New SERC Extra Database
Aim, Scope and primary objective
The aim of this project is to review the current SERC Extra processes and create a brief for a new SERC Extra database.
The scope of this project is to evaluate all college factors that impact on SERC Extra processes, decide on how these information areas can be best ‘pulled together’ for new database.
Test and go-live by 1 September 2014
Why do this project?
695 students (60%) were successfully retained from 1149 referred students actionable by SERC Extra 2012/13.
This represents approximately £2.4m staying in college in 2012/13.
DEL priorities - the critical importance of good health at an early age in enhancing cognitive functions and in reducing absenteeism & early drop-out rates.
Referral trends
Current processes and stakeholder survey
Most information collated by SERC Extra has to be sought from other areas.
82% of tutors surveyed are using the ‘Referral to SERC Extra’ process of which 94% feel it is effective service.
86% of those tutors asked felt that a ‘Click on a Button’ process for checking their referrals would be helpful.
However ‘no joined up end to end process between key stakeholders’.
Options
Proposal for database information flow
Most general information now automatically filtered to SERC Extra via software.
Only key information required.
Live information can be accessed to create reports, letters and spreadsheets at the touch of a button.
Email amount reduced due to access to information and chat facility.
How it will work
Risks Not ‘fit for purpose’ As enrolment &
referrals increase – administrative impact.
Long term cost impact - Time per se each student reduced. ‘One call can make a difference’.
Benefits End to end process – stakeholder
responsibility. Cost outlay & required Training v
Savings to SERC. Effective use of resources and
time – No duplication etc. Drive communication in SERC –
support. Touch of a button live information,
templates & reports.
