 from 11:30-3:30pm. Registration will be done through ELM, the new learning management system, so there have been delays in getting it posted (working out the kinks of the new system). Expect to see it posted no later than next week.

2. There have been quite a few new hires, and lots of YLS and LS/CMI training going on. Soon there should be a need for additional case plan training. As MI rolls out into the facilities, we'll be looking for more training likely toward the end of 2016.

3. If anyone can help train in Montevideo in March, 2016, please let Sandi know. (You can choose day #1, with options being 3/9, 3/16, 3/23 and the half day is set for 4/13). PLEASE?! ANYONE CLOSE OR HAS FAMILY CLOSE WHERE THEY CAN STAY?!

4. Sandi is working on getting all the groups coordinated and set up some training that is set up annually so everyone knows where/when everything is expected.

5. Conversion training up north is being wrapped up, and it seems that we've pretty much got everyone covered and completed or things are set up. Now it's just a matter for staying ahead of the curve.

6. CoP for Case Planning is scheduled for 11/18. We'll be listening to tapes and practicing feedback. Brenda Martin is taking the lead on that group.

7. Discussion on Integrated EBP QA Forms: There are some forms out there, including one from DOC. It may be valuable to look at that form through the lens of case plan trainers and offer some feedback about that form. Sandi will send it out to the group for those who have not seen it, and let's discuss it at our next forum.

MI Net: Jenny Schaefer, Nan Swift, Karen Evans, Talli Dorf, Sandi Sostak, Katrinna Dexter, Rachel Miller, Archie Weatherspoon IV, Mary Evers, Scott Phillips, Teresa Becker, Brent Schmidt, Christel Roelofs, Corey Mabis, Scott Dawson, Nancy Naujokas, David Fink, Jason Denton, Bob Tepfer, Lynn Gatewood, Matt Koppes, Lilbon Clark

1. MINT Trainer: Four candidates will be chosen in near future for DOC Mint Trainer expansion. Training will be sometime after first of the year. Jason Anderson was selected to train these trainers.

2. MITI 4.2: DOC training for conversion from 3.1 to 4.2 several months away. Email Sandi Sostak if interested. Discussion as to differences between 3.1 and 4.2 include Spirit categories (Global Scores) – cultivating change talk; softening sustaining talk; partnership; and empathy. The 4.2 version viewed as solid coaching tool. One noted challenge is bridging the two coding systems and communicating with staff key expectations. Some jurisdictions are either utilizing 4.2 now or in transition toward while others continue to investigate direction to go in coding MI skill-set.

3. DOC trained MITI coders notably not able to take on all statewide tapes submitted. Only those submitted through their DOC assigned process for DOC agents. If you doing an MI training and you have tapes that need coding/coaching, it will be your responsibility to get the tapes from your group coded/coached. If you yourself are not a coder (although MITI coding is NOT necessary all the time, especially in MI I), you can reach out to your other trainers/coders to

help. There is high value in coding/coaching tapes within your own training group. Coaching challenges noted pertaining to tapes include addressing concerns with lack of agent time to utilize MI, strategic use of skills, greater efficiency in addressing risk areas of most concern. Use of tapes in Communities of Practice notably positive as opportunity to provide coaching, peer input, with a small group seen as trusted and safe.

4. Communities of Practice: DOC and others expanding beyond MI to “All things client related.” Other jurisdictions utilizing “COP” time to bridge MI with case planning and recognizing ambivalence and readiness for change; adding food as incentive when scheduling midday; supervisory/management participation expectations; role play exercises adapted from cognitive curriculum; inviting county attorney staff to see the MI model in practice – all creative ways to promote “COP.” Peer networking to obtain “COP” suggestions encouraged and DOC site page with various “COP” exercises mentioned as available for download.

5. MI afternoon small group: Discussion about July consensus to create an afternoon small group to run parallel to manager’s meeting and afford MI trainers opportunity to meet and share ideas for Communities of Practice and ways to effective promote use of MI. Room set aside for meeting today.

6. Training: Motivational Interviewing Coaches For Peer Coaching Dec. 2nd, Dec. 15-17th in Ramsey County. Letter of application and tape submittal by Nov. 3rd - submit to Nan Swift in Ramsey County. Eight hours of advanced MI practice refresher followed by 24 hours of MI training for coaches. Contact Nan for details. [email protected]/651-266-2684

7. There are no MI trainings posted outside of the facilities at this point. If you are available to train

and want to set something up, or have agents who need training, let Sandi know where the need is. Sandi is working on getting all the EBP groups coordinated and get training that is set up annually so everyone knows where/when everything is expected.

1. The Minnesota Statewide T4C Blended Learning Collaborativea. Discussion about the Collaborative’ s efforts

The Minnesota Statewide T4C Blended Learning Collaborative consists of a group of T4C trainers from around the State of Minnesota that were interested in training the blended model of Thinking For a Change Facilitator training. This collaborative effort of T4C trainers from around the state of Minnesota has the goal to build capacity of facilitators across the state, in all three delivery systems (CCA, CPO, & DOC), our correctional facilities, as well in community programs that have the capacity and desire to deliver quality, cognitive behavioral programming. Four trainers were trained by the National Institute of Corrections (NIC) in July 2015 to deliver the blended model of facilitator training. The collaborative also consist of T4C trainers that were trained in the tradition “face-to-face” version. Archie Weatherspoon IV, Julie Trisko, Dennis Gilbertson, Roy Peterson, Chris Schweich, Stacy Hughes, Reggie

Prince, and Brooks Waldron were the trainers to lead 60 participants in the first facilitator training from October 6th – November 6th.

The collaborative is looking for other T4C trainers who would like to join and lead T4C facilitator training throughout the state of Minnesota. Also, if there any agencies that wish to host the training, the collaborative is hoping to provide the training again in the Spring of 2016. The hope of the collaborative is to host training in the Northern, Southern, and Central parts of the State.

b. Live “look-in” of the T4C blended learning online session Archie Weatherspoon IV showed the attendees of CogNet what the online WebEx T4C VILT (Virtual Instructor-Led Training) looks like. He explained the differences and benefits of online training.

3. New open group, short term Cog program for Adults & Juveniles a. Decision Points : A Correctional Cognitive-Behavioral Intervention - Dr. Juliana Taymans,

Dr. Jack Bush, Charles Robinson, and Steve Swisher Decision Points is a cognitive-behavioral program that is an open group & short term that focuses on teaching two concepts and four steps to increase participants’ ability to stay out of trouble. It is program that is able to “fill to gap/void” that many agencies experience when offering closed cog groups. DP can be used as a stand-alone program or a companion program to other cog groups like T4C. Participants can attend a minimum of 8 sessions, and each session can last 1-1½ hours. However, the program authors have designed the program for agencies to be flexible on how they offer the curriculum. If you are interested in finding out more about DP please contact: Juliana Taymans – [email protected] 240-351-7194.

4. Past & Upcoming Trainings

Pangea Care Behavioral Health Service is offering Driving With Care facilitator training on October 14, 15, 16.

LS/CMI: Corey Mabis, David Fink, Kurt Robak, Angie Hansen, Nancy Naujokas, Christel Roelofs, Sarah Eischens, Sandi Sostak, Matt Koppes, Tom Eibes

1. Sandi updated the group on the Sub-committee formed for booster/exercise material regarding the Anthony video. Materials have been distributed and trainers should have DVD previously distributed. A reminder that this is not proficiency in 2015, but the intent is to simplify the process for proficiency in 2016 and in the future.

2. 2 and 3 day trainings were discussed by the group. MHS has indicated and made it clear that no material should be cut from the training. Sandi is working to create a new power point, instruction for S3 and facilitator guide for the 3 days training. 1 carbon quick score form will also be provided for each participant as well to make the process of scoring easier.

The group discussed dividing the trainings by modules to make commitment to training schedule easier for trainers.

3. Sandi is seeking trainers for upcoming trainings in Owatonna on 10/26/2015 (Angie Roche and David Fink have covered this), MCF-Faribault on 11/10/2015 and 12/09/2015 in New Ulm. Stay posted for emails from Sandi regarding specifics.

4. Tom Eibes agreed to chair a sub-committee of a small group of volunteers to begin working on materials for proficiency in 2016 and the future. The first goal is creating/filming new videos. Tom will be seeking out volunteers for this process. Upon completion of the new videos the

Page 6: forums.doc.state.mn.us Forum …  · Web viewPass the word along! ... concise videos which provide good modeling and normative ... Plan for 2016 is to move model into specialty units

trainers group will meet to vet for upcoming trainings. The goal is to create clear, concise videos which provide good modeling and normative feedback. Sandi will be sending out an email to solicit volunteers for this task.

5. Next Forum 01/12/2016 in Hennepin County.

Manager’s Group: Nan Swift, Jenny Schaefer, Keri Lorenz (WebEx), Sarah Eischens, Corey Mabis, Deb West, Christel Roelofs, Dayna Burmeister (WebEx), Sandi Sostak

County Updates/ Subcommittee updates/EBP projects

Kandiyohi County: Deb West – Practicing in CoP format – all skills related to MI, networking with partners, MI with domestic offenders, T4C skill building. Staff reporting positives from experience.

Sherburne County: Corey Mabis – looking into cog programming that can be open ended and shorter duration than T4C. Corey has a couple of leads, but is looking for additional information.

Ramsey County: Nan Swift- Completing practice model with approximately 100 staff. Plan for 2016 is to move model into specialty units such as PSI, Intake, DWI, etc., in addition to looking at a control group. In process of coaching session survey with staff. Looking at Decision Points curriculum. Cog/QA is department-wide focus on outcomes and CPC recs.

Hennepin County: Jenny Schaefer- Working on checking EBP pulse within their organization to decided where to go next – ready for practice model? MI training has occurred with field staff including mangers and supervisors, as well as juvenile facility staff; next focus will be adult facility and juvenile detention center. Implementing LS/CMI proficiency – levels of proficiency determine individual's needs for training. Training more T4C facilitators; home school is converting to DBT. A juvenile case planning project is in place. Have CoP for trainers and anticipate pilot for manager and family court next year.

Currently having discussions with Metro State regarding an EBP Certification program – moving forward with MACCAC next week.

Scott County: Keri Lorenz – Staffing shifts have left department to figure out CoPs for boosters and how to structure. Women's cog group present some struggles with numbers, readiness, etc. Continuing with Moving On and Safe Street programs.

DOC: Mankato- Sarah Eischens: District agents report a good response/experience with recent MI tape coding experience. CoPs are conducted every other month with focus on MI, but recent CoP was related to case planning. Agents are completing DRA for sex offenders as available.

Dayna Burmeister: Feedback from MI coding is positive with many pleasantly surprised by process and feedback.

Carey Guides

Sandi Sostak presented Carey Guide overview to managers/directors at recent CPO Director Meeting and MACCAC conference. With MnSIRR grant funding, intent is to supply each agency with set of Carey Guides for every office. Training requests are beginning to come in.

Cog Summit Update

Carey Mabis provided quick update; date is finalized for 02/05/2016 at Hennepin Tech. There will be three tracks- PO, Facilitator and Management. Manager track will focus on QA, fidelity, supporting staff, etc.

Case Planning Conversion

Booster will removed from this agenda item as no case plan boosters exist; CoPs incorporate these practices.

Final discussion related to manager tapes – who makes final decision? Research strongly supports the importance of building rapport and effective alliance. Supervisors cannot be expected to meet a client one time and complete the case planning process in its entirety. Their role is different; they do not do case plans. Instead their role is about the process and knowing when good case planning occurs. On the other hand, CPC scores on managers actually having that "hands on" experience on on-going basis. MACCAC has some QA measures in process. Agencies are handling differently. Case plan trainers are not granting certificates to those managers who do not provide a tape. Sandi will address with EBP Policy group.

Skill Directed Practice

No new updates here; but topic will stay on agenda for continued updates.

CoP Update

No new updates
