NOTES:  Take care of yourself this weekend, check in with your manager before leaving the room to make sure it’s a good time. Have Intentions for self, intentions for participants.   Please let M&S set up for the day each morning and take their breaks throughout the day.  Please no business Q's and coaching Q’s in morning setup or on breaks during the day (no coaching Q's in the bathroom please!)  You're welcome to ask your coaching Q's during the Q&A time we have allocated each day for all participants.   

If M&S attend lunch with the Dream Team, please address all logistics of the event FIRST... what's working well, what does the team need to tighten up, etc.  Anything that M&S need to address from the stage, etc.  If there's time left and you have coaching Q's, please ask M&S "is now a good time for business coaching?" 

If M&S are unavailable, please feel free to mastermind with Apprentices & Phase 2 clients at the training.  There's a WEALTH of knowledge in the room and everyone is here to support each other!   

Thank you for your partnership and understanding.  This will help M&S be at their best to serve you and the Tribe better. 

Training Set up: Please make note that boxes are labeled with a check list of what is enclosed in each box. This will be helpful when we clean up on the last day.  At End of Each Day: All Help 

Collect Name Tags from Attendees & then help put in ABC order by First Name. 

WHOLE TEAM RESPONSIBILITIES: We are the hosts of this event. Let’s treat our guests as we would treat guests at our home. 

● We want all participants to feel welcome ­ greet people in the hallway, smile, and make eye contact. ● Someone is stationed by the door to open the door for everyone when they enter/exit the room as 

they leave to go to the bathroom, take a phone call, etc. Opening Doors for People as they are leaving (have them feel as they are being taken care of). 

● When someone enters the room late it is our responsibility to guide them and help them find a seat. If they enter the room during an activity, brief them on the activity and make sure they have what they need to participate. If there’s a group activity going on, help them find a group. This requires that you’re paying attention to what’s happening on stage so you can provide instructions to someone who comes in late. 

● When bells are ringing and the comeback song is on ­ your main job is to get participants in their seats. If you are having a conversation with a participant or team member, please end the conversation and pick it up at next break.  We need to be sure that we are encouraging the participants get to their seats so sessions can begin on time. We have to lead them and be that example for them. 

● When we go into partner shares everyone jumps up and helps people find partners. You raise your hand and participants who are looking for a partner also have their hand raised so it’s easier to find a partner. 

● The team at the back of the room is holding the space for transformation to occur. The container needs to be tight. No talking in the back of the room. Even whispering takes energy away from what’s happening in the room. Use post­it notes for communicating. Inside the room we don’t exist. Our main question when we are in the room is, “how do we best serve those in attendance? When you leave the room is the time you replenish yourself. 

● Be on time & Participate in Team Meetings  ● Assist with Handouts when needed ● Keep the Green Room tidy ● Help keep energy level high and make sure participants are safe and their needs are being met ● Take care of SELF and watching out for other Dream Team members so we are all hydrated, have 

eaten, slept, basic foundational needs are met.  ● Know who to ask for help when it is needed ● Whole crew is on security alert and safety is primary ● No cell phone usage in the room, please step outside ● No eating in the room, use the green room ● Drinking is allowed in the room, preferably only water (so if there is spillage, no mess) ● Keep the back tables clear ● If you need a break during the event, the best time is when everyone is “in session”, please make 

sure you check in with Shay that it is a good time to leave and someone on the team can cover your role. During breaks we are all working and being of service to those in attendance. 

● Consistently being aware of what’s happening in the room and asking yourself, “what do I need to do to support what is happening now or needs to be happening?”

Dream Team is clear on set up of Main Room (AV, Stage, Pipe & Drape, Enrollment Table, Registration Table, Red Carpet/Step & Repeat/Signs, Stage Table & design, Speaker area behind stage) & Staff Green Room  ­During event: As needed tasks and leading team, holding space during offer (watch the door for in and out traffic), Make sure you and Event Producer have plenty of water throughout the weekend, Mindful of team’s energy, make sure tasks outside the main room are accomplished (Dream Team Lunch set up, etc) 

 Event Team:   Event Asst, Speaker Liaison, Time Keeper,  Floater/Runner, Hotel Liaison, Lunch & Break Coordinator, AV Team, Production Assistant, Photographer, VIP 

Lunch Monitor, Chair Mgr & Ushers    

 Room Energy Manager: EVERYONE 

During the offers & throughout the weekend, working with the Speaker Liaisons, for the audience to be open, willing to receive, helping to release financial worries, etc. Also aid Dream Team in their energy management, keep Shay­Event Manager in the loop. 

We encourage anyone on the team who is a healer, Reiki Masters, energy workers, etc to assist with your modality as well when have a break from your position.  

Send trainers good energy­ “Yes, you’re amazing, they’re going to love this, you’re incredible, you’re sexy, what an amazing deal, this is going to transform their lives” 

Energetically attract participants to sales table­ SMILE 

 

Speaker Liaison/Speaker Energy Mgr: Julienne Waters 

You are there to assist Mark & Shannon (M&S) with anything required to make the event run smoothly.  It’s one the most important jobs at the event.  You never know when they are going to need something.  

During Sessions: it’s important that during sessions to be looking at M&S so that when they needs something, they can immediately get your attention by looking at you and nodding for you come over to the side of the stage. Have extra copies of handouts for the day so you can provide them to them on command. 

During Breaks:  be with M&S so that they can get to where he needs to go without too many interruptions from audience members.  If they are talking to someone, you can say “Mark/Shannon, you are needed at the staff room.”  If they wants to continue talking they will let you know to hold on for a second.  Please stay around until they are done. 

Also during breaks & before the day begins: be behind stage to work on their Energy, help them ground, use your bowls, crystals, angels, etc.   

Speaker Liaison/Nutrition: Linda Sturdivant Same as above (minus the Energy work) 

At Breaks:    ­refill Klean Kanteen water bottles (ones they use when on stage) 

­hot water for tea   ­Must be able to interrupt an attendee/speaker conversation to make sure the speaker can collect self before going back on stage. (same as above)   ­If an announcement needs to be made from the stage, you will be the person in charge of taking the note to Shay­Event Manager and she will handle from there.   ­make sure behind the stage or in Green Room you have the following Ready: 

­snacks/protein bars ­Throat Coat tea: refill hot water canister & packets available ­ Cold water NO ice ­ Essential oils are handy (to drink­ throat/ voice) 

­ Listerine strips, mints, etc             ­ Make sure trash can available  

­ Tidy up behind the stage and on stage 

­Each be an Liaison for speaker on restroom break (so not bombarded by tons of questions from the attendees).  

 

Video Testimony Asst:   n/a­ Cindy and Hans will handle Assist Photographer/Videographer by having Testimony people lined up and 

ready to give their testimony on camera. Have copy of questions that will be asked on hand for attendees to review. Coordinate times with Rock Stars (past & present) on day 1 lunch time, right after lunch on day 2, and day 3. All attendees allowed to give testimonial. 

 

Hotel Liaison: n/a If have venue needs connect w/Shay   ­Any coordinating with hotel, temperature changed, extra chairs, more 

water, make sure set up for Big Impact University Luncheon on Sunday has occurred, extra parking vouchers (N/A this time), etc Will work closely with Shay­Event Manager. 

Time Keeper: Angela Smith ­Keep an eye on the time, Speakers Mark and Shannon will be looking to you in 

the front of the room (left hand side if looking at stage) to help keep us on schedule. Hold up signs: 20 min, 10 min, 5 min, STOP etc. They will nod in acknowledgement they saw the sign and also have the time on their confidence monitor up front.  ­Very important for the Rock Star Panel: that they stay on time, give them 5, 1 and STOP 

­You help the speaker stay on time during the sessions.  You make sure Door Monitor will post the ‘be­back’ time on the door during set up and write with a white board pen on the door each time we go to break. 

­Make sure you have downloaded on your phone “LabTimer” for iPhone or “Hybrid Interval Timer” for Android or “Timer+” for  ipad (these allow for multiple timers to be happening at the same time) 

­May be asked to Use a bell or chime vs someone saying 1 min to switch, then call out the switch  

Break Coordinator: Joanne Butcher ­You lead the Helping w/Breaks Coordinators, Door Greeters & Ushers  

­You and Team Be friendly yet assertive to get people back from breaks (approx: 1 coordinator for every 50 attendees) 

­may be asked to use “dingy­bell” to help during a training segment for those in the lobby area so when M&S say “switch” inside you can tell those in the lobby to switch 

● Must be assertive but friendly “talk and walk pretty people”,  o a good comment to say if participant gives push back or isn’t coming into 

room on time “can you help me stay in integrity with the job I volunteered for?” and enlist their help for you!   

● You are leading them back into the room, take charge so we can start on time, makes a difference in creating sacred space and so we can end on time 

● Interrupt conversations, proactive, not passive role, use dingy bell to come back from breaks on time 

● Use “dingy­bells” to help bring people back in, make a sweep outside too 

● Shay will help Coordinate with Warm Up Person + AV Manager  

● Put Laminated Break Signs up on Door “Please be back by”, and write with a white board pen the time 

Ushers with Bells/Helping with Breaks Coordinator:Lisa Ramos, Jena Kocian, Liz Glorioso, Stage Crew (when not doing stage change), Reg & Enrollment Team (when not doing that job)      Everyone aware of this job 

  Works closely with Door Greeter/Monitor & Break Coordinator 

*Walk ALL the way to the chair, stand behind chair­ can be Enrollment Team to establish rapport, service, connection, etc  

* Find an empty seat for them to seat in,   

­ rule of thumb: extra seats lead to empty seats… no bueno! You always want a full house otherwise psychology wise ppl think “OMG what is going on” vs full house “this is where the party is!” 

*We will tape off chairs in theater and removed tape as needed beginning w/middle row first. 

*When all the seats are full, undo tape from side aisles 

*Be friendly yet assertive to get people back from breaks  

*You ring the bell and guide attendees back into the room to make sure all sessions start on time.   

* Within the room: Be mindful of where the empty seats are. Towards the end of people entering the room each morning greet attendees, ask if need a seat. Find an empty seat for them to sit in, Walk ALL the way to the chair, wish them an amazing day. 

*When someone enters the room they are greeted and welcomed ­ shown to their seat and explain the activity to them 

*When bells are ringing and the comeback song is on ­ your main job is to get participants in their seats ­ if you are having a convo w/ participant, end the conversation and pick it up at next break ­ we need to be sure that we are encouraging that participants get to their seats so sessions can begin on time  

*When there is an activity, everyone on the team needs to be on their toes helping to make sure all participants find a partner ­ this is an entire team effort 

*Once everyone is inside the room, help motivate participants to get back to their seats. And on the way to break, you make sure the doors are opened and help usher people out to get their break. 

*   During Sessions & After Lunch help guide late people to chairs.  

Door Greeter/Monitor:  Joanne Butcher & Ezra Pearson, back up: Linda Sturdivant, & any Ushers 

You set the tone for the day and as attendees go to break, you lift their state, have great energy, look for nametags, and are aware of anything that looks suspicious and alert Event Producer/security. You are in charge of crowd control outside the door, and need to keep people a certain distance away from the doors before and during the event. You are the ‘information­booth’ person for many people, so you need to know where everything is – what, where and who can meet their needs. 

You are stationed inside the room next to the door to open the door for participants as they leave to go to the bathroom, take a phone call, etc.

When someone enters the room they are greeted and welcomed ­ shown to their seat and explain the activity to them (USHERS we need your help here)

Once everyone is inside the room, help motivate participants to get back to their seats. And on the way to break, you make sure the doors are opened and help usher people out to get their break. 

You need to be at the door 5 minutes prior to the time that doors open.  You make sure the “Doors Open at ______” sign is on the door. 

 During Sessions & After Lunch help guide late people to Ushers.       If attendee leave for restroom during session and walk back into an activity: give 

instructions about activity when re­enter room, guide to Ushers to be placed into a group, etc.  

Stage Manager: Alexis Leiva Stage Crew: Carl, Ezra, Emmanuel 

● Prepare presenter of the following: once music ends, the person is speaking right away (talk as music is faded out, no second gap) 

● remove or reveal clean sheet on flip chart after each segments ● May be asked to Use a bell or chime vs someone saying 1 min to switch, then call out 

the switch ● In communication with AV team (they are in the balcony above and may need to 

communicate to Shay or M&S, you will be a point of contact for them) ● Set up and Clean up all things AV per Andrew’s instructions  ● During Stage transitions and set changes you and Stage Crew will help move things 

around acording to the set up layouts.  

Lunch Coordinator & Errands: Jena Kocian             Coordinate w/Shay & Food Trucks for lunch delivery & set up for Dream Team in Green Room (theater dressing room),  champagne on ice for Sunday Clean up Parrtay!, etc 

Make sure trash cans aren’t overflowing after lunches 

Meet and show Food Trucks where to park (Shay will give you contact details) 

Be able to run to the store for tape or other errands as they arise.  

VIP Lunch Monitor: Sylvia On Sunday we have a lunch welcoming in the new Big Impact University tribe 

members. Please stand outside the Vehicle and only allow in the University students who JUST turned in their application this weekend. They will have Sunglasses or other indicator.  Current Rock Stars that were on the stage this time are also at Lunch New Apprentice Students­ Shay will let you know if at Lunch Please make sure they have their food ticket in their name tag & remind them to place it on their plate when arrive at the location. 

  

Step and Repeat Manager­ Liz Glorioso ­Step & Repeat: This is the big banner that has “Big Impact Live” logo repeating over and over. 

You will monitor, help & encorage attendees “play” with all the fun things at this location 

during breaks. Help them post to their Social Media (Twitter, Facebook, Instagram) and include 

the #hashtags, etc

Technology Manager­Michael Stetina ­Take and Upload pictures & quotes AT the event of what audience reacts to, good “ah­ha’s”, to the Big Impact Facebook groups. Please bring your phone or computer if can create own “hot spot” as internet is not reliable in theater , Shay will have log­in details. ­You are in charge of event order form submission in green room as needed  ­Shay & Warm Up Diva will make announcements from stage­ Encouraging people to post & tag on FB during the breaks to the Big Impact Fan page via #BigImpactLive 

 

Registration Manager: Sylvia Valentine  In charge of rotating person on reg table, registration list, give Shay official shown up Number by 8:40am. Use hand clickers 

 ­Tables will be set up outside of the Theater, in the lobby.   ­Thursday night we will set up the and add to the tables. Registration list, parking vouchers (if needed), pens, Media release forms 

­Tables and Reg list divided acording to ABC list: ex) A­F, G­L, M­R, S­Z, BIU/Apprentice/Rockstars   ­TH night­ Sylvia Checking support, and Mark & Shannon’s email: Set vacation settings with welcome email details on all 3 email accounts so people will automatically get logistics if they email us Check 800 number and return phone calls  ­ Fri morning calls for stragglers/ no­shows: All hands on deck from Registration Team 

­ Call the no shows on Fri morning at 10am (use the script in the reg system located towards end of this packet)­ All hands on deck ­ Sylvia: manually create list of attendees so we can send them list of 10 promoters, add all attendees that come each day (even if they came for 1 day) ­ schedule to send out on Monday  ­Sylvia­ refund check questions & walk ins 

­In the welcome calls attendees are informed that they have a GUEST PASS... if the walk in is referred by a friend, they can use their GUEST PASS so the walk in doesn't have to pay $497.   

OVERVIEW FRAME of Registration/Check in: 

This is their first experience with us, give them a great first impression (lots of moving parts) at check in/registration. Professional, attentive, friendly, if any issues, keep energy high vibration, get Sylvia to support if any issues, take conversations to the side if needed, keep the check in process flowing.  

Really ground and know the flow of check in so you can be present with them and know all the pieces to handle. Review the below a few times before event and we’ll train you in person once we’re there. Ensure them they made an awesome decision to come (really SEE them, send them love energetically) and that this event is life changing. Let the event unfold and sell itself. Review the reg list of names and ground with them, energetically call them in early and safe travels. Hold an intention for them. Energy is everything xoxo.

Have the nametags facing the clients as they walk in A­Z from their left to right (not facing dream team) Tablecloths are used to cover check in tables/nametags at night and after event has started. Mark each tablecloth with non glue masking tape clearly. M&S. Sylvia. Rentals.  

 ●  Stuffing name tags from printer ­set up day with dream team (all hands on deck not just reg team) ●  Adding ribbons to name tags­­set up day with dream team (all hands on deck) ●  Alphabetizing name tags according to registration groups, plus VIP table separate ●  Pens, blank nametags, clickers, media release, reg lists, all preppred etc. ready for the morning   DE VALLE THEATER­­we’ll see if we can leave tables overnight Thur and just cover safely, or move to green room behind stage. Same with step and repeat and all branded signs, need to remove from lobby Thur night and have ready for FRI AM set up first thing.  ●  Some registrants are refund check, some are flake fee, some 197, etc. Reg list will note for each person what is needed. Will train on Thurs.  ●  All Reg lists must be attended/covered at all times ­ privacy issue ●  Sylvia is in charge of Registration Lists­ outside of team check in. Give to her.  ●  Sylvia will add in any last minute changes from Thur­Fri morning on master reg lists from emails and voicemails we have coming in. She will consolidate all reg lists into one master on Sunday.

●  See morning registration system below ●  Collect media release form­before coming to check in table. (don’t clog check in with media, get those signed before they come to table). Media floaters! ●  Hand them their nametag ●  Hand them their refund check (only a few of these, see reg list) ●  Have them sign that the check was received ●  Mention any parking or valet issues. (Free parking at theater) ●  If they are NOT on reg list, they are a walk­in; see instructions below. Get them fully registered. (no separate walk in table, handle at each station).  ●  If they are client/rockstar, send to VIP table check in ●  To keep track of show up numbers, IMPORTANT please use the hand clicker each time you give someone their name tag. Registration Manager will ask you your clicker number throughout registration often, so please remember to keep up to date.  ●  Every station helps with making phone calls to stragglers/late attendees on Friday morning at approx. 10am (use pre­written script)­­get updated list from Sylvia on who to call or not. Look at NOTES column to see their attendance dates before calling.  ●  After making morning calls, add a green dot sticker to remaining name badges so we know they still need to sign a media release form when they arrive.  Example:  those who can't make it Friday but show up Saturday we want to make sure they sign a media release form at check in. 

●      SAT night session. Collect nametags at end of each day. No nametags for SAT night session.  

●  We may need help rotating staff at the registration table as we leave for breaks and return from breaks to handle any questions from attendees.  If you don’t have a job from Shay, check in with Sylvia for support with this. Be aware of what is needed.  

●  Registration Manager will cover Enrollment and Offer Breaks as the rest of the Reg team will be working the Enrollment Table. NOTE: Sylvia will be needed during enrollment offers, for finance session booking, and conversations.    UPDATE: Sylvia and back up support to handle the door and check in for late arrivals each day. Work with door ushers.   At end of day Fri, Sat, Sun, all hands on deck (entire Dream Team can collect) for help with gathering name tags both inside the room, and standing in lobby.  Baskets are available or have them put the string over your arms.  Find the best system to not have strings tangle!   Team place nametags organized back on table in A­Z groups (ribbons separate VIP table) for each night and next morning. New Big Impact University  or Support clients, stay on A­Z tables, not on VIP table.  ●  Dream Team nametags organized separately. BLUE Color. ●  At end of day Fri and Sat, registration table needs to be re­alphabetized and prepped for the following morning.  All hands on deck to support with this. Tables are brought INSIDE THE ROOM at night or covered with cloths. Can keep in lobby FRI and SAT night, covered.  ●  After Sunday Registration­approx 10:30am(or at break) can consolidate and combine the lines (or sooner if low enough number remain). ●  At end of day Sunday, breaking down registration table, name tags are stored NEATLY to re use in their boxes  and not wrinkle ribbons, in boxes that will go back to M&S home, make sure ALL registration list copies go to Sylvia. She will create a master.  

**PULL out any nametags that have do not have ribbons connected (or who only signed up for support, blue ribbon) and store those white nametag inserts separately in a folder labeled as such. Recycle any dirty or broken nametags. Neatly store up the rest. Only keep nametags with University or higher ribbons and put back in A­Z format if possible in 4 nametag bins. ●  Sylvia reconcile lists that are needed for Accounting  

­­refund checks going back (no show), any special notes, write directly on each check the status 

­­flake fee’s to charge, need to alert Michael of that list to charge, can do after BIL based on master checklist or Sun at event in green room

As participants show up to event, greet, hand form/pen have fill out prior to going to Registration table. “Excited to see them, going to be a great event” 

Lisa Ramos­be outside the lobby by the Mark and Shannon sign directing people to the event.   

If notice line is starting to back up at the media release tables pass out clipboards with media release forms to move along then point them in the direction of Registration by Name and if they are a past BIU student/rock star.  

Inside Greeters (once they walk in seminar room):  Ushers, Hotel Liasion, Break Coordinator, Time Keeper, Mic & Handouts, Warm Up Diva,  any other floaters/runners, Mark & Shannon, Big Impact Mom & Dad, Anyone w/o a Reg or media release job in the morning,etc. ­Create a Welcome line/tunnel as guests come into room. Be enthusiastic, high 5’s, mention things such as “we are so excited you are here, you are going to have a great time, etc”.  

Enrollment Manager: Jim Padilla (Shay as back up) 

Responsible for completing Enrollment Tracking Sheet (see below), get headcount of how many people are in room during offers, etc   ­Enrollment Team:    Cyndi, JoAnna Wright, Jacki, Linell, Denise 

­Participant Liaison: EVERYONE Check in with people, see how every­one's doing, make sure participants are taken care of. Floater in the Crowd to send ppl to Enrollment, talk with the attendees in the crowd, bring them back to turn in application, etc 

Objective is to do assigned job on Dream Team AND be helpful to the participants. You will be our champion within the audience. Remember you have been in their shoes, you know where they are and where they could go by working with Mark and Shannon. Your job is to get to know these attendees throughout the weekend, listen to them, why are they here? How can you be of service to them? Reassure them, send them love and offer your testimonial & experience should they ask. Ask them questions “What got you here? What do you want?” Have enrollment conversations then escort them to the back table. Make sure there is a hand­off to someone on Enrollment team. 

­ Anyone NOT on the enrollment team during an offer, please do not be behind the Enrollment Table. Instead be on the outside sending the Speakers love and good energy, holding space for the attendees to have transformation and saying “Yes” to their goals and dreams. We ask you to be standing at this time as well. ** Make sure doors stay CLOSED at all times during an offer­ it keeps the energy in the room vs leaking out all the good mojo the trainer’s have ** 

­Enrollment Manager­ after offers, collect order forms & double check all information is filled out & legible.  If not, give note to Shay with list of names­ will announce from stage to see Jim to complete form.

● Make sure mic is turned ON (know where extra batteries are) 

● Take the cue from the trainer NOT the participant 

● Once trainer calls on a participant, RUN to participant (wear comfortable shoes, flats­don’t need to be tennis shoes but comfy) 

● Hand them the mic, KNEEL down next to participant, making sure they are talking directly into it.  If they are not, gently move mic up closer to their mouth. 

● If participant is in middle of aisle, get as close to them as possible without crossing over other participants 

● Please note: the trainer may SPONTANEOUSLY go into a Mic share, you must be aware at all times to jump up, grab the mic from the corner of the enrollment table and get the microphone to the attendee asap 

● You will sit on the corners of the Enrollment table, and reserved seats in front corners near stage so you can jump up and get mic to person ASAP 

­Handouts: Liz, Lisa, Carl, Emmanuel,  Joanne Butcher, Alexis, Linda, Jena 

Lisa, Liz & others not having job at moment:  After the team meeting each morning, take out the handouts scheduled for the day (Indicated on the Run of Show). According to how the chairs are set up count out handouts for each side and section. ex) Room is divided into 3 sections, each section has 3 rows of 5 chairs. So you will divide the handouts in groups of 5 layering them one on top of the other and have a grouping for each section. 

­When Speakers indicate to pass out Handouts, go to your station (assigned at set up night)  

1. front of room­left aisle, 2. front of room­left center, 3. front of room­right center, 4. front of room­right aisle, 5. back of room­left aisle, 6. back of room­left center, 7. back of room­right center, 8. back of room­left aisle  

and handout out your section, move to row 2, etc. Shay will also alert you to stand and be ready when we get close to handout time. M&S will also say “in a moment, we are going to handout…” 

Warm Up Diva­ Amy Cheryl  

● Coordinates with Event Manager, Production Assistant, Break Coordinator + AV 

● Floater on enrollment, connecting & talking with the people who are a little more shy or on the fence. Connecting with people in audience, bringing them back to table to complete application, etc 

● IMPORTANT training­ remind audience to take personal belongings with you when break for lunch, addressed from the stage,  

● avoid empty seats when back from lunch and breaks 

● weave in yoga/ stretching and massage line on warm ups

● breaks will be 20 mins, Please start warm ups at 15-18 mins into the break so you can start to magnetize people back to the room

● Please choose warmup songs with Andrew on TH night setup  

● Encouraging people to post & tag on FB during the breaks to the  BigImpactLive  fan page #BigImpactLive 

● Everyone: move up the room, dance on sides of chairs, encourage ppl to dance, have a good time but be aware of those around you, include them

Morning Registration System 

START OF CHECK IN LIST (yellow areas are touchpoints with client) 1.    Welcome them with a smile ☺ Welcome, good Morning! What’s your first name, please?”  2. MAKE SURE they come to the table with MEDIA release form signed. If not, send them back to Media table to sign. Don’t clog up line.   3. Look for their FIRST name on your list (if they came to your line by last name, send them to the right station)   a. If their name is on the list, go to step 4. b. If their name is NOT on the list, are they are current client? Send them to VIP TABLE Check in.  c. Or if they’re a walk in and haven’t registered, get them fully registered. See blank WALK IN sheet in back of your reg list.   WALK IN instructions 

If people show up and didn’t pre register, (came w/a friend or just show up and aren’t on the list), they are considered a "walk in" and you can register them now. No charge GUEST PASS. (next event, guests walkins will pay $197 so they lucked out!) 

a. SIGN Media Release form b. Go to the back of your reg list for blank walk in signup.  

Have them fill out Name, Phone and Email. Need to read clearly, check that you can read it.  Who referred them! Get that name written in. Need that to get their scholarship guest pass $0. c. Handwrite with black sharpie a Nametag for them using the blank logo nametags.    5. EVERYONE­­­Use the “hand clicker” to track the number of people you are checking in (this is very important for chair count inside the room!) Back up: can use tick marks for yourself and count on your checklist. Have a set system for when you do the click (when they first walk up, when they’re done, etc)   6. SIGNED Media Release Waiver, make sure signed & filled out Keep neat in a pile. Have some blank ones handy they can sign right there if line isn’t backed up at all. They can step aside if needed.  If someone gives push back on the media release, bring them to Sylvia for support. We need everyone to sign the agreement for videoing that will take place. They can sit toward the back and not share on mics if they prefer.   7. IF APPLICABLE, Give them their seat deposit check. See clear notes on check list. Have them initial they received it in the “INITIAL” column. If the column is blank, that means they were a flake fee ($0) and there is no check. If there is any question/concern, tell them we’ll make a note and follow up after the event with them right away. Let Sylvia know later.    8. Give them their Name tag and check mark that they have checked in and arrived in that column. “Here’s your name tag, welcome to Big Impact Live” a. Tell them “the doors will open around 9am. Take advantage of this time to settle in and network.  You’re going to have an amazing time!”   b. Just so you know bathrooms are…. (tell them location of bathrooms). Parking, etc.    c. Only if they ask: times are 9­6 daily, with Sat evening training 7­9. Lunch break is usually 12­130 pm. Healthy Food Trucks are available on site each day, convenient! Tables available to enjoy outside. No food/drink in theater, only water.  3 trucks FRI SAT (3 brothers kitchen, CANASTA (burrito, taco), Grab n Go kabob, chicken beef, wrap salad) 

Ceviche, grab n go, united bites (jamaican, pork, med veggie wrap) 2 Sunday (CANASTA, OPIES GSB)  Welcome, it’s going to be a great event!   END OF CHECK IN LIST   Once the event starts, as check in’s trickle in, we can consolidate A­Z groups and lists. Give Sylvia your list and any checks. Checks are never left unattended and will be with Reg manager/Enrollment manager during the event or a secure location.   Calling Late­Comers. Split up list between 4 sections + VIP list for calls.    Use *67 on your phone before dialing so your cell phone doesn’t show up. Decide who to call and who will make those calls so you’re not double calling (only call your list section). Sylvia review the list first to update as some have emailed or called us last minute about their plans or transfers. Don’t call those.    *  After 10am, call people who haven’t arrived and say, “Hi _________, this is ______calling from Big Impact Live. We’ve reserved a seat for you and noticed you’re not here yet.  We just wanted to double check you know we’re at the _________. De Valle Theater 1963 Tice Valley Blvd Walnut Creek, CA 94595   When can I tell Mark & Shannon to expect you? (answer any Q’s they have or concerns, enrollment conversation, support them, good energy, help with directions) This event is LIFE Changing, do what you can to attend, even late or on the remaining days. Flake fee will charge if you don’t show. Where are you struggling in your biz, what challenges? Learn the speak your path to cash system to start earning a consistent 10k per month and sharing your vision and mission with the world. Don’t wait. Transfers are only available 2­4 weeks before event in writing. Seat will forfeit if you don’t show. (sorry to hear you’re sick or unexpected challenge came up. We hope you can still make it.) Don’t promise any transfer or offer, everyone has their own situation/deadline based on when they signed up. Have them contact our office [email protected] for follow up support if they have Qs. You’re a volunteer helping at the event, making sure they’re ok.    If leaving VM:
