Email Greeting Hello! Welcome to your new official Villoux Server System email. Allow this message to introduce you to the functionality of your new email, and some email protocol. In order to access your email, you will refer to the System Hosting Channel’s channel description on Villoux’s TeamSpeak server. The email host is Zoho, so you will click on the link in the channel description for Zoho. Once there, you will enter your email, <EMAIL> and the password you gave me. If you would ever like to change your password or forget your password, please contact me and I will be happy to assist you. The first thing you will want to do is set your email’s name so that people know who is contacting them. Click the “Settings” gear in the upper-right corner of the screen. You will select the “Personalize” tab from the menu, then select “Signature”. Click the “Add a new Signature” box that will appear. In the “Signature Name” blank, type your username. In the body blank, you will type your signature using the Villoux formula: Username Position Villoux Server System For example, Dr. Baskerville’s signature would read as follows: Dr. Baskerville Chief of Staff Villoux Server System In addition to this, a confidentiality notice should be posted three lines under the signature. The notice should read as follows: CONFIDENTIALITY NOTICE: This e- mail transmission (and/or the attachments accompanying it) may contain confidential information constituting the protected intellectual property of the sender or the system they represent. The contents of this email may not be discussed or redistributed to parties other than those in the original email chain, unless granted approval by the Villoux Chief of Staff. In accordance with the Villoux Bill of Ordinances, failure to comply with this notice may result in charges ranging from “Distribution of Private Information” to “Treason” based on the severity of the matter. After typing the signature and confidentiality notice, select the “F” drop down menu and select Times New Roman font. Next to the “F”, select the number drop down menu and set the number to 12. If you wish to add any additional notes before the signature such as “Thanks”, “Sincerely”, “Yours”, etc., please feel free, but refrain from

adding any images or text other than a generic parting. Now, check the “When replying/forwarding, place this signature” box. We are now ready to click “Save” to finalize our changes, but before you leave that page hover over the new signature box and click the placement icon (the icon to the left of the pencil icon) so that the line is at the bottom of it. You have now set your signature!

While we are still in Settings, go to “My Preferences” and select “Compose”. In the “Default Font When Composing” menu, select the font Times New Roman.

We are now ready to leave the Settings and set your profile. To do this, click on

the profile picture icon on the upper-far right of the screen. Please note that this is not the “Stream” icon. Select “MyAccount” and a new page will load. Click “My Profile Info”, set your “Full Name” as your username with a capital first letter, and change your time zone to the appropriate one. Remember to hit save before exiting that window.

There are several other specific settings you can set or tweak, so feel free to experiment with them to your heart’s content! I recommend that you begin gathering emails, specifically members of your staff, and store them in the “Address Books” section.

With all of those settings set properly, you are now ready to use your Villoux email! Each week the TeamSpeak Operation Department mails an “Operation Newsletter” depicting administrational concerns and information for the upcoming week. Additionally, the System Press Department mails a “Press Newsletter” with requests for each of its subscribers to advertise for the department. Finally, your email should serve as a means of offline communication between you and everyone in your department. Teams and guilds should be able to email you with requests for channels, users should be able to email about interest in tournaments, potential staff should be able to email about arranging interviews, and current staff should be able to email with questions, comments, or concerns regarding their position. Because of this, I ask that you please check your email frequently and at the very least weekly. If you need any further assistance in operating your email, please do not hesitate to contact me.
