Moved by: Daniel Sumano Seconded by: Jamie Haakons 31/0/1 Carried 11.4 Progress Reports and Updates: Executives After further discussion, it is propose that Student Executives are allowed to state a brief verbal report if desired, ensuring good governance and good practices. Tyra:

Working on the first transportation policy. Looking at the future of transportation for BCIT students such as long term projects (i.e.: light rail) and short term initiatives (i.e.: enhancing frequency of buses). Will be meeting with BCIT to discuss how we can work together on this issue.

Amanda & Brad:

They are looking at joining a fun race to promote good health and student engagement. They will be looking for participants for the Sun Run. Further details will follow soon.

Allen:

The Bylaw Committee is at the last stage of bylaws revision, which should be completed by the end of the month, and will then be brought to Council for final review before going to a SGM.

Dylan:

Tedx BCIT tickets are sold out. Evan:

Election Committee will be looking at revising the election processes. Looking for volunteers for a focus group.

Jamie:

Will be promoting the Baja Engineer Competition. Looking at a partnership with the UBC Engineering club to partner for Baja formula.

Nav:

Will be focusing on the following initiatives: Improve engagement with career events; improve social activities for computing students; work with the committee reviewing the CST programs. A movie night is scheduled January 29.

Emilio: Computing related events are scheduled for the DTC. 11.5 Question Period

Tyra recommends that a Roberts of Order be organized.

Would like to know more on how to register for the run? Student will be able to register through the Sun Run channel directly. The information will make it to Council when confirmed.

What are the dates for the Tech events? February 11 there will be a Tech fair at the Burnaby Campus. Information will be available to students soon.

Are students from other schools able to participate in the Baja events with UBC? Everyone is welcomed. It is not only for engineering students. If students like cars, then they can join in. Information will be sent out as soon as finalized.

Related to the Career Fair tech, would students from the digital design and ITMG program be interested? The employers hiring are for all discipline. All these events are open to all students.

11.6 Councillors’ Forum

Microwaves in SE 2 are not working.

Next Tuesday from 12 to 5pm in town square A & B, everyone is welcomed to attendance a video game event organized by the BITMAN club. It will cost $2 to play as it is a fundraising event.

The coffee at the SE12 Stand does not taste the same as it used to.

On January 14, the Sustainability Club is featuring its first documentary “Garbage of the World” to help promote sustainability. The event is located in SW1 – 1021 from 3 to 5pm. Entrance is by donation. The Club is hoping to add recycling bins on campus. Would there be more screenings in the future? Yes.

Could it be suggested that the SA website be looked at? We are doing an overall of the website. Groups will be created to assist with the project.

Could we receive an update regarding the staircase? The staircase is scheduled to be completed in March. Students should start seeing the metal component arriving on campus next week.

A reminder that the BCITSA website has calendars featuring different events on campus such as the screening stated earlier.

11.7. Old Business: 11.7.1 Engineers Without Borders Club

This club used to be sanctioned by the BCITSA. However due to administrative reasons, they had to be de-sanctioned at the demand of the main EWB. EWB wanted the club to be separated from the school. They have agreed that the student chapter can be linked with the school.

11.8 Next Meeting: Monday, January 26, 2015 Next Council Meeting is scheduled for Monday, January 26, 2015, in the Council Chamber SE2 – Rm 283 at 5:30pm. 11.9 Guest Speaker: Society for Ecological Restoration: Students would like to form a sanctioned student club addressing ecological restoration (see attached application). It would target students who are focusing on restoration. It would be the first in western Canada and would hope to connect with the program dealing with natural resources. Presently,

programs do not talk to each other; however will need to interact when in the field. This would be a good to start if students start to connect while in the school system. By being associated with the national organization, it would give members access to online journals. They also offer discount for conferences. Questions:

There are many environmentally focus clubs at BCIT, what differentiate you from other clubs? This is a chapter of an International and Western Canada association. This club would help them connect students with professionals in their field.

Are you hoping to make this club available to students from other programs? Yes, it is open to all, but it may be more beneficial to students in resource specific programs.

Students from which program could be interested in joining this club? Beside those already mentioned students from programs such as mining could join this proposed club.

Could you clarify about the International Organization? It is more an association that connects professionals in ecological restoration and offer conference and journals.

Would you consider linking with Career Services? Job offering is only one part of the club’s goals. They would focus on other activities such as restoration projects. This club could also link with local organizations that are also focusing on ecological restoration.

How much funding would the club require? The only fee required is the membership to the association which is $130 per executives of the board. That would give access for free to all other members. Their program has offered to pay for the fee.

Have you thought of a succession plan and how many students are interested in joining the club? They have collected over 90 student names interested in joining the club. Instructors are also supportive of this club. They are talking to other students about getting involved as executives.

Would recommend that they connect with other sustainability focus groups to find connectivity between clubs. It would be a great opportunity for other programs such as building technology to collaborate with this club since they are likely to collaborate in this industry.

Do you have any examples of fundraising ideas? Having a native plant sale for example, movie screening and professional series.

Are there any possibilities that companies would sponsor the club? A lot of companies have to make restoration plans; therefore it could be a possibility.

Investigate into a possible collaboration with the BCITRecreation Centre in the funding and expansion ofstudent recreation services

Collaboration with recreation services is still inprogress. Currently contacting the studentoperations director at recreation services.

Nearing the final stages of completing and compiling the bylaws withthe committee. Currently meeting with the last few people associatedwith the bylaws to review and update (if necessaary) their related parts.I still intend to have the final draft complete before the end of the monthof January and release to council thereafter.

Thebylawcommittee and myself will be meeting to address any revisions that arenecessary over the weekend.

Review/ Research U-Pass Appendix A for 2016contract renewal

Meeting with Deborah Crawford and ITpersonnel of BCIT to discuss Compass Cardlaunch. During the meeting we also discussedthe new contract. In detail, we presented thecurrent work in progress of a workingdocument, with regards to the current U-Passcontract, and the search for enhancing eligibilityin a better way that best suits the needs forstudents. Caroline was present at the meeting.Furthermore, the Transportation survey is stillcollecting data (as of January 8th,2015, it hashad over 648 respondents).

Outline and timeline for first policy was created.The policy is a proposal for a rapid bus routeand increase in bus frequency around theBurnaby campus. A phone conversation wascarried with Craig Sidjak (CampusDevelopment Director at BCIT). Theconversation is tentative to be followed-up by ameeting on the week of January 11th.Information was sourced from the City ofBurnaby, regarding permit and newconstruction application.

Create collegial relationships with unions on campus Meeting with FSA on November 28th wascarried. Topics of discussion oscialliatedbetween, instructor evaluations, governmentlobbying, and future collaboration amongstBCITSA and the FSA (specifically with thetopics previously stated). Improve program structure for School of Computingand provide student insight for program review

Scheduled a monthly meeting with the Dean todiscuss student concerns. Looked into liasingwith the comittee currently conducting a reviewof the CST program.

Spoke to facilities regarding student concers in SE12: broken waterfountain, keyboard sanitiation, and availibility of hand sanitizer. Will beassisting the comittee for the "Innovation Challenge" helping them withmarketing as well as improving student participation in the event anddevising a "call-to-action" encouraging all students (not just those incomputing) to consider entrepeneurship as a career option. Broughtforward student complaints to department heads and will continue toensure the teaching standards of BCIT are held up in the coming term.2

Help employers find the best times to speak tostudents, as well as improve the marketing of careerevents in order to improve the career opportunities forthe students in Computing

ConnectedBCIT Recreation Services with the other School Chairs; presentationsabout upcoming programs at meetings by Rec Staff to come in Jan-Feb. Bylaw Committee - Met with Clubs Coordinator, other Chairs;collected notes, comments and revisions to Sections 7, 16, 17-20 (Dec-Jan). IPE Culture Team - Met with Program Heads at year end social,reflections on the year, new goals for students (Dec).

Investigate the needs of satellite campuses outsidethe classroom

Plan to have my first set rep meeting with AICSet Reps in the coming month now that theywill be enroled for the winter term. Looking intofinding an appropriate solution to resolve theglare issues in the presentation room on the 8thFloor of the DTC. Translink has plans for a newbus stop closer to the campus but they havenot finalized the location or installation.

C: Steps for BCITSA Club Sanctioning

-----Step I: Complete the BCITSA Package for applying to be a new club including:

0 Club Proposal Form 0 General Information 0 Membership list 0 Club Agreement 0 Budget Requests (if any)/Club Financial Sustainability

Step 2: Submit completed package with the club's Constitution under which your club will operate to the Clubs Coordinator at [email protected]. This will be reviewed with the VP Campus life.

Step 3: Next, you will be invited to represent the interests of your club at a Student Council meeting (see steps 3-4). Usually it is a brief five minute presentation about your club and its general operations. At least one member must represent your club at the Student Council meeting.

Step 4: The BCITSA Student Council will be reviewing submitted documents for two weeks and as a result of a vote on the next Council meeting will approve, reject, or further question/ request information regarding your club.

Step 5: Once the club is approved by d1e Student Council you may begin running your clubs operations.

Step 6: You will be contacted by the VP Campus life or the Clubs Coordinator for a mandatory training session where you will be lead through club By-laws and Procedures regarding clubs rights and responsibilities of operations.

After these steps have been completed, sanctioning is complete pending full application process of the above steps is signed off by VP Campus life.
