Data Volume Management

SAP DVM is a framework that helps the solution operation team of a SAP centric solution to balance the need of Business’ access to a wealth of data and IT efforts to maintain storage, database and applications.

The purpose of SAP Data Volume Management (SAP DVM) is

• to minimize growth and optimize the existing data volume of SAP system landscapes using 4 main methods

• Avoidance

• Summarization

• Deletion

• Archiving

• On an SAP HANA database, data aging in basis or the use of Native Storage Extension in HANA 2.0 would help management memory volumes

• to monitor and control the data growth

• Supported by the Data Volume Management Launchpad in SAP Solution Manager (any DB)

• DVM Dashboard in ONE Support Launchpad (S/4HANA, ERP on HANA, BW/4HANA)


Data Volume Management - Data Avoidance Data Avoidance (sometimes seen as BASIS only, but also possible in application data)

Rule of thumb : Do you need the data at all ?

If yes, keep it. If not, avoid it

• Some examples

• DBTABLOG (KONP entries , see SAP Note 672503)

• ACCTIT (particularly in Retail Environments but should be considered in any ERP system (SAP Note 48009)

• Reconciliation Objects in Controlling

• GLPCA and BSIS if you have New GL activated (scenario FIN_PCA has same functionality as GLPCA).

The above are some examples, but thorough testing needed with business first.


Data Volume Management – Data Summarization Data Summarization

• SAP also has some simulated summarization reports for the above :

• FI report RSUMSIFI

• COEP report RARCCOA5

• GLPCA report Z_PCA_SUMMARIZATION_SIM from SAP Note 198519 “Simulation of document summarization”

• FI (transaction OBCY) -> table TTYPV

• Controlling (transaction OBKI) -> table TKACPC

• Profit Center Accounting (OKE8) -> table T8A_COMPRESS


Data Volume Management - Data deletion

• Data deletion is a method that allows you to reduce existing data volumes in your SAP system. Usually this involves deleting out-of-date records from the online database which are no longer required by business processes or for legal compliance. Data deletion is seen as a house keeping task.

• A comprehensive list of deletion objects can be seen in the following documents :

• Data Management Guide (web search “sap data management guide”)• SAP Knowledge Based Article 2388483 - How-To: Data Management for Technical Tables

• In BW systems, deletion of PSA data or DSO change logs can have a profound affect on the volumes of data in your systems

• Some well known examples would be • SBAL_DELETE to delete Application Log data• RSTBPDEL to delete Table change protocol entries• RSPO1041 to delete Spool data

Data Volume Management - Data Archiving

What is SAP Data Archiving ?

• Data Archiving refers to the removal of application data that is no longer needed in everyday business processes - but that has to be kept for business or legal reasons - from the online database of the SAP system and storing of the data in an archive file.

• Data Archiving in SAP ensures that all of the information belonging to a business object is written to an archive file and deleted from the database. Archiving is done on an object by object basis rather than table by table basis.

• It would be seen as the most suitable , long term method to reduce the volumes of data in your system.

• NB Archived data can be accessed by a number of standard transactions and reports as well via some new technical transactions

• The main transaction used is transaction SARA and DB15 can give you guidance on the most suitable archiving object to use


Main prerequisites of Data Archiving

When archiving data the corresponding business processes must have been completed. Corresponding checks are conducted when data archiving is triggered).

The application responsible team members retain ownership of their data and have to be involved early in an archiving project.

Residence times have been defined

Responsible for archiving nominated

Business processes are completed

The residence time refers to how long data has to remain in the database prior to archiving. Only once the residence time has elapsed, data can be transferred to the archive.


Data Volume Management – What are the benefits

Having a effective DVM strategy can have many benefits ?

• Clarification on what data in causing volumes in your system

• Reduce database size (of primary database as well as system copies)

• Avoid additional storage costs (e.g. Hardware costs, SAP HANA, Cloud)

• Improve system performance particularly in some transactions

• Reduced backup times, downtime (business downtimes also) during upgrades , migrations

• Improve data quality

• Compliance

What do S/4HANA data model adjustments mean for data archiving


• Material documents – MM_MATBEL

• The database tables MKPF (header) and MSEG (line items) have been converted to a single table: MATDOC

• When archiving in S/4HANA still the old structures MKPF and MSEG are written to the archive file. Currently table MATDOC does NOT appear in transaction DB15 … as this structure is NOT written to the archive file. Still records from table MATDOC are deleted from the database.

• Result of transaction DB15 will be fixed with the next S/4HANA release

• Controlling

• Controlling line items can be displayed e.g. in transaction KSB1 in a combined view … independent whether they are read from an ERP CO_ITEM archive file, an S/4HANA CO_TRANS archive file or directly from the ACDOCA database table
