Dear Graduands

Universiti Malaysia Sarawak wishes to extend our heartiest congratulations on your

success in completing your studies at UNIMAS. You are cordially invited to attend

UNIMAS 20th Convocation Ceremony for the conferment of your degree which will be held

from 14th November 2016 until 17th November 2016 at Dewan Tunku Abdul Rahman

Putra (DeTAR PUTRA), UNIMAS. There will be 4 sessions which will be stated in this

circular.

Important Reminder

Only graduands who have settled all outstanding debts to the University (fees, and/or dues)

are allowed to attend the convocation ceremony.

1. Registration of Graduands

Graduands are required to report to the respective secretariat at Dewan Delima, DeTAR

PUTRA, UNIMAS on the following date/time;

2. Graduand’s Guide

2.1 Graduands are required to register their attendance during the stipulated

reporting time to the respective secretariat at the registration venue as

stated above. Graduands who fail to comply with the requirement will not be

permitted to enter the hall.

2.2 Instructions on procession line-up and seating arrangements will be given by

the officer-in-charge. Please adhere to the instructions given.

2.3 Barcode slips will be distributed during registration based on procession line-

up and seating arrangement.

2.4 Briefings on procession towards Arena Gemilang will be given during

rehearsal. Graduands are not allowed to leave the hall or change seats at

anytime during the session.

2.5 Graduands may enter the hall upon announcement by the Master of

Ceremony.

2.6 Graduands must be seated at your allocated seats as shown in Appendix 1.

2.7 Graduands will be instructed to line-up on the left side of the stage before the

Dean/Director invites His Excellency Tun Chancellor/The Honourable Pro-

Chancellor for the presentation ceremony. Please adhere to the instructions

given by the officer-in-charge (refer to Appendix 2)

2.8 Upon announcement by the Dean, graduands are required to walk forward

when instructed, up the stairway onto the stage. Give the officer-in-charge

your barcode slips and wait for your name to be called.

2.9 Hearing your name being called, walk towards His Excellency Tun

Chancellor or The Honourable Pro-Chancellor or the Vice Chancellor, bow

respectfully, receive folders with both hands and say Thank You Tun or

Thank You.

2.10 Graduands are not required to shake hands during or after receiving the

folders unless in situations where His Excellency Tun Chancellor or The

Honourable Pro Chancellor extend their hands to shake.

2.11 Conferment of degree will be given by either His Excellency Tun Chancellor,

The Honourable Pro-Chancellor or Vice Chancellor.

2.12 In the event where the conferment of degree is presented by the Pro-

Chancellor, protocol and etiquette is according to the one set for His

Excellency Tun Chancellor.

2.13 Walk across the stage and proceed down the stairway and back to your

allocated seats. Officers-in-charge will guide you to your seat (Flow as shown

in Appendix 2)

2.14 Graduands are not allowed to leave the hall before the end of each session.

2.15 The latest information on procedures for the ceremony can be accessed at our

Official Website at http://www.unimas.my/convocation/.

3. Rehearsal

3.1 Attendance at the rehearsal is COMPULSORY to ensure a smooth run of the

ceremony. Rehearsal will be held at 9.00am on Friday, 11th November 2016 at

Dewan Arena Gemilang, DeTAR PUTRA.

3.2 During the session, graduands are required to rehearse the song “UNIMAS

GEMILANG”. Lyrics can be found on page 12.

3.3 Graduands are required to assemble at the Dewan Arena Gemilang, DeTAR

PUTRA for the rehearsal. Briefings on procedures and etiquettes will be

given by the officer-in-charge.

4. Guest

4.1 Each graduand is allowed to bring a maximum of 2 guests into the hall.

Guests without invitation cards or entrance pass will not be permitted to

enter the hall. Graduands are required to inform parents/guests to dress

appropriately for the ceremony. Indecent dressing such as tight and short

dresses/skirts, sleeveless and low cuts blouses and jeans are not allowed.

4.2 Children below 12 years old are not allowed to enter the hall.

Graduands not adhering to the dress code will not be allowed to enter the

hall or join the convocation ceremony.

6. Collection and Returning of Robes

6.1 Representative must present the original payment receipt, a copy of the

representative identification card and a completed authorization form signed

by the graduand represented by him/her.

6.2 All payment must be made at the Student‟s Finance Unit.

6.3 Please ensure robes collected are in good condition. Complaints received after

the rental form has been signed will not be entertained.

6.4 Please ensure the inventory number on the collected robes are the same as

the inventory number on the returned robes. Graduands are advised not to

exchange robes, mortar boards or beefeaters with other students.

6.5 Collection and returning dates of robes are as follows;

6.6 Graduands must not alter any parts of the robes.

6.7 The following charges will be imposed for cases of lost/damaged robes/mortar

boards/beefeaters. Certificates will not be released until payments are made.

7. Tracer Study and Alumni Registration

7.1 Tracer Study System that has been established by Ministry of Higher

Education aims to solicit the views and experiences of graduands on several

aspects related to programme of study you have gone through, facilities and

services you have used while you were in UNIMAS. It was created as a

continuous effort to increase the quality of services in our national education

system development. Additionally, UNIMAS want to know how graduand

enter and face the global job challenges. The valuable feedback from

graduand are important to bring constructive changes to the Ministry of

Higher Education and UNIMAS.

7.2 Alumni registration aims to update graduand information in UNIMAS

database. This information will be used to reach UNIMAS alumni for any

activities and career opportunities.

7.3 It is compulsory for all graduating students to fill in the 2016 tracer study

form and alumni registration online. Graduands must print out both

registration slips and submit it to their respective faculty within the

designated time frame for borrowing robe. Failure to do so, graduands will

not allow to borrow robe. Please refer to the schedule of the important dates

in page 11 and obtain the Validation Process Flow Chart as attached.

7.4 The tracer study form can be accessed at http://graduan.moe.gov.my starting

October 17, 2016 while the alumni registration page can be accessed at

www.alumni.unimas.my.

7.5 Graduands represented by other individual to collect their robes are to ensure

both registration forms be completed prior to collection of robes.

8. Purchasing of Robes

Graduands who wish to purchase the graduation robe may do so by submitting a

request letter to the Registrar, Undergraduate Studies Division with a payment of

RM1,000.00. Charges are inclusive of one robe and mortar board or beefeater.

9. Convocation Fees

9.1 Payment of convocation fees of RM160.00 can be made via the following

methods;

i. By Cash/Credit Card/Debit Card at the Student Finance Unit,

Bursary Office.

ii. At any Bank Islam Malaysia Bhd (BIMB) counters (Please complete

the Cash Deposit Slip - payable to Universiti Malaysia Sarawak and

fill in your IC Number and payment amount)

iii. Via BIMB ATM Machine (applicable for BIMB ATM Card Holders

only)

iv. Internet Banking by Credit Card only (MIGS) via the e-payment link

on our Official Convocation Website at

http://www.unimas.my/student/online-payment

Payment can be made effective 17th October 2016 and latest by 13th

November 2016. Student Finance Unit, Bursary Office will be

operating during weekdays from 8.30am to 4.30 pm only.

9.2 Graduands attending the convocation ceremony must ensure the above

payment are made.

9.3 Graduands not attending the convocation ceremony are required to pay only

the Graduation Fee amounting to RM100.00. However, degree certificate and

academic transcript will only be released once all outstanding debts to the

University are settled.

10. Collection of Degree Certificate and Academic Transcript

10.1 Certificates and transcripts can be collected at the end of each session subject

to returning of robes/mortar board or beefeater in good condition and have

settled all debts to the University.

10.2 Graduands must ensure that the certificate and transcript or other

documents collected are in perfect condition before leaving the office. The

University will not be held responsible for any loss or damage thereafter.

10.3 All certificates and transcripts must be collected within 30 days from the date

of convocation. The University will not be responsible for any loss or damage

after the stipulated time period.

10.4 Graduands who are unable to collect their certificates and transcripts may

follow these instructions:

i. Present a completed authorization form with a copy of the

representative‟s identification card. Representatives are responsible in

ensuring certificates, transcripts and other documents collected are in

good condition before leaving the counter. The University will not be

responsible for any loss/damage thereafter.

ii. Submit an application letter to the Deputy Registrar, Undergraduate

Studies Division or Deputy Registrar, Centre for Graduate Studies

with payment of RM100.00 via Kiriman Wang payable to

BENDAHARI UNIMAS. The University will not be responsible for

any loss or damages occurred during the delivery. Delivery will be

made via registered mail or courier service.

10.5 Graduands with outstanding debts must settle all debts to the University

before their certificates and transcripts are delivered.

11. Detainment of Certificate and Academic Transcripts

11.1 Certificates and transcripts will be detained in cases where graduands who

are still in debts with the University; including traffic summons, have not

returned the library books or other items borrowed from UNIMAS.

11.2 Once all matters are resolved, please bring the payment receipts or proof of

delivery of books/items borrowed. Failure to do so will result in detainment of

your certificates and transcripts.

12. Convocation Photography

12.1 Graduands are not allowed to take photos or request a representative to take

photos during the ceremony.

12.2 All photo takings will be managed by UNIMAS appointed official

photographers.

12.3 Further information on appointed official photographer will be made

available to graduands during the collection of robes.

13. Accommodation

The University will not be providing accommodation to graduands. However, a list of

hotels available in Kuching are shown in Appendix 6, 7 & 8.

Tracer Study and Alumni Verification Process

Complete and print out the online MOHE Graduates Tracer Study and Alumni Registration Slip

(http:/graduan.moe.gov.my and www.alumni.my)

Submit both registration slips for review and approval by the Faculty

The slips will be checked and categorized into two status – employed or unemployed

Graduand must attend a Special Session by the

Secretariat

Registration Slips & BPPs-28 Form verified / signed by the faculty

Employed Definitions*

1.

"Employed" –currently is employed, regardless if the job related to your field/degree or not (eg. Temporary School Teachers /Kindergarten, Salesperson and others)

2.

"Further Study" – Registered as Postgraduate student, either by Research or Coursework

3.

"Training" / "Upskilling" – Attending of training programs such as 3P, Infosys program, Talent Program, Industrial Training or any other training programs

4. "Waiting for Job Placement" - In certain cases, successfully being offered a job but waiting for a job placement.
