This service project will benefit the UUMAN community, because it will improve the frontal appearance of the church, attracting more visitors, offer a safe environment for

meditation and prayer, be cherished by the UUMAN community, and stand as a memorial for deceased members of the church.

I plan to clear the land in the front of the Unitarian Universalist Metro Atlanta North (UUMAN) congregation, and make a meditation garden with a path and a few accessories such as benches, a sundial, stepping stones, an explanatory plaque, and

stone pavers

Project Details

Present Condition

The present condition of the front yard of the UUMAN church is very rugged and an eye-

sore. This handicap prevents the church from attracting new members and is an embarrassment to current members. The land is rugged with an inconsistent placement of mulch and an expanse of weed growth. In addition, there are a couple of randomly and

non-ideally placed plants such as tulip bulbs, and liriope. Also, there is a large cypress tree that just does not fit and it blocks the church sign from the road. For Pictures, please

see Appendix 1.

Step-by-Step Instructions

Step 1 Obtaining Volunteers – (see Helpers/Workers)

Step 2 Fundraiser and Publicizing for the Project

This step will be assigned to the Fundraiser Patrol and is detailed in the Financial

Plan.

Step 3 Land Clearing. Completed by the Land Clearing Patrol.

Land Clearing Patrol job description:

1. Apply Round-Up weed killer to the UUMAN front yard two weeks before planting is done but only to areas where there are obviously weeds and 5 ft away

from any tulips.

2. Arrive at the work site and sign-into the Volunteer Work Log (Appendix 13) and

provide emergency contact information.

3. The Quartermaster Patrol has prepared all the materials, plants, and garden accessories.

4. The Land Prep Team will remove all weeds that may have survived the weed killer and unwanted shrubs (that interfere with the landscape plan) from the yard.

5. The Tree Cutting Team will cut down the large cypress Tree (with chainsaw) in the front (location in pre-project pictures Appendix 2) by roping off a circle with a radius equal to the height of the tree (15 ft) and cutting a v-notch facing the

parking lot, with the intent to have the timber land in the parking lot to be divided up and transported to the compost area (Appendix 1).Only the saw operator,

wearing eye protection and gloves, is allowed in the area during the cutting operation

6. The Stump Removal Team will remove cypress stump by digging and prying

(with shovels/pickaxes out the roots around the stump and cutting the thicker roots with a root saw.

7. After the tree is cut down, the Tulip Removal Team will relocate and organize tulips in a semi-circle around the corner of the sanctuary porch with a softball sized whole, and the plant pointed up. At the same time, the Hedge Trimming

Team will be trimming hedges.

8. The Tilling Team will till the soil once the weeds have been removed with shovels

and hoes to loosen it up for planting.

9. Spread 2-3”, measured with a ruler, of mulch across the entire yard.

10. Transport the garden waste, tree, weeds, and hedge trimmings to the compost area

at the back of UUMAN.

11. Be sure the historian takes your group picture before you leave.

12. Historian takes pictures of the work in progress and makes sure all the volunteers sign-out of the Volunteer Work Log to track their time.

Step 4 Purchases and preparation.

While the Landscape Clearing Patrol is executing their plan, the quartermaster patrol will go to the stores and purchase the materials and supplies and transport them to UUMAN.

Quartermaster Job Description: Purchase the plants and other materials.

1. Review the shopping list for materials and supplies.

2. Arrive at the work site and sign-into the Volunteer Work Log (Appendix 13) and

provide emergency contact information

3. Purchase materials and supplies at the locations determined by the Communication Patrol.

4. Be sure to safely transport all materials to work-site without damaging any plants

5. Save all the receipts for the Communication Patrol.

6. Coordinate tool-usage and make sure that needed quantities of tools are accessible from volunteers or purchased if necessary.

7. Take pictures of the work in progress and be sure to log all the volunteer names

and times in the log sheets in Appendix 13.

8. Be sure to have tool donors complete the sign-in sheet, saying what tools they

brought, so they can be returned if they forget them.

9. Organize and bring lunch for volunteers.

10. Have everyone sign-out of the Volunteer Work Log to record their time spent on

project.

Step 5 Planting. Completed by the Planting Patrol.

Planting Patrol job description: The Planting, Masons and Accessories Teams will be operating simultaneously.

1. Arrive at the work site and sign-in to the volunteer work log and provide emergency contact information.

2. (Planting Team) All plants will be put in the appropriate locations using the landscape blue-print as a guide. Once all plants are put in there approximate areas, the project leader will examine the layout and determine if any altercations are

necessary.

3. Holes, large enough to contain each plant (1.5 times the rootball), will be dug next

to the plants and 1 scoop of miracle grow will be spread in each hole.

4. Have the project leader check to make sure plants are planted correctly and in the planned location.

5. Each plant should be level with the ground once inserted.

6. All of the holes will be filled and the plants will be watered, in order to bind to the

soil.

7. (Masons team) Install stepping stones and pavers by digging the width of the each stone so that they will not be elevated from the ground. Place stepping stones two

feet away from each other, and leave only a few inches between each paver.

8. (Accessories team) Place the benches in the designated areas according to the

landscape plan. If any of the benches do not sit level on the ground, dirt should be put under elevated legs to provide a level foundation for them to sit on.

9. Dig a 12” diameter by 16” deep post hole for the sundial, where the sundial is

specified on the landscape plan, and place it in. Once the sundial is submerged one foot, the brace and level technique will be used to level the post. First the post

will be set level, using a water level to ensure this. Next, a 2”x4” will be temporarily nailed diagonally to the post to preserve its position. Once the level is checked again, another 2”x4” will be temporarily nailed in the next face of the

post, to stabilize it. Pour concrete into hole up to 2 inches from the top and fill the remaining 2 inches with dirt. Be sure that by the time the cement dries, the

sundial will stand straight up and not be crooked.

10. Dig a 12” diameter by 16” deep post hole for the explanatory sign/plaque, where the sign is specified on the landscape plan, and place it in. Once the sign post is

submerged one foot, the brace and level technique will be used to level the post. First the post will be set level, using a water level to ensure this. Next, a 2”x4”

will be temporarily nailed diagonally to the post to preserve its position. Once the level is checked again, another 2”x4” will be temporarily nailed in the next face of the post, to stabilize it. Insert wet cement until the hole is filled up to within 2

inches of the top and fill the rest of the hole with dirt. Be sure that by the time the cement dries, the sign will stand straight up and not be crooked.

11. Excess dirt from hole digging activity will be placed in the compost area

12. All the tools will be placed in a designated tool area when not in use.

13. Be sure to have your team photo taken with your storage unit before you leave.

14. Be sure to sign out of the work log so everyone knows you have left the church

15. All tools are to be returned to the tool area before leaving and volunteers must

check out their tools once they plan to leave.

16. The sidewalk will be cleaned of any dirt, mulch bags, with other trash swept up or thrown away.

17. All plants will receive sufficient watering before the workday is over

18. Lunch will be provided for volunteers.

Step 6 Post Planting. Watering - Completed by the Watering Patrol.

1. This patrol will water the newly planted plants once planting is completed.

2. Sign-up will be available at UUMAN (Appendix 8)

3. Each volunteer will be given instructions on how much water each plant needs, as

it will vary from plant to plant.(Appendix 8)

I estimate I will need about $1,500 to complete the project. The Fundraiser Patrol will be responsible for helping me with fundraising and keeping track of our treasury.

Fundraising will consist of getting corporate donations and discounts for materials, getting donations from members of UUMAN and their families and from members of troop 1459. Note: To make up for limited time, some materials may be purchased initially

with my personal funds and extra fundraising will occur after the project has been completed, if necessary, to repay myself. Refer to Appendix 14 for donation requests and

Appendix 11 for the “List of Donors.” A sample donation receipt is provided in Appendix 14 that states the donation is tax deductible per (IRS 501(c) 3). After a donation is logged, a tax receipt will be filled out and given to them.

All donations $5.00 or greater will be logged on Appendix 11 by the project treasurer. All donations under $5.00 will be logged as one sum on appendix 11.

*Checks will be made out to “Dillon Langston”. Any extra funding will go to UUMAN .

Plan A. Corporate Donations

The Fundraiser Patrol will work with me to first try to get material donations or discounts from The Twin Branch Nursery, Lowes, and Home Depot. Once I have this project

approved, I will contact The Twin Branch Nursery, Home Depot, and Lowes in person ask for an appointment to see who is authorized to approve a discount or donation. I will

then meet with them in person in full Class A uniform and explain my project and provide them a copy of my project workbook and ask them for a donation or discount. I will authorize the project quartermaster to purchase the materials from whoever offers the

better savings.

Plan B. Donation Collection at Unitarian Universalist Metro Atlanta

North

I will attend a UUMAN board meeting to explain my project and ask for a donation to

support the project, and gain approval to ask for donations after a church service.

Dillon Langston 16 Eagle Scout Project

The plan is to have set up a table with an explanatory poster board, made by the fundraiser patrol, containing my landscape diagram, a copy of my project document, a

donation bucket, and all of my signup sheets for two Sundays after a UUMAN church service. The fundraiser patrol will accompany me at the table and help me log donations.

In addition I will wear my class A uniform (as will any fellow scouts) and answer any questions potential donors may have.

Plan C. Social Networking

I will seek financial donations and recruit volunteers by sending out emails to UUMAN members, members of Troop 1459, and friends/family. No more than 25% of the total

cost of the project will come from the sum of family donations. I will also request some form of discount from The Home Depot, Twin Branch Nursery, and Lowe’s, using a Donation Request Guide, for reference. For more information on emails that will be sent

Schedule

1. Day 1

Kick-off Meeting with troop and Communications Patrol.

a. Once the project is approved, I will talk at a troop meeting to let my troop know I

will be starting my Eagle Project and that I will be completing it using a patrol system.

b. I will explain the jobs for the different patrols and ask people to sign-up for different patrols.

c. Once I have the Communications Patrol volunteers, they will get a copy of my

workbook and take over communication for my project. d. They will start with the fundraising events. To make up for limited time, some

materials may be purchased initially with my personal funds and extra fundraising will occur after the project has been completed, if necessary, to repay myself.

e. Spray round-up weed killer on obvious weeds at UUMAN Work Day 9:00 AM

- 5:00 PM

2. Days 3,4

Fundraising.

a. The Communication Patrol will contact Lowes, Home Depot, and the Twin Branch Nursery, to schedule meetings with each store manager to ask for

discounts on materials

i. Week 2 make visits and send letters

ii. Week 3 follow-up and collect money

b. The Fundraiser Patrol will organize a date and time, after service, where the donation table can be set up at the UUMAN organization

i. Advertise for donation collection in the UUMAN weekly bulletin ii. Make posters for donations and use the cash box for deposits

iii. Weeks 3&4 set-up tables for donations at UUMAN after a church service from 11:30 to 12:30.

3. Landscape Clearing – Work Day* 1 9:00 AM - 5:00 PM with a 30-minute lunch break

a. All of the weeds are pulled, the soil is tilled, unwanted trees are removed, pre-

existing plants/hedges are trimmed b. The cut trees, sticks, weeds, and garden waste are transported to the compost area

at the back of UUMAN and the mulch is put down on the landscape

*project is rain or shine unless the weather presents dangerous conditions such as a

thunderstorm. The work crew will shelter in the church until I determine whether or not it is safe to continue or whether work is to be suspended and a contingency day scheduled.

Dillon Langston 19 Eagle Scout Project

Helpers / Workers

The project will be split up into patrols. Each patrol will have a specific job. Each patrol

will perform the duty specified in their name. The patrols will be the:

1. Communication Patrol

2. Fundraiser Patrol

3. Quartermaster Patrol

4. Land Clearing Patrol (workday 1)

5. Planting Patrol (workday 2)

6. Watering Patrol.

7. Project Historian

Volunteers can sign-up for more than one patrol. Each patrol will have a patrol leader

who will be a scout or an adult. The patrol leaders will meet with me to be sure they know what they need to do on the project. On the workday, they will lead their project assignment. Each patrol will have 4 to 8 people. There may be more than one patrol per

work day. The Communications Patrol will help me with all the volunteer work. Workers will be provided with lunch. The watering patrol is an exception to this, with volunteers,

primarily from UUMAN, signing up to water the plants during the summer.

I expect that the volunteers will consist of other scouts, family, friends, and UUMAN members who will benefit from the project. My mother and father will also assist me in various stages of the project.

B. Solicitation Methods

Sign-up sheets (Appendix 5) will be posted at UUMAN and troop meetings. Potential

volunteers will be contacted via email.(appendix 19)

C. Organization

We will have a sign in sign out sheet for volunteers to log their time spent on the project

(Appendix 11)

1.Communication Patrol – 4-6 Youth, 1 Adult

a. This patrol will promote the project and help me get volunteers

b. Make troop announcements and phone calls and send emails to get volunteers for fundraisers and to work on the project

c. Send emails for equipment we might need to borrow

d. Informs volunteers of activities, schedules and what to bring to each activity

e. Send emails, make phone calls and make troop announcements to promote the project, announce work days and anything we might need

a. Led by the project treasurer who will be in charge of logging all donations on the

donation ledger and also in charge of issuing tax deductible receipts to donors.

b. Send donation requests to different companies and collect donations.

c. Publicize the fund raiser events and make posters

d. Set up and help schedule Fundraising stations

3.Quartermaster Patrol – 4-6 Youth, 2 Adults

a. Led by the project Quartermaster

b. This patrol will identify the tools that need to be used and which ones need to be

borrowed for use during land clearing, planting, or other installation.

c. This patrol will shop for materials and get the work site and materials prepared for clearing and planting.

d. The Quartermaster Patrol will prepare the worksite prior to the arrival of volunteers, including making sure that all materials make it to the work site and

that plants and other garden accessories are not vulnerable to weather damage, or theft.

e. The Quartermaster will work closely with the Communication Patrol to get

volunteers and send messages about the work days.

f. The Quartermaster Patrol will let the Communication Patrol know what tools or

supplies need to be borrowed. They will also label any borrowed tools with the borrower name to be sure they get their tools back.

4.Land Clearing Patrol - 12-15Youth, 2 Adults

Once this patrol becomes situated at UUMAN, it will be divided up into different teams:

a. Land prep team—this patrol would pull the obvious weeds and spray the round-up

b. Tulip removal team—bush removal team c. Hedge trimming team d. Tilling team

e. Tree cutting team f. Stump removal team

This patrol will clear the land for planting, which includes weeding, soil tilling, mulch spreading, tree removal, and trimming of pre-existing shrubs.

Be responsible for removal of yard waste to be put in the compost and yard waste area at

the back of UUMAN.

5.Planting Patrol - 8-10 Youth, 2 Adults.

Once this patrol becomes situated at UUMAN, it will be divided up into different teams:

a. Planting Team—this team would dig holes/plant plants.

The Planting Patrol will place the plants in the designated areas, dig appropriately

sized holes for each of the plants, and plant each of the plants level with the ground

b. Accessory team—install sign, benches, plaque, sundial

Perform the final site survey to be sure that the land was cleared properly and that the mulch was spread.

c. Masons—install pavers/stepping stones

Install the stone benches, stepping stones, and sundial.

6.Watering Patrol – seven slots

a. This patrol will water the newly planted plants once planting is completed.

b. Sign-up will be available at UUMAN (Appendix 8) c. Each volunteer will be given instructions on how much water each plant needs, as

it will vary from plant to plant.(Appendix 8)

Adult Supervision

There will always be at least two adults at the work site during the project. One of these

adults will be BSA Youth Protection Trained.

Transportation

For all helpers under the age of 18, transportation to and from the worksites will be the

responsibility of the scout’s or helper’s parent or guardian or as arranged by his/her parent or guardian. All volunteers over the age 18 will be responsible for their own

transportation. The plants will be picked up and transported via pick-up truck to UUMAN; the rock and garden accessories will be delivered by (stone company); the other supplies and accessories will be transported by pick-up truck as well. Tools will

either be brought by volunteers. For directions to UUMAN, see appendix 6.

Work Site

UUMAN will be the only work site for this project, Including inside Fellowship hall for donation collection, as well as the front yard, where the garden will be constructed. Please refer to Appendices 1&6 for maps and information about these locations.

Safety

1.Weather reports will be checked 48 and 24 hours before the scheduled work day

to ensure there is no heavy rain expected that would inhibit transporting of

materials or volunteers, as well as endangering volunteers working outside at the worksite. If rain is too heavy or there are thunderstorms, the workday will be postponed or rescheduled.

2.There will be two cell phones at all worksites to make emergency calls if required. The volunteer sign-up sheet will also have contact information.

3.Adults or scouts older than 16 will be the only people that will be allowed to operate potentially power tools such as Hedge Trimmer (electric),.

4.Adults will be the only people that will be allowed to operate potentially

dangerous tools such as a chainsaw.

5.Any person using power tools will use eye protection.

6.Workers will bring and wear work gloves to prevent blisters when using tools with wooden handles (shovels, rakes, etc.).

7.All workers and volunteers will be encouraged to bring their own safety gloves,

but extras will be available. Tools will all be provided along with eye protection.

8.Water will be provided to ensure all workers remain properly hydrated.

9.shrub trimming, done by the land clearing patrol, will be done by volunteers using eye protection.

10.Tree removal, when felling the tree, a circumference with the radius equal to

the height of the tree will be kept clear of workers. The chain saw operator will notch the tree and make the angle cut on the side of the tree opposite the parking

lot. A spotter will ensure the circle is kept clear while the tree is being cut. Only the chain saw operator is allowed in the circle while the chain saw is operating. The chain saw operator will wear gloves, eye protection and long pants.

11.All adults will be informed of the location of the nearest hospital (North Fulton Regional Hospital). The location and map included in the Appendices will be

included in the first aid kit.

12.No one will be asked to lift any weights more than they are comfortable with, or handle any objects that may have odd shapes that could cause an injury.

Stepping stones in excess of 30 lbs will be lifted by two people. All trees and other heavy items at the work site will be lifted by multiple people by the knee-

bend lifting method.

13.When spraying round-up, the sprayer(s) will wear long pants, and eye protection, as well as spray down-wind.

14.Close toed shoes are a requirement when present at the worksite

15.The buddy system will be exercised whenever funds are collected, including

solicitation.

16. Sunscreen and Insect repellent will be available at the worksite for anyone

who would like to use it.

UUMAN is a Unitarian Universalist church located in the church district of Roswell, Georgia. UUMAN offers spiritual aide to many, as well as a safe environment for prayer, religious discussion, and what many call a search for “The Truth.” My family and I have

been attending UUMAN since 1995 and we are aware of how many lives this community has touched. When my family joined UUMAN, we were one of about 20 families that

were members. Today, UUMAN has expanded to around 200 members. UUMAN is well known for its prestigious choir, religious education for children, meaningful weekly sermons, and caring community.

as follows:

Small plants: 1 to 1.5 minutes apiece

To conserve water, be sure that the hose is turned all of the way off when you are finished! Don't forget to fulfill your watering duty! Newly planted plants require large
