Disney Trip

March 25-30, 2018

What are the details?

• We will leave Sunday, March 25 mid-afternoon

• We will arrive in Orlando on Monday March 26 in the morning

• We will have performances at Disney and possibly the Orlando area depending on availability through Disney

• Spring break is one of Disney’s busiest times

• We will leave on Thursday, March 29th late evening for Danville

• We will arrive back at DHS on Friday, March 30 early evening.

What is included?

• Cost per student is $1075 base on 4 students per room

• Coach bus transportation to and from Florida and while we are there

• 3 nights in the hotel with a buffet breakfast

• 2 Disney Meal Coupons per day (8 total)

• Disney “Premium” Passport with multi-day admission to all 4 theme parks and Typhoon Lagoon

• Full Participation in the Disney Arts Program

• Admission to the “You’re Instrumental Workshop” for all students

• Private Security at the Hotel

What is not included?

• Meals while we are on the road.

• Dinner on the way down

• Breakfast and Lunch on our way back Friday before we return to DHS

• Souvenirs

• Snacks

Sample Itinerary

• This is very TENTATIVE

• Performances are based on Disney availability

• Weather does play a factor in Florida and so some things may be moved around due to weather as most performances are outside

Sunday, March 25

• Depart from school via motorcoach, traveling throughout the day and night to Orlando.

• Independent meal and rest stops, driver exchange and fuel stops enroute

Monday, March 26

• Morning• Arrive in Orlando area; Meet Vanguard Tours representative at the Golden

Corral Restaurant for full buffet meal (Included)

• After breakfast, we will go to Typhoon Lagoon Water Park

• Afternoon• Board Coaches and transfer to Disney Hollywood Studios

• 2 Meal Coupons included

• Evening• Meet coaches and check in to Buena Vista Suites

Tuesday, March 27

• Morning• Breakfast at the hotel (included)

• Participation in the “You’re Instrumental” Workshop

• Mid-Day• Disney Park (TBD) for the remainder of the Day

• 2 Meal Coupons included

• Evening• Return to hotel after park closing

Wednesday, March 28

• Morning

• Breakfast at the hotel (included)

• TBA-Performances at Disney

• After performance Re-enter Disney park for the remainder of the day.

Thursday, March 29

• Morning• Breakfast at the hotel (included)

• Check out of Hotel

• Mid-Morning• Enter Epcot for the Day

• 2 meal coupons included

• Evening• View Illuminations: Reflections of Earth laser and fireworks

• At park closing, meet motorcoaches and begin our journey home

Friday, March 30

• Morning

• Day of travel with breakfast and lunch enroute (not included)

• We will stop for driver change, rest stops and fuel

• Early Evening

• Arrive back at DHS with awesome memories!

What if my family wants to go? Opt 1

• Family members may travel with the band and orchestra and get the EXACT same trip with the exception of the “You’re Instrumental” Workshop.

• Cost is as follows for family members:

• 4 to a room $1,050

• 3 to a room $1,085

• 2 to a room $1,150

• 1 to a room $1,320

What if my family wants to go, Opt 2

• Vanguard Tours Friends and Family Package

• 3 nights at Buena Vista Suites (same as students)

• Breakfast Buffet included

• 4 Day Premier Passport to Walt Disney World Resort

• Unlimited Use of Disney Transportation

• Note: Additional Meals and Additional Transportation not included

What if my family wants to go, Opt 2 cont.

• All Money and information needs to be sent to Vanguard Tours through the use of their Friends and Family Package Form

• Cost per person

• $495 per person (4 people to a room)

• $530 per person (3 people to a room)

• $615 per person (2 people to a room)

• $825 per person (1 person to a room)

Why Travel With Us?

• Our cost to travel is comparable or less than if you traveled on your own.

• We take care of ALL of the planning. You just get on the bus

• If you booked this trip on your own, an estimated cost is:• Room, Disney 4 Day Park Hopper and 2 value meal per day package

• $3500 (based on Disney prices for high attendance days)

• Breakfast-$200 ($50 per day at a low cost restaurant/fast food)

• Does not include any higher value restaurants or experience restaurants at Disney. A Disney Character Breakfast alone can cost upwards of $200 per meal for a family of 4.

• Transportation• Airfare-$1,000 (based on 4)

• Driving-$500 (based on hotel, fuel and food)

• Parking at Disney-$80 for 4 days

Chaperone Opportunities

• When you chaperone you will be working.

• You will have a great time, however, this is not a vacation for you.

• It will be expected that you follow ANY AND ALL TRIP GUIDELINES THE DIRECTORS SET.

• Those interested in Chaperoning need to sign up on the Chaperone sheet at the front of the Auditorium following the meeting.

• We will go with a 1 adult per 10 students ratio.

• Priority will be given to Junior and Senior parents

• We want band and orchestra parents to chaperone (no extended fam members)

• Parents will need to complete and pass a background check

Student Behavior Expectations

• BEGINNING ON THE FIRST DAY OF THE 2017-2018 SCHOOL YEAR, THEFOLLOWING BEHAVIOR EXPECTATIONS WILL BE EXPECTED OF ALL STUDENTSTRAVELING WITH US. STUDENTS THAT ARE UNABLE TO MEET THESEEXPECTATIONS WILL NOT BE ALLOWED TO TRAVEL WITH US.

• 3 OR MORE DISCIPLINARY REFERRALS INCLUDING: INSUBORDINATION, DISRESPECT, PROFANITY, OBSCENITY, DISRUPTION, BULLYING, AGGRESSIVE BEHAVIOR, THREATENING/INTIMIDATING ACTS, POSSESSION/USE OF TOBACCO, SEXUAL HARASSMENT, ALTERING SUBSTANCES, GANG SYMBOLS, VANDALISM, DANGEROUS WEAPON, FIGHTING, SEXUAL ASSAULT, PHYSICAL ATTACK, SOCIAL MEDIA ABUSE.

• HAVE BEEN SUSPENDED OUT OF SCHOOL ONE OR MORE TIMES FOR ANY OFFENSE.

• RATIONALE BEHIND THESE EXPECTATIONS

• WHEN WE TRAVEL, WE ARE AMBASSADORS OF DANVILLE HIGH SCHOOL AND THE COMMUNITY OFDANVILLE. WE WANT TO MAKE SURE THAT WE ARE PRESENTING A RESPECTFUL, POSITIVE IMAGE ASWE TRAVEL.

• FAILURE TO MEET THESE EXPECTATIONS WILL RESULT IN YOUR STUDENT NOT BEING ABLETO TRAVEL WITH US AND LOSS OF ALL FUNDS APPLIED TO THEIR TRIP

Eligibility

• Students participating in the trip need to be academically eligible to travel with us.

• Your student must be eligible the week prior to us departing to travel.

• Being eligible is passing 5 classes

• Your student must pass 5 classes 1st semester

• If your student does not pass first semester or is ineligible the week of the trip, all money applied to the trip will be forfeited at that point as we have to pay the tour company deposits throughout the fall and final balance is paid in February.

Payment Schedule

• To secure your student’s spot, a $175 deposit must be received by July 1st to the DHSIMB P.O. Box listed in your information packet.

• Payment Schedule is as follows:

• 2ND PAYMENT AUGUST 25, 2017 $225

• 3RD PAYMENT OCTOBER 15, 2017 $225

• 4TH PAYMENT DECEMBER 15, 2017 $225

• FINAL PAYMENT FEBRUARY 1, 2017 $225

Family Payments

• Credit Card Payments• You may call Nancy Brown at 217-444-1601 to make trip payments by

credit or debit card.

• Make sure you tell her that it is for the Band and Orchestra Disney Trip

• If you plan to use a credit or debit card, please plan to make these payments as early as possible. The district cuts us a check and there is a week or two week turnaround for us to get checks. In order to pay Vanguard on time, we need to have funds by the due date.

What Do I Need to Do Tonight?

• We need your students Trip Intent Form tonight before you leave if they are planning to go on the trip.

• We would also like your family intent form if you are considering traveling with.

• Over the summer we will be mailing home information and this form will let us know that we need to send you information.

• By July 1, you will need to mail the included deposit payment form and a trip contract form. These need to be completed and mailed to the PO Box.

• Each time a payment is due, an updated Charms Statement as well as a payment form will be sent to you. When school starts these will be done by EMAIL.

• All information, forms, itineraries, fundraising information and documentation for this trip will be posted on
