What’s New

Get ready for the 2017 4-H National Youth Science Day (NYSD) Challenge, “Incredible Wearables.” This innovative, hands-on project, developed by the University of Nebraska-Lincoln, is designed to engage young people in STEM by immersing them in the fast-evolving field of wearable technology, a field that is poised to revolutionize everything from entertainment to space travel to medicine.

Along the way, young people will learn how circuits, sensors and health data can be blended with fashion to create a viable, wearable tech product. Pre-order your Incredible Wearables kits from the 4-H Mall (www.4-hmall.org) for $23.95 for a limited time! Each low-cost kit is reusable and can serve up to 10 youth at a time. Also, through a generous partnership with DuPont, the 4-H Mall is offering one (1) free NYSD kit for every two (2) purchased.

2017 BGCA MILITARY LEARNING INSTITUTESAVE THE DATECYP Headquarters has submitted a conference request package through the chain-of-command on behalf of our Youth Programs to attend the 2017 Boys & Girls Clubs of America Military Learning Institute in Atlanta, Georgia from 23-27 October 2017. No further action is required at this time, however please ask your installation to “save-the-date” as October features the start of the fiscal year and several local special events (e.g. Halloween, Trunk-or-Treat). Eligible attendees are CYP Professionals responsible for implementing positive youth development at their respective CYP (e.g. Youth Director, Assistant Directors, Teen Coordinator, and SAC Leads).

2016 BGCA Military Learning Institute

In 2011, Navy Child and Youth Programs (CYP) Headquarters (HQ) began offering various Science, Technology, Engineering, Arts, and Math (STEAM) camps via our partnership with the 4-H Military Partnership/Land Grant University System and Missoula Children’s Theatre. Over the past few years, CYP participants (teens), with the assistance of CYP Professionals and volunteers, have submitted video applications on behalf of their local Navy Youth Program, and CYP HQ has extended more than 470 scholarships to local Navy Youth Programs worldwide. The STEAM Camp Program provides opportunities for teens to be exposed to educational and recreational activities on university/college campuses and promotes healthy, lifelong hobbies while giving teens the chance to make new friends, reduce stress and stay active all summer. CYP HQ is pleased to announce that the following Navy Youth Programs have been selected to attend the 2017 Navy STEAM Camp Program.

What’s New YOUTH PROGRAMS CONTINUED

2017 NAVY STEAM CAMP PROGRAM SELECTIONS

Several CYPs have reported their respective Teen Employment Programs (TEP) have transitioned into “summer only” experiences due to teen feedback/availability and background check requirements of TEP supervisors. As a best practice, if a CYP elects to offer a single session of TEP, TEP Coordinators are required to offer a minimum of two (2) preparatory workshops and one (1) hiring event in advance of the execution of TEP. To clarify, two (2) hiring events are not required for the execution of a single session of TEP. However, the scheduling of any and all TEP Hiring Events must be intentionally designed to capture the participation of potential teen employees (e.g. non-school days, nights, weekends).

TEEN EMPLOYMENT PROGRAM UPDATE

Seventy Navy CYP Professionals attended the 2017 4-H Military Partnership Training from 19-21 April in San Antonio, Texas. CYP Headquarters facilitated a Navy Training Day followed by a tailored 4-H 101/201 Training for all attendees. 4-H State/Military Liaisons and various partners facilitated workshops on fashion, drones, computer science, social/emotional needs of military youth, LEGO robotics, blogging, etc. Navy CYP Professionals were connected with their 4-H State/Military Liaison for increased communication, youth advocacy, and resourcing. In addition, all CYP Professionals were tasked with learning more about the 4-H Military Partnership, networking with colleagues, and developing action plans to take back to their respective military installation/community. Thanks to all who attended!

What’s New CHILD DEVELOPMENT HOMES

NAFCC recently made some important changes to the quality standards. Complete information regarding these standards is located on the e-Library. You can access it by clicking here.

Some highlights of these updates include: • Quality Standards Review • Ratios • Professional Development • Criminal Background Check Requirements for Observers • Updated Transfer Policy • Accreditation Fees

Navy CDH Providers already meet the majority of these changes, however they will need to review the Professional Development requirements closely as the number of hours required to meet the standards has increased, and what can count toward meeting these requirements has been revised.

These changes will be implemented in January 2018, but don’t wait to review. It’s important to get started on attending more training. The Compliance Timeline Summary shows when Providers can expect to have to meet these requirements based upon their accreditation renewal.

New applicants for NAFCC Accreditation will be held to these new standards, so please make sure to review them with your Providers.

NATIONAL ASSOCIATION FOR FAMILY CHILD CARE (NAFCC) QUALITY UPDATES

NAYS ACADEMY AND CONGRESS 8-11 NOVEMBER 2017Save the date for the 2017 National Alliance for Youth Sports (NAYS) Academy and Congress in Orlando, Florida from 8-11 November 2017. This training is intended for current Certified Youth Sports Administrator credential positions, responsible for providing the full range of on-base YSF Baseline Sports, Locally Selected Sports, and Start Smart Motor Skill Development programs (primarily YF and YF/T Coordinator positions).

NAYS NYSCA AND PAYS FEATURE UPDATEThe renewal period for both coaches and parents has been extended from 30 days to 60 days, and NAYS has updated all the internal systems and auto-emails as necessary to accommodate this new feature.

The 2017 NAYS Excellence in Youth Sports Award preliminary online application deadline is 30 June 2017.

Navy YSF programs can be recognized for conducting diverse youth sports activities with a focus on providing safe and positive experiences for all participants, including children, parents and coaches. Each year hundreds of youth sports programs across the country and military bases worldwide vie to be an award winner.

YF Coordinators should complete a preliminary Navy Youth Sports application by 30 June 2017. The NAYS Excellence Award Committee reviews applications, and then invites selected applicants to participate in the Final Round that includes two mandatory elements – a more thorough application and a survey component. Finalists are given a survey link to have as many parents, coaches, volunteers, and sponsors complete the online questionnaire. These mandatory elements must be submitted by a TBD date. Final Round programs are then judged on several criteria, including what the organization does to educate their administrators, volunteer coaches, game officials and parents, in addition to how well they demonstrate that they embrace a child-centered recreational sports philosophy aimed at providing a positive, safe experience for all youth.

NAYS also works with partners to offer added value to winning an Excellence in Youth Sports Award, including:

•In-kind contributions from Excellence Award sponsors to support and enhance their youth sports program •A custom award to display at their facility •National, state, and local recognition, including in Athletic Business and the National Alliance for Youth Sports•Two complimentary registrations for the Youth Sports Congress

NAYS EXCELLENCE IN YOUTH SPORTS AWARD

What’s New

According to the YSF Operating Manual (OM), the PAYS term ‘annual’ relates to the parent’s original pledge date through their ‘expiring’ date. Parents are only required to take the PAYS training one time and renew their pledge annually. Parents are not required to have an active/continuous certification valid throughout an entire sport season.

In order to better serve our parents and align our enrollment practice with the YSF OM, programs will setup enrollments by using the CYMS ‘Valid when Section begins’ function, where we only require the PAYS certification to be valid at the start of the sports season.

For example if John Doe (PAYS Member - 1032465 Expiring 28 April 2017) registers his daughter for soccer on 28 April 2017, his certification is valid for his daughter to participate throughout that entire sport season. However, if John Doe (PAYS Member - 1032465 Expiring 28 April 2017) registers his daughter for soccer on 29 April 2017, his certification is not valid and his daughter may not participate until John Doe recertifies his PAYS pledge.

The soon to be released ‘Navy CYP Online YP Activity Setup’ guide will have detailed information about the ‘Sport Physical Option’ section used to enter the PAYS data. Navy CYMS users will borrow this field to track PAYS completion instead of Sport Physicals. For any YSF offering, including Community Sports, instructions were to toggle ‘Valid Throughout Section,’ which is now changed to ‘Valid when Section Begins.’ This means PAYS must be valid on the start date of the program but can expire before the program ends. This setting works in conjunction with the ‘Last Sports Physical Date’ on the Special Needs (Identified Needs) screen of the child’s record. Each child’s record in the Household must be updated with this same date. For detailed information, click here to access ‘Household Records Standards,’ and see section 3.5.2.

PARENTS ASSOCIATION FOR YOUTH SPORTS - CYMS CYP ONLINE SERVICES UPDATE

NAYS PARENT AND COACH OF THE YEAR AWARDSParent and Coach of the Year nominations must be submitted by 30 June 2017. Apply online by clicking here.

Criteria for Parent of the Year includes youth sports parents who are active PAYS members, make youth sports fun for every child, place the emotional and physical well-being of the children ahead of their own desire to win, act as a role model of good sportsmanship, and support the coaches and officials who work with the youth.

Criteria for Coach of the Year includes youth sports coaches who are current NYSCA members, make having fun the priority

of the game, treat each player as an individual and help them be the best they can be, make an effort to improve their own coaching skills, and act as a role model of fair play and good sportsmanship.

What’s New

A newly unveiled feature by the National Alliance for Youth Sports (NAYS) eliminates the need for pre-registering new members for the NAYS coach online training. The instructions below include the steps your coaches need to follow in order to bypass the payment page. It’s important they do not skip any of the steps for registering and/or for completing the online training. Contact [email protected] with any questions.

Navy Volunteer CoachThe coach self-registration/membership fee is paid by the local NAYS Member Organization.

NAYS Coach Online Training 1. Visit nays.org and click Sign Up in the top right corner. 2. Click Join Now located under the red Coach box. 3. Follow the prompts to sign up. 4. NOTE: The membership fee is paid by your Navy installation. You must select your installation’s name on the dropdown box to bypass the payment page. 5. After completing the registration process, you may begin the online training immediately or return and login later. 6. Review each section of the Coaching Youth Sports video and answer questions. 7. Then, complete training for your specific sport. 8. Upon completion of the online training, you will have instant access to a personalized online member account. Take advantage of all the benefits offered to you as part of your NAYS membership, including free trainings: Concussion Awareness, Bullying Prevention, Protecting Against Abuse, and Coaching Children with Mental Health Challenges.

NAYS NYSCA NEW FEATURE UPDATE

This spring, children, parents, and staff at NAS Lemoore Child Development Center volunteered for a haircut and donated approximately 10 inches each to the Hair Today, Wig Tomorrow organization. Hair donations are used to

make wigs and are provided to cancer patients without charge.

On 29 April, Naval Base Coronado CYP held our annual America’s Armed Forces Kids Color Run. The race included a diaper dash for crawling infants, toddler trot, pumped up preschool run, and the Armed Forces Kids Color Run for ages 5-13. There were a total of 289 pre-registered participants. Each child received a T-shirt, medal, sunglasses, bib, and color packet.

The OSU team has provided a crosswalk between the different direct care tracks available within the Virtual Lab School (VLS). The majority of the information contained within the VLS is applicable to all age groups. However, the OSU team has identified the sections of each course that are age-group specific. If a direct care staff member moves to a different age group (i.e., School-Age to Infant/Toddlers), Training & Curriculum Specialists can use the crosswalk documents for each course to identify which sections of each course should be reviewed by the staff member to provide the information about the new age group.

VLS Course crosswalk documents are now available to trainers and administrators on the VLS website. These can be accessed by clicking on “Assessments” under any course in any direct care user’s progress report, and then clicking “Course Resources.”

YOUTH SPORTS AND FITNESS (YSF) TRAINING MODULESWith our partners at The Clearinghouse for Military Family Readiness, we have developed a series of virtual training modules for all CYP personnel. The purpose of these virtual training modules is to provide CYP personnel with the basic foundational knowledge, industry standards, and best practices in the execution of YSF programming.

The target audiences for the virtual training modules are CYP Directors, Youth Directors, Assistant Youth Directors, YF Coordinators, Teen Coordinators, and direct care staff responsible for the execution of YSF programming. Additionally, all virtual training modules are correlated to Individual Development Plan (IDP) training requirements. Upon completion of the virtual training modules, Training and Curriculum (T&C) Specialists will update each participant’s IDP with the associated CYMS training code.

As additional YSF Virtual Training Modules become available, they will be added to the CYP e-Library.

KIDS INCLUDED TOGETHER (KIT) WEBINARS

Summer is fast approaching, so make sure you have prepared your Summer Camp weeks for the current season. Camp weeks should be reused each year, instead of adding new ones. At this point in time, some of you already have Summer Camp weeks updated and are ready to go. For those of you who still have to prepare, follow these steps in order:

Step 1 – Verify all children from last year’s rosters have been transferred to history. 1A – Run a Trial Balance Report to see if any enrollees still have a balance on their account. 1B – Take corrective action to remove these balances. 1C – Transfer all children from last year to history (Roster Transfer to History (ALL).

Step 2 – Verify the setup for each camp section (week) is correct. 2A – Change ‘Begin Date’ and ‘End Date’ to this year’s dates for each camp week respectively (section 1 is week 1, section 2 is week 2, etc.). Begin Date should always be a Monday, and End Date should always be a Friday.

All CYMS databases are now on version 10.3y03. With this recent upgrade, a significant change happened to the Staff module. Part of the staff record core screen was removed and put into a separate screen (Job Codes), mainly pertaining to the staff member’s job. The ‘Job Codes’ button is found next to the ‘Load Std Codes’ button. Additionally, Pay Plan and Pay Grade are now combined into one field.

We are currently revising the ‘CYMS Staff Records Standards’ to reflect these changes and update background check processes. Regions will be notified once Staff Records Standards are updated and available. In the interim, please use CTG-60 Staff Records guide, available on the e-Library.

CYMS UPGRADE TO 10.3Y03

CYMS TIPS AND TRICKSHere are some general tips on what is available once you’re logged into CYMS:- Press the ‘F1’ key from any screen in CYMS to obtain field-level help for each task.- Press the ‘F5’ key to refresh a listing on the screen, which will start the list at the top.- Press the ‘F8’ key to clear the contents of a date field (highlighting a date field and using ‘Delete’ will not work for a date field).

Trainings

This program prorates the last Before/After (B/A) bills for the current school year, cancels all Before/After billing during summer, and prorates the first Before/After bills for the upcoming school year. Timing is very important.

Example:- B/A School ends on 6/16/2017 (last billing would be 6/15/2017)- Summer Camp runs 6/19/2017 – 9/1/2017 (weekly camp billings)- B/A School begins again on 9/5/2017 (first billing would be 9/1/2017)

Prior to the 15 June B/A School billing, CYMS B/A School Prorate for Camp must be run. Exact dates for when school ends and when school resumes must be entered. For the example dates above, ‘School ends’ on 16 June and ‘School resumes’ on 5 September. Click here to review the training guide.

There were several great events, and families were encouraged to wear colors of the fruit from the book. Snacks were also inspired by the story!

They are mastering confined dive and open water dive skills to become certified recreational divers.
