of services listed hereafter. • Rooms will be made available for 2 hours only from 17:15

to 19:15 (no coffee break). The room will be accessible from 16:45 or as soon as the previous session ends.

• Other Evening Symposia will be organised simultaneously.

Room details for symposia The rooms will be provided with the following basic technical equipment: • Front projection screen • One video beamer (for computer presentations) connec-

ted to a PC/file server • Stand microphones for questions from the audience,

available according to the capacity of the room • One chairperson’s desk with two chairs and two

microphones • One lectern with one microphone and light • One pin microphone • If necessary, one laser pointer and one timer • Water for chairs and speakers

A technician will be at the company’s service for the duration of the session. He (a minimum of one according to the capacity of the room) will be in charge of light/audio and beamer facilities.

The room assistant will be in charge of welcoming and briefing the chairperson(s) and the speakers on technical facilities (including access to the PowerPoint presentations from the PC) and will ensure that the session is running on time. In case of problems, he/she will be able to contact the ERS Scientific Department.

The organiser will provide the chairperson(s’) and speakers’ names for panels to be placed on the chairperson(s’) desk by the room assistant.

Additional hosts / hostessesBy July 2011, the ERS will send to the Evening Symposia organisers the complete address of the company in charge of

Hosts/hostesses. All requests must be sent to this company directly. This company will invoice firms directly.

Additional A/V equipmentBy July 2011, the ERS will send to the Evening Symposia organisers the complete address of the company in charge of audio-visual (A/V). All requests in connection with additional technical requirements must be sent to this company directly. The A/V company will invoice firms directly.

Speakers’ presentations To avoid unexpected technical problems at the last minute for the Evening Symposium organisers, companies are strongly encouraged to make sure their speakers use the Speaker Preview Room to pre-load all talk and introductory slides, as the laptop provided will not be accessible directly. This will have to be done at least 120 minutes prior to the start of the session or online before the start of the Congress.

Detailed instructions will be given to speakers by the ERS in due course. If speakers choose to use their own laptops, this is the responsibility of the company organising the Evening Symposium.

Control of flow and attendance It is the company’s responsibility to select an adequate size room to accommodate all attendees in their symposium.

The reservation is for seating room only. It is the company’s responsibility to control entrances and monitor the number of participants that enter the room. All doors must be covered by the company’s staff to prevent overcrowding and infringement of health and safety regulations.

Companies must plan appropriate staffing and/or security ahead of time to avoid any problems. In cases in which this is not respected and for obvious security reasons, the venue has complete authority to block entrance into the rooms and companies will be charged for the extra security required.

Visibility on the ERS WebsiteCompanies now have the opportunity to display the recording of their Symposium on the ERS website (in the e-Learning Resources section) immediately after the Congress for up to 2 years. The ERS e-Learning Resources currently receive up to 350,000 hits per month and this figure is rapidly increasing. Submission deadlines and approval of the programmenovember 30, 2010: • 3 options of preferred dates and rooms should be sent

to the ERS Headquarters in Lausanne (Switzerland) for submission to the ERS Scientific Programme Committee Chair. Please use the Evening Symposium form included in these Congress Guidelines for Sponsors and Exhibitors.

• The Programme Committee Chair will nominate a scientific liaison officer from the members of the ERS Executive Committee who will be in charge of programme quality control and will endeavour to balance the topics across the available time slots.

January 31, 2011: • A title of the symposium should be sent to the ERS

Headquarters in Lausanne.

March 1, 2011: • An updated title should be sent to the ERS for publication

in the Advance Programme.

april 4, 2011: • The Programme Committee expects companies to abide

by the final detailed programme of the Evening Symposium (including times, titles, names and full addresses of both speakers and chairpersons) submitted to and approved by the ERS Scientific Programme Committee via the scientific liaison officer for publication in the Final Programme.

The company must use the specific form to submit the programme. Any missing required information about a speaker will result in non-publication in the Final Programme.

Speakers and chairpersons at evening symposia The ERS assumes that the speakers and chairpersons at the Evening Symposia will be contacted by the companies themselves to arrange registration, travel and accommodation details. By August 2011, the ERS will confirm to the speakers, in writing, the time and place of their lectures. Upon request, companies can receive a copy of these letters.

It is the responsibility of the company to:• ensure there is no timing clash (with parallel satellite

symposia) for the chairpersons and speakers they choose. A minimum of 15 minutes is requested in between 2 different presentations made by the same speaker in 2 different symposia on the same evening.

• ensure a chosen chair has not made any commitment as a chair or as a speaker in a different symposium on the same evening.

The ERS cannot be held responsible for any matter arising from this.

Priority allocation at the exhibitionAll companies organising an Evening Symposium are entitled to priority choice in the allocation of a stand. Interplan, the Exhibition Organiser, should receive preferential choices from the companies before November 30, 2010 (see Technical Exhibition Invitation and Prospectus for more details).

Allocation of major sponsors’ choices for evening symposia and the exhibitionBefore confirming any allocations, the organisers will wait until all confirmations from major sponsors for Evening rooms, dates and Exhibition have been received on November 30, 2010.

The ERS will do its best to accommodate major sponsors with their preferential choices according to the following criteria: • number of seats in the Evening Symposium room; • contents of programmes (to avoid clashes); • number of square metres of exhibit; • general involvement of the company in the previous

Congress. In the event that no satisfactory solution is found, the ERS

will also consider: • whether companies wish to give preference to their

Evening Symposium or their exhibit; • date of confirmation (if preferential choice was received

after the deadline); • involvement of the company in previous ERS Congresses.

Companies are requested to give three preferred choices for both Exhibition allocation and Evening Symposia room and date. Kindly note that requests with the same number of seats and same day but different room will be considered as one choice. In the event that none of the three preferred choices can be allocated, companies will be individually contacted and offered alternatives, with a deadline of 6 working days for confirmation.

Companies providing only one or two preferred choices agree to accept alternatives proposed by the ERS within a deadline of 6 working days.

Confirmation of allocation will be sent to all major sponsors at the same time, by February 2011, once a convenient allocation has been found for each major sponsor.

Free registrationAll speakers, as well as all participants and invited guests who wish to attend sessions, must register as active participants.

Kindly note that the ERS does not accept faculty who have links with the tobacco industry, and reserves the right to take appropriate measures to preserve its interests.

active participants, depending on the capacity of the room allocated for the Evening Symposium, as follows: • up to 499 seats: 10 free registrations • between 500 and 999 seats: 20 free registrations • 1,000 seats and above: 30 free registrations

Postgraduate Courses, “Meet the Professor” Seminars and social events, except the Opening Ceremony and Welcome Reception, are not included. The free registrations may be used for company staff or invited speakers. An online account will be created for these free registrations upon receipt of the Evening Symposium fee payment.

Additional badgesNo additional badges will be delivered to nonregistered individuals, with the exception of the following: • 3 technicians’ badges, which will be delivered on the day of

the Evening Symposium (upon official request to the ERS Headquarters in Lausanne before the Congress – badge will be delivered on site / contact: [email protected]). These badges will clearly state “Technician”.

• 2 hostess’ badges, which will be delivered on the day of the Evening Symposium (upon official request to the ERS Headquarters in Lausanne before the Congress – badge will be delivered on site). These badges will clearly state “Hostess”. Company exhibitors will be allowed to enter their Evening

Symposium room, from 16:45 on the day of the Evening Symposium.

Abstracts The ERS does not require speakers to submit abstracts of their lectures, as these will not be published in the Congress Abstract Book on CD-ROM.

Copyright of the collection of abstracts submitted to the ERS 2011 Congress belongs to the ERS. Whilst individual doctors are permitted to print and distribute their abstract, all companies wishing to reproduce a collection of abstracts for distribution should contact the ERS Corporate Relations department for information on permission.

Congress publications• Times and dates of the Evening Symposia will be

announced in the Advance Programme. • The full session programme will be published in the Final

Programme distributed on site. It will also be published on the ERS website (www.ersnet.org) by August 2011. Any advertisement material to be placed in the Congress

centre, or related to the Congress, will require the approval of the ERS.

Posters and evening symposia Companies are permitted to have 2 posters announcing their Evening Symposium to be displayed on the day of the Evening Symposium.

2 posters need to be delivered to the ERS office on the first day of the Congress as the display will be organised by the ERS in 2 different locations within the Congress centre.

These posters are subject to ERS approval – a pdf version needs to be sent 2 weeks prior to the Congress at the latest. Further information will be sent in July 2011 (delivery, maximum size, etc.).

Companies will also have the opportunity to have an additional 3rd poster in front of the room in which the Evening Symposium will be held, displayed by the company from 16:45, and in front of this room only.

Rehearsal Companies have the option to use the Symposium room from 07:00 to 08:15 on the day of the Symposium to perform a rehearsal. The ERS does not charge any additional renting cost for this; however, any other cost linked to this rehearsal (technical, security, etc.) will be at the company’s own charge.

Mailing listThe ERS allows major sponsors to order the list of the registered participants (postal addresses – no emails) prior to the Congress (in an electronic format).

The list will be sent on request by the ERS Headquarters in Lausanne upon approval of a final copy of the document companies wish to send.

These data cannot be used for other purposes than for the agreed mailing.

The ERS reserves the right to insert some “test” addresses on its list to check that this mailing list is not misused. An order form will be sent in June 2011. Otherwise these requests will not be taken into consideration. This list is subject to current data protection rules and regulation.

ERS logo useThe Congress Committee has agreed to allow each

company sponsoring an Evening Symposium the use of one ERS logo free of charge on one item.

The computerised version of the logo will be sent by the ERS Headquarters in Lausanne upon receipt of the related item indicating where it should appear, and after approval.

When the ERS logo is to be used on a corporate publication, its placement on the lay-out is at the sole discretion of the ERS. Furthermore, the company’s logo should appear on the same page so that there should be no possible confusion about which entity is publishing the document.

DisclaimerWhen using the ERS logo, the following wording must also be printed: “The ERS declines all responsibility with respect to the information published in this document”.

On a document on which both the ERS’s and the company’s logo appear, they should be of equal size, on the same page, and at the same level.

Companies wishing to promote their presence at the ERS 2011 Congress may, in certain circumstances, use the Congress logo, subject to ERS permission from the Corporate Relations department.

Payment/Cancellation A formal agreement for sponsorship (contract) will be sent to companies by the ERS Headquarters/ERS partners by February 2011, together with an invoice representing 100% of the amount payable. In order for the session to feature in the Final Programme, full payment will need to be processed by April 30, 2011.

Non-payment by the above deadline will result in the non-inclusion of the programme in the Final Programme and consequently, the ERS will not be able to give visibility to the symposium via of all its promotional channels.

Appointed agencyApplication for Evening Symposia, sponsored items and services must be submitted by the company under whose name each session is to be organised. Correspondence for the above items should be made exclusively between this company and the ERS.

Companies should inform the ERS, in writing, which agency is appointed for which Evening Symposium.

It is not the role of any given agency to make initial enquiries or reservations with the ERS independently of the company.

This named agency cannot fully act as if it were the company itself and the company will continue to be held entirely responsible and accountable for activities organised in its name. For this reason, agencies are not permitted to sign contract on behalf of the company for which the symposiam is being held.

These guidelines have been created in order to ensure a proper working relationship between the ERS and the companies; companies are responsible for communicating these guidelines to their staff and their appointed agencies.

Meeting Rooms and CateringMeeting rooms will be available within the congress centre on a daily/hourly rate. The meeting rooms are set up in a board room or theatre style and are specifically for internal meetings and small meetings with existing business partners.

The ERS invites manufacturers and suppliers of devices and equipment to sponsor and organise interactive Practical Workshop sessions during the ERS 2011Congress. The Workshops are held in conjunction with the ERS and are part of the ERS Scientific Programme.

Practical Workshops consist of a short educational presentation, followed by “hands on” practical sessions which allow companies to interact with delegates, demonstrate their products and to present their latest material and findings.

Workshops take place during the lunch time session from 13.00 – 14.30 in specially allocated rooms set up to allow for effective live demonstrations.

The workshops are promoted in the Congress Final Programme, to pre-registered delegates in advance of Congress, on posters around the congress centre and sponsors are encouraged to promote their workshops from their stands.

In addition, sponsors of the workshops receive a number of free registrations to participate in the Congress, dependent upon the size of the workshop.

Name changesIndividuals may make name changes only in exceptional cases, at a cost of EUR 352. Written permission from the original participant will be required in order to process an individual name change.

Sponsors who wish to make name changes will be charged a handling fee of EUR 35 per name change. A new registration form for each replacement participant will be required before the name change can be processed.

Name changes (for individuals or groups) will be accepted by mail or by fax, by K.I.T Group until the pre-registration deadline of September 12, 2011. After this date, they must be done on site in Amsterdam.

Registration material pick-upFor those sponsors arriving before the start of the Congress to pick up their participants’ materials, the registration partner will arrange fixed appointments to be held on Thursday, September 22, 2011 and on Friday, September 23, 2011, before the official opening of the Congress. This is to enable sponsors to deal on a one-to-one basis with a registration contact, to make name changes or to add new participants as needed, in order to avoid the Saturday morning Congress crowds. Catering services at Amsterdam RAIAmsterdam RAI Catering takes care of all catering services at the Amsterdam RAI. Amsterdam RAI Catering is able to cater for professional and consumer fairs, banquets and conference rooms services, and events of all kinds.

In addition, Amsterdam RAI Catering offers a wide range of bars, buffet and restaurants outlets within the venue.

Children The ERS asks delegates to refrain from taking children and accompanying persons to any Scientific Session or to the Exhibition. Registered accompanying persons and children will be welcome to relax in the various rest areas; however, children under the age of 16 years must be accompanied and supervised by an adult at all times. Please contact your hotel for a list of babysitters.

ERS policy on side meetings organised by the industry during the ERS Annual Congress Major sponsors and exhibitors who wish to rent side rooms for administrative meetings within the Congress venue should contact Interplan at: [email protected]

Non-smoking policyAs tobacco is the major cause of lung disease, the ERS Congress Committee thanks all participants and exhibitors for refraining from smoking in the Amsterdam RAI, including meeting rooms, Exhibition areas, poster areas, restrooms, restaurants, cafeterias, bars and within 250 metres of the main entrances/exits of the Amsterdam RAI at all times.

Legislation regarding publicity and brandingThe content of all promotional literature, hoardings, advertising and promotional material of any form used or distributed within the Congress and Exhibition venue for the duration of the Congress remains the sole legal responsibility of the sponsor/exhibitor.

It is the sponsor’s/exhibitor’s responsibility to abide by Dutch laws and to observe relevant legal regulations with regard to publicity, the handing out of samples and the sale of products. The exhibition organisers (Interplan AG) and the ERS cannot be held liable for any noncompliance.

If an exhibition stand is found to be in breach of health and safety regulations, as defined by the local country legislation and communicated by the exhibition organisers and/or the ERS, then the ERS and/or the exhibition organisers have the right to demand the necessary changes so as to adhere to the legal requirements. In the unlikely event that such changes are not made, then the exhibition authorities and/or the ERS have the right to dismantle the stand before or during the exhibition.

Lunches No official lunches will be provided for participants. Lunch facilities include cafeterias and restaurants at the Congress centre. Sandwiches and snacks can be bought from bars and several coffee/snack points.

would interfere with the ERS Scientific Programme in anyway, i.e. from Wednesday, September 21 to Saturday, October 1, 2011. This is also valid for exhibitors and all partners/sponsors of the ERS Amsterdam 2011 Annual Congress.

Press conferences/Media briefings/Press interviews/Press material Companies are welcome to organise press conferences/media briefings on site, from Sunday, 25 to Wednesday, 28 September 2011 in the official ERS Media Centre. Please note that all media activities must take place in the Media Centre and that specific rules and regulations apply. Companies have the option of displaying press material in the Media Centre during the Congress.

Transportation Information on transportation for active participants and registered accompanying persons will be confirmed in the Advance Programme, scheduled to be published in April 2011 and available for viewing from that date at www.erscongress2011.org. It will include a transport pass of the public transport system valid for the congress period.

Social events organised by the industryIn principle, the ERS Scientific Programme Committee has no objection to social events organised alongside the Congress by companies.

One condition, however, is that these events should not take place during the hours in which scientific sessions are held (8:30 to 19:15 as guidance, to be confirmed in the Advance Programme) and preferably not before 20:00. Furthermore, as organiser of the Congress, the ERS should be informed about social events organised by the industry.

These events should not conflict with the ERS official Opening Ceremony and Welcome Reception, scheduled on Saturday, September 24, from approximately 17:45 to 21:00.

All registered delegates, accompanying persons and exhibitors are cordially invited to attend the Opening Ceremony and Welcome Reception.

Further information will be provided in the Advance Programme to be published in April 2011.

Publicity/Advertising in the ERS Congress venue Any advertising used in the Congress centre or related to the Congress (i.e. inserts in Congress bags, etc.) requires the approval of the ERS. After approval of advertising activity, companies need to obtain all required permits and/or licences and shall be liable for the payment of all and any taxes, duties and charges in relation to this activity. Should a claim in respect of such payment be addressed directly to the ERS Headquarters, companies will fully and completely indemnify the ERS. Putting up posters or distributing brochures outside the company stand is not allowed and any such material or activity will be systematically removed or stopped by Congress staff. For companies organising an Evening Symposium, additional advertising locations are allowed (see “Evening Symposium Organisation”). It is against ERS policy to distribute promotional material, stands or door drops in hotels.

ERS is the leading professional organisation in its field in Europe. It is broad-based, with some 10,000 members (and counting= in over 100 countries. Its scope covers both basic science and clinical medicine. ERS membership is made up of individuals working in the field of respiratory health: respiratory specialists, medical practitioners, scientists, researchers and allied health professionals, such as nurses, physiotherapists and technologists.

ERS seeks to alleviate suffering from respiratory disease and promote lung health through research, sharing of knowledge and through medical and public education. Its activities comprise organising an Annual Congress and other events, devising and making available educational materials through distance learning or seminars, and publishing a series of landmark medical journals.

The world’s largest gathering of respiratory professionalsThe ERS Annual Congress is currently the largest gathering of respiratory professionals in the world. A platform for important improvements in the understanding and treatment of lung diseases, it features speakers from among the world’s leading experts in the field. Well over 22,000 delegates attended the 2010 ERS Congress in Barcelona.

Scientific ActivitiesERS Scientific Assemblies, constituted of members with similar interests within the broad field of respiratory medicine, are at the heart of ERS. They play a major role in creating and updating ERS guidelines and statements and are key contributors to the planning of the ERS Annual Congress.

The Scientific Programme of the 2010 Congress included:

• 50 Symposia, 11 Lunchtime Sessions, 14 Hot Topic Sessions, 2 Year in Review Sessions and 8 interactive Grand Rounds.

• A total of 5013 abstracts presented during the Free Communication Sessions: 77 Oral Presentation Sessions; 66 E-communication Sessions; and 166 Thematic Poster Sessions.

• 82 Late-breaking Abstracts containing material not yet

presented elsewhere and through which presenters might gain exposure and feedback on their new findings.Other ERS events include the Lung Science Conference,

with a focus on basic science and where young clinical and non-clinical scientists are given the opportunity to present their work. The 9th Lung Science Conference, “Immune system dysregulation in chronic lung disease” will take place in Estoril, Portugal, April 1–3, 2011.

ERS and the European Sleep Research Society (ESRS) are jointly organising the first international “Sleep and Breathing” conference set to take place from March 31 to April 2, 2011 in Prague, Czech Republic. Conceived, designed and moderated by experts, the conference will focus on hands-on practical experience for practitioners and will educate participants on diagnosis, treatment and patient referral.

Continuing Medical Education and FellowshipsThe objective of the ERS School is to maintain a high level of postgraduate education in the field of respiratory health. Each year, it organises more than 40 different educational events,

notably half-day postgraduate courses, 3-day external courses, seminars and online courses. The ERS educational website is the most extensive in the field, with access to 120,000 slides and over 1,000 hours of webcasts, as well as videos and other E-learning resources. A new series of short educational videos featuring experts demonstrating medical procedures has also been developed.

ERS has recently launched CME online, a series of interactive CME modules whose aim is to provide the participant with a variety of opinions on a number of key issues in respiratory medicine. A CME certificate can be printed or downloaded in PDF format after successful completion of each module.

ERS also offers Long- and Short-term Fellowships in research and training and a significant number of travel grants. It also provides support to young scientists and researchers as well as authors of abstracts coming from the countries of Central and Eastern European to attend the Annual Congress.

in Adult Respiratory Medicine pursued its success, attracting over 115 candidates from over 27 countries worldwide. The European Diploma in Adult Respiratory Medicine is reserved for candidates who have already obtained their national qualification. However, the 2010 HERMES examination in Barcelona was also open to candidates for in-training and self-assessment.

The HERMES is in constant evolution, with the syllabus for Paediatric HERMES published in March 2009 and the inaugural European examination in paediatric respiratory medicine due to take place in Amsterdam in 2011. Work is ongoing on other projects such as the training programme of the European Spirometry Driving Licence, and the syllabuses of the HERMES Critical Care and HERMES Sleep.

ERS publications ERS publications are central to achieving the main objectives of the society, those of promoting research, stimulating the exchange of knowledge and improving patient care. It publishes inter alia: • the European Respiratory Journal, its official scientific

journal, • the European Respiratory Review, the respiratory

professional’s quarterly update on medicine, science and surgery,

• the European Respiratory Monograph, clinical handbooks for the respiratory professional,

• Breathe, the respiratory professional’s source for Continuing Medical Education,

• the ERS Handbook in Respiratory Medicine, a textbook covering all key areas in respiratory medicine, and

• the ERS Buyers’ Guide. All ERS publications are available in print and online with

free access for members. Non-members can subscribe to both online and printed editions.

Advocacy One of the major concerns of the ERS is to boost public and political awareness and support public programmes in the field

of respiratory health. Two years of active campaigning saw it successfully ensure that respiratory diseases were included in the EU 7th Framework Programme, the instrument providing for financial support of research activities in the EU. Similarly, ERS has been very active in supporting the Innovative Medicine Initiative, resulting in the allocation of major funding in the area of respiratory medicine.

The Smokefree Partnership is a strategic, independent and flexible partnership between ERS, Cancer Research UK, the Institut National du Cancer and the European Heart Network. The Smokefree Partnership supports ERS work on tobacco control and promotes tobacco control advocacy and policy research at EU and national level. It is imperative to raise public awareness of the impact of lung diseases through information campaigns and educational programmes in places where it is badly needed in Europe.

The European Lung Foundation a not-for-profit organisation set up by ERS, conveys to patients and the general public the latest respiratory research in terms theycan readily understand. It testifies to the fact that ERS members share a common concern about the need for improved public information and education on lung health.

At the 2010 ERS Congress in Barcelona, the European Lung Foundation Award was presented to a group of 36 Members of the European Parliament (MEPs), who signed a pledge on the Tobacco Free Europe website (www.tobaccofree.me), based on the WHO Framework Convention on Tobacco Control, the first treaty negotiated under the auspices of the World Health Organization. Key treaty issues whose implementation the MEPs have agreed to promote are strong measures to counter tobacco marketing, promotion and imagery; tough new measures to control tobacco smuggling; a commitment to taxation as a tool to reduce smoking prevalence; comprehensive protection from tobacco smoke; helping people to stop smoking; curtailing tobacco industry influence on tobacco control policy; and making industry accountable for its actions.
