Purpose of this Document

ThisdocumentshouldbeusedbyclientsandtheirsupplychainintandemwiththeUKBIMAlliancedatarequirementsmatrixtool.IthasbeendevelopedtoassistclientsinsettingtheirdatarequirementsfortheconstructionofbuildingsinaccordancewithBIMLevel2.Aseparatedocumentandmatrixwillbedevelopedinforinfrastructureprojects.

PAS1192-3statesthatanAssetInformationRequirement(AIR)documentshouldbeproduced.Thisshouldbeundertakenbytheclientandshouldstatetheinformation(intheformofData,DocumentsandGeometry)thatisrequiredintheAssetInformationModel(AIM).TheAIMshouldthenbeusedbytheFacility/AssetManagementteamstooperateandmaintainthebuilding.ThereasonthisguidanceisrequiredisthatmanyclientsareaskingforBIMLevel2withincontractdocuments,butnotclearlysettingoutthedatarequirementswithintheAIR.Thisinturncanleadtotheundersupplyoroversupplyofdatathathaslittleornovalue.

Withoutclearlystatingthedatarequirementsandensuringthattheyarecollected,validated/verifiedandutilisedintheoperationofthebuilding,manyofthebenefitsofLevel2BIMarelost.Itisthereforeimportantfortheclienttoconsiderwhatdatawillbedeliveredfromtheoutsetofaproject.

Theguidanceandmatrixarenotmeanttobethedefinitivesetofrequirementsforallsystemsandproductsandtheirassociatedattributes.Ithasbeendevelopedtoprovideastartingpointforclientstoestablishmeaningfulandusefuldatarequirements.Asclientsandtheirsupplychainlearnwhichdataisuseful,theywillexpand/makemorebespokedatarequirementsfortheirneeds.ThematrixprovidesanindicationofthelevelofdatagranularitythatshouldbecapturedacrossassetsaspartofBIMlevel2.

Information Management and Information Exchange

BuildingInformationModelling(BIM)Level2hasbeenmandatedbytheUKGovernmenttoderivebenefitssuchas;reducedcostandimprovedqualityinbriefing,design,constructionandoperationofbuiltassets.ThesuccessofBIMispredicatedonthemanagedexchangeofinformation(Data,Documents,Geometry)throughoutanasset’slifecycle,sothatcriticaldecisionscanbemadebytheclientandtheirsupplychain,basedontimelyandaccurateinformation.

Theinformationrequiredbytheclientandtheirsupplychainshouldbedeterminedbyansweringspecific‘PlainLanguageQuestions’(PLQs).Forinstance,ifthequestionfromtheclientis;WithintheAIM,towhatextentisthedatacorrectandcompletetoanticipateoperationalcost?Thentheinformationrequiredtoanswerthisquestionmustbeproducedandvalidatedbythemaincontractor.ThePlainLanguageQuestionsshouldbestatedbytheclientintheirEmployer’sInformationRequirementsdocument(asstatedwithPAS1192-2).ThenwithintheBIMExecutionPlan(BEP)thesupplychainrespondwithamethodcapableofansweringthesequestions.

The Data Collection and Exchange Format - COBie

TheBIMLevel2standardBS1192-4statesthatCOBie shouldbetheschemausedfordataprocurement,collectionandexchangeintoAssetManagementSystems.

Recommendation1- MakesurethattheAssetManagementSoftwarethatyourassetmanagementteamproposetousecanutiliseCOBie.

COBie isstructuredaccordingtothespatialandphysicalhierarchyforabuilding.WhenaCOBie spreadsheetisviewed,you’llseethishierarchyasyoumovethroughthetabs.UndertheFacility(thebuilding)aretheFloorsandSpacesandtheirgroupingintoZones.Therearealsothe(Product)TypesandComponentsandtheirgroupingintoSystems.COBie alsocontainsoperationalinformationsuchasSpares,TasksandResourcesassociatedtotheTypes.Allthesevarioustypesofassetscanhaveassociatedattributes,documentsandimpacts.

Asstatedpreviouslytheseattributesareprimarilybasedonoperationandmaintenancerequirements.However,asnotedwithintheCOBie legendyoushouldcollecttheyellow(thisis‘expected’)andsalmonreference/pickattributesaremandatorybecausetheytendtoprovidecontexttothedata.Thegreen(Requirable)andblue(Additional)areineffectoptionalanduptotheclient/usertodecideandmaybedeterminedbyPLQs.Hereinliesoursecondbitofkeyadvice.

KeyRecommendation2- Don’taskforallTypeattributesunlessyouaresureyouwillusethem.Forinstance,thereisnopointincollectingdataonthecolourorfinishofapump,butitmaybeveryusefultoknowthecolourandfinishofwallcladding.Therefore,carefulconsiderationmustbegiventowhatTypedatayourequestandwhatandwhyyourequireit.

The Purpose of the Data

Aspreviouslynoted,datashouldonlybecollectedifitaddsvalue.ItisthereforeimportanttonotethepurposeofthedatawithintheAIRs;thisprocesswillactasacheckthatthedataisbeingcollectedforvalidandlogicalreasons.Forexample,willthedataassistindeterminingtheassettype,locationandcondition,toensureinterventionvisitsarewellinformed.

Plain Language Questions

Aplainlanguagequestion(PLQ)isa‘request(oracheck)forinformation’thatisexpressedinsimple,easy-to-understandterms(BS8536-1:2015).APLQisthereforeameansofcommunicatinganinformationrequirement.

TheEmployer’sInformationRequirements(EIRs)andcompanioncontract/appointmentdocumentssetouttheinformationtobedeliveredandthestandardsandprocessestobeadoptedbythedesignandconstructionteamaspartoftheprojectdeliveryprocess.

TheEIRshouldincludeascheduleofPLQstosupporttheprogrammeofstructureddata/informationexchange.PLQsshouldbedraftedforeachplannedinformationexchangeandthepurposeforwhichtheinformationisrequiredthroughthePLQshouldbestated.

PLQsshouldenabledata/informationtobeobtainedinatimelyandeffectivemannertosupporttheemployer’sdecisionmaking.PLQscanalsooperateasacheckagainstthecomplete,comprehensivecontentsofEIRs.

Criticality and Vulnerability

WhenselectingwhichProductsandSystemsyourequiredatafor,itisimportanttoconsidertheircriticalityandvulnerabilitywithinthebuilding.

Notallproductsandsystemsareequallycriticaltotheoperationsofabuilding,andnotallproductsandsystemsareequallypronetodeteriorationanddis-function.

Bytakingthesetwofactorstogether,clearerprioritisation shouldemergeforinspectionandmaintenance.Overallsystemcapacityand/orperformancecanalsobeusedalongwith themeasuresoftheservedoccupancytosupportbenchmarking.Forexample,ConcreteFrameStructure:Criticality– High,butVulnerability– Low,whilstaFireSprinklerSystemis:Criticality- HighandVulnerability– High.Therefore,itismoreimportanttocapturedatafortheSprinklerSystem.

Collection of the Data and Documents for the Asset Information Model

OncetheAIRhasbeendefined,theprojectteamshoulddetailhowtheywillcollectthedataanddocumentswithintheBIMExecutionPlan.

Itisvitalthatthemaincontractor(inpartnershipwiththeirsupplychain)collectsandvalidatesthedata(asstatedwithintheAIR)asconstructionprogresses,sothattheAIMissystematicallycreated.

TraditionalOperationandMaintenanceManuals(O&M)areoftencollatedtowardstheendofaproject,byaskingthesub-contractorsthathaveinstalledtheproductsandsystemstosendthedocumentsthatarerequiredtoanadministratorwithinthemaincontractor,oranassignedconsultant.Thispracticeisnotrecommended.

KeyRecommendation4- Theperson/bodyresponsiblefordeliveringtheAssetInformationModel(usuallythemaincontractor),shouldcollectthedataanddocumentsastheproducts/systemsarepurchasedandinstalled.

Thereasonforthis,isthatiftheAIRdocumenthasstatedtherequirementfordataaswellasdocumentsthentheresponsibleInformationManagerneedstovalidateandverifytheaccuracyoftheinformationthroughouttheproject.Also,iftheTypeandComponentdatarequiredforCOBie isnotcollectedduringthepurchaseandinstallationstages,thenalargeamountofunnecessaryworkisrequiredtocollectthedatalaterintheproject.Forexample,iftheprojectrequiresTypeandComponentdatabutattheendoftheprojectthemaincontractorhasonlyreceivedPDFs,thentheywillhavetomanuallyextracttheinformationfromthePDFsandenteritintotheCOBie sheetormodelasmachinereadabledata.Thisisverytimeconsumingandpronetoerror.

AlltherequiredTypedatathatisrequiredcomesfromthemanufacturer,soitisimportantthatcontractorsandtheirsub-contractorsreceivethisdataintheformofamachine-readableProductDataSheetsdirectlyfromthemanufacturers.Theycantheneasilypassthisontothemaincontractors’InformationManager.

TheComponentdataisbasedontheinstanceofaproductandisthereforerelatedtoaspecificproducte.g.aspecificwindowlocatedonfloor2roomXandcanthereforeonlybecollectedbythecontractorinstallingtheproduct.

ThisMatrix hasrecommendedSystemsandProducts(basedonIFCandmappedtoUniclass N.B.Atthetimeofthisdocumentsrelease,most'BIM'softwaredoesnotsupportIFC4,socareisrequiredwhenselectingproducts,seecolumnsF&GinProducttab)thatcanbeselectedforabuildingprojectinordertocollectdataforattributionintheAssetInformationModel.Italsocontainssuggestedproductperformanceattributes,thatyoumaywishtochooseforthoseSystemsandProducts(ForBIML2compliance,allyellowtabattributesmustbeselected).

WhenusingtheMatrixyoushouldputanXagainsttheattributesyourequireforeachSystemorProduct. Wehaveincludedexamples,butpleaseselectbasedonyourinformationneeds.

PLEASENOTEitisNOTadefinitivelistofallthesystems/productsandtheirassociatedattributes.Itismeantasaguide/startingpointforclientstosettheirdatarequirements.TheattributesareindicativeofthedetailtobecapturedacrossallfabricandMEPassetswithinabuilding.TheattributesrequiredwilldependonthespecificneedsoftheclientanditsFMSupplychainandshouldbeeditedaccordingly(seetheassociatedguidancepaperDataRequirementsfortheconstructionandmanagementofbuildings;AguideforclientsfromtheUKBIMAlliance).

Therearetwotabs;SystemsandProducts. TheSystemsandProductsinthelisthavebeencompiledbasedonthemostcommonlyselectedSystemsandProductsbyclientsinastudyofmanybuildingprojects.N.B.ThisisthereforeNOTadefinitivelist.

Recommendation– Products/Systemsshouldbeaddedto/editedbytheclientandtheirprojectteamstomeettheirownneeds.

Theattributeshavebeenbrokendownintothefollowingcategories- COBie Type,Component,andperformance(basedonIFC/EuropeanStandards).TheattributesintheMatrixhavebeenselectedfromresearchintothemostcommonlyrequiredandutilisedattributeswithinregulations,standards,andclientspecificationonprojects.N.B.Thisisarecommendationtogetclientsstartedwithselectingattributesforprojects.

Recommendation– AttributesshouldbeselectedfromtheMatrixandextraattributescanbeaddedtomeettheclientsandtheirprojectteam’sneeds.
