❖ Individual Providers can edit a timesheet before the E-

Timesheet due date to make changes. The Edit button is not

available when payroll is processing, however, you can adjust

your timesheet after the timesheet has been paid.

❖ Timesheet Edits/Adjustments can only be made using the

online portal. Individual Providers with no access to the

internet will have to contact the call center to make any

changes to submitted timesheets. If multiple paper timesheets

are sent for the same client/pay period, only the timesheet

received first will be processed.

Important Information Before Making Edits• Only unpaid timesheets in Approved, In Process, or Pending status can be edited on the Provider One

website – Denied timesheets must be recreated.

• The date that you edit your timesheet will be the new submission date.

• Be aware of the date you are editing. A delayed payment could happen if you edit your timesheet after

the deadline date (3rd or 18th ).

• If you see the following error message, you must wait until after payroll (please see the adjustment section later in this PPT).

• You cannot edit a timesheet if it has been Denied; you will have to create a new timesheet instead.

How to Edit Timesheets

Follow the steps in order to edit your timesheet:

1. Log into IPOne using your IP login and password.

2. Click the Timesheets menu to open Search Timesheet.

The page will default to

Unpaid. Click on this drop-

3. Find the timesheet you want to edit from the list provided with the Timesheet status: Unpaid.

4. Click the Edit button on the timesheet that needs editing.

5. Make the changes as you would submit a new timesheet, and then proceed by signing and submitting the timesheet the same way as shown in the previous “How to Submit a Timesheet” section.

Important Information Before Making Adjustments

• Adjusting a timesheet allows you to add to or remove units from a timesheet that has already been Paid.

• When adjusting a timesheet, you want to make sure that the hours/units you are claiming reflect the total number of hours you worked during that pay period. Your timesheet, whether adjusted or not, is a complete picture of your work week and the hours worked during the pay period.

• Any adjustment where Paid hours are removed may result in the creation of an overpayment.

• When adding an additional service to a day where hours of a different service have already been paid, you should ensure that the original service/hours are not removed (example: adjusting a paid timesheet to add training hours on top of Personal Care service hours).

• Removal of the original paid hours in your adjustment will signify that you have not in fact worked those original hours and may result in the creation of an overpayment.

How to Adjust a Timesheet

4. Click on the Adjust button to adjust the desired timesheet. Please makes sure that you

double check the appropriate timesheet to adjust by confirming the pay period.

5. The screen below is the Adjust Timesheet Screen where you can make changes

to the service code, and/or the units claimed on each day.

The information in gray

is the original claim. The

drop-down options are the items you can adjust

6. Fill in the drop-down options for the service code.

7. When finished, click Next.

8. The next screen will be your completed timesheet that displays the hours,

units, or service codes claimed, along with the corresponding tasks.

NOTE: The line items seen below show both the Original and Adjusted

hours claimed and will show the new entry for each service code.

How to Adjust a Timesheet

• If you agree, then check the box to agree to the corrected entries and click the Submit button. Please note:

You cannot submit an edit/adjustment without checking the box and agreeing to the timesheet attestation

above.

• If you do not agree, do not check the box to agree to the corrected entries and do not hit the Submit button .

You can click on the ‘Timesheets’ menu in order to return to the home screen.

Attestation Text: “By signing this timesheet, I am certifying that: I provided the service identified in the header of this timesheet during all of the hours that I entered on this timesheet; I understand that I am not authorized to be paid for personal care tasks that are not assigned to me on the client’s service plan; the personal care tasks which I indicated as performed on this timesheet were assigned to me and I provided them in accordance with my contract and the client’s service plan; and, all of the information I have provided on this timesheet is true and accurate.”

9. Please read the Attestation below before agreeing to submit or not submit the adjusted timesheet.

How to Adjust a Timesheet

NOTE: The pop-up window will appear whether hours are added or deducted. If your timesheet adjustment will add units/hours/mileage, meaning you initially claimed less hours, units or mileage than you worked/drove, and you are owed more money, you will receive those funds on the next available pay period.

10. After agreeing to the attestation, a pop-up window will appear to ask how you would like to have the change you made applied to your payment:

How to Adjust a TimesheetPlease read the next section thoroughly before you make your selection. You can also call the IPOne Call Center at 1-844-240-1526 if you have questions. While we are unable to advise you on your choice or potential interactions with Office of Financial Recovery (“OFR”), we are happy to help explain this pop-up to you.

Important things to know about agreeing to this statement from OFR:

• Selecting Yes, means that you consent to have the adjustment applied to your next paycheck.

• If the adjustment results in more money being owed to you, you will be paid on the next paycheck.

• If the adjustment results in money being owed to the State, the overpayment will either be deducted from

your next paycheck or you will receive a statement from OFR.

• If the full repayment amount cannot be deducted from your next paycheck, the full amount will be sent to

OFR for recoupment efforts. You will receive a statement from OFR with further instructions.

• Selecting No, means that any overpayment created will be possibly referred to OFR for recoupment . If the

change you made created a payment that is owed to you, you will receive this payment in the next

available payday.

How to Adjust a Timesheet

Example of adjusting hours/adding a service:

An IP wants to add six (6) hours for a different service than they have already been paid for on a certain day. The additional units were earned by completing Continuing Education Training. To do this, the IP needs to open the timesheet for the desired pay period, select Adjust, and click on Add a Service.

The provider then needs to add Continuing Education Training to the second line and the six (6) hours to adjust the timesheet correctly.

How to Adjust a Timesheet

After completing the adjustments and clicking ‘Next’, the following screen will be the completed

timesheet that displays the hours, units, or service codes claimed, along with the corresponding tasks.

Please review before submitting the timesheet.

NOTE: The line items seen below show both the Original and Adjusted

hours claimed and will show the new entry for each service code.
