Document Processing Common Scenarios and Challenges

Output Document Processing Scenarios Common Examples
Many processes create output documents, common examples of required output documents
include:
Distribution and warehousing: including invoices, shipping documents, hazardous material statements, content
and weight information, truck driver ready documents, etc…
Order processing: order copies, shipping information, email of tracker numbers, order confirmation emails/texts,
terms and conditions, user manuals.
Customer service: billing statements, customer response to complaints, service tickets, phone calls, customer
statements.
Marketing: campaign execution documents (letters, email, texts).
Production planning: production orders, how-to-build instructions, user manuals, plant procedures.

Output Document Processing: Common Challenges
Distribution and warehousing drivers wait for missing documents.
Need to go to IT to re-print, could take up to 30 minutes.
Manual time spent collating documents from multiple sources for one
output. E.g., terms and conditions from legal with invoice from ERP
with instruction manual from documentation system and pictures for
digital asset storage
Need to vary output using different logos / branding and different
languages

Output Document Processing: Common Challenges
Once output documents are created they need to be stored
and archived with all other content for the business process.
Administration of many output / print templates for scenarios.
Any customized wording, change in output must come
from IT and template designer.
Invoice is just an invoice, not used to drive additional revenue
or linked to marketing or other opportunities. (How much
would your vendors pay to talk directly to your end customers
in a targeted manner?)
Application server cores consumed by requirements for high-
volume printing.
Where is that text we
sent the customer last
month?

1. Understand typical use scenarios
Distribution
and Logistics
Sales, Marketing, Customer
Service and Billing
Production and
Work Orders
Reduce labor costs by eliminating the
manual effort currently required to print,
burst, sort, and compile fulfillment and
shipment documents
Improve customer communication by
supporting new billing methods with
personalized billing and correspondence
Improve productivity by streamlining
production,
hand-over, operations and maintenance
processes
Mitigate risk by eliminating lost, incomplete,
misfiled and inaccurate paperwork
Streamline the bill-to-cash process by
automating the bill generation and
distribution process
Improve safety by integrating SAP data with
comprehensive equipment safety and
handling information
Increase customer satisfaction by
providing proactive and comprehensive
information
Increase customer satisfaction and
reduce customer service cost by
increasing communication efficiencies
Reduce cost by optimizing the distribution
of consolidated production and work orders
when and where they are needed

2. Understand comparison to Adobe
Use Adobe forms when:
Part of business process where you need to fill in the form and receive information back
– Examples: Send form to request quote back, Send expense form to job applicants, send return form to customer, tax return, approval processes, need form processing as part of BPM / workflow process
Form only requires SAP data (no multi-channel input)
Offline forms processing
– Examples: timesheet, offline expense
IT department ‘owns’ the form and executes all changes to the form
– Workflow/BPM developer creates form as UI for the business process
Use SAP Document Presentment when:
Communication goes out to customer, stakeholder in a very personalized way
– Examples: Order confirmation with upsell specific to that order, personalized billing statement
Requirement for collating, sorting, grouping
– Examples: Many documents required for truck driver in certain order - hazardous material disclosure must be on top
Business users ‘own’ form and customize ‘white space’ on form
– IT provides general template, business users customize the template, including rules for form content
High volume printing (millions..fast)
Complex layout with business graphics and mixed languages

3. Join Document Presentment SIG in ASUG
If your company has an Americas office, hopefully they are a member of ASUG! There is a
Document Presentment SIG currently within the Utilities group. This SIG has lots of customer
presentations and information on SAP Document Presentment.

4. If you are already an OpenText customer, use Knowledge Center
https://knowledge.opentext.com
Detailed OpenText information is not on SCN, you need to use the OpenText Knowledge Center.
It is similar to SAP’s SCN, but you must be an OpenText customer to use the knowledge center.
