Paying dues can be a scary process, but with this guide, it will be easy. Just follow each step carefully and take your time. Every August or September, each club receives a confidential password. With this password, clubs can update their information and membership roster at www.keyclub.org. 1. To update your club’s information and membership roster, visit www.keyclub.org. There is a link towards the top of the page that says “Dues & Reports.” Click that link, and you will see another page. On that page, there is a link to the “Membership Update Center.” Click that link to enter the next page, where you will then see the link to “The Membership Update Center,” which will take you to the login page. a. The direct link to the Membership Update Center is https://members.portalbuzz.com/Member/User/Login?skin=kiwanis. 2. Log in using the instructions on the first screen. a. This is the part where you need the confidential password that you received in the mail. 3. After logging in, follow the instructions on each screen. a. Update the club advisor information. b. Delete any members from the roster that are no longer a part of the club. c. Update the information for existing members. d. Add new members. 4. Make sure that all membership information has been completed properly. 5. Generate an invoice. 6. Click on the highlighted link in the center of the invoice that reads: “After printing, you must click here to finish the process.” This should be followed by the question: “Did you successfully print your invoice?” 7. Click YES if your invoice printed correctly. Ensure that the invoice printed correctly before clicking yes, because you may not be able to return to the page with the invoice on it. a. If you clicked ‘Yes,” you will see the message: “You have successfully generated an invoice.” i. This step loads the member and advisor information into the membership database. b. If you clicked “No,” the website returns to the beginning so that you can fix any mistakes. 8. Provide payment according to directions on the website. a. Mail your check or money order to the address shown on the invoice. i. Include a copy of the invoice. b. Pay using credit card or PayPal. i. Follow the instructions on the website. ii. Include a copy of the invoice. After generating and printing an invoice, the invoice page is reset to zero so that new members can be added throughout the year. Paying dues can be a scary process, but with this guide, it will be easy. Just follow each step carefully and take your time.

1. To update your club’s information and membership roster, visit www.keyclub.org. Q: How much do dues cost? A: International dues are US$6.50. Each district charges a different amount of dues as well. To view the cost of dues in your district, visit www.keyclub.org/dar/mdcr.aspx.

Q: When do dues become payable? A: October 1.

Q: When are dues due? A: Early Bird dues are due November 1. Regular dues are due December 1.

Q: When will my club become suspended? A: If your club has not paid dues, on February 1, your club becomes suspended.

Q: When will my club become inactive? A: If your club has not paid dues, on October 1 of the next year, your club becomes inactive. This means that you no longer receive any resources from the International Office.

Q: What happens when my club becomes inactive? A: Your club must pay the US$100 reactivation fee along with the membership dues of at least 15 members.

Helpful hint! Attach a note to the payment thatsays you have included the reactivation fee.Otherwise, the money will be taken as adonation.

Q: How much does it cost to charter a new club? A: It costs US$600 to charter a new Key Club at your school. Along with this fee, your club should have 15 paid members.

Q: How many members do I need to start a new Key Club? A: You need 15 paid members to start a new Key Club. However, no more than 50 percent or ½ can graduate in the same year.

Q: Who do I send my dues payment to? A: Send your dues payment and invoice to the Kiwanis International Office.

Helpful hint! Do not send the dues payment toyour district treasurer or secretary-treasurer,because they cannot accept your money.

Alert clubs

Make sure that schools know to expect the letter with the confidential password in it.

This letter often gets thrown away or lost because it seems unimportant, which is a great hindrance in the dues process.

Don’t send cash

Your dues payment should be made in the form of a check or money order or by using a credit card or PayPal.

Don’t send your dues payment to your district treasurer

The only place that accepts the dues payment is the International Office.

Sending your dues payment to your district treasurer slows down the dues process, because they have to send the payment back to you, and you have to start all over again.

Don’t mail a copy of the membership roster with your

dues payment

This is just one extra piece of paper that is unneeded. The International Office already has a copy of your roster

located in the Membership Update Center and database.

Remember to update your roster

Throughout the year, your club will lose and gain members. It’s important that you update your club’s roster accordingly throughout the year.

When adding new members, use the same steps as you did before, and make sure to generate an invoice at the end and mail your payment to Key Club International.
