How to prepare a presentation

Step 1 Define target group

Who are my listeners, readers, viewers?

What kind of a relationship do we have?

Is it a formal or an informal occasion? What went on before?

Step 2 Define communication goal

To inform (You need to know this) To persuade (Trust me, I am right on this one) To amuse (This is funny) To activate (You have to do this) To instruct (Do it like this)

Step 3 Determine medium

Telephone, letter, e-mail, presentation, flyer, poster, broadcast, radio commercial, e-mail, discussion, meeting, conversation, discussion group etc.

Step 4 Information

Collect (as much as you can) Select (choose what you are going to use) Order (what comes first, second etc)

Step 5 Writing

Write separate paragraphs Rewrite/find the right style Consider choice of words Add linkers Add examples

Step 6 Choose av material

Illustrations, blackboard, charts, maps, beamer, overhead projector, sound fragment, television fragment etc.

Should add to the presentation of your message:

Make things clearer Make things livelier

Step 7 Write:

Introduction What are you going to discuss What can the reader/listener expect

Conclusion summary An actual summary Your opinion/view

Step 8 Check

Spelling Grammar

Look up words in a dictionary Use a theory book on spelling & grammar Use spelling checker on your pc

Step 9

Prepare actual talk

In case of presentation, phone call, meeting etc:

Make notes Rehearse

Step 9 Afterwards:

Did I accomplish my goal Did I use the right tone of voice Did everything go as planned What was good What can be improved etc
