1. Introduction Jharkhand State has moved far ahead in using ICT and providing various services

electronically at the doorstep of the People. It has adopted e-governance and digital

technology in education sector by implementing online system for managing and

monitoring the School education through e-Vidya Vahini. E-Vidya Vahini serve as single

centralized dynamic platform for monitoring of all key parameters to ensure effective

delivery of quality education to all the schools in the state. The software “E-VidyaVahini”

developed for the purpose of Teacher, Student and School Management. It includes

information on individual student, teacher and school. Master data from U-DISE and SDMIS

used as Master Record for school, teacher and students. Application works on both on-line

and off-line mode. Each time the teacher mark their attendance or inspection report; it

sends through Mobile app. Different inspection modules provided for proper monitoring of

school and student. It also tracks the day-to-day monitoring of schools and improvement

taking place in respective schools. Teacher can enter the students’ details including

progression results. The Learning of individual child is also track by the application. It

would help the teacher to monitor the student performance. Aadhaar is also captured

which will help in tracking the student if s/he left or join other school.

1.1 Purpose

This document is for the use of all the stakeholders of e-Vidyavahini application. The

application explains the various functions performed by BRP and CRP officials.

1.2 Getting Started

To start using the application, enter the link (evidyavahini.jharkhand.gov.in) in the browser

to display the following login screen-

Select the user type from the drop down menu. Enter the Authorized user Id and Password in the textbox provided. Solve the math problem in the textbox provided.

Click on Refresh to change the problem. Click on Sign in button.

After signing-in, the authorized user will be re-directed to dashboard screen:

It displays the following components of the application:

o Statistics of School, Teacher, BRP/CRP officials.

o Download Documents (User Manual, FAQ)

o Announcements

o Google Play Store App Install Link and its statistics.

Also, provide the details of teacher attendance, sport test and monitoring records

etc.

Click on Forgot Password in case password forgotten to display the following screen:

Provide the authorized user id in the textbox provided. Tick on Email/SMS where the reset password link will be sent. Click on Submit button

2. BRP/CRP Official Activity The user needs to download the eVidyaVahini mobile app from the Android Play Store. After downloading the app, the user needs to Login through the app by choosing Officer tab in “Login As” tab.

In the side menu bar, there is Change Password option. The user can change the change the password from this link. Enter the old and new password in the textbox provided. Re-enter the new password in the textbox provided. Click on Submit button to save the details.

After Login, the user will be redirected to Dashboard.

1.1 Student Attendance

It facilitates the teacher to update the student attendance in the mobile app. Go to Home-

>Dashboard->Student Attendance to open the page. Choose the student attendance to

update the attendance in the mobile app.

Select the Class from the drop down menu. Enter the attendance data under sections of the Class. Click on Submit Attendance.

1.2 Spot Test

The authorized user can manage the spot test in this module. This function is used to test competency level of 3 students in each school visited by BRP/CRP. By clicking on Download data in the mobile app, the authorized user can download the master data and input data offline. Go to Dashboard->Download Data to view the screen:

The authorized user can click on download data to download the master data and input data offline. Further synchronize the data when switch to online mode.

The user can enter the School UDISE code to verify the school details and download the data.

Select Class, Section from the drop down menu and previous month will be auto-populated in the month field.

Click on Search button. Update the Spot test accordingly. Click on OK button once LTF submitted successfully.

To add the spot test question, enter the school name/UDISE code and search the school.

Choose the School and click on proceed button. Choose any three students to conduct spot test. (One school spot test can be done

for 3 students in the school only). Click on Test button to take the test.

1.3 My Grievances

The Grievance can be managed in the mobile interface. Go to Login->Dashboard->My Grievances to open the page. Click on Post to raise a grievance.

There is a grievance dashboard shows the status of the grievances: o Closed

Resolved/Discarded o Open

Click on action to proceed for grievance resolution Authorized user can Re-open the grievance Click on Action History to view the history for action taken on the grievance.

1.4 Monitoring

The authorized user can manage the monitoring of all the modules with a set of monitoring questionnaire. The user can add master survey by school type and frequency of survey. By clicking on Download data in the mobile app, the authorized user can download the master data and input data offline. Further, goes online to synchronize the updated data. Go to Dashboard->Download Data to view the screen.

A dashboard will display the list of services provided by e-Vidyavahini. The authorized user can click on download data option to download the master

data. The master data can further updated by the authorized user in regular interval. Enter the School Name/UDISE code to search the school.

Monitoring Questionnaire

The authorized user can answer the monitoring questionnaire provided in the app.

Provide the responses for the monitoring questionnaire. Choose the questions listed in the app. Provide the number of students enrolled and their attendance in the textbox

given. Click on Next button All (*) mark represent the mandatory questions. Users can’t skip these

questions.

Geo-Tagging Features

The authorized user can take the monitoring report with a range of 500 m (Geo-Tagging) distance from school only else it will take as remote visit.

1.5 Certification

All School Nomination Sent to CRP/BRP and External Inspector for Verification. If the attendance of school is<60% on the day of first attempt of verification, the school verification process should not be allowed. School should get a notification that the verification will be attempted again in the coming week and the CRP/BRP should have the option of re-attempting the verification on a day in the next week. If CRP/BRP approved the Nomination, then school will provisionally Certified.

When BRP/CRP again revisit the school and the attendance of school is<60%, then the school will be rejected By BRP/CRP. But in case of DEO and External Inspector can reject

the school if the attendance is<60% the first time itself. If CRP/BRP Reject the nomination, then school will be Provisionally Reject and Appeal option appear to school for Appeal.

Verification

The authorized user can proceed for verification by clicking on verification form. It can be used by BRP/CRP officials.

Option to nominate on behalf other school and verify the nominated school for different levels.

Nomination form for schools to be filled for different levels of certification fulfilling the criteria’s.

Current applied nomination and certified level of school.

If CRP/BRP approved Nomination, then school will Provisionally Certified. After approval, the user can view the certification status as “p.certified”. By Clicking on “p.certified”, the user can view the detail screen and the status as provisionally certified.

If CRP/BRP Reject the nomination then school will be Provisionally Reject and Appeal option appear to school for Appeal.

Attendance Reject

In case, the attendance is submitted in Back date / Future Date; then the attendance will be rejected with an error message.

1.6 Notification Inbox

The authorized user can view the notification received in the mobile app. It will display the received messages in the notification inbox. By clicking on a particular message, it will display the details.

A notification message will be displayed in the mobile screen. By clicking on that, it will be navigated to Inbox screen. Further, by clicking on the message, it will give the message details.

The authorized user can view the FAQ by clicking on side menu bar.
