Student & Alumni Management Information System in NIT - Warangal
ABSTRACT:
The Objective of this project is to implement the management information system for the welfare
of the students and the alumni. We will create 2 portals called student.nitwarangal.ac.in and
alumni.nitwarangal.ac.in. Every student will be given an user id and password , students will
be able to access all their details through this portal. This portal will serve as a very good
interface for the students and the college. When the students pass out of the college, they will be
switched to alumni category. They can use same User Id and Password to access various services
provided by the college for the alumni.

Student & Alumni Management Information System in NIT - Warangal
INTRODUCTION ABOUT MIS:
A management information system (MIS) provides information that is needed to manage
organizations efficiently and effectively. Management information systems are not only
computer systems - these systems encompass three primary components: technology, people
(individuals, groups, or organizations), and data/information for decision
making. Management information systems are distinct from other information systems in that
they are designed to be used to analyze and facilitate strategic and operational activities in the
organization. Academically, the term is commonly used to refer to the study of how individuals,
groups, and organizations evaluate, design, implement, manage, and utilize systems to generate
information to improve efficiency and effectiveness of decision making, including systems
termed decision support systems, expert systems, and executive information systems. Most
business schools (or colleges of business administration within universities) have an MIS
department, alongside departments of accounting, finance, management, marketing, and
sometimes others, and grant degrees (at undergrad, masters, and PhD levels) in MIS.
OBJECTIVE:
The main objective of the project is to study how students and alumni access the various servicesthrough the existing system and propose an online system, where all the services can be easily
accessed. Students can pay their Academic / Hostel fees through various payment gateways.
EXISTING SYSTEM:
The students dont have any personal E-mail Ids supported by the college domains and also alumni
dont have any personal Ids. There is no separate registration page for alumni and no provision for
updating their details such as contact address, phone no., career profile, using the online system.
Alumni has to come to the college personally for are even a bonafide. For example, if they are in
Mumbai, they have to come all the way from Mumbai to Warangal for Migration Certificate, TC,
Refund, etc.

PROPOSED SYSTEM:
1) We have registered our domain @nitw.ac.in with google apps engine and once the meta tag of
the site www.nitw.ac.in is entered , then each student / alumni will get 10 GB which is provided
by Google, free of cost (only for educational institutions) and also the students will be able to
access other google products such as calendar, docs, drive, picasa, blogger, etc.
2) One main id for student login will be given which will be his/her roll no. given at the time of
reporting to the department during admissions. A default password will also be given. Once the
student logs in, he/she has to change the default password.
3) The e-mail service is highly secure, reliable and robust, since it will be entirely provided by
google. The students will also be able to share documents either of big or small size with ease
using google drive. Ex: access of the mail.

4)By logging with the main id (roll no.) , the student can access his marks, attendance, mess
amount, hostel bills, academic fees. He / She will be able to pay his/her academic fees / host fees
to the college through the payment gateways.
Payment gateway:
A payment gateway is an e-commerce application service provider service that authorizes
payments for e-businesses, online retailers, bricks and clicks, or traditional brick and mortar. It is
the equivalent of a physical point of sale terminal located in most retail outlets.
Payment gateways protect credit card details by encrypting sensitive information, such as credit
card numbers, to ensure that information is passed securely between the customer and the
merchant and also between merchant and the payment processor.
How payment gateways work:
A payment gateway facilitates the transfer of information between a payment portal (such as a
website, mobile phone or IVR service) and the Front End Processor or acquiring bank. When a
customer orders a product from a payment gateway-enabled merchant, the payment gateway
performs a variety of tasks to process the transaction
1. A customer places order on website by pressing the 'Submit Order' or equivalent button, or
perhaps enters their card details using an automatic phone answering service.
2. If the order is via a website, the customer's web browser encrypts the information to be sent
between the browser and the merchant's webserver. In between other methods, this may be
done via SSL (Secure Socket Layer) encryption.
3. The merchant then forwards the transaction details to their payment gateway. This is
another (SSL) encrypted connection to the payment server hosted by the payment gateway.
4. The payment gateway forwards the transaction information to the payment processor used
by the merchant's acquiring bank.
5. The payment processor forwards the transaction information to the card association (e.g.,
Visa/MasterCard)

a)If an American Express or Discover Card was used, then the processor acts as
the issuing bank and directly provides a response of approved or declined to the
payment gateway.
b)Otherwise [eg: a Mastercard or Visa card was used], the card association routes the
transaction to the correct card issuing bank.
6. The credit card issuing bank receives the authorization request and does fraud and credit or
debit checks and then sends a response back to the processor (via the same process as the
request for authorization) with a response code [eg: approved, denied]. In addition to
communicating the fate of the authorization request, the response code is used to define the
reason why the transaction failed (such as insufficient funds, or bank link not available).
Meanwhile, the credit card issuer holds an authorization associated with that merchant and
consumer for the approved amount. This can impact the consumer's ability to further spend
(eg: because it reduces the line of credit available or because it puts a hold on a portion of
the funds in a debit account).
7. The processor forwards the authorization response to the payment gateway.
8. The payment gateway receives the response, and forwards it on to the website (or whatever
interface was used to process the payment) where it is interpreted as a relevant response
then relayed back to the merchant and cardholder. This is known as the Authorization or
"Auth"
9. The entire process typically takes 23 seconds.
10.The merchant then fulfills the order and the above process is repeated but this time to
"Clear" the authorization by consummating the transaction. Typically the "Clear" is
initiated only after the merchant has fulfilled the transaction (eg: shipped the order). This
results in the issuing bank 'clearing' the 'auth' (ie: moves auth-hold to a debit) and prepares
them to settle with the merchant acquiring bank.
11.The merchant submits all their approved authorizations, in a "batch" (eg: end of day), to
their acquiring bank for settlement via its processor.
12.The acquiring bank makes the batch settlement request of the credit card issuer.
13.The credit card issuer makes a settlement payment to the acquiring bank (eg: the next day)
-

14.The acquiring bank subsequently deposits the total of the approved funds in to the
merchant's nominated account (eg: the day after). This could be an account with the
acquiring bank if the merchant does their banking with the same bank, or an account with
another bank.
15.The entire process from authorization to settlement to funding typically takes 3 days.

For this the college should have a tie up with third party payment service providers such as
The following are the advantages of online payment:
a)This will reduce the manual accounting work to a great extent
b)Facilitates in faster transactions.
c)Reduces the burden on existing human resources.
d) Immediate settlement of payment from banks.

Database:
A database is a structured collection of data. The data are typically organized to model relevant
aspects of reality (for example, the availability of rooms in hotels), in a way that supports processes
requiring this information (for example, finding a hotel with vacancies). The term database is
correctly applied to the data and their supporting data structures, and not to the database
management system (DBMS). The database data collection with DBMS is called a database
system.
The term database system implies that the data are managed to some level of quality (measured in
terms of accuracy, availability, usability, and resilience) and this in turn often implies the use of a
general-purpose database management system (DBMS). A general-purpose DBMS is typically a
complex software system that meets many usage requirements to properly maintain its databases
which are often large and complex.
This is specially the case with client-server, near-real time transactional systems, in which multiple
users have access to data, data is concurrently entered and inquired for in ways that preclude single-
thread batch processing. Most of the complexity of those requirements are still present with
personal, desktop-based database systems.
Webserver:
Web server can refer to either the hardware (the computer) or the software (the computer
application) that helps to deliver Web content that can be accessed through the Internet. The most
common use of web servers is to host websites, but there are other uses such as gaming, data
storage or running enterprise applications.
Information Systems:
Information systems (IS) is the study of complementary networks of hardware and software that
people and organizations use to collect, filter, process, create, and distribute data. The study bridges
business and computer science using the theoretical foundations of information and computation to
study various business models and related algorithmic processes within a computer science
discipline.

Google Apps Engine:
Google App Engine (often referred to as GAE or simply App Engine, and also used by the
acronym GAE/J) is a platform as a service(PaaS) cloud computing platform for developing andhosting web applications in Google-managed data centers. Applications are sandboxed and run
across multiple servers. App Engine offers automatic scaling for web applicationsas the number
of requests increases for an application, App Engine automatically allocates more resources for the
web application to handle the additional demand.
Google App Engine is free up to a certain level of consumed resources. Fees are charged for
additional storage, bandwidth, or instance hours required by the application It was first released as a
preview version in April 2008, and came out of preview in September 2011.

CONCLUSION:
By creating two portals student.nitw.ac.in and alumni.nitw.ac.in , it will benefit both the student
and alumni to a great extent. It will change the way the college interacts with students and the
alumni. Everything will become much more organized and sequential. It will also reduce the burden
of the existing administrative staff of NIT Warangal. To start with, this can be implemented on a
pilot basis with Post Graduate (P.G.) students and once it becomes successful, this project can be
implemented for the entire college. The implementation of this project can also be extended to all
the faculty belonging to the NIT-W fraternity. The cost of implementing the project is low.
SUGGESTIONS:
The google id [email protected] can be given to all the students, alumni and faculty free of
cost.
Features of G-Mail for (@nitw.ac.in):
Google Apps for Education:
Free for K-12 schools, colleges, and universities with up to 30,000 users
No ads for faculty, staff, or students
Storage space 10 GB as of October 24, 2012
