Periodicity of Review

• Sorting Office/TMO/Section/SRO– Every year

• Program is drawn in the month of December for next year– January, May, June, December is avoided for

review

Role of IP/ASP

• Solely responsible for collection of statistics• One day’s statistics are collected.– 1st week & last week in a month avoided– Monday, Tuesday, Saturday will be avoided

• Statistical memorandum showing the number of bags and articles dealt with (Est – 87).– Receipts– Dispatches

Role of IP/ASP….

• Bags received excess not to be taken into account

• Bags received short are compensated with previous year statistics

• Work hours/staff hours statement is prepared in the prescribed format (Est-82) as per time factor given in MTT.

Preparation

• Dates of statistical collection decided in December for each office

• Before going for collection get the following things ready:

• DML- updated• Est -87 forms– copy all the bags due to be

received and despatched as per DML• Visit the office at least one day in advance

• Review the previous year statistics• See for change in bags received and

despatched and its probable impact• Have information of flow of mails and how

you will actually plan

Actual work

• Study the est-87 form• See what you have to get immediately and

what is available in records• Concentrate on collection of data for un

accountable articles• Submit report in triplicate within 15 days

Report should include

• Est -87• Est -82• Supervisory work hours statement• Detailed analysis report suggesting for– Augmentation– Reduction– Revision of working hours– Rate of handling of mails
