    1. BEFORE YOU START

    This session provides you with a very practical experience of SAP Master Data Governance. Learn the basic concepts of this application and experience what can be achieved with SAP Master Data Governance's governance processes for master data. (Remark: This session is rather targeted at business people, application consultants, master data management consultants, or workflow consultants. It rather does not address very technical audiences, like for example SAP Basis consultants or portal consultants.) The exercises in this session are built based on a demo scenario in which you are a project manager and you are currently preparing for a larger undertaking of your company that is meant to start beginning of next year. Among many other things, to make your project a success, you want to make absolutely sure that you will be able to purchase a certain material - in our case batteries, needed in large amounts. In order to do so, you will check whether the material master data allows purchasing these batteries in pallets and not just one by one. You will also check whether there is a suiting supplier from which you can actually purchase the material. And you will check whether your cost center is ready to carry the financial posting of the goods receipt. System Access Each group in the workshop has their own identifying number , for example Group 001. This number will be used to distinguish the user ID with which you will log on to the system and the objects that you will handle in the system. During the exercise, you might also see the objects of other groups. Please make sure to only work with your dedicated user ID and with your group's own objects, not to disturb the work of your peer groups. Please log on to the PC. You will use the SAP NetWeaver Business Client (NWBC) in order to access the SAP MDG system. Please start the application from your Windows Start Menu.

    Logon to system M34 (Client: 800) via > Log On > System Selector

    In case needed, the server address is http://lt5082.wdf.sap.corp:51080/nwbc/

    Your group's unique user ID is DMM160 (for example it could be "DMM160001") Your password is welcome

    The first screen that you will see in the NWBC is the Index screen that allows you to access four different roles during the various exercises.

    2. CHAPTER 1- REQUEST THE CHANGE OF A MATERIAL

    Overview

    Estimated time: 30 minutes Objective Get a first impression of SAP MDG. Understand some of the basic concepts (change request, workflow, staging and active data). Exercise Description

    Search for a material and request a change

    Check whether the changes have happened and where

    Process and approve the change request

    Check the data changes In this chapter, you will search for your group's own material. You will then check the available units of measurement and since the material can so far only be handled in single items, you will request to add "pallets" as a new unit. After that you will check whether the change has already happened in the material master or where else. Then you will work on the change request and approve the change. (Remark that this step would normally be done by a different person. For simplicity of the system setup, you will execute all steps of the exercise with the same user ID.) Finally you will again check the material master and see what has happened.

    2.1. Material, Exercise 1 - Find the material and request to add an additional unit of measurement

    In this first exercise, you will search for your material "DMM160" where is your group's number. (For example, your material number could be "DMM160001".) You will then check the available units of measurement and since the material can so far only be handled in single items, you will request to add "pallets" as a new unit. In all exercises, please make sure that you only work on your own objects. Here, please make sure to really pick the material for your group number. We have only prepared exactly one material for each group. In order to do so, go to => Material Governance => Change Requests => Material Processing => Search Material. Find your material and click on the link with the material number. This will launch the display of the material. Start to edit the material, which will initiate an SAP MDG change request. Provide a description for the change request. (This would typically be the reason for your request.) Then add a new unit of measure (one pallet with 72 pieces). Provide a meaningful length, width and height and have the system calculate the volume based on your chosen volume unit. Check the data and submit the change request.

    2.2. Material, Exercise 2 - Check the requested data

    You have just requested the change of your material. In this exercise you will now check whether the change has already happened. In order to do so, please start transaction Display Material Master in the SAP ERP system (available via the menu at => Material Governance => Administration => Display Material Master in SAP ERP). Enter your material number and navigate to the screen Basic Data 1. Then go to => Additional Data => Units of measure and check whether "pallets" is already there. Then go to => Material Governance => Change Requests => Material Processing => Search Material. Find your material and display (a) the material master data and (b) the open MDG Change Request. Explain why there are two versions of data and why your change is not reflected in the material master data yet.

    The system is currently displaying the "active" master data, not the un-approved "staging data" in open change requests. Accordingly the unit of measurement for "pallet" does not exist in the active material master yet.

    12. Back on the search result list,

    click Pending Change Request .

    Now the open change request is displayed, as you can tell by the change request header data.

    2.3. Material, Exercise 3 - Approve the request and check the data

    You will now change your role in this exercise. You are no longer the requestor of the change, but you will now be a master data steward who is in charge to further process this change request. For practical reasons, you will do this under the same User ID. In a real life situation, this would of course be done by a different person. Go to => Material Governance => Change Requests. In that change request inbox, find the right change request to work on. Remark that your role does allow you to work on all change requests of the same change request type, also those that have been submitted by your peers. You will hence see all these change requests in your personal inbox. Please make sure to pick exactly your own change request - the one submitted by your own group's user. Please check the change request. While you do so, you will notice that the gross weight for the new unit is missing. Edit the change request and add the gross weight. After that, have the system check the data in the change request and if no errors are found, approve the change request. Remark that we have set up a simple two step scenario for this first exercise. Of course the process could be much more complicated with many more participants. In particular, you can avoid that people approving the change request are able to change data by themselves. This could for example enforce a strict two-man-rule. After the change request has been approved, please check the master data again in the material master transaction in SAP ERP.

    2. Click on your change request. Attention: Make sure to pick the right change request, created by your own user. Also all other Change Requests created by your peers will appear in this list, since all of you are potential processors of these types of change requests.

    Please double-check that you have the right change request related to your own material. Else close this tab and pick the right one.

    3. Select the new unit which is marked in yellow to indicate it has been changed.

    4. Since you notice that no gross weight has been given for the new pallet, click Edit in order to add this.

    5. Enter 2316 in the Gross Weight box. 6. Enter LB in the Gross Weight Unit box. Confirm your entry by pressing the Enter key.

    7. Click Check.

    8. If no errors are found, click Activate.

    9. Refresh the list of pending change requests.

    After refreshing the list of change requests to be processed, your change request will be gone. (There might still be change requests created by other users. Please do not work on those.)

    3. CHAPTER 2 - REQUEST THE CREATION OF A NEW SUPPLIER

    Overview

    Estimated time: 40 minutes Objective Experience how different people in different roles interact with SAP MDG. Understand how you can tailor SAP MDG for a very role-specific appearance. Exercise Description

    Search for a supplier and as you do not find them, request a new one

    Be a master data specialist and add very specific accounting and purchasing attributes

    Approve the request and check the data In this chapter, you will again search for suiting master data. In this case you are looking for a local supplier who can provide your batteries on pallets. You already know the company and since you do not find them in the supplier master data, you will request to have new master data created. After that, you will again change your personality. You will be five different people now.

    1. You will first be master data steward that decides whether a new supplier shall be created at all and for which company codes and purchasing organizations this shall be done.

    2. Then you will be an accounting specialist who adds accounting attributes to the new supplier for the requested company code.

    3. Then you will be a master data steward in charge for correct accounting data who will check and approve the data for a company code. This is to enforce a two-man rule for all changes.

    4. Then you will be a purchasing specialist who adds those attributes. 5. And finally you will be a master data steward supervising that the master data attributes are

    always correct for a purchasing organization, and who will approve that data section. After all these workflow steps and approvals the data will be activated and you can check the status of your change request. (Again, for simplicity reasons, you will execute all steps of the exercise with the same user ID.)

    3.1. Supplier, Exercise 1 - Search for a supplier and request a new one

    In this first exercise of the second chapter, you will search for the company that you know can supply your batteries on pallets. Each exercise group will again have their own master data. The name of your company is "Battery Corporation " where again is your group's number. (For example your company's name could be "Battery Corporation 001".) For your first tasks you will use the simple menu structure under "Supplier Request". Please search for this company via its name. Since you will not find the supplier master data, you need to start creating a new supplier. You will do so using a simplified SAP MDG Change Request Type called "Create ERP-Vendor (Lean Request)". (Remark: The concept of change request types allows companies to have multiple different processes for the same master data object - like a supplier - for different purposes. For example, one process could start with a very lean user interface for non-experts in the company, and then involve multiple experts to add the rest of the data, plus an approval step. Another process for experts could start with a full user interface that allows entering all attributes in the very first step, followed directly by the final approval step.) Please fill in a reason (description) for the change request. You will notice that the system has already transferred the search attributes that you provided in the search screen into the corresponding fields in the change request form for your convenience. Please add a valid address for the company and if the system check does not find any errors, please submit the change request.

    13. Click Accept Validated Address to use the address proposed by the system.

    If you entered a valid address in the USA, the system will automatically derive the District and the Tax Jurisdiction Code. 14. Click Check.

    15. If there are no errors found, click Submit.

    3.2. Supplier, Exercise 2 - Add accounting and purchasing data and approve it

    The purpose of this second exercise of this chapter is for you to get a feeling how flexible the user interface can be adapted for the various people working with SAP MDG and even on the same change request. You will be five different master data specialists or stewards in this exercise. Please use the role Supplier Governance on the NetWeaver Business Client Index page for all personas in this exercise. You now first are a master data steward who is a gatekeeper for supplier master data. You decide whether a new supplier shall be created at all and for which company codes and purchasing organizations this shall be done. In order to do so, go to your Change Request inbox and open the change request that you have just created in the last exercise. (Please be aware that you will see all the change requests created by your peer groups. Please make sure to really select your own change request. Check the number and the name of the requestor.) Please add a new purchasing organization (0001) and a new company code (0001) to the supplier. You will just trigger that the data for these organizational level shall be maintained. Leave the detailed maintenance of all the necessary attributes to later processors - the master data experts. Check the data and Finalize Processing. You will notice that this master data steward can access much more data in the specific rich user interface configured for that role. The workflow for this example splits into two sub-workflows at this point. You will hence see two separate items in your inbox. Your second role is that of an accounting specialist who adds accounting attributes to the new supplier for the requested company code. Go to the Change Request inbox and open the right work item to Process the Company Code Data for your Change Request. (Please select you own items.) You may edit as many attributes as you like, but at least maintain a Reconciliation Account and a Planning Group. Then check the data and Finalize Processing. As you will see, the user interface configured for this role only offers the accounting attributes of the supplier master data. Now you are a master data steward in charge for correct accounting data who checks and approves the data for a company code. This is to enforce a two-man rule for all changes. Go to the Change Request inbox and open the right work item to Approve the Company Code Data for your Change Request. Check the data and Approve the changes. In the user interface for this role, please remark how you can spot the actual changes with the help of colored fields. (If you even want to see who changed what and when, there are Change Documents that provide full details on all attribute changes.) Your forth role is that of a purchasing specialist. You will add the purchasing-specific attributes to the supplier master data. Go to the Change Request inbox and open the right work item to Process the Purchasing Organization Data for your Change Request. You may edit as many attributes as you like, but at least maintain an Order Currency and Terms of Payment. Then check the data and Finalize Processing. This role has yet another user interface configuration, ideal for purchasing specialists. In your final role, you are now a master data steward supervising that the master data attributes are always correct for a purchasing organization, and who approves this data. Go to the Change Request inbox and open the right work item to Approve the Purchasing Organization Data for your Change Request. Check the data and Approve the changes. In the background the two sub-workflows re-unite and an automatic background step will activate the data. Please get back into your role as the requestor of the supplier creation and check the status of Your Change Request under Supplier Request.

    You should now see two different work items. The workflow for this change request has been split into two sub-workflows. One is for completing the accounting data, one for the purchasing organization data. This would typically be done by two different people. You will do both tasks under the same user ID. This is why you see both tasks in your inbox. (Again make sure to only work on your own change request. You will also see all the others.)

    16. The order in which the items are processed is not important. In this exercise we will first click on the item for company code data.

    17. Scroll down and click Edit at the Company Code: Accounting Information section.

    18. Click the Value Help to select a Reconciliation Account.

    19. Simply select the first entry.

    20. Click the Value Help to select a Planning Group.

    21. Simply select the first entry again.

    22. For this exercise, you may leave all other fields as they are. Click Check at the top of the screen.

    23. If there are no errors, click Finalize Processing.

    24. Click Close Tab .

    25. Click Refresh to update your change request inbox.

    You will now see that the sub-workflow for accounting data has changed from "process" to "approve". 26. Click the item that is to be approved. (Make sure you do not pick other groups' items.)

    30. Again, Refresh your change request inbox.

    As you will see, the approved item is gone from your inbox since it does not require further processing by you. 31. Now, process the item for purchasing data by clicking it. (Your own item, not the other group's items.)

    32. Scroll down to the section Purchasing Organization: Conditions and click Edit.

    33. Enter USD in the Order Currency box. 34. Click the Value Help to select Terms of Payment.

    35. Select the first entry.

    37. If no errors are found, click Finalize Processing.

    39. Refresh your change request inbox.

    40. Click the purchasing data item that has now transferred to status Approved. (Your own item, not the other group's items.)

    As you will see, all approved item for this change request are gone from your inbox since the complete change request does not require further processing by you.

    45. You are now moving back into the role of the requestor. Click Supplier Request > My Change Requests.

    46. Please check the change request that you have initiated. If it is in the status Final Check Approved, you may open it by clicking the change request number. (Remark: After both sub-workflows have been approved, the workflow is re-joining and an automatic workflow step is activating the change request in the background. It may take up to several minutes until the change request is activated.)

    47. Scroll down to check whether the data has been maintained correctly.

    4. CHAPTER 3 - REQUEST FUTURE CHANGES TO A COST CENTER

    Overview

    Estimated time: 30 minutes Objective Understand the concept of Editions in SAP MDG that will help you to plan future changes and provide validity periods for master data. Exercise Description

    Search for your cost center and request to change the responsible person for next year

    Compare the validity periods for your cost center and approve the change request

    Learn which other validity periods are possible for change requests based on existing Editions In this chapter you will request a future change to a cost center. You will use an Edition in order to set the validity date for your intended change. You will then examine the different data sets that exist for different validity periods. As a master data specialist or steward you will finalize and approve the request, which creates two sets of "active" data - valid at different times. After that you will initiate additional changes to better understand how Editions and data already existing different validity periods determine the potential validity dates for additional changes.

    4.1. Cost Center, Exercise 1 - Check your cost center and change the person responsible

    In this first exercise of the third chapter, you will search for the cost center that will carry the costs for your upcoming project. Again, each exercise group will again have their own master data. The name

    of your cost center is "CC DMM160" where again is your group's number. (For example it could be "CC DMM160001".) Please use the menu structure under "Financial Controlling Governance". Please search for the cost center via its name - not via the field Cost Center that carries the ID / number. (Remark that you will only find exactly one entry for your cost center in the search result list. This is because there are currently no time slices created for different versions of your cost center via Editions.) Open the cost center in display mode and check the data. As you will notice, you are not the User Responsible for this cost center. You want to change this as of January first next year. Else, you would not be able to approve financial postings to that cost center as soon as your project starts.

    Change the User Responsible to your own user ID ("DMM160") and change the Person Responsible by entering any fictitious name. Pick an Edition that will ensure that the change will become effective January 1st next year. Submit the change request after providing a reason in the description field and if the system check does not find any errors. Search for the cost center again and compare the active data for this year versus the requested changes for next year.

    1. Click Financial Controlling Governance > Overview > Home.

    2. Click Financial Controlling Governance > Search > Cost Center.

    3. Enter your group's cost center name CC DMM160- into the Name box. 4. Click Search.

    Remark: Mind that there is only one line displaying your cost center for the full validity period since its creation. 5. Click the ID of your cost center in order to open it.

    6. As you would like to change the User Responsible, click Edit at the Cost Center Details section.

    7. Use the field value help to select an existing Edition.

    8. Select the Edition that is valid from January next year.

    9. Click OK.

    10. Fill the Description field with a reason for your request. 11. Scroll down to Cost Center Details.

    12. Enter your group's User ID DMM160- into the User Responsible field. 13. Enter any fictitious name in the Person Responsible field. 14. Click Check.

    15. If no errors are found, click Submit.

    16. Click Close Tab .

    17. Search for your cost center again, or just refresh the Result List if still open.

    Remark: Now you see two lines for your cost center, each representing a different validity period and carrying the then valid master data attributes. 18. Click the Cost Center ID in the line that represents the current validity period.

    As you selected the current validity period, the data presented here is still unchanged since you requested that the change shall happen in the future. 19. Click the date that indicates the next pending change.

    20. This has brought you to the not yet approved change request. Scroll down to see the information on the Responsible User and Person.

    As you will notice, the system now displays the pending changes for the Responsible User and Person. The validity is from the start date of the selected Edition until the next pending change. In this case the validity is unrestricted at the end date, as there is currently no change planned later than this one here.

    4.2. Cost Center, Exercise 2 - Approve the request and experiment with time slices

    You will now again change your role: you will first be a master data specialist finalizing the data maintenance if necessary and then a master data steward who is in charge to approve or reject the requested change. Again, for practical reasons, you will do all this under the same User ID. Go to => Financial Controlling Governance => Change Requests => Change Requests. In that change request inbox, find your change request and open it. (Remark: You can of course also search for your cost center and then open the change request by clicking the symbol representing pending changes.) Please check and finalize and then approve the change request. Then search for your cost center again and explain what you see in the result list. You may now try to start some additional changes on the same cost center in order to better understand the concept of Editions and time slices. First, open the current version of cost center data and click Edit. Which Editions are offered for this change? Why? Do not submit but discard your changes. Then, open the future version of cost center data and click Edit. Which Editions are offered this time? Why?

    Let's now try to understand how the system works with respect to allowed validity periods for intended changes. 14. First, open the data for the current validity period by clicking the cost center ID in the respective row.

    As you might have noticed, the system did not ask you to provide an Edition. That is, you cannot chose by when this change would become valid. Instead the system automatically selected the currently valid Edition. The reason for this is that there is already a next change planned for January 1st next year, and the data set that you were just displaying was valid from January this year. Since there is no other Edition in the system starting after January 1st this year and before January 1st next year, the system automatically selects the only possible Edition.

    If you would want to change the cost center in between, you would first have to create a new Edition - starting after the current one and (implicitly) ending before the next. Editions are typically managed centrally for a company. For example your company might only want to allow creation of new cost centers at the start of a fiscal quarter, because every new cost center needs to be included in all relevant assessment cycles for automatic postings between cost centers.

    16. Cancel the creation of this change request.

    17. Now, open the data for the future validity period by clicking the cost center ID in the respective row.

    18. Click Edit.

    The system offers you all possible Editions. It does not offer Editions that start before the validity period of the current data set. But it offers to change the data at the same validity date that was chosen before. It also provides all Editions that start later. Choosing one of those would create a third validity period for your cost center. You would hence then see three lines for your cost center in the search result list.

    5. CLOSING REMARKS

    We hope that you have enjoyed the session. The purpose was to provide you with a very practical experience of SAP Master Data Governance. You should now have understood the basic concepts of this application and have a first idea what can be achieved with SAP Master Data Governance's governance processes for master data. In particular, we discussed why SAP MDG offers much more for a governed master data maintenance process that the standard master data transactions in SAP ERP. We talked about the flexible workflow and how data is kept in staging and separate from productive master data until the final approval. We have covered several master data domains. In standard, SAP MDG covers several Financial master data (like cost centers, profit centers, accounts and charts of accounts, cost elements, and their hierarchies), material, customer, and supplier. In addition to that SAP MDG provides a flexible framework that allows defining own master data objects, user interfaces and processes. We also discussed how easy it is for users to work with SAP MDG. Workflow items inform users when they need to take action. HTML-based user interfaces can be configured to the needs of different people in different roles and at different steps of the change request process. By hiding all unnecessary complexity from the users, this can become so easy that it removes the need to offer additional forms in a company for requests for new master data. If instead you provide this via a lean UI configuration in SAP MDG, you avoid breaches in the process and the data flow. We saw how well SAP MDG integrates with the business logic in SAP Business Suite, for example through built-in value help and validation. This allows providing master data always in the requested quality, but SAP MDG's open architecture also provides the flexibility to cover all master data in an Enterprise. We did not talk about data distribution in particular, but SAP MDG can of course provide master data to every system in a company's heterogeneous landscape. SAP MDG also provides an audit trail and full transparency of all master data changes. We saw how changed attributes are highlighted for more efficient processing and approval, and how change documents and workflow logs provide evidence who changed or approved what and when. Via the definition of appropriate roles and workflows, you can also enforce strict two-man rules for critical master data. We hope this session helped you to better understand how and where SAP MDG can help you when implementing a master data strategy in your organization.
