HOTEL INFORMATION
Congress Hotel - Estrel Berlin
Estrel Berlin is Germany’s largest hotel and offers something to suit every taste and need: 1,125 rooms
and suites, five restaurants, three bars, a summer garden with its own boat dock and a modern
wellness & fitness area.
The hotel is adjoined to the Estrel Congress & Exhibition Center, which covers a space of 269,000 sq ft
– roughly the size of two football pitches – and houses more than 75 conference rooms providing the
ideal conditions for an event of any kind and size.
The stage at the adjacent Estrel Festival Center hosts top quality Las Vegas style entertainment all year
round. The „Stars in Concert“ show series and numerous other highly acclaimed in-house show
productions give guests from Berlin and around the world „Entertainment at its best“.
Directions
The Estrel Berlin’s convenient location and ideal transportation connections mean that we are easy to
reach both by car and by public transport.
The nearest slip road to the highway is only 1.5 kilometres away, and we’re only 13 kilometres from
Berlin’s Schönefeld Airport (SXF) and from the upcoming Berlin Brandenburg Airport (BER), which is
set to open in the near future. The “Sonnenallee“ S-Bahn commuter train station can be reached on
foot in only three minutes, and a bus stop and taxi rank are located right in front of the hotel.

Hanging elements are allowed only in the “central” part of the Exhibition hall, they are not permitted
on stands within the red circles.
Delivery procedures The ESTREL doesn’t have a place for storage. The official freight forwarding agent for the
transportation of the exhibition goods to and from the exhibition grounds for the FERMA FORUM
2019 is SCHENKER. They will be able to assist for storage space.

Materials rating The materials used in the booth construction must be conform with the Technical Guidelines of Estrel
(see manual. Link: Technical guidelines ESTREL)
Crate Storage - Waste Removal (ESTREL) It must be noted that the ESTREL BERLIN does not offer any premises for the storage of empty crates
and packaging during the exhibition. They must therefore be immediately removed as the installation
progresses and, if necessary, brought back during the dismantling.
This service can be arranged through the agreed forwarding agent. Similarly, exhibitors, will pay for
any removal of waste packaging resulting from the exhibitions’ installation (crates, boxes..). Exhibitors
may request that the ESTREL services place and remove waste containers at the exhibitors ‘expenses.
Cleaning (ESTREL) The ESTREL BERLIN provides cleaning services prior to the event’s opening and following the
dismantling and departure as well as daily cleaning of aisles and common areas in the Exhibition area.
The daily cleaning of the booth is to be paid by the exhibitors. You are welcome to book an additional
booth cleaning service offered by the Estrel. To do this, please refer to the specific order form.(Link:
Order forms ESTREL)
At the end of the event, the exhibition area has to be cleared up and left clean.
The exhibitor must evacuate. Raw space must clear all the structures and materials including the carpet
The ESTREL BERLIN can provide the stand builders some waste containers (waste or wood…). Please
ask for a quote.
All rubbish left on site by the exhibitor will be removed at the exhibitor’s expense.
The exhibitor can show the technical assistant when leaving, that its space is perfectly cleared up.
Customs Our agreed forwarding agents SCHENKER will be able to assist for customs procedures if needed,
please refer directly to Schenker for a quote.
Animals
Except with prior written authorisation, the introduction of animals into the ESTREL BERLIN is
forbidden

Catering (Meals & Drinks) The ESTREL BERLIN offers a “delivery to booth” service allowing exhibitors to order food and/or drinks.
(See “ESTREL BERLIN Order Forms – Catering Food & Catering Beverage”).
It is prohibited to bring and sell foods and drinks during the event.
The ESTREL BERLIN is at your disposal to provide you with quotes for any further requirements.
Flowers & Decorations You would like to make your booth more attractive with the help of a few flowers or other decorative
items?
Order form named ESTREL BERLIN Order Forms – Flowers will give you a choice of ideas. The
completed form can be sent directly to the Estrel.
EMERGENCY PROCEDURES
Below the ESTREL Emergency procedures to follow in case of an emergency:
To ensure a safe and enjoyable stay at the ESTREL Hotel and the ESTREL Convention Centre, we kindly
ask you to acquaint yourself with the following safety features and procedures: at all times during your
stay, regardless where you are in the facility, please be sure you are aware of the nearest:
• Emergency exits and escape routes
• Fire extinguishers
I. In Case of an Emergency
1 A facility-wide alarm will be automatically activated by smoke detectors.
2. Recommended protocol for you as a guest:
• Inform the next available member of our staff about the situation
• If no staff member is nearby, please contact the reception immediately!
• Use any available house or room phone to inform the telephone operator about the
discovered emergency, please dial 9 from any telephone.
• Please be prepared to communicate the following:
o Who is reporting?
o What has happened?
o Where is the location of emergency?
o Are people in danger or injured?
o How many?

II. Recommended Behavior in an Emergency
• Keep calm – uncontrolled behaviour may cause panic!
• Rescue of human life is more important than elimination of fire!
Fire extinguisher
• Do not put yourself in danger!
• Do not use the elevators!
• If an evacuation should be necessary, you will be informed by the staff.
• Leave the building by using marked emergency exits and take care not to interfere with
emergency relief units.
Emergency exits
• The instructions of the fire department must be followed.
• The designated gathering place is the summer garden in front of the hotel.

TRANSPORTATION AND PARKING
Due to work in progress ESTREL will communicate by the end of the month of May the final plan and
access to the venue. We will send you the information as soon as available.
Access and delivery In order to enable the assurance of a smooth traffic flow during the setup and clearance time and the
event duration, it is absolutely necessary that regulations and directions concerning traffic are
considered.
The instructions of the personnel of Estrel, or their representatives instructed with the routing and
directing of traffic, are to be complied with absolutely and the corresponding information items are to
be considered.
In the entire event area and on the parking spaces in the grounds, the determinations of the Road
Traffic Act apply. The top speed authorized on the event grounds is 10 km/h. .
Overnight accommodation, both in vehicles on the event grounds and in the event areas, is not
permitted.
For security reasons, during the setup and clearance time in the halls and in the exhibition area in the open air, the remaining of persons - in particular of minors - who do not pursue any insurance-mandatory occupation is prohibited.

VII. Insurance
Please make sure to arrange transport insurance for your goods. This policy should cover the transport
to the exhibition, time during exhibition and the return transport. To arrange transport insurance, we
are happy to assist you. Otherwise we will automatically book a carrier’s insurance which covers only
damages in the custody of Schenker Deutschland AG.
VIII. Terms and conditions of trading
We operate exclusively in accordance with the Allgemeine Deutsche Spediteurbedingungen 2017 -
ADSp 2017 - (German Freight Forwarders' General Terms and Conditions 2017) and – if they do not
apply for performing logistics services - with the Logistic-AGB (General Terms and Conditions of
Logistics-Services Providers), as of March 2006.
Note: In clause 23 the ADSp 2017 deviates from the statutory liability limitation in section 431 German
Commercial Code (HGB) by limiting the liability for multimodal transportation with the involvement of
sea carriage and an unknown damage location to 2 SDR/kg and, for the rest, the customary liability
limitation of 8.33 SDR/kg additionally to Euro 1.25 million per damage claim and EUR 2.5 million per
damage event, but not less than 2 SDR/kg.
In addition the Fair and Exhibition Conditions are applicable. The "Bundesfachgruppe
Schwertransporte und Kranarbeiten (BSK)" terms and conditions are the basis for heavyload orders.
