Finding a Course to Edit

If you don’t know exactly where the course is that you wish to edit, you can search for it via the main

Courses system

To search for a course, visit the main courses page: http://courses.aber.ac.uk/

Start typing the name of the course or the course code in the search box

A list of options will appear as you type – you can select one of these if appropriate or continue

typing and then click the search button.

Alternatively you can browse to the course by looking in the appropriate subject area or letter of the

alphabet.

Editing a Course Go to the course page on the courses database. For example, to edit the course M100 – LLB Law

Degree, you would visit the M100 course page here: http://courses.aber.ac.uk/undergraduate/llb-

law-degree-m100/.

Scroll down to the bottom of the page and click on the ‘Staff Login’ link.

The ‘Secure Login’ pop-up will appear:

Log in with your usual AU username and password.

Once logged in, the screen will change to the editing view – only showing the areas which are

editable. The ‘Logout’, ‘Exit Editor View’ and ‘Admin Panel’ links will appear at the top of the screen:

To edit an area of text, click on it so that the Edit button appears. (If the text is hidden, click on the

heading to expand the section – then click on the text.)

Click ‘Edit’ to begin editing. The editing window will appear:

When you start typing in the editing window, a preview of your draft changes will appear beneath

the editing window, and more options will appear in the menu – Draft, Save (‘Save and Approve’ or

‘Save and Publish’ for Approvers/Publishers), Live.

Make the required changes in the editing window.

When you are finished, check how the changes look by clicking on the Draft button. This allows you

to see the whole draft section as it would appear on the page for a user:

If you need to make more changes, click the Edit button to continue editing.

If you’d like to check how your new draft version compares to the original text, you can click the

‘Compare’ button which should now have appeared. This will show where the changes have been

made by highlighting them in yellow (changed text), red (removed text) or green (added text).

If you’d like to be reminded of what the current live version of the text looks like, you can click the

‘Live’ button to view the current text.

If you need to make more changes, click the Edit button to continue editing.

If you are happy with the changes you have made, click ‘Save’ (or ‘Save and Approve’ / ‘Save and

Publish’) to finish.

The section will be marked as ‘Awaiting Approval’ (unless you are a Publisher) so that it can’t be

edited by anyone else until it has been approved:

To edit another course, return to the main courses page (http://courses.aber.ac.uk/) and find the

next course you wish to edit.

You may find it easier to click on ‘Exit editor view’ so that you get back to the normal view of the

page and can use the breadcrumbs to access the main courses page.

You’ll need to click on Staff Login to enter the editing view again but shouldn’t have to log on again if

it’s soon after editing the last course.

Approval There are 2 steps to the approval process. Changes must be approved by a Department/Institute Approver,

and then given final approval by a Marketing Publisher.

Approval Step 1 – Approvers You will have received an email to let you know that there is a change requiring approval.

Click on the link in the email. You may need to log in.

The draft content will be marked with ‘There is draft content for this course’ so it can easily be seen.

You may also see content marked as ‘There is approved draft content’ – this means that it has

already been approved by you or a colleague and is awaiting final approval by a publisher.

Click on the draft content and the ‘Edit’, ‘Draft’ and ‘Live’ and ‘Save and approve’ buttons will

appear, allowing you to either edit the content, or look at the draft and live versions of the content.

If you click Draft or Live, the ‘Compare’ button will appear:

Use Compare to check the differences between the live and draft versions of the content as

required.

If you need to make an additional edit or correct the edits, click on the Edit button.

When you are happy with the changes, click ‘Save and approve’.

The text will now be displayed and the ‘There is draft content for this course’ notice will be removed.

If you were to view this course again in the editor view, you would see the ‘There is approved draft

content’ notice:

Approval Step 2 – Publishers Log into the Admin Panel (http://www.aber.ac.uk/admin-panel/courses/)

If there are courses awaiting approval by a publisher, you will see an alert – ‘There are courses

waiting to be approved’:

Click on the alert to reveal a list of courses awaiting approval:

Click on the course you wish to approve.

The Course will be displayed, with the draft content marked with ‘There is draft content for this

course’ so it can easily be seen.

If you click Draft or Live, additional buttons will appear – ‘Compare’ and ‘Approve and publish’

When you are happy with the changes, click ‘Approve and publish’. A ‘Publish in progress!’ indicator

will be shown while the course is published. The changes will go live at the next update.

Using the Editor

When editing content for a course you will need to use the content editor. This editor has a number of

formatting options available.

Strong – this makes the text bold.

Emphasis – this makes the text italicised.

Undo – this undoes the previous action.

Redo – this redoes an action which has been undone.

Link – this allows you to create a link on some text in the editor – select the text, click this

button, then enter the link address in the URL box and click Submit to finish.

Unlink – this allows you to remove an existing link in the text – select the link text then click the

Unlink button to unlink it.

Paste from Word – this allows you to paste text from elsewhere (e.g. a Word document, or

another web page) without bringing unnecessary code with the text. Place your mouse in the

location where you want the text to appear and click the Paste from Word button. A window will

appear where you can paste in the text. Click Submit to add the text to the editor.

Preview – this allows you to check how the text looks so far, while you are editing. A window

will appear showing you how the text looks. When you have finished viewing the preview, close the

window and return to the editor to continue working.
