Finishing Exchange Study Period at Tampere University

• All exchange students need to have a Finnish Personal Identity Code at Tampere University’s student register and we are obligated to collect the code for administrative purposes.
• If you haven’t registered with the Local Register Office (Maistraatti in Finnish) yet then do it as soon as possible:
• Address: Hatanpään valtatie 24, open Mon-Fri 9:00-16:15 (close to bus station and Ratina)
• Take the following documents with you: passport or other official identification card, Letter of Confirmation from Tampere University and residence permit (if you have one), plus photocopies of all above
• The registration is free of charge
• NB! Your exchange study period will not be completed if you don’t provide us with the code.
• If you already obtained the code, please remember to pick it up from the Student Affairs Office before you leave Tampere
Finnish Personal Identity Code
• The autumn semester will end on December 20 (Friday), 2019 – on the last day of the last examination week.
• Your TUNI user account (access to POP, Moodle, e-mail address etc.) will be valid until January 31, 2020
• Please note that you must hand in all of your project works etc. latest at your study right or by deadline given by the lecturer.

Please check your home university’s requirements, and pre-fill the forms you
are bringing to our office.
Letter of Confirmation for Erasmus+ -students• The Letter of Confirmation states the dates of arrival and departure. You can get signature and stamp
to this certificate at the Student Affairs Office before leaving.
• Please check the individual requirements of your home university well in advance. Most universities prefer to use their own Letter of Confirmation -form.
• For most of the exchange students, the dates in the certificate are:
• Start of studies: first day of the Welcome Week (19 August 2019) or the day of your arrival / registration with the university
• End of studies: last day of the last examination week (20 December 2019) or your last day at the university
• Most universities require the certificate to be signed on the date of student’s departure or only a few days before your departure at the earliest.
Learning Agreement for Erasmus+ students
• If you have made changes to your original Learning Agreement or study plan, please check with your home university if you need to present the approved (signed and stamped) final Learning Agreement when you go back.
• If your home university requires it then please fill in Learning Agreement part II (changes to Learning Agreement) and send ([email protected]) or bring it to the Student Affairs Office to be signed.
• Usually students have the form from their home universities, if not the form for making changes in your Learning Agreement can be found on Student’s Guide
Transcript of Records – how to get it• NB! Transcripts are not generated or sent automatically!
• You will need to either:
A) Collect the Transcript of Records at the Student Affairs Office before you leave Tampere:
• If all your grades already appear on your Transcript of Records on POP before you leave Tampere
B) Request us to send the Transcript of Records to your home university afterwards:
• If you are still waiting for some grades to appear on your transcript when you leave Tampere.
• When you see all your grades in POP, order two copies of the transcript to our home university from POP
• POP -> Studies -> My study records -> Transcript of Records
• Please make sure you give us the full and correct street address of our contact person at your home university
• It is also possible to order an official scanned copy of your transcript to your home university’s email address, but check with your home university first if they approve a scan

• You cannot access to POP after January.
• If you are still waiting for some grades after January, please send an e-mail to [email protected] about the grades you are still waiting
• Lecturers have 21 days to mark exams or coursework.
• If the credits do not appear on your academic records after a month, please email [email protected]
• Please note, that only the passed courses will appear on the Transcript of Records.
• It is not possible to include the failed courses to the transcript
• All passed courses will be listed on the transcript; we are unable to exclude any courses for any reason.
• It is not possible to get a certificate of the courses you attended but did not pass. Should your coordinator at your home university have any questions concerning this, s/he may contact us at [email protected]
About Transcript of Records
Transcript of Records – Kaikufeedback
• Before getting your Transcript of Records you have to fill in Kaiku feedback form for each course you have taken. The actual grade in study record and in POP is only given after the Kaiku feedback is received.
• You can send feedback through the Kaiku system on the course implementation rounds for which you have registered
• A link to the system is available in the POP portal > Studies > Studies.
• The link to the KAIKU-feedback appears when the teacher opens the query or at the latest when the teaching period ends.
• If you have taken courses at the city centre campus (former University of Tampere) the credits and grades should transfer automatically to the Transcript of Records of Tampere University Hervanta campus.
• If the credits and grades are not in your Transcript of Records please contact us: [email protected]
• If you have taken courses at Tampere University of Applied Sciences (TAMK), you will need to contact TAMK before leaving in order to get a separate Transcript of Records for your studies there.
• The credits gained at TAMK can be added to Tampere University’s Transcript of Records upon request, but you need to bring us the original Transcript of Records from TAMK
Courses at another institution or campus in Tampere
Student housing• Please make sure that you have cleaned the flat very well before leaving!
TOAS
• Remember to lock your room door when leaving and do not leave the keys in the flat.
• If you cannot return the keys to TOAS during the office’s opening hours, you can leave the keys to the post box outside of the TOAS office in an envelope
• Mark the envelope clearly with your name, the address of the flat the key is for, the date and your signature

Opiskelijan Tampere:
• Please check from the Opiskelijan Tampere´s Office how and when to return your keys
Change of Address (Post Office)• All exchange students must submit a notification of change of address.
• The notification can be made in the earliest one month in advance.
• The notification must be received by Post Office within a week of your move.
• The notification of change of address can be found in every Post Office
• The nearest one is in K-Market at Lindforsinkatu 2, Hervanta
Other practical things• Student Affairs Office’s opening hours Mon 10-16, Tue-Fri 10-14
• If you have borrowed blankets, pillows, kitchenware or other stuff from the ESN INTO Club, remember to return them before you leave
• Please donate your useful stuff to ESN Into or recycling center instead of throwing them away. You can also try to sell them at Hervanta Sales- Facebook-group.

• Separate Key Cards: Remember to return it to any info desk of the campus before leaving
• Feedback questionnaire about your exchange studies will be sent to your email address in December
• If you have a Finnish bank account, remember to close it
✓ Finnish personal identity code
✓ Erasmus+ students: check from your home university, which documents are needed and when they can be signed (Letter of Confirmation, Learning Agreement etc.)
✓ Fill in KAIKU feedback of ALL the courses you have attended
✓ Check with TOAS or Opiskelijan Tampere all the housing- related matters
✓ Close your bank account (if applicable)
✓ Submit a notification of change of address
✓ Give feedback to us
✓ Return borrowed items to ESN INTO
✓ Recycle your stuff
✓ After all of your courses have been graded, order your Transcript of Records from POP or collect the transcript from the Student Affairs Office
