COLONIAL BAPTIST CHURCH

AWANA CLUBS

Dear Parents: We are looking forward to working with your son or daughter this year in Awana. Our club meets from September through May on Wednesday nights from 6:45-8:30 p.m. We are excited about various changes that we will be instituting, but our goal remains the same: to help train youth to become what God would have them to be: "unashamed workmen". “Awana” stands for “Approved Workmen Are Not Ashamed.” (II Timothy 2:15) Each club night starts with Opening Ceremonies at 6:45 in the gymnasium. The rest of the night is divided into three segments: 1. HANDBOOK TIME: This is a 30-minute segment during which your son or daughter will recite Bible verses which he or she has studied all week at home. All clubbers (except Cubbies, ages 3-4) move through their handbook at their own pace. The clubbers will receive points for each section they say, which will be used later to purchase items from the Awana Store. 2. GAME TIME: This 30-minute segment involves organized game activities. This activity is monitored by the leaders to ensure sportsmanship and to prevent any injuries. Our goal is to teach our youth how to win or lose gracefully and to promote interaction among their peers. Clubbers should wear tennis shoes (with non-marking soles) to participate. 3. LARGE GROUP TIME: This 30-minute segment is a time for the individual clubs to teach a Bible centered message.

Upon your clubber’s first night in Awana, he or she will be given an Entrance Booklet for his or her respective club. It will take approximately 2-3 weeks to complete. There will be Bible verses and a song to memorize, and attendance requirements. After completion of this booklet, your child will be eligible to purchase a handbook and uniform. At this time, they will be recognized as a member of the club. Once official members, clubbers can begin earning awards which are displayed on their uniforms. No clubber will be allowed to receive awards unless he or she is wearing the prescribed uniform of his or her club. It is our goal to provide a safe and secure environment for your son or daughter. Clubbers are expected to conduct themselves properly. Any time an attitude or behavior problem concerning your child is brought to our attention, one of us will contact you directly so that we can work together to alleviate the problem before it becomes serious and disruptive. As parents, you have a daunting responsibility to train your children in the fear and admonition of the Lord (Deuteronomy 6; Ephesians 6,

Proverbs 22:6; Psalm 78). We are here to help you in this endeavor. By working through these books with your children during the week, you will be helping them by getting the truth of the Word of God deep into their hearts and minds. The results of this may not been seen for time, but the Word of God "will not return...empty, but it shall accomplish that which [God] purposes" (Isaiah 55:11). AGE ASSIGNMENTS Clubbers are assigned a "grade" based on their current age at the beginning of the club year. Although many clubbers may be further along in the education, we follow the typical school guidelines and we will not advance a clubber into an upper grade if their birthday falls after September 30th. The following age delineations apply:

Cubbies: ages 3 & 4

Sparks: K5 – 2nd grade; ages 5-7

Colonial's youth program, under the direction of Pastor Paul Campbell, also meets on Wednesday night and is for those in middle & high school.

PARENT EXPECTATIONS These are the things that you should plan on doing as parents to help your clubber(s) succeed:

Pray for your clubber and their club leaders…without it, nothing else matters!!

Spend some time each day helping your child memorize their verses and complete their sections. To complete a handbook, a clubber needs to complete two sections a week.

Read the e-mails and notifications from Awana@CBVB to stay on top of special events and information.

Drop off & pick up your kids ON TIME…we’ll do our best to be done on time as well.

Physically SIGN IN your clubbers…this is for security and safety purposes (see Safety Information below).

Make sure clubbers use the restroom before coming to club (especially the Cubbies & Sparks). Due to time constraints, frivolous use of the lavatory is discouraged. Please let us know if there is a medical condition that we need to be aware of.

Clubbers need to be in uniform, unless it’s a dress-up night (such as Noah’s Ark Night).

Shoes: athletic type tennis or running shoes – No sandals or dress shoes allowed.

UNIFORMS The club uniforms are designed for easy identification of clubber, build club unity and allow the clubber to display their awards for completing their sections. As such, awards will not be handed out to a clubber who is not in uniform.

Leaders are expected to be in uniform so you can easily identify them as well!! Non-marking athletic shoes are required for game time. GUIDELINES for UNIFORM APPRECIATION NIGHT Clubbers can earn 10 extra points on this night for wearing their uniform properly as follows:

The uniform must be clean and neat – iron it if it is crumpled!

The uniform must be buttoned if there are buttons.

The uniform must have no strings hanging down.

All awards and patches must be attached properly. Refer to the clubber’s handbook or ask your clubber’s secretary.

PARTICIPATION

Please have your clubber here on time and picked up on time. Awana runs from 6:45 to 8:30 p.m. Leaders for each club will be available by 6:30 each Wednesday for you to check in your clubbers. Please be available right at 8:30 p.m. to pick up your clubbers so everyone can get home at a reasonable time!!

Clubbers should prepare for handbook time by memorizing their sections during the week and be ready to recite them when they come to meeting. Clubbers are expected to have their handbook at club in order to receive credit for sections passed.

Clubbers are allowed only two helps per section. A help may be a phrase or gesture of three words or less.

Clubbers are given equal time with their leaders for working on sections. To be equitable and depending on the number of clubbers per leader, clubbers may be restricted to only 2-3 sections at one time before it is another clubber’s turn.

Depending on circumstances, clubbers with many sections ready may not be able to say all of their sections during the handbook segment of a given night. Arrangements can be made with the club director to find extra time to complete sections if this becomes an issue.

A maximum of five sections (including the silver or gold sections) may be completed each week, prior to the Awana Christmas Store in December. (This controls the maximum number of shares the store has to allot for.) After the Christmas store, more sections may be said, as long as there is time for everyone to say their sections.

A clubber may not work ahead of their age level handbook; however they may complete handbooks from previous years. Additional extra credit handbooks/sections are also available.

EVERYONE is expected to participate in Game Time (including leaders). The only exception is if three consecutive club nights go by without your clubber completing a section, then he/she may be asked to sit out.

PARENTAL INVOLVEMENT & AVAILABILITY Parents are critical to the spiritual development of their children (Deuteronomy 6, Psalm 78, & Ephesians 6) and we highly encourage you to do your part all week long. Parents are also encouraged to attend the evening activities on Parents Night to "experience club" for themselves. However, unless parents are serving in Awana, we ask that you not "hang out" with your clubbers.

We do ask that you are available in case of emergency. We encourage you to join the Wednesday night Bible Study on campus, or if already a member of Colonial, consider joining our team and setting an example of Christian service for your clubber.

LOST & FOUND If your child forgets something on campus, please check the following locations:

Their club room: often directors will hold things here for a while.

The Awana Office (located in the Nehemiah Building): we have a small bin for items which we will move to the church lost & found twice per year.

Church Lobby: items may also end up in the coatroom off the church auditorium lobby. Items here are kept for a time and then periodically donated to the Union Mission.

COMMUNICATION In our ever changing, digitally-connected world, we are trying to keep the pace. Traditionally we have used e-mail to communicate on a regular basis and we will continue to do so. However, we are expanding our use of a voluntary text messaging service to aid in getting timely information to parents (e.g.

schedule changes or cancellations). You can receive these updates via text, e-mail or through the Remind app (see links below). You will want to sign up for the Awana@CBVB feed for important ministry-wide information and reminders. You may also sign up for any of the other feeds that your children will be a part of.

SAFETY INFORMATION Because children are precious to God as well as to you, we make their safety a high priority. Here are a few things you should know: LEADER QUALIFICATIONS Although we welcome the help, not just anyone can serve in our club. Leaders working with your children must first be members of Colonial Baptist Church (which requires testimony of salvation, baptism and regular attendance and accountability with our fellowship). Second they must be approved and go through specific training and finally they will undergo a background check. CHECK-IN & CHECK-OUT PROCESS In order to ensure their safety, we need to make sure that clubbers are properly transferred to us and back to you. Here is how we envision this happening: Check-in: All clubbers should be dropped off to their respective club by a responsible adult. This makes sure you know they arrived and that the leader is aware of their arrival. For Cubbies, parents are required to sign them in. Please do not simply drop children off in the parking lot and expect them to walk to their correct location. We do not want to see something happen to a child because they were not properly handed off to our club. Check-out will be handled based on their club as follows:

Cubbies – parents will need to sign out their clubber by signing the check-out form

Sparks – Each Sparks family will be given two laminated cards with a pre-assigned unique number. These cards are to be kept in your possession and presented to the leader who will then call out for your clubber. We will not release a child to anyone without a card. Should you care for

another individual to pick up your child, you will need to make sure they have one of the cards. Should you happen to lose your card, you will need to present identification to the main Awana office to purchase another ($5). The number is unique to your clubber and not be reused. Leaders may also ask for additional identification upon clubber pick-up if the adult in not recognized or is not the normal person for pick-up.

T&T – our policy is that all T&T clubbers be picked up at their respective rooms by a responsible adult. However, we recognize that some parents are okay with their older clubbers having the freedom to leave club when the evening events conclude to come find you wherever you are on campus. If you want to allow your clubber this freedom, you must fill out the permission form on file with their secretary.

Although we would prefer they be picked up, we do not want to interfere with how you raise your children and the level of trust you have developed. Please note that this privilege may be revoked at your request or based on the clubber’s actions on any given night.

Our intention is not to make the process more difficult but to make sure that each child is safe and properly transferred back to their family. Because we have an open campus and we are not all in one building, it is not as "secure" as we would like it. Regardless, we must do the best we can. We do have security on campus each Wednesday night but we want to do everything we can do protect your children. CAMPUS SECURITY As mentioned above, we do have trained security personnel on campus each Wednesday night who are patrol the campus and check in with the leadership. In addition, the Ministry Directors, office and store personnel, club secretaries and game guys have

direct lines of communication with campus security in case of emergency. EMERGENCY PROCEDURES In the event that there is an emergency (natural or personal) on

campus, we have organized a set of principles and procedures to

ensure safety and the protection of life for all Awana club

members and occupants of the buildings, as well as property of

Colonial Baptist Church. The inherent leadership structure of the

Awana program will help ensure safety and hierarchy for such

situations (i.e, the leaders will be responsible for the safety of the

clubbers under their care; the directors will be responsible for

their leaders, etc.).

Order will be maintained and no child will be unattended at any

time. Any child/youth missing will be reported immediately to the

Club Directors, who will communicate with the Commanders.

Clubbers are to stay quiet and will remain seated in the safe zone

and will be under the direct supervision of at least one adult. The

NT will be on hand to assist in any way possible.

Hierarchy of Accountability: Local Emergency Authority (Police,

EMS, Fire) >> Pastoral Staff >> Awana Commanders >> Club

Directors & Secretaries >> Group Leaders & Assistants >> Clubbers

Parent-Child Retrieval: Reuniting Clubbers with parents will be

done only within the context of strict accountability. Parents will

be able to pick up their child in the established safe zone and will

be encouraged to leave campus if it is safe to do so. Strict

accountability and communication will be maintained. Children

will be released to parents ONLY if they will be departing. At NO

Time will children be left to run around.

DISCIPLINE Discipline is part of our club; without it, a clubber cannot fully enjoy the Awana program. The root word for discipline is "disciple" and connotes the idea of teaching or molding. Thus, discipline is meant to be a loving approach to teaching acceptable behavior and self-control and involves a multi-faceted approach.

The correct use of discipline involves standards (expectations), rules (policies), consequences and correction. Positive discipline seeks to instruct the heart as well as alter the actions.

Strict but fair discipline will be maintained throughout the club night and any form of discipline administered by Awana@CBVB is done out of love for your children.

The forms of discipline employed in Awana@CBVB include:

Gentle but Firm Spoken Words: at all times, the leaders will communicate to the clubber with respect, love, and grace. Behavior that is inappropriate will be identified and the acceptable/expected behavior explained in a gentle but firm tone and in words appropriate to the clubbers level of understanding.

The 5-Count: this is used in any club segment to quiet clubbers and get their attention. Upon hearing the 5-Count, all clubbers are to stop talking, making noise, moving around and direct their attention to the leader.

The 3-Count: this is an escalating form of discipline that is applied on an individual basis to a clubber who is repeatedly misbehaving or is disruptive on a given club night:

o "That's 1": When a clubber continues to misbehave after gentle reminders, the leader will alert the clubber to the action that is inappropriate and that this is their first warning.

o "That's 2": Upon repeating the unacceptable behavior, the clubber will again be alerted that their behavior is

inappropriate and is to stop, be instructed in the correct behavior and told this is their 2nd warning. This results in a caring conversation with the club director and review of Scripture addressing the issue. Often this 3-5 minute separation away from other clubbers may be enough to discourage further disruption. The clubber is also informed that a three count may result in a suspension from club.

o "That's 3": After the third infraction of repeated inappropriate behavior in the same night, the clubber will be taken to the Club Director and possibly the Ministry Directors (depending on the infraction) for an extended time-out and possible suspension. Clubbers will not be allowed to return to club until after the club leaders meet with the parents to discuss the clubber's behavior.

Any serious problems that arise or that harm other attending clubbers that cannot be handled by the clubber’s leader and/or Director will be referred to the Awana Ministry Directors. The Ministry Directors, in the presence of another leader, will then counsel the clubber. Depending on the severity of the infraction, clubbers will be given one warning.

If the clubber continues to display negative behavior (fighting, disruption, etc.), the Ministry Directors will contact the parents and the child will not be allowed to attend the next scheduled club meeting. Expulsion from club will occur if there is a persistent unwillingness to abide by the club rules and authority of their leaders/directors.

REGISTRATION FEES Colonial Baptist Church provides the facilities, equipment and finances for most of the club needs. However, to help defray the cost of awards and general club expenses, we collect dues from each clubber as follows:

Yearly: $30.00 per clubber (only first 3 in family charged) $25.00 per clubber if paid in full by 1st night

Quarterly: we can set up quarterly payments to help your budget. Please see the Office Secretary.

Dues are pro-rated for those joining after October 15th

If this presents a financial hardship for your family, we do not want this to be a barrier to your child's participation with us each week. Please see your clubber's director or the Awana Ministry Directors to let us know.

SPECIAL EVENT DETAILS CHRISTMAS STORE Early in December we host a Christmas Store. This is an opportunity for the clubbers to use their earned points to purchase nicer items for their family members as an act of blessing and kindness or themselves as a reward for their hard work. Leaders and volunteers help wrap the gifts to keep the surprise for Christmas morning. It is a lot of fun to watch the clubbers “shop” for their siblings and parents.

Donations are appreciated and necessary to make this happen. Please see the Awana Store Managers for more information. If you want to volunteer for the event, please contact the Ministry Directors.

BIBLE QUIZ The Awana Regional Ministry Team hosts a competition between area churches each winter. Clubbers compete against others in their same handbook material in written, speed and paddle quiz events. Quizzing covers the first half of the material in the book. Team selection begins in the Fall and is usually completed before the Christmas break. Participation is voluntary but highly encouraged. Leaders will work with the teams as coaches to prepare for the event typically held in February.

SPARKS-A-RAMA & AWANA GAMES The Awana Regional Ministry Team also hosts an athletic competition between area churches in March. The events are games the kids play often during game time. Team selection will occur in late January. There are multiple Saturday practices prior to the competition. If a team member misses more than one practice without reasonable excuse, he may be dropped from the team, and replaced by an alternate.

The Awana Games team selection is based on specific criteria. Clubbers selected for the teams must:

Complete 10 sections in their handbooks prior to team selection,

Have consistent club attendance,

Show sportsmanship and athletic ability, and

Participate in Game Time throughout the year.

GRAND PRIX Our church hosts a pine car derby each year in April. This event is a fun filled night of racing. Kits are available for purchase in the Awana Office in December and are meant to be a way to foster parent-child interaction during the design, crafting and decorating process. There are some important rules and regs for the event so that the competition is legit but it is a lot of fun.

Awards are given for overall design and in each club for speed.

COLONIAL’S POINT SYSTEM

Clubbers will be awarded points each club night for various accomplishments (e.g. attendance, memory work, bringing visitors etc.). These points accumulate so that they can spend on items in the Awana Monthly or Christmas Store.

Points are awarded as follows:

Arrival (40 point potential) o 5 pts for bringing a Bible o 5 pts for bringing their handbook o 5 pts for wearing their uniform o 10 pts for bringing a visitor o 10 pts for dressing up on a dress-up night (15 pts awarded

on a dress-up night if costume is substituted for uniform)

Handbook Time (25 point potential each night until the Christmas Store; afterwards, unlimited point potential) o 5 pts for each section completed o Cubbies will earn 10 pts for each section said as they only

say one per club night

Uniform Inspection (additional 10 points) o 10 pts for each clubber who has his uniform on correctly,

neatly, and all awards affixed, on uniform appreciation night (see calendar for dates). Uniform guidelines are found on page 15.

Game Director/Club Director’s Discretion (5 points) o The directors may, at their discretion, award 5 points extra

per night to the winning team, or they may use other prizes. (Prizes rather than points are preferred for Cubbies & Sparks.)

AWANA Global Outreach We will again be participating in Awana’s Global Outreach (GO) this year. For those unfamiliar with the program, here is what it is all about: Awana clubs in America raise money for other countries where missionaries are serving to train the leaders how to reach kids for Christ through Awana. This enables children around the world to hear about God’s love for them. Our church helps support the Awana Clubs in all over the world. Our big fundraiser is PennyWars in the month of October. When your child brings in their AwanaGO money, all of it goes toward this important cause. Children who bring a minimum of $5.00 will receive an official AwanaGO patch to put on their uniform. If you would like to have your child participate, please have him ask his leader for an Adopt-a-Club coin card to fill with quarters, or simply send in your support donation designated as “AwanaGO.” Our participation in Adopt-a-Club continues throughout the club year. Introducing C-track

You can continue your Bible memorization & study

beyond the Truth & Training program. Awana has

introduced a method for you to complete the Trek and

Journey studies without an official program here at

Colonial Baptist Church…it’s called C-track.

The C-track program (C for Citation award & College

scholarship program) enables teens to complete the

Trek and Journey books as they work in a small group

setting with a pre-approved couple. A student

completing 10 Awana books (any combination of T&T,

Trek, or Journey) is qualified for the Awana citation

award and eligible for scholarships at a number of

Christian colleges. In addition, these students will be

able to take advantage of Awana’s purposeful

worldview training that is integrated across their entire

curriculum.
