Guest Badge....................................................................... $75Provides access for Exhibitor spouse or significant other to the Exhibit Hall and social events, but does not provide booth staffing privileges, lunch or access to Scientific Sessions. Must be purchased on-site.

*A wristband will be provided for admission to the Gaylord & Marriott Exhibit Halls during set up and dismantle hours. For safety reasons, no one under the age of 18 will be allowed in the Exhibit Hall during set up and dismantle hours.

YOUR BOOTH SPACE PURCHASE INCLUDES THE FOLLOWING:✔ Copies of the NAVC Conference Official Program Guide

are handed out as exhibitors pick up their badges and a supply is placed at the booth prior to opening. Each noncommercial and regular book receives two (2) copies and island booths receive five (5).

✔ Listing in the on-site NAVC Conference Official Program Guide, on NAVC.com and the NAVC Mobile App.

✔ Admission to the Scientific Sessions (excludes Hands-on Laboratories and other additional-fee sessions UNLESS purchased with full CE credit). This applies to holders of allotted badges as well as those purchased at full price (not for guest badges). Guests cannot acquire CE credits or attend sessions.

✔ 24-hour Exhibit Hall perimeter security during exhibit days.

✔ Complimentary aisle carpeting at the Gaylord; (Marriott Exhibit Hall is carpeted throughout). Non commercial booths are in the hallways leading to the Exhibit Hall.

✔ One 44” x 7” identification sign with company name and booth number.

✔ Opportunities for increased visibility through sponsorship, advertisements and marketing.

✔ Admission to evening social events.

✔ Access to Exhibitor Lounges in both the Gaylord and the Marriott (includes continental breakfast (8:00 - 9:00 am) and afternoon refreshments (2:30 - 3:30 pm).

✔ Noncommercial booths are provided 8’ wide x 4’ deep Exhibit Space (10’ height restriction), one (1) skirted table (2’ x 6’) with name banner, two (2) chairs and a waste basket.

Full CE credit is available to exhibitors who are Veterinarians, Technicians or other Veterinary Professionals. Indicate Veterinarian, Veterinary Technician or other professional status when completing Name Badge information so appropriate CE credits are applied. Preregistration and prepayment are required for a Hands-on Laboratory or any session with additional fees.

NEW EXHIBITORSJoin the NAVC Conference family of Exhibitors. Over 9,600 veterinary professionals (more than 16,300 overall) attend this 5-day conference and 4-day exhibit every year. Space is still available, so visit NAVC.com/Exhibits to get started.

Acceptance of exhibitors at the NAVC Conference is based on the exhibitor’s products and services, which must directly relate to the practice of veterinary medicine and/or enhancement of the Exhibit Halls. Once an application is received and accepted, a contract and payment authorization form will be forwarded to the applicant. New exhibitors have 30 days to pay in full. All new exhibitors for the NAVC Conference 2015 will be assigned space in the Marriott Exhibit Hall, as the Gaylord Exhibit Hall is sold out.

RETURNING EXHIBITORS The NAVC will make every effort to ensure that exhibitors at the NAVC Conference 2014 are placed in or near the same location for 2015. If you would like to change your booth location and/or size, please complete your contract with the requested change(s) noted.

If a company has been acquired or merged and the booth space will be vacated, please immediately contact Gail Cummings. All relinquished booth space is the property of the NAVC Conference and will be reallocated.

CANCELLATION POLICY All cancellations must be requested, in writing, to: Gail Cummings, NAVC Conference, 5003 SW 41st Blvd.; Gainesville, FL 32608-4930. Or via email to NAVC.com/ContactUs.

Cancellation requests MUST be submitted in writing and received no later than November 1, 2014. Exhibitor will be issued a refund less 50% of the booth price.

Any submission received after November 1, 2014, will not be eligible for refund.

EXHIBIT HALL FLOOR PLANSTo assist in booth selection, an interactive Exhibit Hall Floor Plan is available at NAVC.com/Exhibits.

Exhibitors are responsible for reviewing their location before arriving on-site to ensure that the space is sufficient and to confirm they are separated from direct competitors.

EXHIBIT HALL RULESThe NAVC Conference 2015 Exhibitor Rules can be found at NAVC.com/Exhibits. The NAVC reserves the right to close any exhibit that conducts business or solicits in a manner counter to these rules or that infringes on the rights or privileges of other exhibitors or attendees.

Anyone observed soliciting business in the aisles or other public areas or in another company’s booth will be asked to leave immediately. Additional penalties apply. Please report any violation to Gail Cummings at [email protected].

EXHIBIT HALL ACCESSAccess to the Exhibit Halls outside of posted hours are one hour before opening and one hour after closing. Should access be needed for a non-exhibitor, please contact Gail Cummings, Director of Exhibits at [email protected] with the times needed, names and reason for access for approval.

POINT SYSTEMNAVC Partner Points System For Our New February 2017 Location

We’re very excited to officially announce that the NAVC Conference will be moving to an “All Under One Roof” atmosphere effective February 2017 (February 4-8 (Exhibits: 5-8)! Our new venue will be the Orange County Convention Center in Orlando, Florida. This move will offer an all-in-one campus setting providing more room, more flexibility and more exciting new opportunities to connect and learn in one space.

Your input helped us to make this decision and we know with your help it will be a seamless transition for our industry partners as well as our conference attendees. With that in mind, we’re launching a new NAVC Partner Points System later this year to objectively prioritize exhibit and event space. Points will be based on exhibit and sponsorship history. Companies that are part of a merger or acquisition can use the exhibit history from either company, whichever is more favorable, but not the combined history of both companies. Stay tuned for details coming later this year!

EXHIBITOR BADGESValid badges are required for entrance to the Exhibit Hall areas. A badge is not transferable and should be worn only by the person to whom it is issued.

Four (4) name badges will be provided at no charge for the first 100 sq. ft. of paid booth space and three (3) badges for each additional 100 sq. ft. Exhibitor badges allow access to the Exhibit Lounge, provide lunch and allow access to social events and Scientific Sessions that do not require an additional registration fee. CE credits are covered as appropriate.

Additional Exhibitor badges may be purchased for $375 and they provide the same value and access that the allotted badges provide. Documentation of company affiliation (business card, permanent name badge, company letterhead, etc.) must be provided for an on-site purchase by the booth manager. Detailed badge ordering instructions will be sent to you in November.

EXHIBITOR GUEST BADGESExhibitor guest badges are available on-site for $75 each. The primary registrant must register his/her guest in person. An Exhibitor guest badge allows admission to the Exhibit Hall, access to the shuttle buses and evening events ONLY. Individuals wearing an exhibitor guest badge are not permitted to work in the booth or solicit business inside the Exhibit Hall.

CONTINUING EDUCATIONFull CE credit is available to exhibitors who are Veterinarians, Veterinary Technicians or other Veterinary Professionals. Access to Scientific Sessions (excluding Hands-on Laboratories and other additional fee sessions) is granted with an Exhibitor Name Badge. Please indicate Veterinarian, Veterinary Technician or other professional status when completing Name Badge information so appropriate CE credits are applied. HEIGHT RESTRICTIONS— In-line or corner booths with a finished back piece cannot

be higher than 10 feet. Company signage or advertisements for these booths cannot exceed 10 feet in height.

— Island Booths cannot exceed 20 feet. If booth elements exceed 20 feet in height, please contact the NAVC office for special authorization.

— Special Booths: If you plan a multi-level booth or have enclosed spaces in your booth, contact the NAVC for special information.

RIGGINGAll rigging services must be handled by the Gaylord Palms Exhibitor Services or the Orlando World Center Marriott AV Department. A rigging form will be provided in your Freeman Service Kit.

SETBACKSTo maintain unobstructed sightlines, all items 4 feet or higher must be placed 5 feet from the front of the display or aisle space. Tall pieces of equipment, trucks, truck inserts or similar large items should be set back 5 feet or more from the aisles.

LIVE ANIMALSApproval for the presence of live animals in an exhibit booth must be requested and approved ahead of time by the NAVC. A request form is included on p 15.

SALE OF MERCHANDISEExhibitors who are selling and delivering tangible items on-site and are not registered with the State of Florida should do so by going to myflorida.com. Tax forms must be completed for all transactions.

NO SUITCASINGPlease note that any exhibitor who is observed soliciting business outside of their company booth, including scientific program sessions, convention hallways, or other public spaces are in violation of NAVC’s policies and will be asked to leave the premises immediately. Additional penalties may be applied. Please report any violations you may observe to Gail Cummings at [email protected].

HOUSING SCAM ALERTPlease beware of companies calling you directly to offer to reserve your NAVC Conference hotel reservations. These companies are in no way affliliated with the NAVC, however, they may tell you that they are with the NAVC, Exhibitor Services or claim to be one of the official NAVC hotels. Please know that the NAVC, nor its contracted hotels, will ever contact you directly to solicit hotel reservations.

Please DO NOT EVER give one of these companies your credit card information as doing this could result in your credit card number being compromised. They may also promise you a reservation that does not exist and upon arrival you may be told that you do not have a room.

The only way to make your hotel reservations is through the NAVC.com website or by contacting the NAVC Housing Bureau at +1.855.478.4692 or [email protected].

INSURANCEIt is the responsibility of all exhibiting companies to carry general liability insurance in the amount of $1 Million. A Certificate of Insurance naming the NAVC as an additional insuror must be provided to the NAVC no less than 30 days prior to the Exhibit Hall move-in date. A sample form can be found at NAVC.com/Exhibits.

Exhibitors may choose to hire a third-party contractor for the sole purpose of assembling or dismantling their booth. However, NAVC must be notified of this contractor’s identity and receive proof of liability insurance no less than 30 days prior to the Exhibit Hall move-in date. Third-party contractors will be issued identification wrist bands to allow access to the Exhibit Hall during designated set up times. Company shirts are recommended for easy processing. For safety reasons, children under the age of 18 are not allowed in the Exhibit Hall during set up or teardown times.

The Exhibitor is responsible for any and all damages caused by the Exhibitor or Exhibitor’s agents, employee(s) and/or guests. The Exhibitor agrees to indemnify, defend and hold harmless the NAVC, Freeman, Gaylord Palms Resort, Marriott Resort and Convention Center, its parent company, subsidiaries, affiliates, its agents, or its employees from and against any liability, loss or damage of any kind that the exhibitor may directly or indirectly cause.

The NAVC reserves the right to restrict access to any Exhibitor not in compliance with the general liability insurance requirements.

IMPORTANT DEADLINES AND POLICIESReservations: Once your block has been approved, you will receive an email confirmation with booking instructions on how to makereservations and assign names.

Deadline to Assign Rooms: Your block must be finalized with individual guest names and details by October 2nd. Effective October 3rd,any rooms that you do not assign will be released. Name changes and/or date modifications will be accepted based on availability through Conference Direct until December 14th. Effective December 15th, you may make changes directly with the hotels based on their availability.

CANCELLATIONS (Deadline October 2nd): The last day to cancel rooms without penalty is October 2nd. Effective October 3rd until November14th, a $30 per room processing fee will apply for each canceled reservation. Effective November 15th the following attrition policy applies.

ATTRITION (Applies November 15th): The number of rooms remaining in your requested room block as of November 15, 2014, will beconsidered your Final Room Block. You agree that for every reserved room in your Final Room Block that is not picked up, your company will pay to NAVC as attrition an amount equal to the total number of rooms within the final room block not picked up, on a night by night basis, multiplied by the applicable per night room rate plus applicable taxes. Final charges will be determined post conference by NAVC and billed accordingly. This amount will be due within 30 days of billing.

Deposits: A credit card deposit equal to one night’s room and tax per room is required to make reservations within your room block. This cardwill not be charged immediately, however, it may be charged one night’s room and tax for EACH reservation as early as December 14th, 2014.
