1) ACADEMICS

EXAMINATION & IRREGULARITY POLICY

The reply slip must please be returned by Friday, 8 May 2015, to the learner’s class register teacher.

FAIRMONT HIGH SCHOOL POLICY FOR TESTS, EXAMINATIONS AND IRREGULARITIES

The purpose of this policy is to inform learners about: (1) the rules applicable to tests and

examination, and (2) steps to adhere to regarding irregularities.

1. TESTS AND EXAMINATIONS

1.1 Dates for tests are determined well in advance and published in the school

diary and placed on the school website. Each learner will receive a copy of

the test timetable at the start of a new academic school year.

1.2. The examination timetable for each examination will be made available to

learners at the start of the second and fourth term and, to matrics at the start

of the third term.

1.3 Tests will be written every Monday and Thursday morning during the first hour

of the school day (i.e. 08h05 – 09h05).

2. Learners should adhere to the following rules regarding the attendance of tests and examinations.

All learners must:

2.1 arrive on time at school on the morning of a test or examination. Should they be late for a test or examination without a valid reason, then no extra time will be allowed to complete the test or exam.

2.2 hand in a medical certificate to their subject teacher of the test they missed on the day of their return to the school.

2.3 due to a sporting commitment not be able to write a test or examination, hand in a letter from the organiser of the event to their subject teacher in advance.

2.4 attend school for the full day to write the test or examination and not just come in to write and then leave school immediately thereafter.

3. Rules regarding the behaviour of learners in the test or examination venue.

3.1 No disturbance of any nature will be allowed, i.e. talking, moving around in the venue, making noises etc.

3.2 No pupils may leave the exam venue without a note from the invigilator.

3.3 Disruptive learners will be placed in detention on the day of the offence or the following day if the offence was during the second session.

3.4 When papers are being handed out or collected, no talking may take place.

3.5 All books and notes must be packed away before any test question paper or examination question paper may be handed out.

3.6 All school bags must be closed and placed under the chair during a test or examination.

3.7 All cellphones or electronic equipment must be switched off, may not be visible or used during the school day or in the examination or test venue. (See cellphone and electronic device policy).

An irregularity will be seen to have taken place should:

a) a learner be seen using a cellphone, or

b) a call or sms or other message come through

4. Exam paper layout

4.1 All learners must provide their own writing paper when writing tests.

4.2 The school will only provide writing paper for examinations.

4.3 Write on both sides of the writing paper.

4.4 The layout of the first page of a test and examination answer sheet must be done as per the following example:

5. Stationery required

5.1 All learners are to provide their own stationery during tests and examinations.

5.2 Only blue or black pens are allowed.

5.3 Have spare pens available.

5.4 Provide your own pencil, eraser and sharpener.

5.5 Have a stapler and staples available to be able to collate and staple your answer sheets together.

5.6 NO borrowing may take place.

5.7 NO coloured Koki’s may be used in an examination answer script.

5.8 Should you not have a stapler, use glue or a paper clip.

5.9 NO TIPPEX may be used during a test or examination.

2. IRREGULARITIES

1. Irregularities relating to Internal Assessment and Practical Assessment Tasks (PAT):

A learner who refuses to abide by any or all of the minimum requirements in respect of the mark for the internal assessment in a subject, with no valid reason.

A learner who presents work that is not his or her own.

- Plagiarism

- Project/task completed by another learner

- Reproduction of an assignment or project from another learner and there is evidence of such copying

- Work that has previously been presented for marks by him / her or another learner

- The whole or part of an assignment that is not his or her own work but that of a learner from another school or learning institution

- A learner who resorts to any dishonest act to mislead the educator in terms of the authenticity of the assignment / portfolio presented.

2. A learner who under controlled internal assessment/examination conditions is found guilty of doing the following:

Creates a disturbance or intimidates others despite a warning

Is under the influence of alcohol or drugs and behaves in a disorderly manner

Disregards the arrangements or reasonable instructions of the educator, despite a warning

Is in possession of notes or any other unauthorised material that could assist them in the answering of examination questions

Copying notes from a textbook or any other unauthorised material

Copying from fellow learners

Attempting to gain assistance from another learner

Assisting or attempting to assist another learner

Receiving assistance from another source

Hand in an examination paper written by another learner

Use a cellphone, programmable calculator or any other electronic device that may be of assistance while writing a test or examination, except where the examination instructions specify otherwise.

3. Procedure to be followed should a learner be found making him- or herself guilty of an irregularity:

Irregularities involving learners must be dealt with at school by the SAIC (School Assessment Irregularities Committee)

Where a learner does not comply with the minimum requirements of any component of the internal assessment mark, the following applies:

- If there is a valid reason for not complying, the learner must be allowed the opportunity to redo the task or if not possible or impractical, the mark for that component should not be taken into consideration.

- Where a learner does not comply with the minimum requirements for internal assessment without a valid reason, a “zero” mark is recorded.

- The absence of an internal assessment mark in any subject will result in that learner receiving an “incomplete” result.

Irregularities during a test or examination session must be dealt with as follows:

- The test/examination answer script must be removed and a note made on the script of the date and time. The answer script must be clearly marked “IRREGULARITY”. All incriminating/unauthorised notes etc. must be stapled to the answer script.

- The learner must be given a clean answer script/paper and clearly marked: “NEW ANSWER SCRIPT”.

- The invigilator must write a short report of the alleged irregularity incident.

- The learner must be allowed to continue with the test/examination, however NO additional time for time lost will be given.

- At the end of the test/examination, the learner and both answer scripts and evidence together with the invigilator’s report must be brought to the Deputy: Head of Academics for further investigation.

- The parents/guardians of the learner will be contacted immediately to explain the alleged irregularity that had taken place. The learner will be required to give a written response to the alleged offence.

- The findings of the investigation must be submitted to the District official of the SAIC committee.

- A date for the SAIC meeting will be established and the learner and his / her parents will be informed of the meeting to take place.

4. Sanctions to be imposed involving learners

a) Learner in possession of unauthorised material

Results will be declared null and void for that examination paper.

b) Learner in possession of unauthorised electronic device

Results are declared null and void for that examination paper.

c) Learner caught copying or obtaining help from another learner

Results of that examination paper will be declared null and void.

If there is evidence of collusion, the learner offering the assistance must also be sanctioned as indicated above.

d) A learner assisting another learner during the examination

Results for that examination paper will be declared null and void.

e) Submission of work that is not the learner’s own work

The results of that work/examination paper will be declared null and void.

f) A learner creating a disturbance, intimidation and/or disregarding the arrangements or reasonable instructions of the invigilator

Learner will receive a warning and if he/she persists with this type of behaviour, the learner will be removed from the examination room.

The learner will forfeit the opportunity to write or continue writing that specific examination paper.

Where the learner has commenced with the examination, the marks attained will be declared null and void.

The learner will retain the marks attained in the other components (SBA marks).

5. Reporting of irregularities

All alleged irregularities must be reported immediately to the Head of Academics, which in turn, must report it to the principal. The next step is for the principal to report it to the district official serving the school (IMG). The reporting may be done verbally, but must be followed with a written report within 12 hours.

in September and their Finals from 19 October to the end of the year.

You qualify if you:

Are able to offer up a few hours a day… (shifts are spread amongst all the invigilators)

DO NOT have a learner writing their matric this year

Are over the age of 25 and in possession of a Matric certificate

URGENT NOTICE FOR ALL PUPILS

NO pupils will be allowed to go home early on any day or after a test without a written letter from the parent requesting this. No emails!

Permission for going home early will only be allowed for emergencies.

If a pupil is too sick to stay for the full day after a test, then they must not come to school to write, but must provide the school with a medical certificate.

PLEASE NOTE!

All pupils are required to be at school at the regular time - 07h55 - even if they are not writing a test. This time will be used for consolidation or tasks organized by various subject departments.

All parents are asked to please be aware that when your child misses a Monday or a Thursday test, a letter from the parent and the relevant chemist slip (the date on the slip must pertain to the pupil’s absenteeism and medication bought), a certificate from the clinic or a doctor’s certificate is required. A medical certificate from either the clinic or the doctor is applicable for missing any exam. A note from you excusing your child from school for the days missed (not test days) is also required.

Grade 9 and Matric pupils must produce a doctor’s certificate for tests and exams missed as these are the two exit phases and their marks are externally moderated by the Education Department.

Learners are not allowed to go home immediately after a test if they are ill. They have to stay until first break. If they are ill, then they should not come to school. A doctor’s certificate will be required.

6) PARENT FORUM

THE MATRIC EXPERIENCE EXPO 2015

The Matric Experience Expo will take place from 21 – 24 May at Tygervalley Shopping Centre and will focus on all aspects of the Matric learner, including the Matric Dance, Plett Rage, Tertiary Education, Student Loans, Driver’s Licences etc.

Planning is coming along steadily and exhibitors currently include Ilse Roux, Miglio Jewellery, Mr Suit Hire, Justine Cosmetics, Lush Hair Extensions and more.

Make sure you visit the expo at Tygervalley and remember to take your unwanted eveningwear, make-up, jewellery, shoes, etc. to donate to the Princess Project. The Princess Project is a charity who provides these items to those less fortunate, and who would otherwise not be able to afford the costs involved with a Matric Dance.

A big thank you goes to Jessica Rose-Innes who has already generously donated her Matric Dance dress from last year to this worthy cause.

WORKPARTY

After 2 lovely long weekends, it is time to pick up those tools and get back to work!

The Parent Forum will be holding a work party on Saturday , 9 May 2015, from 13h00 – 15h00.

Bring the family and come and assist in improving the facilities of our children’s school while meeting and making new friends.

We will be completing new benches, and spraying them, as well as repairing any benches in need of this.

The RCL members will also be attending to give their home room a bit of a makeover.

All Fairmont families welcome – join us for a bring-and-braai after as well.

9) WON LIFE : VOLUNTEER AT OUR LITERACY CENTRE

The Literacy Centre, run in Fisantekraal, is a volunteer-driven organization that relies on willing members of the public to volunteer their time reading with those learners eager to learn this very important milestone.

10) DISCOVERY WORLD SERIES TRIATHLON 2015

Fairmont High wins the ITU World Triathlon Series Cape Town for second successive year!

The second ever ITU event was held at the V&A Waterfront on Sunday, 26 April 2015.

The team was unchanged and had Kelly Vroon swimming, Keith Vroon cycling and Samuel van der Merwe running. The team entered the Open Teams Sprint category which comprises a 500m sea swim, 20km cycle and 5 km run, athletes transitioning and handing over a timing chip in between events.

The team completed the event in 48 minutes 24 seconds, 37 seconds ahead of the second placed team.

Well done to all the Fairmont teams that took part at the Discovery World Triathlon.

Fairmont Team - Kelly Vroon (swimmer), Keith Vroon (cyclist) and Samuel Van Der Merwe (runner) - won the Triathlon Open Sprint Relay at the ITU World Triathlon

series held in Cape Town on the 25 & 26 April 2015 for the second year in a row.

The second seasonal race took place at Central Park, hosted by Bernadino Heights, on Wednesday,

29 April 2015.

Learners from Fairmont, in their lovely bright green athletics attire, outshone all other schools present

on the day.

The Land Service is going camping!

Students are invited to attend the Land Service camp taking place from 8 - 10 May 2015 in Grabouw. At the camp they will be joining Land Service members from clubs all over the Western Cape, and participating in a variety of fun activities and games.

Campers will be leaving for the weekend on Friday, 8 May 2015, directly after school, and returning on Sunday morning, 10 May 2015.

All interested students must please rsvp before Wednesday, 29 April 2015, with Miss Matthee in Prefab 4.

13) ORANGE RIVER 2016

FAIRMONT HIGH SCHOOL

Fairmont High School is once again offering twenty students the opportunity to canoe along the Orange River. The route is a family-friendly section of the river for which no previous paddling experience is required. Children as young as 5 years and adults over 70 years have enjoyed the Orange River with Amanzi Trails, as it meanders through the rugged landscape of the Richtersveld. It is a life-changing experience that will leave your child feeling restored and revitalised with an added sense of achievement. Drifting on a 5-metre Indian Mohawk canoe, gliding alongside the river banks with their rich bird life, hearing the call of the fish eagle. Letting the sun soak tensions away, sleeping under the stars. These experiences are but an idea of what your child will experience with Amanzi Trails.

The cost for the trip is as follows:

R2,190-00 per person. This cost includes all meals from dinner on night of arrival until breakfast on day of departure. Drinks and snacks excluded.

Transport to and from Amanzi Trails amounts to R1,310-00 per person which includes two meals on the road.

TOTAL: R3,500-00

A deposit of R1,750-00 must be made as soon as possible to secure your spot on this trip. Once your deposit has been finalized, you will be responsible to find a replacement if you are unable to attend. The total of R3,500-00 must be paid before or on 29 February 2016.

Your child will need a valid passport that is valid for 6 months after returning to South Africa. If you pay the deposit and your child does not have a passport by the beginning of April, he or she will not be allowed to accompany us on the trip. Non-South African citizens need a visa. As from 1 July 2015 minors must also have an unabridged birth certificate and will have to be accompanied by affidavits and certified copies of the ID documents from the father and mother or guardian.

NB: If you are interested, please collect a booklet from Ms. Soga before any payments are made. This booklet will contain all relevant information regarding the documents that are needed and all indemnity forms.

The first 20 learners to pay their deposits and hand the proof of payment, a copy of their valid passport and the filled-in booklet to Mrs. Soga, will have booked their place on the trip.

THE HUNTER

Safari guide and private investigator Hudson Brand hunts people. He’s on the trail of Linley Brown, a young woman named as the beneficiary of a life insurance policy. Linley’s friend Kate died in a car crash in Zimbabwe, but Kate’s sister believes that she is still alive – she needs Linley to give her answers.

But Linley doesn’t want to be found.

South African detective Sannie van Rensburg is also looking for Linley. But her priority right now is a murderer. The killer could be a safari guide, and Hudson Brand is top of her list of suspects.

Sannie and Hudson cross paths and swords as they track Linley from South Africa and Zimbabwe to the wild of Kenya’s Masai Mara game reserve.

The hunt is about to turn deadly.

17) HOCKEY REPORT

Good Luck to all boys taking part in WP and zonal Hockey Trials.

The WP U21 Mens’ team won Gold this weekend in Pietermaritzburg, and it was great to see past pupil, Peter Kempton – Jones, a part of the winning team. Other past pupils included Jamie Christians who played in the WP U21B team - ending 4th, and Matthew Martins who played for Southern Gauteng and came 3rd.

Our Girls’ 1st Team play Rustenberg this Friday in the next Round of the Spar Knockout Tournament in Stellenbosch.

Get down to Rustenberg this weekend to support our U16A Girls as they take part in the tournament from 1 - 3 May 2015.

This is amazing!

Records show that we have raised R8,492.33 this month, against R6,613.67 last month 709 supporters raised funds this month, whilst 681 supporters used their MySchool card to support us last month.

Western Province U19 Golf Team.

The team will be representing Western Province at the Triangular

Tournament being held from 15 – 17 May 2015.

The event was held at Vuurberg in Stellenbosch.
