Cash and credit card payment are to be made in Euros only. A 3% admin fee will be applicable for credit card payment. Only Visa and Mastercard are accepted. Please note that the maximum cash payment allowed in Italy is €999.99. This cash restriction is applicable for all purchases within Italy. Payment above €999.99 must be made through credit card.

i. Parking during stand set-up and dismantling
Exhibitors and Exhibitor’s installers parking at the venue during set-up and dismantling period, must
pre-register their vehicle on the Logistics Platform online to receive an email notification of the
barcode slip.

c) Visa All foreigners intending to enter Italy must provide the documentation required to justify the reasons and duration of their stay and in some cases, the availability of adequate economic means and lodging.
1. Find out if you need a visa to enter Italy here.
2. If you require a visa, applications can be made at the Italian Diplomatic and Consular
Representations in your country of residence.
Schengen Visa In general, a Schengen visa allows the holder to travel within the countries contained within the Schengen area, and therefore does not allow access to territory that does not belong to the aforementioned zone (the United Kingdom, Ireland, Romania, Bulgaria, and Cyprus). The visa holder is allowed to remain in Italy and all other Schengen States for a maximum period of 90 days within a period of 180 days from the entry date into the Schengen area. The following serves as a guideline to the documents required for application of a Schengen business
visa (up to 90 days). However, do note that the exact documents required vary from country to
country.

Visa Application Applications should be submitted, together with all necessary documents, in person to the Italian Diplomatic and Consular Representations in your country of residence at least 15 working days prior to the date of departure but not more than 90 days before departure. The visa application form can be found on the respective countries' websites of the diplomatic and consular representation. Request for Invitation Letter for Visa Application Should you require an invitation letter for your visa application to enter Italy, please visit the e-service platform and access your exhibitor badge registration page. 6. Other Services
a) IPR Office

Exhibitors are reminded to submit the compulsory form “Protection of Trademarks and Intellectual Property Rights” before moving in to ensure a smoother operation onsite. Please click here for the ITMA 2015 Protection of Trademark and Intellectual Property Service Regulation. b) After Show Hours Exhibitors can apply to hold events within their stands after the exhibition closes at 1900hrs. Please note the following details:
1. Event Hours : 1900 – 2230hrs only
2. Events are to be held strictly within the confines of the Exhibitor’s stand only.
3. Exhibitors are reminded to apply for the necessary permits (eg. SIAE) should they have any entertainment on their stands.*
4. Please log into the e-service platform under After Hour Party for cost details.
* Please be informed that live entertainment is only allowed during the stipulated time of the event
(1900 – 2230hrs) and not during the exhibition hours (ITMA TR Clause B24.3 : Prohibited and
Restricted Forms of Information and Promotion). For any further queries, please contact Fiera
Milano’s Customer Service Team @ [email protected] .
Do be reminded that any costs associated with holding of these events will be payable by the respective exhibitors who engage this service. The Organiser will not be liable for any costs associated and this includes but not limited to electrical consumption. c) Exhibition Catalogue
Each exhibitor is entitled to 1 copy of the exhibition catalogue (per 15 square metres of ground
stand area), up to a maximum of 10 copies per exhibitor.
The ITMA 2015 exhibition catalogue is available in both digital and hard copy format. Exhibitors are
allowed to choose the number of copies they wish to have in both these formats, if they are entitled
to more than one copy.
The digital format of the exhibition catalogue will provide users with search features and instant
access (with internet connection) to exhibition information on all mobile devices (such as laptops,

tablets and smartphones).
By default, exhibitors who are entitled to only one copy of the exhibition catalogue will be given a hard copy. Exhibitors with more than one copy will be provided with both digital and hard copies as follows:

7. Important Notes from ITMA 2015 Service Team
a) Compliance to Regulations
The exhibition is organised with adherence to the ITMA 2015 “General Regulations”, “Index of
Products” and “Technical Regulations” and its enclosures, as well as to all other provisions issued by
The Organiser.
Exhibitors and their appointed stand contractors must read and be familiar with the rules and regulations as spelt out in the Exhibitor Manual to avoid any delay in set-up due to any infringements. Besides compliance with the ITMA 2015 rules and regulations, Exhibitors should also abide by the local government laws. CEMATEX and The Organiser reserve the right to check that exhibits and stand construction work at the Exhibitors’ stands are in compliance with the ITMA 2015 rules and regulations as per General and Technical Regulations.
b) Management of Non–Compliance
Exhibitors, stand contractors and other service vendors should adhere to the ITMA 2015 rules and
regulations specified in the exhibitor manual as well as those stipulated by the venue owner pertaining
to their facilities.
A warning letter will be served for any infringements.
If no action is taken to correct the infringement, a second and final warning letter will be
issued.

If no action is taken after the second and final warning letter, The Organiser reserves the
right to cut-off power supply and close the stand.
c) Performance Bond (as per General Regulation A15)
Performance Bond: this refundable performance bond must be paid to The Organiser by
exhibitors/contractors to gain entry into the halls for their stand construction.
Refund: within 45 days after stand dismantling (by 1200 hours on 26 Nov 2015).
Net of bank charges.
No Performance Bond will be refunded on-site.
Conditions for refund:
Removal of exhibits and stand structure is made only after 19 November.
Stand Dismantling is completed on time – by 1200h on 26 November.
No infringement has been made during the stand set-up, exhibition and stand dismantling
periods.
No outstanding amount, including bank charges, is owed to The Organiser or ITMA 2015
Service Team.
The Organiser will invoice the exhibitor accordingly for immediate payment should the
performance bond be insufficient to cover any damages.
d) Overtime Application
Exhibitors who need to request for overtime during the set-up or dismantling period will need to request at the Fiera Milano’s Customer Service Centres (See Annex A) by 1200 hours on the day the overtime is required. There is an overtime fee chargeable at €100 per hour.
Note: 1. Charges will be based on per hour basis with a minimum extension of one hour or part
thereof.
2. Orders for overtime work must be submitted to the Fiera Milano’s Customer Service
Centres by 1200 hours on the day concerned. Late orders will be subject to a 25%
surcharge and request for overtime will not be approved after the halls are closed.
3. Payment for overtime requests will be made on-site upon submission of the order
form. Exhibitors should pay the charges on-site.
4. The above-mentioned price excludes VAT. Prevailing VAT applicable.
e) Machinery Demonstration
As per the Technical Regulations, B23.5 Control of Excessive Noise in the Halls, noisy machines are authorised to operate for 20 minutes within each hour. Refer to Technical Regulations B23.5 on the list of machines classified as noisy machines.
In order to avoid a sudden surge in power during the demonstration period, the demonstration schedule will be planned based on the timings as follows:

The siren and lighting system (beacon light) hanging from the ceiling will signal the start and end of the
demonstrations of machines in these halls.

Outside of Halls 1, 3, 5 and 7, please note that the demonstration of these noisy machines
are restricted to 5 minutes every hour.
f) Schedule on Technical Services Delivery Onsite
Pre-order and confirmation of delivery by ITMA 2015 Service Team is required as per your submission
on the E-Services Platform:

Exhibitors, who require electricity outside this date, should apply for a permanent connection or
indicate the decommissioning date, see E-Services Platform (Service Catalogue > Technical Services >
Electrical for lighting and power > Article G/H/I. If exhibitors wish to change their intermittent
connection to a permanent connection, please apply with the ITMA 2015 Service Team before 12noon
on the day concerned. Supply is subjected to approval and relevant surcharges will be levied for orders
placed onsite.

Stand Cleaning Before Exhibition Opening Day
All exhibitors are reminded to dispose their waste materials before they leave the hall. Exhibitors are advised to order for stand cleaning service in advance from the e-service platform for the final cleaning of their stand on 11 November before the exhibition opens.
During the exhibition:
Waste left in rubbish bags at the edge of the stand after 1900 hours will be removed free of
charge (except demonstration waste). The storage of waste in the aisles is strictly forbidden.
g) Penalties for Infringement of Safety Regulations
Obligations of the employer and the manager Obligation: to provide workers with the necessary and appropriate personal protective equipment Penalty: imprisonment from two to four months , or a fine from €1,644.00 to €6,576.00 Obligations of charge Obligation: to supervise and ensure compliance by individual workers of their legal obligations , and the company regulations relating to health and safety at work and use of collective means of protection and personal protective equipment made available to them and , in the case of persistent non-compliance, inform their superiors Penalty: imprisonment of up to two months or a fine of €438.40 to €1,315.20
Obligations of the employee Obligation: to ensure correct use of the protective equipment put at their disposal Penalty: imprisonment up to one month or a fine of €219.20 to €657.60
*The above penalities mentioned are courtesy translation from Italian laws. In case of
discrepancies, the Italian laws, will prevail.

h) Fire Precautions
Fire Extinguisher
Please note that there has been a printing error in the type of fire extinguisher required onsite in
the Technical Regulation. The type of fire extinguisher required is ABC, 6kg and not ANC.
Exhibitors must install one approved fire extinguisher (type ABC, 6kg) for every 50 sqm or part
thereof of stand area in visible and accessible positions, adequately labelled. Exhibitors can order
fire extinguishers through the E-Services Platform (Services Catalogue > Technical Services > Fire-
extinguishers). If the exhibitor does not comply with this regulation, the ITMA 2015 Service Team
will deliver the required fire extinguishers to the stand area at the exhibitor’s charge.
The above will apply to ALL exhibitors including shell-scheme stands ordered from Fiera Milano.
Smoking
No smoking is allowed inside the halls and in the connected service areas (restaurants, bars, offices,
meeting rooms, etc.) Outside, it is forbidden to smoke near combustible materials and in areas
where “no smoking” signs are displayed.

There are 88 break areas, 8 of which are self-service. Sadler restaurant and Chic’n Quick are open for dinner. Annex E: Rules about Setting Up & Dismantling
NOTES:
FIERA MILANO has the right to direct all incoming cars in the parking area of Largo Nazioni
On Sunday October 25, on Sunday November 1 - 8 and 22 from 8 am to 10 pm, outside urban
areas the circulation of the vehicles with a capacity exceeding 7,5 tons is forbidden.
Please note that the access to Fairground is authorized after registering the vehicles and people
working for the construction of the stands. The surveillance service will spot-check on the validity
of the personal badge and its matching with a current ID.
Unauthorized people and children under 15 years are not allowed to enter the exhibition
areas where setting up and/or dismantling operations are in progress.
