PST Archiving Microsoft Outlook Data Files, such as Personal Folder Table (PST) files may reside on a user's local computer, network shares, or both. The number and size of PST files can increase rapidly when users exchange emails and perform other tasks such as add calendar items, tasks and journal entries, etc. PST Archiving provides an enterprise solution for effectively managing PST files, whether on local workstations, shared locations, or both, by archiving them to secondary storage, and making them available to end-users from that location. A few of the features of PST Archiving are:

• Browse, search for, and restore emails from archived PST files. • Permanently delete PST files from their source location and keep just

the archived copies on secondary storage to meet compliance requirements.

• Collect PST files that are stored on laptops and desktops automatically by using the Laptop Backup feature.

• Detect who owns PST files based on files, laptops, or the user home folder on a network share.

• Reclaim space on secondary storage by aging specific messages based on their receipt time.

• Users can recover archived messages using Outlook Add-In, Outlook Web Access (OWA), Universal Recall Link, and the Web Console.

Deduplication Database (DDB) Resynchronization Use DDB Resynchronization to reconcile inconsistencies between the DDB and the CommServe database. The DDB is brought online and reverted to a reusable state from maintenance mode. DDB Resynchronization prevents sealing of the DDB after the CommServe Disaster Recovery (DR) restore, thus saving significant disk space on the disk library.

Performance Safeguards for Deduplication Database (DDB) You will now receive DDB threshold events and alerts on slow performing DDBs in the CommCell. The performance of the DDB is measured by the Average Query and Insertion (QI) time threshold. The alerts are enabled by default and will be generated when the QI time of the DDB reaches 70%, 80%, 90% of the two milliseconds threshold.

Recovering Aged Data Using Tape Catalog Data loss due to accidental deletion or technical failure can negatively affect ongoing operations, requiring speedy data recovery. The preferred method is to recover data from a disaster recovery backup, but if one does not exist, you can use the Tape Catalog feature if the data was backed up to tape media. Using this feature, the tapes can be catalogued, and the jobs contained on it can be merged back into the database so that they are restorable.

Physically Erasing Data from Spare Tape Media You can now select to run a Full Erase operation to erase all data from the spare tape media. The Full Erase operation physically erases the data from the spare tape media, unlike the Quick Erase operation, where the data is erased logically by overwriting the OML (On-Media-Label).

Virtual Machine Disk Conversion from VMware to Hyper-V As part of the process of restoring virtual machine disk files, you can convert disks to a new format:

• VMware virtual machine disks in the VMDK format can be converted to VHD or VHDX.

• Hyper-V disks in the VHDX format can be converted to VMDK. After converting a disk, you can attach it to an existing VM or use it to create a new VM. Disk conversion can be used to move data from one platform to another, or as the first step in migrating a virtual machine. Disk conversion is supported from full or incremental backups, for both Windows and Linux VMs and for disks using thin or thick disk provisioning.

Live File Recovery with Enhanced Linux File System Support (VMware) Live File Recovery provides expanded file system support, including ext4, and enables live browse of backup data without requiring granular metadata collection during backups. This feature supports restores of files and folders from backups of Windows VMs and of Unix VMs that use ext2, ext3, ext4, XFS, JFS, or Btrfs file systems. Live File Recovery can also be used when reducing backup times is a priority. This is a tradeoff; using this feature reduces backup time but increases the time required to browse files and folders. To recover files or folders from a backup, you can enable backup data to be mounted as a temporary NFS datastore that can be used to browse and restore file and folders.

Setup Requirements • You must deploy and use a Linux MediaAgent for File Recovery to

access the data in the backup. See Deploy a Virtual Machine for Linux File Restores.

• Identify the proxy ESX server to be used to mount the NFS datastore using the Advanced Options tab on the subclient properties.

• The ESX server used to mount the NFS datastore for the browse and restore must be able to resolve the Linux MediaAgent for File Recovery. To ensure connectivity, create a host file entry for the Linux MediaAgent for File Recovery on the ESX server.

Block-Level Backup Support for File System Data Use block-level backups to back up physical disk blocks of file system data using native snaps or hardware snap engines. Block level backups offer better performance over file system based backups in environments that typically contain a large number of small files.

Key Features • Faster backups as only the physical disk blocks that contain the data

are backed up. • Better performance over disk-image based backups when performed

on a complete volume by reducing the scan time, particularly if the file system has a large number of small files.

• Block-level incremental backups run faster and back up lesser data when the file system has very large files.

• File system scan is optional. You can enable file system scan during backups if you want to view a list of backed up items or to browse or search for a particular file based on the file properties like file name and so on.

Data Analytics Managing enterprise data storage is an increasingly difficult task. In many organizations, a significant amount of storage space is wasted on data that is outdated, redundant, or otherwise not essential to business. Not only does this data sprawl create a problem for backup administrators, but it also increases the organization’s risk for compliance-related issues.

Data Analytics enables you to collect information about the unstructured data residing on clients in your organization. By viewing this information in the Data Analytics Reports in the Web Console, you can identify the non-business essential data that are occupying your storage resources and take measures to reclaim valuable space and mitigate risk.

With the information provided by Data Analytics, you can:

• Identify outdated, large, or other non-business essential data residing

on clients. • Reduce the risk of issues caused by storing data beyond your

retention requirements. • Calculate the savings of moving data to more inexpensive, secondary

storage. • Export Data Analytics Reports in a variety of useful formats.

• Analytics Workflow

The analytics workflow enables you to collect data from clients across multiple CommCell groups and create Data Analytics reports. The analytics workflow also enables you to analyze data on clients that do not have a Simpana agent installed using the System Discovery Tool. Applicable Agents The following agents and data types are supported by Data Analytics: • All file system agents • Microsoft Exchange Mailbox Agent • File system data for Virtual Server Agent When running the analytics workflow, NAS Agents are supported in addition to the agents and data types above. However, the Macintosh File System Agent is not supported by the analytics workflow.

Setup Requirements To use Data Analytics, ensure that the following requirements are met: • Analytics Engine must be enabled on a MediaAgent that meets certain

requirements. • Web Server and Web Console must be deployed for users to access the

File and Email Analytics reports. • To use analytics workflow, the Workflow Engine must be deployed

Recommendations Data Analytics can be performed either as a job or a workflow. If you want to run analytics on a regular basis, we recommend you schedule to run Data Analytics as a job. If you want to obtain a one-time report of the data in your organization, we recommend you run Data Analytics as a workflow.

Key Features • Periodic Document Encryption

With Periodic Document Encryption, you can prevent unauthorized access to business-critical data on your laptop clients. If your laptop is unintentionally lost, stolen, or offline for an extended period of time, your DLP secured files are automatically encrypted and secured with a user-defined passkey. • Secure Erase

In the event that your laptop is lost or stolen, you can use Secure Erase to remotely delete data on the laptop and mitigate the risk of data leakage. You can either choose to erase specific files and folders, or erase all of the data on your laptop as a measure of last resort. For more information, see Secure Erase.

Setup Requirements

To deploy Data Loss Prevention (DLP), ensure that the following requirements are met:

• Explorer Plug-In must be installed on your laptop clients. The Explorer Plug-In enables end-users to establish a DLP passkey and secure files directly from Windows Explorer.

• To allow end-users to remotely configure DLP settings, Web Console must be deployed.

Recommendations

We recommend that global Data Loss Prevention (DLP) settings are configured in the CommCell Console for common business-sensitive data residing on laptop clients.

Deduplicated Data Verification Deduplicated Data Verification is an efficient way to cross verify the unique data blocks on the deduplication database (DDB), disk and on the CommServe database. When using deduplicated data verification:

• You are ensuring that data is valid for a restore and an Auxiliary Copy operation.

• The processing time for data verification for all jobs is reduced because unique data blocks that are referred by multiple deduplicated backup jobs are read and verified only once.

End-User Erase for Exchange Mailbox The Exchange Mailbox End-User Erase feature allows users to browse stored emails, and then erase messages that they no longer need. For example, users might focus on erasing messages with attachments. Users can see how much space is available after the messages have been erased.

Recommendations • Before users can erase messages, you must create a storage policy

that uses the MediaAgent that you have dedicated to erasing data. • The End-User Erase feature is resource-intensive for the MediaAgent

host that runs it. • The MediaAgent host that is used for End-User Erase should be a

high-performing computer that is capable of being scaled. • The MediaAgent software must be the only Simpana component that

is running on that MediaAgent host.

Global Repository Cell (GRC) Global Repository Cell (GRC) is a CommCell configured as a repository for jobs from other CommCell computers known as PodCells. The aim is to be able to perform restores on the GRC of jobs that were backed up on the PodCell, or to further create auxiliary copy of data locally, in case longer retention is required.

Since there is continuous metadata transferring between the PodCells and GRC, you can view available jobs for browse and restore that are on PodCell and, if the GRC has access to the backup data, you are able to perform cross machine restores or auxiliary copies of data to clients that are local to GRC. Restoring to the original clients is not possible as they belong to the PodCell.

• Standardized Configurations

GRC also allows pushing some configuration data like schedule policies, users and user groups, alert configurations, export locations back from the GRC to the PodCells. This standardizes configurations uniformly across the PodCells.

AS/400 (iSeries) Backup Support Use the file system agent to back up data and perform file level restores on iSeries clients. The agent provides unified protection and recovery for the file system data on iSeries clients using a proxy client. As all the data protection and recovery requests to the iSeries client pass through the proxy client, security for data present on the iSeries clients is ensured.

Infinite Volume Backup Support Using CIFS and NFS Infinite Volume Backup Support adds data protection and recovery support for NetApp infinite volume Vserver using the Windows File System Agent, to backup CIFS shares, or UNIX File System Agent, to backup NFS exports mounted on a given proxy machine. This feature overcomes the fact that NetApp infinite volume Vserver does not support NDMP backups.

The tape backup support uses the Windows File System Agent under NAS/Windows clients to back up UNC path, or the UNIX File System Agent under NAS/Unix clients to back up mounted NFS export. The backup job will walk the entire CIFS share or NFS export for each kind of backup to determine the files to protect.

• Snapshot Backup

The snapshot support uses the Windows File System Agent under NAS clients to back up UNC path or the UNIX File System Agent under NAS/Unix clients to back up mounted NFS export. The CIFS share/NFS export are used to look up the volume name on a file server to be snapped. The first full backup walks the entire CIFS share or NFS export to determine the files to catalog - subsequent backups including full, incremental, and differential backups will get only the changed file list from a file server without scanning the CIFS share or the NFS export.

Log Monitoring from the CommCell Console Use the log and system monitoring feature to create policies and analyze log data from multiple clients in a CommCell. Filter log data, collected from the various log files, using criteria specific to your requirements, and use this information to monitor the state of your CommCell. The log monitoring web console application provides a centralized user interface to search indexed log files. Search criteria are automatically saved and can be reused when required. Exchange Mailbox Backup Quota The Exchange Mailbox Backup Quota feature lets administrators manage backup storage by setting limits at the mailbox level to prevent email messages from using too much storage space. Mailbox owners are notified by email when a mailbox is approaching or exceeds its quota limit, and administrators are sent a copy of the notifications. In addition, administrators can monitor mailbox backup storage usage by examining the Mailbox Quota Usage report, which provides mailbox backup storage use statistics.

that the agent has completed at least one backup job. • Enterprise Metrics Reporting Server (EMRS) must be installed and set

Exchange Mailbox Retention Tags Retention tags control how long emails are retained on the Exchange Server. Retention can be set at the message level based on your organization's compliance and retention policies. You can define retention tags and apply them to individual messages or entire folders within mailboxes. In addition, you can give users the ability to apply retention tags to the messages or folders. Retention tags can be imported into the CommServe database to define email retention on the secondary storage.
