CONFIGURATION MANAGEMENT

Configuration Management: is a process of creating or maintaining the shared drive. Thisis done by the Configuration controller or the Backup configuration controller

Roles and Responsibilities:

Configuration Controller: The person who defines implements and creates theconfiguration management (CM) in the shared drive is called as Configuration Controller (CC).

Backup Configuration Controller: To help the Configuration Controller, a BackupConfiguration Controller (BCC) is present.

Activities for CC and BCC The Configuration controller identifies all the documents that need to be stored in the

shared drive and calculates the space required. This is based on the lifetime of the project.

With storage space details the configuration controller raises a request for the same to theManager.

The Mangers sends the same request for the approval to the Senior Manager, He furtherforwards it to the Delivery Head. After his approval he sends the request to the Financedepartment for the Finance approval and then they give the same requirement to the

purchase or for procurement. They purchase and give it to the network team.

The Network team configures the shared drive in the company network and gives theadmin privileges to the Configuration Controller and the Backup configuration

Controller.

Structure of Folders: The Folders or subfolders are created in the shared drive. There is no pre-defined structure for the folders. Any structure that is clearly understood by everyone in the team and that can be

maintained is decided and created.

Based upon the folder structure the documents are placed in the appropriate folders. A catalog which has details of all the documents and the folder path is prepared. This list

is called as Master List.

This list will act as an index and will help everyone in the team to access folders in whichthe document is present.

The catalog, folder structure and usage rule documents is given to all the team membersof the project, so that they are able to clearly understand about the items present in the

shared drive.

Access Permission

Permission is granted by the CC or BCC to access the folder.

Permission is given to the member of the Project team to access the folders in the shareddrive.

The permission depends upon the designation and the responsibilities of the members inthe project.

Permission is granted for:o Permission only to read the document in the foldero Permission to edit the document in the folder.o Adding or deleting the document in the foldero Permission can even be set so that the person can even be avoided to access thefolder

All the above process helps the team members to access shared drive.

Data Management: The storage and retrieving of documents helps in data management.

The configuration controller keeps track of all the documents that are added or deleted tothe shared drive.

He grants or revokes the permission based on the entry and exit of the members of theteam.

To safeguard the data virus scan are performed. The scanning is done by the network team which is an action done automatically on daily

basis.

The configuration controller just needs to check that the scan is done or not. If deviationsoccur, he escalates to network lead or takes appropriate actions

In case if we need to retrieve a document then we need to request the configuration controller andhe can provide us the same after interacting with the Network team.

Back up Archives

A process where all the documents in shareddrive are kept in a safe place

A process where unused old documents in the shareddrive are kept in another or separate place.

This is done so that all the data is saved from

hardware crash or data loss

This is done to remove unused data from the shared

drive so that searching and maintaining can be done

easily

This a Dumbo process where all the items arebacked up from the shared drive

This is an intelligent process where they identify thelast usage date and time and stored in the other place.

Performed by the network team on daily basis
