Preface

Purpose of this GuideThis guide explains how to administer Content Services for SAP - Archiving Server 5.3(CS for SAP — Archiving Server 5.3 or Archiving Server 5.3). It provides task-basedinstructions for managing the software.

Note: For the sake of brevity, throughout this document, Content Server for SAP —Archiving Server will be referred to as Archiving Server.

Intended AudienceIn order to address the manuals to the correct audience, the roles of the users of themanuals have been defined as follows:

• System Administrator - This role covers users who install and configure ArchivingServer. Archiving Server is an application that integrates Documentum and the SAPR/3 system. As a result, system administrators may require experience with:

— Windows XP, 2000, 2003, or HP-UX 11i

— UNIX (if Documentum Content Server or SAP R/3 are installed on a UNIX-basedplatform).

— Tomcat Web server

— Apache HTTP server (if your installation scenario includes load balancing)

— Documentum Technologies like Content Server and DFC

— SAP R/3 versions 4.6c or 4.7

— The following databases, depending on your system platform:

— DB2

— Informix

— Oracle

— SQL Server

— Sybase• Archiving Server Administrator - This role covers users who manage Archiving Server

using WebAdmin.• Standard User - This role covers users who view documents using SAPGUI.This manual is intended for Archiving Server administrators.

Chapter 1Introducing Content Services for SAP -Archiving Server

OverviewCS for SAP - Archiving Server is an application that integrates the Documentum contentmanagement system with the SAP R/3 system. It is an interface to the SAP R/3 systembased on SAP’s ArchiveLink interface.

Archiving Server provides the following functionalities:

• Enables users to easily access and display documents stored in a Documentumrepository from a variety of SAP modules.

• Links documents stored in Documentum to a variety of SAP documents.• Archives SAP data, reports, and documents through ArchiveLinkTM certified

CS for SAP - Archiving Server consists of two components:

• Archiving Server

A server component that, using an HTTP connection to SAP, enables you to archivereports, data, incoming and outgoing documents from SAP to the Documentumrepository. Archiving Server is a J2EE servlet that communicates with SAPArchiveLink. The reports and archived documents can later be retrieved and viewedthrough SAPGUI.

• WebAdmin

An administrative console that allows you to:

SAP Master Record A set of master data, such as customer orvendor data, which is used in the creationof SAP documents.

SAPGUI SAP Graphical User Interface. Graphicalmenu/screen tool that connects a client tothe SAP server.

Chapter 2Introducing WebAdmin

OverviewWebAdmin is a browser-based tool that you can use to configure and administerArchiving Server.

Note: For this release, WebAdmin only supports Internet Explorer.

WebAdmin allows you to configure Archiving Server’s HTTP Archiving Services. Referto Chapter 3, Configuring Content Services for SAP — Archiving Server.

This chapter describes:

• how you can log in to WebAdmin. Refer to Logging in to WebAdmin, page 19• the WebAdmin GUI. Refer to Introducing the WebAdmin GUI, page 20

Logging in to WebAdminYou need to log in to WebAdmin before you can use the it to configure Archiving Server.

To connect to WebAdmin:

1. Open you browser.

2. Type the URL for WebAdmin. The URL is on the following lines:http://<Tomcat-Host-Name>:<Tomcat-port-number>/archivelink/jsp/login.jsp

Example 2-1.http://localhost:8080/archivelink/jsp/login.jsp

3. From the Docbase drop-down list, select the required repository.

4. In the Name field, type a valid user name for the selected repository.

5. In the Password field, type the corresponding password.

6. In the Domain field, type the domain name that the repository user is a member of.

7. From the Language drop-down list, select the required language.

8. Click Log in.

Introducing WebAdmin

The initial page of WebAdmin is displayed.After completing your administrative tasks, you can disconnect from WebAdmin byclicking the Disconnect button.

Note: By default, WebAdmin will disconnect automatically after 20 minutes of inactivity.However, this parameter can be customized: edit the value for the max_session_countparameter in dmcl.ini file.

Introducing the WebAdmin GUIOnce you have logged on to WebAdmin, the initial page is displayed.

The left pane of the initial page contains two buttons:

Clicking the ArchiveLink button opens the ArchiveLink page in right pane. TheArchiveLink page allows you to configure archives, certificates, and repositories.

The ArchiveLink page contains three tabs:

• Archives

• Certificates

• Repositories

The various tasks that you can perform in these tabs are described in the followingtable:

OverviewThis chapter describes how you can configure Content Services for SAP — ArchivingServer.

This chapter does not discuss the configuration of SAP; SAP needs to be configured towork with Archiving Server. Information related to configuring SAP is available in thefollowing guide: Configuring SAP R/3 4.x for Content Services for SAP — Archiving Server.

The procedures in this chapter describe how to:

• configure archives. Refer to Configuring, Viewing, and Editing Archives, page 23.• install and configure an SAP archive certificate. Refer to Working with SAP Archive

Certificates, page 26.• create, view, and edit repository configurations. Refer to Configuring, Viewing, and

Editing Repository Connections, page 28

Conguring, Viewing, and Editing ArchivesSAP uses named logical archives to specify target storage. Installations, typically, have anumber of archives related to the different types of information which are archived.

Example 3-1.

• Archive AA may be used to archive Print Lists from SAP. As an administrator, youmay want to configure the Archiving Server to archive Print Lists in the followingContent Server directory: /SAP/Printlists.

• Archive BB may be used to archive outgoing documents from SAP. As anadministrator, you may want to configure Archiving Server to archive outgoingdocuments in the following Content Server directory: /SAP/Outgoing.

WebAdmin allows you to specify rules for how to handle archived documents or datafrom SAP for each logical archive.

All configuration objects created in WebAdmin are stored within the Content Server.

Example 3-2.Each archive configuration (e.g. AA, BB) can be found in the Content Server folder/System/DocLink/SAP/Archive.

Before configuring an archive in Documentum, you must create a similar archive inSAP (refer to the OAC0 — Defining a Logical ArchiveID in SAP section of the ConfiguringSAP R/3 4.x for Content Services for SAP — Archiving Server document. After creating anarchive in SAP, WebAdmin can be used to mirror the SAP configuration and defineContent Server-specific configuration options.

To congure, view or edit archives:

1. Connect to WebAdmin. Refer to Logging in to WebAdmin, page 19.

2. Click ArchiveLink.Ensure that the Archives tab is open.

3. From the Choose an Archive: drop-down list:• select Create a New Configuration

OR• Select an existing archive to view or edit it.

The archive configuration page opens in the right pane.

Note: If you do not wish to create a new archive, you can also copy an existingarchive and name it differently.

To copy an archive, perform the following tasks:

1. Select an existing archive to edit it.

2. Click Copy.

3. In the Explorer User Prompt dialog box that appears, type a new name for thearchive.

4. Click OK.

The copied archive is now available for you to view or edit.

Skip to step 5 to know what parameters can be configured for the archive.

4. If you are creating a new archive, in the New Archive’s Name: field, type a namefor the archive.If you’re viewing or editing an existing archive, skip to step 5.

Fieldname Description

Archive ID Name of the SAP archive (as defined inthe OAC0 — Defining a Logical ArchiveIDin SAP section of the Configuring SAP R/34.x for Content Services for SAP—ArchivingServer document).

SAP Document Type Set to NONE (HTTP provided).

Documentum Type Specifies the Documentum documenttype. Refer to Configuring the RepositoryDocument Type, page 26.

Attribute Map The attribute map is used to define theDocumentum attributes of an archiveddocument.

There is a special attribute “FOLDER”that can be configured. To specify thefolder path, use the following format:"FOLDER="/SAP/Archive/AA"

In the Attribute map, you can also set thefollowing attributes:

• a_storage_type• a_retention_date

Note: For more information, refer toSetting Centera-related Attributes inArchiving Server, page 33 .

6. Click the appropriate button to Save or Cancel the archive configuration.

Deleting Archived and Linked Documents

In a repository, if you delete version 1.0 of a document that is linked to SAP or archivedfrom SAP, the link to SAP is also deleted. This is because the dm_relation object whichcreates the link to SAP is deleted when the parent object (which is always version 1.0)is deleted.

We recommend that you do not delete the original version of objects that are linked toSAP if you want to maintain their link to SAP. If you need to delete version 1.0 of a

document, but want to keep the link to SAP, then, after deleting the document, you mustrelink the object to SAP, outside of Archiving Server.

Conguring the Repository Document Type

The value of the Document Type field defines the object type used to store the documentin the repository. This object type must be a sub-type of dm_document.

Example 3-3.sap_print_list.

Working with SAP Archive CerticatesArchiving Server uses an HTTP connection between the SAP server and the Web server(where Archiving Server is installed). SAP R/3 uses this internet-based protocol to sendand receive information between R/3 and Content Server. However, before archivingcan take place, a digital certificate must be generated from R/3 and installed in ContentServer. This certificate is used by Archiving Server to validate:

• that the request parameters have not been altered/corrupted in transmission• the identity of the R/3 server sending or receiving information.Without the use of digital certificates, it would be possible for users/server to spoof theContent Server into getting it to return information from the Content Server which itwasn’t authorized to access.

A different certificate is used for each archive. So, archives AA, BB, and CC would eachhave their own certificate which is used when transferring information between R/3and Content Services for SAP.

Certificates are not created directly in WebAdmin. They are passed to Archiving Server(and into the Content Server) when a certificate is sent from SAP. However, before theycan be used, WebAdmin must be used to activate the certificate and set an expiry date.This section describes how to transmit and activate an HTTP archive.

Sending Certicates to HTTP Content Server

After creating an HTTP archive in SAP (using transaction code oac0), you can use SAPtransaction oaht to send archive certificates to Archiving Server.

Clicking Execute transmits the certificate to Archiving Server.

If an error stating “HTTP Error: 403 Access Forbidden” is displayed, this may be because:

• the Web server is not running• the archive parameters are incorrect.

Note: The server may not be able to translate a host name into an IP address. Tryusing the IP address instead.

If the certificate is successfully transmitted, it will be listed in the Certificates tab ofWebAdmin.

Tip:• The first three characters of the certificate name are the system name of the SAP

server that sends the certificates.• The last two characters of the certificate name are the same as the archive name.

Note: The corresponding archive should be displayed. If this field is blank, this isprobably because the archive configuration object has not been created in WebAdmin yet.

Before a certificate can be used, it must be activated and set with an expiration date. Thisensures that a controlled procedure is followed before a system can archive informationinto Content Server.

Activating and Customizing Certicates

To activate and customize certicates:

1. Connect to WebAdmin. Refer to Logging in to WebAdmin, page 19.

2. Click ArchiveLink.

3. Click the Certificates tab.

4. From the Choose a Certificate drop-down list, select an existing certificate.

5. In the Status drop-down list, do one of the following:• To activate the certificate, select Activate.• To deactivate the certificate, select Deactivated.

Note: A certificate must be active for repository access.

6. In the Expiration field, type the date on which the certificate will expire.Type the date in dd/mm/yyyy format.

7. Review the information in the Certificate Parameters section.

8. To save the certificate settings, click Save.

Conguring, Viewing, and Editing RepositoryConnections

To congure, view, and edit a repository connection:

1. Connect to WebAdmin. Refer to Logging in to WebAdmin, page 19.

2. Click ArchiveLink.

3. Click the Docbases tab.

4. From the Choose a Docbase drop-down list:• select Create a new configuration ...

OR• select an existing repository connection.The repository’s connection configuration page appears in the right pane.

5. In the Docbase Name field, type a name for the repository.

6. In the User Name field, type a valid user name for the repository.

7. In the User Password field, type the corresponding password for the user name.

8. In the Domain field, type the domain name that the user is a member of.

9. Click Create.

10. To test the newly created repository connection, click the Test Connection button.An information message appears below the Test Connection button, indicating thatthe repository connection has been tested successfully.

11. To save the repository connection configuration, click Save.ORTo delete the repository connection configuration, click Delete.

Managing Temporary Disk Space in ArchivingServer Host

When as SAP file archive file is accessed, the Content Services for SAP applicationfetches the file to the local disk and the starts streaming the content back to SAP. Theselocally cached files are managed by DMCL, and an algorithm implemented in DMCLdetermines when the files are cleaned up. If dmcl.ini is not configured appropriately, thedisk may reach its default maximum capacity at some point. In order to avoid chokingthe disk space with these temporary files, modify the local_diskfull_limit attribute ofthe dmcl.ini file.

The local_diskfull_limit attribute specifies the maximum disk space assigned for storinglocally cached files, and is expressed as a percentage between 1 and 100. When the sizeof these temporary files reaches the defined limit, getfiles to the local disk fail with anerror. In order to overcome this issue, set the local_diskfull_limit to 75.

Chapter 4Conguring Content-AddressedStorage Systems for CS for SAP

OverviewArchiving Server 5.3 provides dedicated support for retention management using EMC’scontent addressed (CA) storage system, Centera.

Certain industries, like the pharmaceutical industry, are required, by law, to retain andpreserve all product-related documentation for a stipulated period of time. This is astrictly-enforced, non-negotiable clause that firms are expected to comply with. Toautomate this process of retention management, Archiving Server has been integratedwith Centera, EMC’s Content-Addressed storage system.

This integration allows firms using both Centera and Archiving Server, to archivestipulated content:

• based on specific attributes like dates, and so on• for specific periods of time, as required by law• in a foolproof manner that ensures the content cannot be tampered with during

the archival periodYou can configure Archiving Server to archive specific content in Centera. You canconfigure Archiving Server to use different Centera systems for different archives. Thesearchives map to SAP document types in SAP. This feature is particularly useful whenyou need to archive documents which have different retention period requirements.The integration of Archiving Server with EMC Centera allows you to automate thiscustomized archiving process.

To configure CA storage systems for Archiving Server, you must:

1. create content addressed storage types using DA. Refer to CreatingContent-Addressed Storage Types Using DA, page 32

2. set Centera-related attributes in Archiving Server. Refer to Setting Centera-relatedAttributes in Archiving Server, page 33

Creating Content-Addressed Storage TypesUsing DA

To configure Archiving Server for Centera, you must create a CA storage type usingDocumentum Administrator (DA). Before you configure Archiving Server for Centera,Content Storage Services (available in Content Server 5.2.5 SP2 and higher) must beenabled. For more information on enabling Content Storage Services, please refer to theUsing Content Assignment Policies andMoving Content Files sections of the Content ServerAdministrator’s Guide.

Note: The retention settings for storage types in Documentum Administrator (DA)allow you to specify only a fixed date. You cannot specify a period relative to documentingestion; such a setting would conflict with the settings in WebAdmin (refer to SettingCentera-related Attributes in Archiving Server, page 33).

DA 5.3 runs on Tomcat 5, which can be shared with the ArchiveLink servlet. DA 5.2.5SPx runs on Tomcat 4.x, which requires a separate installation of Tomcat.

For more information on creating CA storage types using DA, please refer to theDocumentum Administrator User Guide.

Creating Content-Addressed Stores

To create a content-addressable store, you must have a license for Content Servicesfor EMC Centera and this feature must be enabled in the Content Server installationcontaining the repository for which you are creating the store.

You must also know the IP address of the EMC Centera Content-Addressable StorageSystem to set up content-addressable storage.

A repository can have multiple content-addressable stores. For ease of administration,maintenance, and management, it is recommended that you use the same plug-in for allof the content-addressable stores.

To create a content-addressable store:

1. Connect to the repository for which you want to create a new content–addressedstore.

2. Click Storage.

3. Click File→New→Content–Addressable Storage.

4. Type the name of the new content–addressed store.

5. Click Edit.

6. In the Enter new value field, type the IP address of the EMC Centeracontent-addressable Storage System.Do not enter other parameters or values.

7. Click Add.

8. Click Ok.

9. To enable a content retention period, check Set Retention Information.

a. Type in the retention attribute name.The value you enter must be one of the values specified as a content attributename in step d.

b. Choose Application must provide value for retention attribute; this allows aclient application to supply the retention date when content is saved.

10. Click Finish.

Setting Centera-related Attributes in ArchivingServer

You must set the following Centera-related attributes in Archiving Server:• a_storage_type• a_retention_dateTo set the a_storage_type and a_retention_date attributes in Archiving Server:

1. Connect to WebAdmin. Refer to Logging in to WebAdmin, page 19.

2. Click ArchiveLink.

Ensure that the Archives tab is open.

3. From the Choose an Archive: drop-down list:

• select Create a New Configuration

OR

• select an existing archive to view or edit it.

The archive configuration page opens in the right pane.

4. From the Rule composer drop-down list, select a_storage_type.

5. In the text box against the Rule composer drop-down list, type the name of theCA store as configured in DA. Refer to Creating Content-Addressed Storage TypesUsing DA, page 32

6. Move the composed rule to the Defined map rules field: click the arrow icon belowthe Rule composer drop-down list.

7. From the Rule composer drop-down list, select a_retention_date.

8. In the text box against the Rule composer drop-down list, type a value fora_retention_date.

The value assigned to the a_retention_date attribute is the desired retention period,in days, from the date of ingestion.

Example 4-1.Type 365 in this field; this means that the documents will be stored in the archivefor one year, from the date of archival.

9. Move the composed rule to the Defined map rules field: click the arrow icon belowthe Rule composer drop-down list.

10. Type appropriate values for all other fields in the archive configuration page.

11. To save the a_retention_date setting for the archive, and other archive settings, clickSave.

The setting is active now and will apply to all documents stored in this archive.
