2. Financial support may be given to Partner Nations in accordance with the financial guidance in force (for details see Enclosure 1).

with a hosted farewell dinner on Thursday 18 June 2020. Additionally, there will be a social event on the afternoon of 17 June 2020. A dedicated spouses program will be available throughout the duration of the WS. Please be aware that costs related to spouses will not be covered by NATO.

ADMINISTRATIVE INSTRUCTION FOR THE ACO MEDICAL RESILIENCE WORKSHOP WITH PARTNER NATIONS, 16-18 June 2020, POZZUOLl, ITALY (ACO.3307.24)

This is the Administrative Instruction for the ACO Medical Workshop (WS) with Partner Nations to be held at POZZUOLl, ITALY from 16-18 June 2020.

The ACO Medical Advisor, Brigadier General Dr Laszlo FAZEKAS will chair the meeting. The event will be supported by JFCNP Medical Advisor, Colonel Dr. Axel WESSEL.

Please read all instructions carefully, paying particular attention to the booking procedures described and register via https:l/shape. nato. intlupcoming-events/aco-medical-resilience-workshop-202O. You will receive a confirmatory email on successful completion of the registration process.

1. Funding for Partner Nations

In accordance with financial guidance, the requested financial assistance form (FARF - enclosure 3) has to be submitted to the competent PO Partnerships Budget Manager (LTC ITA A Paolo GIOVALE ALET, Business phone: +32 (0)65 44 4236 - E-mail: [email protected]) no later than 15 May 2020. Subsequently, financial support will be provided from 80% to 100% according to NATO funding policy. Participants' accommodation (with breakfast included and no reimbursement for any "incidental" charges, i.e. pay-TV, telephone calls, room mini-bar etc) will be paid by PO directly to the supplier (Hotel Villa AVELLINO and Miramare Residence). Direct payment in cash to participants for their non-hosted meals will be provided for by PD. The per diem covers the entire course period. Financial support will be provided for a maximum one day prior and one day after to the official period of the event.

Please note that partner nations eligible for financial support may only bid for a maximum of 2 places on the course.

2. Travel costs

Travel expenses can be refunded from 80% to 100% according to NATO funding policy and based on the most economical travel fare from the participant's point of origin to Naples and return. Pre-paid tickets can be provided to participants upon request. If required, participants must submit the e-ticket template (at Enclosure 2) along with a copy of their passportto the PO Partnerships Budget Manager NL T 16 May 2020. Please note pre-paid tickets will only be issued on proof of a valid visa, as required.

The reimbursement for travel will only be done by transfer to a national MOD/GS official bank account. The following documentation has to be provided, within a month after the event, to the PD POC (PD Fund Manager LTC ITA A Paolo GIOVALE ALET, e-mail: [email protected]):

a) FRRF (financial reimbursement request form - enclosure 4) properly filled in and officially signed; b) Bank account (if different from FARF provided): Name of the official bank account, full address of

the bank and 16-digit international account number (I BAN): c) Invoice/Receipts. The original invoice/receipt, or scanned version, only will be accepted. The

invoice's currency should be in Euro. If the invoice was produced using the national currency or other than EUR, the NATO official currency exchange rate will be used.

d) The above procedure also applies to the reimbursement of local transportation costs.

4. Transfer to Accommodation and Venue

a) Pozzuoli is situated approximately 15 kilometers away from Naples in Campania, Italy.

b) Participants are requested to arrive at Naples Airport on the afternoon of 15 June 2020 in order to be able to transfer in time to the venue. Use of a taxi (rate presently around 80 EUR) is recommended; expect a travel time of approximately 30- 40 minutes. Ask for a receipt and do not hesitate to request the hotel's concierge assistance, if you are requested to pay more than the quoted sum. Please note that Joint Force Command Naples cannot provide official transportation to or from the airport.

5. Accommodation

HOTEL Villa AVELLINO

a) Participants will be accommodated on a first come first serve basis either in the conference venue Hotel Avellino, or close by at the Miramare Residence. Please quote NATO CONFERENCE when booking by email or phone. Deadline for hotel reservation is 15 May 2020. You may visit the hotels on their webpage http://www.villaavellino.itlor http://www.miramareresidence.com/to make your choice. Do not use the website to do your booking! The Website may show "no vacancies", because we blocked rooms for the WS attendees. The pre-reserved rooms can only be booked by sending an email directly to the hotel (address see below).

b) For subsidized participants only, booking will be made by POi so they will not have to follow the above mentioned procedure.

c) JFCNP has arranged a fixed NATO rate per room of 100 EUR excluding breakfast. All bookings need to be done by participants and be directed to:

d) All participants are requested to register at the Conference venue / Villa Avellino Hotel. The Welcome Desk will be manned from 16:00hrs onwards. The Miramare Residence is only a 5-minute walk away.

6. Conference Fee

a) In order to cover administrative costs and costs for Icebreaker, "hosted dinner", entry fee for museum/social event and transport there is a conference fee of 150 EUR which you will need to pay in cash at the welcome desk upon check-in. A receipt will be issued.

b) PO will cover the above mentioned fees for participants from eligible partner nations according to NATO funding policy.

7. Spouses' I Dependents' Program

a) A dedicated, escorted Spouses'/Partners' Program will be organised throughout the duration of the conference with excursions to Pozzuoli and Napoli City. Details will be published in your Welcome Package which you receive upon arrival in Pozzuoli.

b) The Conference Cultural Event planned during the Conference will be open to spouses and partners. The group will be escorted at all times by a JFCNP JMED Staff. Individual trips are also possible (and safe within the caveats for all large cities!). Two connecting train lines depart Naples from the same station and at Pozzuoli both arrival stations are an easy 5 minute walk back to the accommodation.

c) Please be aware that costs related to spouses will not be covered by NATO.

8. Welcome Package

a) A Welcome Package will be handed out upon arrival. It will contain dining options, instructions for the Public Transport; provide maps and emergency phone numbers and further details.
